Making a good poster and preparing properly will give you confidence when presenting  at meetings

Guidelines For an Effective Poster Presentation

An effective poster is not just a research paper stuck to a board. Here is how to make yours stand out.  A great poster works on several levels: it is a source of information, a conversation starter, an advertisement and a summary of your work. It is not a research paper and must therefore use different approach in getting the message across.

A poster should: Focus on a single message; Let graphs and images tell the story; Keep the sequence well-ordered and obvious. Many posters suffer from easy-to-fix problems such as the objective(s) and main point(s) being hard to find, poor organisation and poor graphics. Plan your poster!

Leave yourself enough time : Plan you poster ahead of time – Don’t assume your co-authors will drop what they are doing to check your poster, or that the Graphics Printers will be twiddling their thumbs with nothing to do. Assume everyone else is a busy as you are, and plan accordingly.

Poster Layout

What size and orientation does it need to be? Follow the size guidelines for the conference; don’t let your poster be the one that doesn’t fit the board properly (this will attract the wrong kind of attention!).  Use the layout as a guide to your poster.

  • In English, people read from top-to-bottom and left-to-right and you should arrange your poster to reflect this by putting information into columns.
  • Your poster should have a good visual balance of figures and text, separated by space. Balance occurs when images and text are reflected (at least approximately) across a central horizontal, vertical, or diagonal axis.
  • Create titles (use bold and italics) to indicate the important parts of your poster and, if it helps, use organizational cues such as numbers, letters or arrows to guide the viewer.
  • Don’t be constrained by the scientific paper format of introduction, methods, results and discussion. Sections can often be merged.
  • Do include a conclusions section at the bottom of the poster. This should be in a separate panel and use the minimum of words.

Text : Your main title should be visible from 4-5 m away, so should be at least 5cm tall. The main body of text should be at least 24 point and headings should be at least 36 point. Use a sans serif font (such as Arial) as these are much easier to read. It can be effective to use a different typeface for headings and subheadings.   Helpful hint: If you print your poster on a standard sheet of paper, you should be able to read all of it - including text in figures - comfortably. If you can't, your text is too small.

Logos : Remember to advertise your Institution! Always include the University of Edinburgh logo. Also include your Research Centre logo and the Edinburgh Neuroscience logo if you can. Use high quality images – poor quality, low resolution, images will make your poster look poor quality too.

Poster Content

What's my message?   Everything you put on your poster relates to a carefully crafted message. You must be able to state your main point(s) and conclusion(s) clearly and succinctly.  All visuals and text should relate to those points and conclusions.  Simple messages are more memorable.  Details distract from the main point, and can be supplied in person as needed.

Title and Headings : Keep your title as simple as possible; short and snappy will attract more attention than a long title full of acronyms.  Use headings to convey the message; viewers in a hurry may not need to read any further. Have a hierarchy – a bigger font for an important point.

Graphs : Keep it simple – avoid 3D graphs unless you are displaying 3 dimensional data. Don’t put too much information on the same graph and remember to use a large-enough text size on your axis labels. Provide a title for your graph.

Results and Conclusions : Your abstract was submitted for the Abstracts Book or Website, it does not belong on your poster. Use graphs and illustrations to expand on your abstract and use the smallest number of words you can get away with – aim for 300-500 words maximum on the whole poster and don’t use more that 50 words in any one text element. Only include references that are essential.

Presenting Your Poster

So, you’ve made a fabulous poster, what now? This is the starting point for discussions with other researchers and your chance to make your work memorable, so.....

Be prepared : Make sure you're at your poster during the assigned presentation time.  Use your poster as a visual aid – don’t read it. Prepare a 30sec, 2 min and 5 min tour of your poster. During the tour tell your viewers:

  • the context of your problem and why it is important (Introduction),
  • your objective
  • and what you did (Objective & Methods)
  • what you discovered (Results)
  • what the answer means in terms of the context (Discussion)

You can, if you want, bring A4 print-outs of your poster for handing out to interested viewers.

Dissertations and research projects

General advice and resources to support you throughout your research-based dissertation or project.

This is a general resource to help you with the basics of organising and writing a research-based dissertation or project.  The Go further section at the end includes advice on work-based dissertations and signposts other resources.

You should consult your course or programme information, including online sources, and project supervisor or programme director for subject-specific guidance.

Dissertations and research projects are an opportunity to focus on particular question, and plan and undertake your own research to explore it further.  Many students really enjoy being an independent researcher and becoming the expert on their work.  The format varies depending on the disciplinary context, subject area, your research questions and the project.  You may be reviewing the literature, analysing a novel, developing and testing a new method or doing a work-based project.  However there are some common factors:

  • They are an independent piece of work.  You will be working under supervision to some extent and may be collaborating with others, but ultimately you are submitting a piece of independent thought and writing.
  • They tend to have a large word count.  This is to allow you to do sufficient in-depth analysis and discussion of the topic.
  • They require a large investment of time, thought and energy throughout the process.  As a significant body of academic work, you need to maintain effort whilst reading, researching, thinking, writing and redrafting it.

Choosing your dissertation or project

Whether you are choosing your dissertation from a selection of topics or you are proposing your own, there are a range of factors to consider.  For example:

  • What is the starting point for your work, i.e. previous or related research?
  • How feasible is your project / proposal?
  • Do you have enough time and resources to complete it?
  • Will it be of an appropriate academic level?

A key questions to ask is “How interested am I in this topic?”  You will be working on your dissertation or project for some time, so having a genuine interest in the topic will help to keep you motivated.  If you have any questions specific to your topic or project, you should ask your supervisor, programme director or another member of staff who teaches you.

Planning your dissertation or research project

A research-based dissertation or project is a large piece of work requiring a high level of critical analysis.  To achieve this you will have to allow time, not just for the researching phase, but also for the writing and editing stages.  You will need to give yourself plenty of time to:

  • Read around your topic and undertake background research;
  • Digest and think about what you are learning and writing;
  • Complete experiments, fieldwork, interviews or project placements;
  • Analyse data, findings or results, and interpret them;
  • Think about and decide on your conclusions.

Taking a project management approach to your dissertation or research project might be a more effective way to successfully complete it.  The Time management page has tips and tools for organising your time.

The dissertation and project planner can be used to think about the different stages and help give you an overall view of the process.  There are some general points and questions to act as prompts, spaces you can add your own notes in and some useful tips and resources.

Writing your dissertation

You should not underestimate the time that should be allocated to writing your dissertation.  Writing will involve planning, background research, drafting, redrafting, and proof-reading and editing.

First draft : Your first draft is about getting words on the page.  For example, it may sketch out your first thoughts, arguments and potential structure.  You can review these and use them to check: are you focussed on the right topics and questions?  Is your structure and line of thought sensible?  This is also a good time to set up your format requirements (e.g. page layouts, references).

Redrafts : Redrafting is where you expand and refine your ideas and argument.  You may also find that as you are writing the direction of your argument changes; for example this could be due to your literature research producing new avenues of thought or your experiments turning up unexpected results.  This is a good time to review the focus of your initial question, and whether your arguments or conclusions are still sensible.

Final draft(s) : Your final draft(s) is where you cast a critical eye over your work and assess how effective it is in communicating your argument and conclusions - does it answer the question?  You should also check that your presentation, spelling and grammar are appropriate and polished, all your references are included, and your are following the appropriate format guidance.

It is a good idea to take a break between writing and reviewing your work.  Try to leave at least a day between writing before you pick it up again, the longer the better.  This allows you to look at your work with an analytical eye, looking for ways to improve.  Imagine you are reading your work as someone who is not so familiar with the topic: would a reader be able to follow and understand your argument?  Do your ideas link?  Have you signposted on from one section to the next?  Remember also to look back at your question/title, does your dissertation address it?  Does it follow a logical structure?

To check the flow of your argument or line of reasoning you can test pieces of your text using set criteria.  To help revise and restructure your text you can make a reverse outline.  Both of these techniques are available on our Editing and proofreading page.

Data Mindfulness

As part of your research you will produce and use research data in a variety of forms from quantitative and/or qualitative research.  This may be data you generate yourself or obtained from other researchers, data repositories or public records.  You need to make choices about what you use, handle your data correctly and document all of this process.

The University’s Research Data Service helps staff and students be effective with their research data before, during and after their project.   They have created an introductory handbook on Data Mindfulness for taught students writing a dissertation.  This handbook is accompanied by a set of short videos.  Together these cover topics including what data is, how to store it, file organisation and dealing with your data after your hand-in.  There is advice in the handbook on working with sensitive data and issues such as privacy, confidentiality and disclosure.

Work-based dissertations

Many courses and programmes, particularly at Postgraduate level, offer the opportunity to carry out a work-based dissertation.  These opportunities vary between Schools and Programmes but will typically involve students tackling a research question identified by an organisation such as a business, a public sector organisation or a charity.  A work based dissertation project can be invaluable for your employability and for career development.

If you are interested in carrying out a work-based dissertation you may need to start planning earlier than you would for a more traditional academic dissertation.  If your Programme offers this opportunity, you will be given this information at the start of Semester 1.  If you would like to source and set up a dissertation project with an external organisation yourself, you will need to speak with your Programme Director or Course Organiser first.

Information on the final submission process and graduation.

At the end of the examination process, PhD and MPhil students are required to submit the final version of their thesis to the College Office Postgraduate Section in order to meet the requirements to be awarded with their degree.

Students are required to submit the following Final Submission Documentation to the College Office in order to become eligible to be awarded and graduate:

  • Thesis submission for examination is now  electronic only ; all PGR theses are submitted to the College PGR Office (not the IGS office). The University's DataSync file hosting service is the preferred method for submission of the electronic version. For more information please check the How to submit tab here .
  • Every student must incorporate a signed declaration in the thesis. The declaration must state: (a) that the thesis has been composed by the candidate, and (b) either that the work is the candidate's own, or, if the candidate has been a member of a research group, that the candidate has made a substantial contribution to the work, such contribution being clearly indicated, and (c) that the work has not been submitted for any other degree or professional qualification except as specified. Students must ensure the declaration has been signed and dated by themselves. You can find more information here .
  • One electronic version, submitted on to PURE.  You should go Pure at www.pure.ed.ac.uk and log-in via EASE. Further information about this is available on the College SharePoint .  Please note that you are not required to submit a declaration form when submitting via PURE. 
  • One completed Access to a Thesis form.  If you require your thesis to be restricted, the form must be signed by the Deputy Head of Graduate School.  If you are unsure if access to your thesis should be restricted, speak to your supervisor.  You must sign the second page of this form even if the thesis is not to be restricted.

One completed Abstract of Thesis form. This must be completed on one side of A4 only (see example abstract form). Please note, if the abstract does not initially fit on the form, the form can be reformatted (i.e. the size of the font can be changed and unnecessary lines deleted) - see Reformatted Abstract form.

One completed   Lay Summary of Thesis Form The thesis must include a lay summary, which is not counted in the word count. The lay summary must be no longer than can be accommodated in single space type on one side only of a single form obtainable from the College Office. Lay summaries should conform to the requirements of the Regulatory Standards for the Format and Binding of a Thesis. In addition, the lay summary should be incorporated at the beginning of each copy of the thesis. Guidance for Lay Summary

Provide College Office with a current mailing address .  The College Office will send your award letter to the address you have provided on your EUCLID record listed as 'contact/ term-time address'. If this address is not correct then it is your responsibility to update this information. You can do so via the Student Personal Details channel on MyEd. Please see the following link for instructions on how to do this:

When you have received your Award letter from the College Office you are then eligible to graduate during the next graduation diet.  You must register to graduate at least 21 days before the Graduation diet begins. 

Please note, there is a deadline for registering to graduate - usually 21 days before the first graduation day of the graduation diet. There is no registration fee for graduation (regardless of whether you will be attending or not). If you do not register in time, you will automatically be registered to 'graduate in absentia' (not attending the ceremony).

How to find and download university-branded templates for powerpoint presentations..

  • Available templates

You can download a selection of PowerPoint templates from the University X: Drive.

There are templates for each faculty and School, as well as for research and corporate uses. Each template is available in a 16:9 ratio and a 4:3 ratio. The templates are designed to meet accessibility requirements so that all audiences can use them.

All templates are in Microsoft PowerPoint.

  • Finding the templates

To download a template:

  • Connect to the University VPN if you're not already on the University network.
  • Select the X: drive from the list of Network Locations on your desktop. Read how to set up the X: drive on Windows or Mac .
  • Open the 'Administration' folder.
  • Open the 'Resources' folder.
  • Open the 'Templates' folder.
  • Open the 'Accessible PowerPoint templates' folder.
  • Select the PowerPoint file you need from the list.
  • Download a copy of the file (don't edit the file while it's in the X: drive).

The University’s PowerPoint presentation template is available for you to download from the below site, so that our presentations have a consistent look and feel. The templates are also available on University PCs - currently, they are not available on University Macs. They are saved in PowerPoint in the Office Templates > UoS Templates folder , under the 'Shared' templates tab.

Gibbs' Reflective Cycle

One of the most famous cyclical models of reflection leading you through six stages exploring an experience: description, feelings, evaluation, analysis, conclusion and action plan.

Gibbs' Reflective Cycle was developed by Graham Gibbs in 1988 to give structure to learning from experiences.  It offers a framework for examining experiences, and given its cyclic nature lends itself particularly well to repeated experiences, allowing you to learn and plan from things that either went well or didn’t go well. It covers 6 stages:

  • Description of the experience
  • Feelings and thoughts about the experience
  • Evaluation of the experience, both good and bad
  • Analysis to make sense of the situation
  • Conclusion about what you learned and what you could have done differently
  • Action plan for how you would deal with similar situations in the future, or general changes you might find appropriate.

Below is further information on:

  • The model – each stage is given a fuller description, guiding questions to ask yourself and an example of how this might look in a reflection
  • Different depths of reflection – an example of reflecting more briefly using this model

This is just one model of reflection. Test it out and see how it works for you. If you find that only a few of the questions are helpful for you, focus on those. However, by thinking about each stage you are more likely to engage critically with your learning experience.

This model is a good way to work through an experience. This can be either a stand-alone experience or a situation you go through frequently, for example meetings with a team you have to collaborate with. Gibbs originally advocated its use in repeated situations, but the stages and principles apply equally well for single experiences too. If done with a stand-alone experience, the action plan may become more general and look at how you can apply your conclusions in the future.

For each of the stages of the model a number of helpful questions are outlined below. You don’t have to answer all of them but they can guide you about what sort of things make sense to include in that stage. You might have other prompts that work better for you.

Description

Here you have a chance to describe the situation in detail. The main points to include here concern what happened. Your feelings and conclusions will come later.

Helpful questions:

  • What happened?
  • When and where did it happen?
  • Who was present?
  • What did you and the other people do?
  • What was the outcome of the situation?
  • Why were you there?
  • What did you want to happen?

Example of 'Description'

Here you can explore any feelings or thoughts that you had during the experience and how they may have impacted the experience.

  • What were you feeling during the situation?
  • What were you feeling before and after the situation?
  • What do you think other people were feeling about the situation?
  • What do you think other people feel about the situation now?
  • What were you thinking during the situation?
  • What do you think about the situation now?

Example of 'Feelings'

Here you have a chance to evaluate what worked and what didn’t work in the situation. Try to be as objective and honest as possible. To get the most out of your reflection focus on both the positive and the negative aspects of the situation, even if it was primarily one or the other.

  • What was good and bad about the experience?
  • What went well?
  • What didn’t go so well?
  • What did you and other people contribute to the situation (positively or negatively)?

Example of 'Evaluation'

The analysis step is where you have a chance to make sense of what happened. Up until now you have focused on details around what happened in the situation. Now you have a chance to extract meaning from it. You want to target the different aspects that went well or poorly and ask yourself why. If you are looking to include academic literature, this is the natural place to include it.

  • Why did things go well?
  • Why didn’t it go well?
  • What sense can I make of the situation?
  • What knowledge – my own or others (for example academic literature) can help me understand the situation?

Example of 'Analysis'

Conclusions.

In this section you can make conclusions about what happened. This is where you summarise your learning and highlight what changes to your actions could improve the outcome in the future. It should be a natural response to the previous sections.

  • What did I learn from this situation?
  • How could this have been a more positive situation for everyone involved?
  • What skills do I need to develop for me to handle a situation like this better?
  • What else could I have done?

Example of a 'Conclusion'

Action plan.

At this step you plan for what you would do differently in a similar or related situation in the future. It can also be extremely helpful to think about how you will help yourself to act differently – such that you don’t only plan what you will do differently, but also how you will make sure it happens. Sometimes just the realisation is enough, but other times reminders might be helpful.

  • If I had to do the same thing again, what would I do differently?
  • How will I develop the required skills I need?
  • How can I make sure that I can act differently next time?

Example of 'Action Plan'

Depending on the context you are doing the reflection in, you might want use different levels of details. Here is the same scenario, which was used in the example above, however it is presented much more briefly.

Getting started with the template

This PowerPoint file contains all the different template options. It’s made up of four content groups:

  • Media only slides (eg images, video, graph/data visualisation)

You can mix and match the slide templates in your presentation.

  • Read the guidance slides and delete once read
