Do you give English presentations at work, but feel that you could communicate your message in a more objective, fluid way?

Maybe you have an English presentation coming up and want to make sure that your speech is clear and structured so that your audience doesn’t lose concentration and stays with you all the way to the end.

A technique that can help you achieve objective, clear, and structured English presentations, is to use linking phrases that join the separate parts of your presentation together.

English presentations normally consist of an introduction, the main body, individual parts of the main body, and the ending or conclusion.

To help maintain your audience’s attention, you need to signal when you are going from one part to another.

In this article, I teach you 52 phrases that do exactly this – linking the different parts together, and therefore, making your presentation flow better. You’ll find that these phrases will act as ‘signposts’ for the audience when you finish one part and start another.

52 Phrases to Improve the Flow of Your English Presentations

The introduction.

All good presentations start with a strong introduction.

There are a number of different ways you can begin your English presentation. Here’s a simple, but effective introduction structure which works for most types of business presentations:

Introduce – Introduce yourself and greet your audience. Introduce the presentation topic – Explain the reasons for listening. Outline – Describe the main parts of the presentation. Question policy – Make it clear to your audience when they can ask questions: during or at the end?

Here are some phrases which you can use to structure the introduction in this way:

1. Good morning/afternoon (everyone) (ladies and gentlemen). 2. It’s a pleasure to welcome (the President) here. 3. I’m … (the Director of …)

Introduce the presentation topic

4. By the end of the talk/presentation/session, you’ll know how to… / …you will have learned about… / 5. I plan to say a few words about… 6. I’m going to talk about… 7. The subject of my talk is…

8. My talk will be in (three parts). 9. In the first part… 10. Then in the second part… 11. Finally, I’ll go on to talk about…

Question Policy

 Main Body

Now that you have finished the introduction, we now need to transition to the main body, and its individual parts in a smooth way.

There are three parts of the main body of a presentation where linking phrases can be used:

Listing and Sequencing

If you need to talk about goals, challenges, and strategies in your English presentation, listing phrases can help link these together and improve the flow of your speech. If you have to explain processes, sequencing phrases are helpful:

25. There are three things to consider. First… Second… Third… 26. There are two kinds of… The first is… The second is… 27. We can see four advantages and two disadvantages. First, advantages… 28. One is… Another is… A third advantage is… Finally…

After you have presented the main body of your English presentation, you will want to end it smoothly.

Here are typical sections transitioning from the main body to the ending of the presentation, and then inviting the audience to ask questions:

Linking phrases are like the skeleton which holds your presentation together.

Not only do they improve the flow and help guide the audience, but by memorizing them they can also help you remember the general structure of your presentation, giving you increased confidence.

To help you memorize, I recommend saying the linking phrases on their own from the beginning to the end of your presentation while you practice.

I also suggest memorizing the introduction word for word. By doing this, you will get off to a great start, which will settle your nerves and transmit a positive first impression.

Speech transitions: words and phrases to connect your ideas

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant.

This can be done using speech transitions because these act as signposts to the audience – signalling the relationship between points and ideas. This article explores how to use speech transitions in presentations.

What are speech transitions?

Speech transitions are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

This makes it easier for the audience to understand your argument and without transitions the  audience may be confused  as to how one point relates to another and they may think you’re randomly jumping between points.

Types of transitions

Transitions can be one word, a phrase or a full sentence – there are many different types, here are a few:

Introduction

Introduce your topic:

  • We will be looking at/identifying/investigating the effects of…
  • Today I will be discussing…

Presentation outline

Inform the audience of the structure of your presentation:

  • There are three key points I’ll be discussing…
  • I want to begin by…, and then I’ll move on to…
  • We’ll be covering… from two points of view…
  • This presentation is divided into four parts…

Move from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shift between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Presentation transitions at a meeting

Shift between disagreeing points

You may have to introduce conflicting ideas – bridging words and phrases are especially good for this:

  • Conversely…
  • Despite this…

  • On the contrary…

Transition to a significant issue

  • Fundamentally…

Referring to previous points

You may have to refer to something that you’ve already spoken about because, for example, there may have been a break or a fire alarm etc:

  • Let’s return to…
  • We briefly spoke about X earlier; let’s look at it in more depth now…
  • Let’s revisit…
  • Let’s go back to…
  • Do you recall when I mentioned…

This can be also be useful to introduce a new point because adults learn better when new information builds on previously learned information.

Introducing an aside note

You may want to introduce a digression:

  • I’d just like to mention…
  • That reminds me…
  • Incidentally…

Physical movement

You can  move your body  and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Emphasising importance

You need to ensure that the audience get the message by informing them why something is important:

  • More importantly…
  • This is essential…
  • Primarily…
  • Mainly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Speech transitions during a team meeting

Cause and effect

You will have to transition to show relationships between factors:

  • Therefore…
  • Thus…
  • Consequently…
  • As a result…
  • This is significant because…
  • Hence…

Elaboration

  • Also…
  • Besides…
  • What’s more…
  • In addition/additionally…
  • Moreover…
  • Furthermore…

Point-by-point or steps of a process

  • First/firstly/The first one is…
  • Second/Secondly/The second one is…
  • Third/Thirdly/The third one is…
  • Last/Lastly/Finally/The fourth one is…

Introduce an example

  • This is demonstrated by…
  • For instance…
  • Take the case of…
  • For example…
  • You may be asking whether this happens in X? The answer is yes…
  • To show/illustrate/highlight this…

Transition to a demonstration

  • Now that we’ve covered the theory, let’s practically apply it…
  • I’ll conduct an experiment to show you this in action…

  • I’ll now show you this…

Introducing a quotation

  • X was a supporter of this thinking because he said…
  • There is a lot of support for this, for example, X said…

Transition to another speaker

In a  group presentation  you must transition to other speakers:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Gayle will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Gayle”.
  • The next speaker should acknowledge this with a quick: “Thank you Simon.”

From these examples, you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

You can  tell personal stories  or share the experiences of others to introduce a point. Anecdotes are especially valuable for your introduction and between different sections of the presentation because they engage the audience. Ensure that you plan the stories thoroughly beforehand and that they are not too long.

Using questions

You can transition through your speech by asking questions and these questions also have the benefit of engaging your audience more. There are three different types of questions:

Direct questions require an answer: “What is the capital of Italy?” These are mentally stimulating for the audience.

Rhetorical questions  do not require answers, they are often used to emphasises an idea or point: “Is the Pope catholic?

Loaded questions contain an unjustified assumption made to prompt the audience into providing a particular answer which you can then correct to support your point: You may ask “Why does your wonderful company have such a low incidence of mental health problems?”.

The audience will generally answer that they’re happy. After receiving the answers you could then say “Actually it’s because people are still unwilling and too embarrassed to seek help for mental health issues at work etc.”

Speech transitions during a conference

Transition to a visual aid

If you are going to introduce a visual aid you must prepare the audience with what they’re going to see, for example, you might be leading into a diagram that supports your statement. Also, before you  show the visual aid , explain why you’re going to show it, for example, “This graph is a significant piece of evidence supporting X”.

When the graphic is on display get the audience to focus on it:

  • The table indicates…
  • As you can see…
  • I’d like to direct your attention to…

Explain what the visual is showing:

  • You can see that there has been a reduction in…
  • The diagram is comparing the…

Using a visual aid to transition

Visual aids can also be used as transitions and they have the benefit of being stimulating and breaking-up vocal transitions.

You might have a slide with just a picture on it to signify to the audience that you’re moving on to a new point – ensure that this image is relevant to the point. Many speakers like to use cartoons for this purpose but ensure its suitable for your audience.

Always summarise your key points first in the conclusion:

  • Let’s recap on what we’ve spoken about today…
  • Let me briefly summarise the main points…

And then conclude:

If you have a shorter speech you may choose to  end your presentation  with one statement:

  • In short…
  • To sum up…
  • In a nutshell…
  • To summarise…
  • In conclusion…

However, using statements such as “To conclude” may cause the audience to stop listening. It’s better to say:

  • I’d like to leave you with this…
  • What you should take away from this is…
  • Finally, I want to say…

Call to action

Requesting the audience to do something at the end of the presentation:

  • You may be thinking how can I help in this matter? Well…
  • My aim is to encourage you to go further and…
  • What I’m requesting of you is…

Common mistakes

When transitions are used poorly you can annoy and confuse the audience. Avoid:

  • Using transitions that are too short – transitions are a key part of ensuring the audience understands your presentation so spend sufficient time linking to your next idea.
  • Too many tangents – any digressions should still be relevant to the topic and help the audience with their understanding, otherwise cut them out.
  • Incompatible transitions – for example, if you’re about to introduce an example that supports your statement you wouldn’t introduce this by saying “but”. Use transitions that signify the relationship between points.
  • Over-using the same transition because this is boring for the audience to hear repeatedly. Ensure that there is variety with your transitions, consider including visual transitions.
  • Miscounting your transitions – for example, don’t say “first point”, “second point”, “next point” – refer to your points consistently.

Speech transitions are useful for unifying and connecting your presentation. The audience are more likely to remain engaged since they’ll be able to follow your points. But remember that it’s important to practice your transitions beforehand and not just the content of your arguments because you risk looking unprofessional and confusing the audience if the presentation does not flow smoothly.

General vocabulary for presentations

Sometimes, the smallest changes in your presentations can make the biggest differences. One of them is to learn a few phrases that give you confidence during your speech. Here are some important verbs to get you started:

  • To highlight
  • To emphasize
  • To walk you through (*very common in business presentations!)
  • To send around
  • To carry on (similar to  continue)
  • To get carried away
  • To sum up (similar to  summarize )

Okay, welcome back for our third episode of Talaera Talks. This is Simon, and I'm joined with Paola. Paola, how are you doing? 0:37 Hi, Simon. I'm great. Happy to do another episode. 0:41 Yeah, absolutely. And Happy Friday. 0:44 Happy Friday! 0:49 So today, our topic: Presenting in English. I'd like to start this episode with a quote I found on Harvard Business Review that I thought was really interesting. It says, "Even native English speakers often anticipate disaster when making presentations. By but for non-native speakers, the anticipatory and situational anxiety associated with their unique challenges (these challenges - being understandable, choosing the right words, speaking spontaneously), can be overwhelming. Moreover, if these concerns interfere with your willingness or ability to make business presentations, the impact can be career-limiting." So yeah, that's a pretty kind of heavy quote to start. But it is something that we see from a lot of our clients, right? 1:52 Yeah, it's super interesting. It was super interesting to read. It's something we know, but it's important to remind it that it is presentations, the topic we have today is something that is not pleasurable for anyone, not for non-native speakers, but also for native speakers. So that's something to point out. And today, we talked about that... We said that we wanted to start with those challenges or fears that we see from our clients, our learners. 2:25 Yeah, and it's usually around the same things, you know, we, at least for me, I come into contact with so many of these, so many of our students who are so competent in their, in their daily lives, what they're doing in their professional lives. And they come to me with these with these fears, like this just general lack of confidence, or imposter syndrome, right? This I don't know if I really deserve to be speaking and, you know, kind of explaining this concept to all these people. 3:05 Mm-hmm. Yes. And also the fear of not being understood, well, they know what I'm saying, well, they understand my accent. There's a lot of worries and concern around accent and our pronunciation expert, Lisa hosted a webinar, actually last week, where she explained that accent matters. But as long as people understand you, it's fine. You don't need to be perfect. Everyone has an accent. So that's also totally fine. 3:37 And this being Yeah, this being one of I think, at least for me, in my experience, one of the most frequently asked for aspects from students. So you know, and just to like, again, just say that this is a challenge for everyone, not just, you know, non-native English speakers. You know, I think all of us have a tough experience or somebody that we think of when we think about public speaking, it's, it's like this, yeah, really anxiety-riddled thing. I mean, I don't have any, you know, funny personal stories, but uh, do you, Paola? 4:20 You want me to tell my embarrassing story, don't you? 4:22 Please, you must. 4:25 So I used to teach at a university in Vietnam when I lived there, and the classes where it rains, you know, from perhaps 50 students to up to what 300 there's was a class with, you know, 2-300 students and there was a little stage it wasn't too high, but there was a little stage and I fell off. 4:46 You fell off the stage. This was during or after the presentation, or...? 4:56 It was around the beginning of the presentation. So... 5:01 During! Oh, I thought it was it was like after like you were walking off? 5:06 No, I move a lot. I use my body language quite a lot. And that was one of the moments where I overdid it, probably, and fell off. 5:17 Wow. Well, I'm glad that you're still here with us. 5:21 Yeah, you know, but that's the story that I sometimes not always tell it. But I sometimes tell it when my students say, Oh, I'm nervous, and I assume that it can happen, you know, I thought it was going to be a disaster. And then I actually ended up making friends with the students that turned out okay. 5:39 Right. Well, yeah, I mean, today, we're not necessarily going to go into the physical dimensions of how to avoid falling off the stage. But we do have some, some good tips, right? 5:54 Yes. And to provide some advice on how to deliver presentations, and lose that fear, we've divided it into three main blocks. And those are what to do before the presentation, tips for during the presentation. And then even after there's things you can do to, to get better. 6:18 Right, let's start with the first, right, what can we do before the presentation in terms of getting ready, preparing? 6:30 So preparing, it's a very general term, but one of the tips that we like to give is, think of the WHAT, WHY and NEXT. So WHAT is your presentation about? WHY should they listen to you and not look it up online (or listen to a podcast, like ours)? And in what NEXT means - what is supposed to happen next? Do they need to do anything, go on a website, send you feedback? Are you going to send them the materials? So what why our next is so straightforward and simple. But when I asked this question to our clients that are so thrown off, and they don't know what to answer sometimes, 7:10 Yeah, I think that's one of those things. And I struggle with this all the time is, when I get an idea or something like that. It's so easy to just jump over those most basic things of, you know, what, why and index, those are so, so basic, but it's such it's, they're so foundational, right? And in terms of creating something that people will understand and be able to, to really attach to. 7:41 Yep. And do you have any tips around how much you should learn? Should you write the whole thing? Or should you memorize? 7:52 Yeah, that, you know, this is a good question as well, that a lot of our learners ask in terms of, yeah, you know, I'm just going to go and write it all out. And then I'll have an idea. And I'll feel better because I can write it and change it so that it sounds more professional. It sounds like I know what I'm talking about. And I always tell people, please don't try to prepare a presentation where you're reading a script, it is just the most unnatural thing ever. And, and it, you won't end up sounding more professional, if anything, your audience is going to detach, because they're going to sense that something's not really right here, it doesn't seem genuine, right doesn't seem real, it just seems like this person is doing what he's doing, which is reading off of a script. And even still a lot of times with a lot of our learners where they know that, okay, I know this material. But I'm going to put all of my effort into making this perfect slide this perfect presentation. So I would say, focus on actually knowing the material itself really well. More than focusing on how the presentation looks, you know, these kinds of things. Because once you're in that situation where you're on the stage, and people are looking at you, at least you'll be able to Windows like kind of red Sirens of you know, panic and anxiety show up. You'll have learned the material itself so well that you can roll with that. 9:29 Yes. And you also have room for improvisation because your brain is so used to the content and you know, so well what you want to say that that's when your brain starts to come up with anecdotes and that's the fun thing that gets you hooked. And that's the main Why should people listen to you instead of reading an article online? 9:49 Exactly. Because for most of our students, you know what you're talking about. That's why you're up there. That's why you have the opportunities to speak there is because someone thinks you're qualified enough to speak to all these people. So trust in that and go with that. So yeah, so we have right not, not over learning. Don't script it right? What else can we do? 10:14 Practice, practice, practice, practice, practice in your mind, but more importantly verbalize it, say it out loud. And recording yourself is uncomfortable for everyone. But it works. I have never tried it. I always told my students should record yourself, you should record yourself and they were like, Huh. And just a few of them did it. And when we started with the webinars, I haven't done something like it before. And I said, Okay, I'll use my own tip. And it was one I'm comfortable. And two, super helpful. So if you get to go over the sound of your own voice, I would say do it. 10:54 Yeah. You know, this is one thing that I have to be totally honest here. Doing these podcasts is the first time I've actually recorded myself for a long time. And I've learned a lot about, you know, not saying the word Absolutely. 500 times, yeah, within the span of 20 minutes. So those are good learning lessons. Definitely. Okay, and then so we have that. And then the last little tip is, I would say get an English mindset before 30 minutes to an hour before the presentation. And that could be listening to a podcast, you know, like Talaera Talks, or, you know, watching a show on Netflix that's, that's in English, whatever you can do to get your kind of English mind, you know, in the zone before you go up and actually speak English. So So those are all of our kind of pre presentation tips, what you can do before, so what about during, 11:58 so for during, there's a lot of things that you can you can do to improve your presentations. But the first tip is to learn how to start to have a mind map of what am I going to do at the beginning. So you start confident already. So welcome, everyone, introduce the people introduce the topic and go to the main point, those four parts will help you have a nice start. Welcome, everyone. For example. Hi, everyone. Welcome to today's presentation. Today, we'll be talking about business events, introduce the people, you can introduce yourself , like, Hi, my name is Paula and I'm a business English instructor at Telstra, and perhaps even the audience. Today we have with us students from all different nationalities and levels, or, you know, whatever the audiences, that's also helpful for everyone to understand, introduce the topic, or give you some best practices for business emails , and a few templates, and then go to the main point. So a simple sentence like Alright, let's get down to business. So having those welcome introducing people introducing the topic and going to the main point will help you have a nice start. 13:16 Yeah, and I like that concept of that the mind map is so good. Because it's it's not the scripting, like we were talking about before, it's having a kind of a little mental checklist. So that when those first few minutes, were you're up there on the on stage, and you're like, oh god, oh, god, here we go. Here we go. You have that little checklist that I created. Okay, so I welcomed introduced the people the topic, and now to the main point, and that can get you in the zone and going I really liked that. Yeah, so so having that, that starting template. And then another thing would be, I would say slowing down, slowing it down. And this is really I think it touches on a lot of aspects. The first would be just the general anxiety, we tend to speak a lot faster when we're really anxious, you know, but by slowing down, it really helps with non native English speakers because it helps with the accent. And it helps with giving you some time to really think through your next thoughts. Now, I'm not saying that you should, while you're speaking, try to think steps three, four or five ahead of you. But giving yourself a little bit of time to Okay, I'm going through this pattern now. Now I can go to the next one, right. And doing that, you know, another with the slowing down a tip if you're really nervous to go in is prefacing your speech. So before you really get into everything, maybe after the welcome part is just to say, Hey, you know, I'm going to try to speak as clearly as possible, as English as myself. first language and really smile and maybe make a little joke about that. And I think that's a good way to open it out for the audience to show some vulnerability and and help. I mean, what do you think about that? 15:13 Yeah, I mean, we see that with, sometimes with celebrities, when they're not native speakers, and they admitted, and they, they kind of put yourself put themselves, as you said, in that vulnerable position, and that makes them even cuter. 15:28 Mm hmm. 15:29 So it's making yourself human, I think it's always a good tip. And you were saying that slowing down helps with your accent and also for yourself to gain time to really know what you're going to say. But also for the for the audience. We don't mind people making some little pulses, so that they also have time to collect their thoughts. 15:50 Right, right. Yeah. Yeah, definitely. Those are, those are two really good aspects, starting, you know, the template and then slowing down, right. Yeah, kind of diffusing the anxiety by saying, Hey, you know, this isn't my first language. And that really gets the audience on your side, right. And then another would be not reading off of your slides. I mean, this is kind of the basic, you know, what you learn in school, but it's also something that a lot of people get, yeah, get, get hooked on, just because it's like a safety net. And I would say that's where the overlearning the material that we talked about beforehand comes into play. Anything else in this? 16:42 Oh, recap for sure. After every section, do a little recap, and at the end to recap where you summarize the main points of the whole presentation? 16:54 Yeah, yeah. Good. Good. So So summarize. Yeah, yeah. And that's a that's a good, you know, I would say three aspects, four aspects that during the presentation, if you keep these in, in your mind, it's, it's, I would say, it's going to help a lot. And so now we're going to move to what can we do after the presentation? We've done it, we've walked off the stage. Whoo, I'm so glad that's over. Now, is all of our work done? No. 17:27 No, not really. That's now it's your chance to actually learn from, from everything you did. So one of the tips we suggest is try to ask for feedback. But that's not so easy, right, Simon? 17:42 Yeah, it's, I think, a big question. And that is, who do you get the feedback from? Right?

17:50 So we, we would always suggest to try and find someone you can trust someone who is honest, and who can give you objective feedback. So in some cases, that can be your manager, but sometimes it's a colleague that understands the topic, and can really provide some feedback on how you did. 18:13 Yeah. And that's, I think, in terms of learning, this is one of the most crucial thing is reflecting back on what you did, and seeing what worked, what didn't work, and how can I take that and move forward? Because especially with presenting, it's a skill, and it takes practice, practice, practice. And, and I think, for a lot of people, you should jump at the chance to do this. So that you can continue to learn and continue to grow. But be sure to reflect by Yeah, by asking for feedback and seeing what worked, 18:47 for sure. And ideally, that would be someone, perhaps from work that can see how you did and like the actual show, if not Talaera teachers also do that. So you can present your own presentation, pretending it's the actual one. And that's how we can provide feedback on the structure, the vocabulary, the language in general. 19:08 Yeah, absolutely. I do that. Oh, there you go. Absolutely. Definitely. See, I'm reflecting back and learning as we go. I'm working. I'm learning that. Yeah. But I've done that recently with a couple of students where we've gone through their deck and looked at what are their plans in terms of presenting and we've kind of gone through in detail that together. So So yeah, so that was kind of I would say the biggest thing in terms of afterward. 19:40 So we have the pre-presentation, just as a quick recap for the pre-presentation and before your presentation, always remember the what why next, what is your presentation about? Why should people listen to you and what should happen next overnight Learn the content. be super confident about what you want to talk about. But don't script it. Don't write everything down. Otherwise, it would sound like you're just reading. 20:11 Write and practice through verbalization. record yourself, even though it may be awkward, but it's a great learning technique. And then get in that English mindset beforehand by Yeah, listening to a podcast or what have you. And then during the presentation, right, starting with the template, Paolo was discussing the welcome introducing the people the topic, and then going to the main point, 20:37 slowing down a little bit. It's not necessary to go super fast. It's not only not necessary, but people will understand you better if you take your time and make some pauses. Of course, don't read off their slides. Tell them the story. 20:54 Right, right. And remember 20:56 to recap, just like we're doing now. Send them or tell them a quick summary and the main points, 21:03 right, and don't fall off the stage as well. That's ideally we forgot. Ideally, it's final for then, as the final point, right, asking for feedback, finding that person that can get you that feedback that's so important to you. For a moment, your mind goes blank. 

All eyes are on you.

That moment right before you start presenting – as you take in your audience – is usually the scariest. The nervousness lessens with practice, but even the most frequent public speakers still get butterflies in their stomach sometimes. Whether you’re facing an entire room of people or looking at everyone through your laptop screen, giving a presentation can still be intimidating – or exciting, once you move beyond the fear. 

There’s an extra layer of challenge too if you have to speak in your non-native language. For a more professional-sounding and engaging presentation, we’ve compiled some of the most useful English presentation phrases below.

Delivering a Powerful Presentation 

To lay the groundwork for your presentation in English, here’s what you’ll have to do first:

Consider the audience  

You’re probably always going to need slides, but every presentation will be different – and the audience that you’ll be presenting to won’t always find the same points interesting. Because of this, you’ll have to tailor your message to them. What style of presentation would be a good fit? For example, some audiences would want to see a lot of number-crunching, while others might be looking for more personal storytelling .

Prepare a structure 

Structure is key in presentations. People have short attention spans, and they can be forgetful. At the end of the day, your goal is for them to remember at least the main points in your presentation. What message do you want to convey? Since you might be discussing a lot of information, you can make it more digestible by ensuring that there’s a logical progression and then ending with a summary. 

Whatever your topic is, it’ll benefit from having a well-defined structure to guide your audience from start to finish. Key Business Phrases

Once you’ve decided on the style and message of your presentation, you can take it up a notch by including certain English presentation phrases all throughout. Let’s break it down from start to finish: 

Introduction

This is when you’ll be warming up your audience before you proceed to your main points. 

Greeting the audience

If you’re presenting to people who aren’t too familiar with you, you can quickly introduce yourself and mention your role or company. 

  • Good morning, everyone. I’m glad to be able to present to all of you. 
  • Hello, everyone! It’s nice to see all of you today. I’m [name], the [position] from [company].

Describing your topic

After greeting the audience, you’ll be explaining to them what your presentation is all about. To set their expectations, you might show them an outline of the talk and mention if there’ll be any activities such as breakout discussions.

  • I’ll be talking about…
  • I’ll be talking about our financial metrics over the past year.
  • The topic of this presentation will be…
  • The topic of this presentation will be major trends in the logistics industry.
  • I’ll be discussing first the [first topic], next [second topic], and finally [third topic].
  • I’ll be discussing first the project’s ideation process, next our initial trial, and finally, presenting our results.

Addressing questions and technical concerns

People might be wondering if they can ask questions during your presentation, so you can clarify this at the start. If you’re providing handouts or presenting online, it’s useful to ask people to alert you about any technical concerns. 

  • Please feel free to ask any questions during the talk.
  • For questions, there will be a Q&A section at the end.
  • Can all of you see and hear me properly? Please let me know if you have any technical difficulties during the presentation.  

The body will make up the bulk of your presentation. Ideally, you would go through each of your points logically while letting your audience know when you’re moving on to the next section. 

The longer your presentation, the more important it is to use sequencing phrases. These act as cues that let your audience know where you are in the presentation. You can think of these as similar to detour signals that make the audience much more likely to get your meaning. 

  • First, let’s discuss the…
  • First, let’s discuss the initial spark for this idea.
  • Moving into [the next item / point] …
  • Moving into item 4, we can see that this is a major pain point for our target market.
  • This leads us to the next…
  • This leads us to the next section, where we’ll be looking at the facts and figures.

Linking is closely related to sequencing. Similar to writing, you can have a smoother presentation by connecting your ideas rather than suddenly jumping from one point to another. You can also refer back to points that you’ve mentioned before to make your presentation more cohesive. 

  • In connection to what I said earlier…
  • In connection to what I said earlier about growing our online presence, we can now look into potential social media campaigns.
  • What this means is…
  • What this means is that most of our growth is coming from a certain sector. Let’s analyze the data for this in the next section.
  • This ties in with…
  • This ties in with our survey findings about user reactions. I’ll go into detail about changes we’ve made to the app as a result.

Giving examples

To fully convey your point, you can bring up specific examples and case studies. These are much more memorable as well as engaging because you can tell these in the form of a story.

  • For example, costs were reduced significantly when we switched to the following materials.
  • To demonstrate this point…
  • To demonstrate this point, I’ll be showing you a video of a business that used this problem-solving method.
  • Here’s an example of…
  • Here’s an example of a seasonal product that our customers loved.

Showing visuals 

Visuals naturally attract people’s attention. If you’re using slides for your presentation, take the opportunity to include images, diagrams, infographics, or even charts.

  • Here’s a diagram / picture / chart that shows…
  • Here’s a diagram that shows a high percentage of people are comfortable with online shopping.

Citing data

Citing data from research makes your presentation more persuasive. When you’re talking about results that you’ve achieved, try to bring up actual numbers – this can go a long way towards impressing your audience.

  • According to this study from [journal], 65% of eCommerce companies are looking for more efficient payment methods.
  • Based on our research…
  • Based on our research, the most enthusiastic buyers of wellness products in this city are in the 20 to 30 age range.
  • Looking at the data…
  • Looking at the data, you’ll notice that there’s been an 18% spike in sales since we migrated our platform.

Restating an idea

Sometimes you’ll want to restate an idea so it’s easier to understand. This also serves to emphasize it. Because of the repetition, people are more likely to remember it compared to if you’d only mentioned it once. 

  • In other words…
  • In other words, partnering up with this client can make our operations more efficient and seamless.
  • Another way of saying this is…
  • Another way of saying this is that there might actually be more demand than supply by next year.
  • What I mean is…
  • What I mean is we’re already more than halfway to our business objective.

Handling technical issues

When you’re presenting on video call, all kinds of glitches can happen. Someone might have connection issues, you might have to figure out an app feature you’ve never used before, or background noises might keep interrupting your call. The phrases below can be very handy in these kinds of situations.

  • If you can’t hear me, can you type in the chat, please?
  • Could everyone mute their mic? There’s a lot of background noise.
  • Sorry. The call dropped. I’m back through.

Concluding the Presentation 

By this time, the hardest part is already over! Still, you’ll have to wrap up your presentation nicely by going over the key takeaways during the conclusion. Your audience might also have questions that they’ll want you to address.

Summarizing the presentation

Out of everything that you’ve discussed, what would you like people to get out of it? A short summary towards the end serves to highlight your main ideas.

  • To wrap up, I’d like to point out three major takeaways.
  • As a summary…
  • As a summary of this report update, I would say we have seen a positive uptick in our workflow and productivity.

Thanking the audience

Similar to your greeting at the start, it’s common to address your audience again towards the end by thanking them for their time. 

  • Thank you for listening!
  • Thank you to everyone for being here. 
  • I’d like to thank you all for coming here.

Addressing questions

If you’re open to questions from your audience, you can have a short question-and-answer session after your presentation. 

  • Do you have any questions or clarifications?
  • Feel free to ask me about any of the points I made during the presentation.
  • Let me know if you have any questions. 

Practice is Crucial

When you’re all set with the content of your presentation, the next step is to practice your delivery. Regardless of how well you know the topic of your presentation, practicing it at least once will help you be more confident. You’ll discover potential issues that you can fix too before you go live. 

Do a run-through

The most basic way to practice is to do a run-through of your entire presentation . Set a timer on your phone, open up your slides, then start talking – all while imagining that you’re already presenting to your audience. Since you’re acting as if it’s in real-time, this means avoiding any pauses where you have to look up information. 

A run-through can pinpoint any weaknesses in your presentation, and you’ll notice any parts where you might be uncomfortable talking. You’ll also be able to see how much time you’ve spent so you can pace yourself accordingly.  

Record yourself

A more intensive version of the run-through basic would be to record yourself presenting. You can either record your voice or take a full video of yourself. People often notice that they use filler words a lot such as “um” or “uh.” You’ll also be able to check your pronunciation and whether you sound confident and natural all throughout.

Since body language can make or break your delivery, watching a video of yourself presenting is an incredibly effective way to improve your performance. Do your facial expressions match what you’re saying? Are you maintaining good posture throughout and making efforts to connect with the audience?

Presenting on Video Call

Technical issues happen often enough in face-to-face presentations, but they’re even more frequent during video calls. To avoid any awkward delays when you’re presenting, get comfortable with the platform that you’ll be using. 

If it’s a face-to-face presentation, double-check your slides and make sure any images or videos are showing properly. For video calls, try doing a test call on the app or even call up a friend to practice. You can also get familiar with the app’s basic features, such as screen-sharing or inviting people to breakout rooms.

Let’s explore some of the most common glitches (and how you can deal with them gracefully!):

Situation 1: You’re having a hard time hearing other people because of their laggy connection. 

For a presentation to work, everyone needs to have a decent internet connection. If someone’s connection drops, they won’t be able to see or hear you properly, and you won’t understand what they’re trying to say, either. In this case, let them know right away that you can’t hear them. You can also ask them to talk to you over chat instead.

  • [Name], you’re cutting in and out. Would you mind reconnecting?
  • Audio problems – can you type it on chat instead?

Situation 2: You get disconnected from the call. 

In the case that it’s your connection that’s faulty, you might have to disconnect then reconnect your call. This can be awkward because it interrupts the flow of your presentation. Alerting your audience using certain English phrases can reassure them while getting you back on track with what you were saying.

  • Sorry, guys, dropped call. But I’m back.
  • Connection problems, everyone. Gonna log out and back in. 

Situation 3: People are having a hard time figuring out how to turn on their audio or video.

Another reason why you’d want to be really familiar with the video platform is you might have to coach people when they experience glitches. It’s almost expected that a few people might accidentally forget to turn on their mic while speaking. Alternatively, they might have issues with turning on their camera.

  • I can’t see you, [name]. [Give instructions on how to turn on their video.]
  • I can’t see you, Fatima. Look for the camera icon and make sure there’s no red line through it.
  • Typing in chat: “Make sure your mic’s unmuted.” [Clarify how they’ll know if they’re unmuted.]
  • Typing in chat: “ Make sure your mic’s unmuted. There should be no red lines through it.

The best presentations excel in all three areas: content, structure, and delivery.

The power of words is immense and palpable when it comes to sharing ideas with others. The way you frame your sentences and cherry-pick specific words will affect how the audience preserves you. Not just that. Well-selected power words can shape narratives around businesses, distort (positively and negatively) their perception, and impact the listener’s decision to purchase. That’s why top copywriters and public speakers alike spend a great deal of time brainstorming different word combos and obsessing over their selection of action verbs, adjectives, and linking phrases.

What are Power Words?

Power words are persuasive words and phrases that evoke a positive or negative emotional response. Our selection of verbs, adjectives, and adverbs can convey different emotions from slight excitement to rightful outrate. That’s why public speakers , authors, and copywriters always carefully choose their words to convey the right idea and sentiment. 

Power words and phrases can make the same idea sound very different. Let’s take Apple’s famous slogan as an example: Think different.

However, each variation has a somewhat different ring to it. Ultimately, your word choice also impacts how others perceive you based on your speech.

Researchers found that word selection can have a massive impact on people, businesses, and society as a whole. Individual word choices can indicate the speaker’s mental state and impact the outcomes of a negotiation. Business power words shape customer experience with the brand and affect conversions. Action words, chose by the media, influence public perception of a social issue. 

Interestingly a group of researchers from Wilfrid Laurier University in Canada and Wharton in the US also found that word choices impact the song’s popularity. By applying text mining analytics to Billboard charts, the group found that songs with somewhat more unique texts performed better than those with pretty standard lyrics. A 16% differentiation in lyrical topics within a song was enough to propel it higher than songs in similar genres.

List of Powerful Words to Use in Presentations 

The English language has about 170,000 words in use . But an average person has an active vocabulary of 20,000 – 30,000 words. Among them is a smaller range of powerful adjectives and action verbs to make your presentations and speeches more impactful. 

Action Verbs to Use in Your PowerPoint Presentation

As the name implies, action verbs denote some dynamics — state, movement, result, etc. We use action verbs in our everyday speech a lot to describe what and how we do things. As author Elwyn Brooks White suggests : 

“Write with nouns and verbs, not with adjectives and adverbs. The adjective hasn’t been built that can pull a weak or inaccurate noun out of a tight place.”

Strong verbs don’t need adverbs to reinforce them. Compare these two statements: 

  • I walked quickly towards the door. 
  • I rushed out of the door. 

The first sentence merely states the fact. But the second one better conveys the emotion, the urgency of getting out of the room. It adds color to the narrative and sets the right mood.

In business presentations, action verbs help imply action to the user. They are good to use for both throughout the copy and the closing slide when you describe: 

  • Main action points 
  • Accomplishments
  • Next steps 
  • Results 

As you proofread your slide deck, look for weaker verbs and then replace them with stronger synonyms. Some common offenders include: 

  • State-of-being verbs such as am, does, do, could, might, etc. While they have their merit, oftentimes, you can find a more descriptive alternative, conveying an extra emotion. 
  • Verbs ending in -ing : wishing, planning, forgetting. Be bolder. Use present or past tenses instead. 
  • Verbs in conjunction with an adjective: walked quickly, talked loudly, etc. Again, these can be replaced with snappier one-word alternatives.

Coherence Markers 

Coherence markers are conversational words and phrases we use to denote logical connections between different ideas. They are not meaningful standalone words. Yet, they play a huge role in making your presentation copy more compelling.

Take a look at these two versions of Dove ad copy:

The bolded coherence markers help digest the claims by establishing logical connections between the ideas. Research shows that adding such links to any copy (or speech) improves clarity and boosts persuasion. A metaphor is a figure of speech used to represent or symbolize another object or concept. For example, time is the greatest gift given to you . 

Writers love using metaphors to act depth and eloquence to their narrative. At the same time, top presenters use these to help the reader picture an intangible concept. 

As research found, metaphors help with persuasion by helping the reader or listener form a concrete mental image of the discussed concept. For example, you can say that your printing equipment works fast. But how fast do you mean? A metaphor can help make it more clear, e.g., “Our printing machines an equivalent of Ferrari in terms of speed.”

Giving a presentation in English can be challenging, but with these helpful phrases, you can feel confident and ready to make a good presentation in English. 

Starting your presentation

So how to start a presentation in English? Begin by saying hello and welcoming everyone. You can also thank the audience for being there with you. 

The beginning of the presentation is one of the most important parts because you need to make sure your audience is interested from the start. 

You could tell a short story, give a fact, or simply tell the audience a little bit about yourself, e.g. ‘ Let me start by telling you a little bit about myself …’ 

Then, introduce what your presentation is about by giving an opening statement or an overview of your session. For example, ‘Today, I am going to talk to you about …’ or, ‘Today, we’ll be looking at/focusing on …’. 

You can also tell the audience, ‘ If you have any questions, please raise your hand and I’ll be happy to answer them’ … or ‘ We’ll have time at the end for questions.’

Presenting the topic

When you get into the main part of giving your presentation in English, remember that what you’re saying to your audience is new information. Speak slowly, organise your ideas, and make sure your pronunciation is clear. You can learn more about boosting your pronunciation here . 

Use expressions to order your ideas and introduce new ones. You can use words and phrases to sequence like, firstly/first of all, secondly, then, next, following this, and lastly/finally. 

If you want to introduce the opposite point of view, you can use language like however, on the other hand, contrary to this and then again. 

It’s a good idea to link what you are saying back to previous things you have said. This shows you have a well-organised presentation and also helps keep people engaged. For example, ‘as I said previously/at the beginning …’, ‘as you may remember’ and ‘this relates to what I said about ….’

Highlighting information during your talk 

When you are giving a presentation in English, you might want to highlight a particular piece of information or something that’s important. You can use phrases such as ‘Let’s focus on …’, ‘I want to highlight …’,   ‘Pay attention to …’, ‘Let’s look at …’, ‘I want to briefly address …’, or ‘Now, let’s discuss ….’ You can use these phrases after your sequencing words to help you with your structure. 

You can also highlight information by asking your audience their opinion of what you are saying or having them engage with the presentation in some way. For example, you could ask a question and have the audience raise their hands if they agree, or disagree, or if you want to find out how many of them have experience with the situation you’re discussing. Asking questions is a good way to make sure you still have the audience’s attention after you’ve been speaking for a while.

You can also highlight information on your visuals if you’re using them. Use bright, impactful pictures and colours, and don’t include too much writing on your slides.  

Finalising the talk 

At the end of the presentation, you should summarise your talk and remind the audience of the things you have discussed, and the new information you have given them. You can say things like ‘In summary, we have looked at …’, ‘I’d like to finish by …’, and ‘We’re coming to the end of the presentation. We’ve discussed …’. 

You can then ask the audience for any questions you haven’t already answered.

Okay, so what are we going to cover in the lesson today? Well, all of us, myself included, have to make presentations, from time to time to staff or to bosses, or to clients or customers, whoever it may be. And if you’re using English, not as your native language, then it can be a bit of a challenge. You might feel lacking in confidence. You might feel that you’re not up to the other guys.

But you can do it.

So I’m going to give you some useful phrases that you can use in relation to presentations.

You might just simply say at the presentation particularly if it’s online,

  • It’s good to see you all here.
  • It’s great that you could join me.
  • I’m very pleased to be here.
  • I’m very pleased to be talking to you today.
  • I’m very pleased to be presenting to you today.
  • I’m glad you could all make it.
  • Thank you all for coming.
  • Thank you all for joining in.
  • Thank you all for coming together on Zoom.

Whatever it might be, you can adjust the words to suit the media and the medium by which you’re presenting to your guests. Staff, colleagues, clients.

And then if we talk about other useful expressions and phrases.

It’s a good idea to spend 30 seconds introducing yourself.

So my name is Harry, I work in this department, I’d like to talk to you today about…

  • The topic of my presentation today is….
  • I’m planning to tell you about today….
  • I’d like to introduce you to….

So in those sorts of expressions, you’re setting the scene again, you’re telling them exactly what you’re going to cover. And that’s a really good idea in a presentation because then everybody knows what’s going to be spoken about.

My name is Harry, I work in the marketing department. My presentation today is about a new product. The presentation is probably going to take about 20 minutes. And if you have any questions, then please ask them as we go through the presentation.

Introducing a talk.

Now, if you want to introduce the talk, you could say:

  • What I’d like to do in this presentation is…
  • First of all, I’ll give you a brief overview of…

A brief overview of the product, a brief overview of the background, a brief overview of our plans.

  • Okay, then I’ll talk about….
  • And after that, I’d like to show you some market research.
  • After that, I’d like to show you our projections.
  • After that, I’d like to show you this specific plan for the launching of this product.

So you go step by step by step.

So in any presentation, visuals are really important, and they can help you.

And they can also support you if you’re a little bit lacking in confidence about the presentation itself.

And you perhaps don’t want to be the focus of everything.

So the type of phrases you might use in that context would be something like:

  • You will notice on this chart…
  • If you look at this slide, we can see…
  • Have a look at these figures…

As I said, it helps you, it supports you and enables you to just sort of hide a little bit behind those slides that focus on the screen, not specifically on you.

Finishing off a section.

And when you want to finish off in relation to those sort of aspects, you might just summarise by saying,

  • Well, that’s all I wanted to say on that particular topic.
  • If you’ve got any questions, I’d be happy to take them now.
  • To summarise what I said is…
  • If you want to contact me offline, just send me an email.
  • As I promised, I’ve now finished the presentation, it only took 20 minutes.
  • I appreciate you watching and listening and your attention.
  • If I have any questions, I’ll be happy to answer them now.
  • Have you any questions?

So again, helpful information directly in them, how they can get in touch with you after your presentation.

Checking and moving on.

So during the presentation, we want to make sure that the people are listening, but you also don’t want to spend too much time on each particular point.

So you check their understanding so far, and then you move on. So you might say to the people,

  • Does that sound okay to you?
  • Do you follow that?
  • Is it clear?
  • Can I clarify anything else?
  • If not, let’s move on.
  • Let’s look at the next slide.
  • Now, let’s move on to the really important topic of…
  • Let’s turn to the topic of budgets.

So you pinpoint exactly what you want to cover. When you’re going to cover it and then you move on. So you check that they understand it. 

I also find in these types of presentations, particularly if they’re a bit longer than a few short slides, that it’s a good idea to do some recapping.

To recap means to go over what you’ve done before. Not a huge amount of detail because you don’t want to bore them by going through everything, but you recap quite quickly.

  • Before I move on…
  • I’m going to recap quickly…
  • Let me summarise briefly…
  • Here’s a quick recap of what we’ve covered today.
  • I’d like to recap the main points.
  • Let me go over the main points for you once more.

All of those good, acceptable expressions and words that you can use.

And then when you come to the end of the presentation, you want to sign off, you want to finish them. We can say,

  • Well, this is my key point.
  • This is the key point in all of this, so let me finish on this.
  • This is what I want to say to sum up in a few words.
  • I’d like to finish now by thanking you all for your kind attention. 
  • I look forward to joining you again soon.
  • I look forward to any questions.
  • I look forward to receiving your emails.
  • I’d be happy to take any questions now. 

All nice and polite ways of informing people that this is the end. 

So there’s somebody out there in the audience who’s asleep, they’ll probably wake up at that point when you say and finally or, in conclusion

Vocabulary and Phrases for Making Presentations in English

Here’s a step-by-step guide for making presentations in English. You’ll find the phrases you need for each step of your presentation.

After you give your opening statement, give a brief overview of your presentation. Say what your presentation is about, how long you will take and how you are going to handle questions.

For example, a presentation to sales staff could start like this: “Welcome / “Hello everyone.”

(Opening statement) “As you all know, this company is losing its market share. But we are being asked to increase sales by 20 – 25%. How can we possibly increase sales in a shrinking market?”

(Overview) “Today I am going to talk to you about how we can do this. My presentation will be in three parts. Firstly I am going to look at the market and the background. Then I am going to talk to you about our new products and how they fit in. Finally, I’m going to examine some selling strategies that will help us increase our sales by 20%. The presentation will probably take around 20 minutes. There will be time for questions at the end of my talk.”

Useful language for overviews

“My presentation is in three parts.” “My presentation is divided into three main sections.” “Firstly, secondly, thirdly, finally…” “I’m going to… take a look at… talk about… examine… tell you something about the background… give you some facts and figures… fill you in on the history of… concentrate on… limit myself to the question of…

“Please feel free to interrupt me if you have questions.” “There will be time for questions at the end of the presentation.” “I’d be grateful if you could ask your questions after the presentation.”

The main body of the presentation

During your presentation, it’s a good idea to occasionally remind your audience why your presentation and ideas are important or relevant.

“As I said at the beginning…” “This, of course, will help you (to achieve the 20% increase).” “As you remember, we are concerned with…” “This ties in with my original statement…” “This relates directly to the question I put to you before…”

Keeping your audience with you

Remember that what you are saying is new to your audience. You are clear about the structure of your talk, but let your audience know when you are moving on to a new point. You can do this by saying something like “right”, or “OK”. You can also use some of the following expressions:

“I’d now like to move on to…” “I’d like to turn to…” “That’s all I have to say about…” “Now I’d like to look at…” “This leads me to my next point…”

If you are using index cards, putting the link on the cards will help you remember to keep the audience with you. In addition, by glancing at your index cards you will be pausing – this will also help your audience to realise that you are moving on to something new.

Phrases for introducing visuals

It’s important to introduce your visual to the audience. You can use the following phrases:

“This graph shows you…” “Take a look at this…” “If you look at this, you will see…” “I’d like you to look at this…” “This chart illustrates the figures…” “This graph gives you a break down of…”

Give your audience enough time to absorb the information on the visual. Pause to allow them to look at the information and then explain why the visual is important:

“As you can see…” “This clearly shows …” “From this, we can understand how / why…” “This area of the chart is interesting…”

Summarising

At the end of your presentation, you should summarise your talk and remind the audience of what you have told them:

“That brings me to the end of my presentation. I’ve talked about…” “Well, that’s about it for now. We’ve covered…” “So, that was our marketing strategy. In brief, we…” “To summarise, I…”

Relate the end of your presentation to your opening statement:

“So I hope that you’re a little clearer on how we can achieve sales growth of 20%.” “To return to the original question, we can achieve…” “So just to round the talk off, I want to go back to the beginning when I asked you…” “I hope that my presentation today will help you with what I said at the beginning…”

Handling questions

Thank the audience for their attention and invite questions.

“Thank you for listening – and now if there are any questions, I would be pleased to answer them.” “That brings me to the end of my presentation. Thank you for your attention. I’d be glad to answer any questions you might have.”

It’s useful to re-word the question, as you can check that you have understood the question and you can give yourself some time to think of an answer. By asking the question again you also make sure that other people in the audience understand the question.

“Thank you. So you would like further clarification on our strategy?” “That’s an interesting question. How are we going to get voluntary redundancy?” “Thank you for asking. What is our plan for next year?”

After you have answered your question, check that the person who asked you is happy with the answer.

“Does this answer your question?” “Do you follow what I am saying?” “I hope this explains the situation for you.” “I hope this was what you wanted to hear!”

If you don’t know the answer to a question, say you don’t know. It’s better to admit to not knowing something than to guess and maybe get it wrong. You can say something like:

“That’s an interesting question. I don’t actually know off the top of my head, but I’ll try to get back to you later with an answer.” “I’m afraid I’m unable to answer that at the moment. What to say if things go wrong during your presentation

You think you’ve lost your audience? Rephrase what you have said:

“Let me just say that in another way.” “Perhaps I can rephrase that.” “Put another way, this means…” “What I mean to say is…”

Can’t remember the word?

If it’s a difficult word for you – one that you often forget, or one that you have difficulty pronouncing – you should write it on your index card. Pause briefly, look down at your index card and say the word.

Using your voice when making presentations

Don’t speak in a flat monotone – this will bore your audience. By varying your speed and tone, you will be able to keep your audience’s attention. Practise emphasising key words and pause in the right places – usually in between ideas in a sentence. For example “The first strategy involves getting to know our market (pause) and finding out what they want. (pause) Customer surveys (pause) as well as staff training (pause) will help us do this.”

Don’t forget – if you speak too fast you will lose your audience!

13 Transitions: Bridging Ideas for a Seamless Presentation

Transitions

The difference between a novice speaker and an advanced speaker is in how they bridge the gap between ideas. Learning to use transitions effectively will help take your speaking to the advanced level. Transitions can be one word, a phrase, or a full sentence.

The audience is dying to know the relationship between ideas. Their brains are hard-wired for that. It’s more important when you are speaking than when you are writing because the listeners can’t go back – they have to get it when it happens. If the brain is bored, or gets tired because it’s overwhelmed, or gets confused – it can’t stay in that place, so it daydreams, creating its own interest. One thing I learned in class that made me a better speechwriter was to pay attention to the transitions. In our outlines, there was space for our main points, but also our transitions between them.  At the beginning of the semester, I thought this was a waste of time planning out my transition for a speech and that I would just wing it the day of, but I soon realized how important they were. Transitions are like the finishing touches that make everything fall together in a speech.

You may have some interesting points or facts to give to your audience, but without transitions, you have nothing to connect your points and create a narrative. An audience is much more interested in a talk if there is a continuing idea or theme, and transitions help create this. I found this out by watching the other students in my class as they learned to use transitions as well. I loved the speeches that were clearly organized and had a common idea with transitions.

Movement as Transition

Many people don’t think about movement as a type of transition, but it can be a very powerful way to help your audience transition between ideas.

  • Setting out a visual or putting it away signals a change in ideas. 
  • Some speakers will imagine a baseball diamond laid out on the floor and move to each base throughout the speech. Their opening comment is at home plate. Point one is delivered on first, point two on second, and point three on third. They stand back on their home plate to deliver the final closing statements.
  • One speaker that I met said he always has a special place that is his big idea place. He may move around during his speech but when he wants the audience to know it is an important point, he stands in the big idea place.

Silence as a Transition

John Chappelear, speech consultant, suggests that the use of silence can be powerful. It is powerful,  but it is not easy. Being able to stand silently in front of a large audience for 15-45 seconds requires practice. Sometimes you can use silence as a way to let the audience catch up and think deeply about what you just said.

Problems with Transitions

These are some of the most common problems with transitions:

  • Not planning out transitions and just “winging it.”
  • Using fancy phrases inconsistent with the rest of the speech.
  • Saying, “I have five points” and then having only four or miscounting the points.
  • Overusing the same transitional phrase.
  • Long pauses before transitions as the speaker tries to figure out what to say next.

Tricks on Smoothly Presenting Transitions

Now you have a list of ideas to use when you write your next speech, let’s talk about how to use transitions effectively. Speakers typically struggle as they end one point and seek to move to the next idea. This usually happens because of poor planning, not enough practice, and poor note management. Let’s talk about these one at a time. First, poor planning happens because a speaker does not put enough time and effort into writing the speech. Second, not enough practice happened because even when a speech is practiced, it is practiced with regards to getting through the main points and not about moving smoothly between points. Finally, poor note management. Let me give you some tricks.

  • Make your notes large-larger than you think you need.
  • Give ample space between main ideas so you can look down and see the gap and know another point is coming.
  • On your notecards, make each main idea a different color.
  • I usually have a “T” in a circle to remind me that this is a transition statement.
  • Practice your speech twice by just reading the transition statements and the next sentence.
  • The night before your speech, visualize how you will manage the transitions.

How to prepare and deliver an effective oral presentation

The success of an oral presentation lies in the speaker’s ability to transmit information to the audience. Lucia Hartigan and colleagues describe what they have learnt about delivering an effective scientific oral presentation from their own experiences, and their mistakes

The objective of an oral presentation is to portray large amounts of often complex information in a clear, bite sized fashion. Although some of the success lies in the content, the rest lies in the speaker’s skills in transmitting the information to the audience. 1

Preparation

It is important to be as well prepared as possible. Look at the venue in person, and find out the time allowed for your presentation and for questions, and the size of the audience and their backgrounds, which will allow the presentation to be pitched at the appropriate level.

See what the ambience and temperature are like and check that the format of your presentation is compatible with the available computer. This is particularly important when embedding videos. Before you begin, look at the video on stand-by and make sure the lights are dimmed and the speakers are functioning.

For visual aids, Microsoft PowerPoint or Apple Mac Keynote programmes are usual, although Prezi is increasing in popularity. Save the presentation on a USB stick, with email or cloud storage backup to avoid last minute disasters.

When preparing the presentation, start with an opening slide containing the title of the study, your name, and the date. Begin by addressing and thanking the audience and the organisation that has invited you to speak. Typically, the format includes background, study aims, methodology, results, strengths and weaknesses of the study, and conclusions.

If the study takes a lecturing format, consider including “any questions?” on a slide before you conclude, which will allow the audience to remember the take home messages. Ideally, the audience should remember three of the main points from the presentation. 2

Have a maximum of four short points per slide. If you can display something as a diagram, video, or a graph, use this instead of text and talk around it.

Animation is available in both Microsoft PowerPoint and the Apple Mac Keynote programme, and its use in presentations has been demonstrated to assist in the retention and recall of facts. 3 Do not overuse it, though, as it could make you appear unprofessional. If you show a video or diagram don’t just sit back—use a laser pointer to explain what is happening.

Rehearse your presentation in front of at least one person. Request feedback and amend accordingly. If possible, practise in the venue itself so things will not be unfamiliar on the day. If you appear comfortable, the audience will feel comfortable. Ask colleagues and seniors what questions they would ask and prepare responses to these questions.

It is important to dress appropriately, stand up straight, and project your voice towards the back of the room. Practise using a microphone, or any other presentation aids, in advance. If you don’t have your own presenting style, think of the style of inspirational scientific speakers you have seen and imitate it.

Try to present slides at the rate of around one slide a minute. If you talk too much, you will lose your audience’s attention. The slides or videos should be an adjunct to your presentation, so do not hide behind them, and be proud of the work you are presenting. You should avoid reading the wording on the slides, but instead talk around the content on them.

Maintain eye contact with the audience and remember to smile and pause after each comment, giving your nerves time to settle. Speak slowly and concisely, highlighting key points.

Do not assume that the audience is completely familiar with the topic you are passionate about, but don’t patronise them either. Use every presentation as an opportunity to teach, even your seniors. The information you are presenting may be new to them, but it is always important to know your audience’s background. You can then ensure you do not patronise world experts.

To maintain the audience’s attention, vary the tone and inflection of your voice. If appropriate, use humour, though you should run any comments or jokes past others beforehand and make sure they are culturally appropriate. Check every now and again that the audience is following and offer them the opportunity to ask questions.

Finishing up is the most important part, as this is when you send your take home message with the audience. Slow down, even though time is important at this stage. Conclude with the three key points from the study and leave the slide up for a further few seconds. Do not ramble on. Give the audience a chance to digest the presentation. Conclude by acknowledging those who assisted you in the study, and thank the audience and organisation. If you are presenting in North America, it is usual practice to conclude with an image of the team. If you wish to show references, insert a text box on the appropriate slide with the primary author, year, and paper, although this is not always required.

Answering questions can often feel like the most daunting part, but don’t look upon this as negative. Assume that the audience has listened and is interested in your research. Listen carefully, and if you are unsure about what someone is saying, ask for the question to be rephrased. Thank the audience member for asking the question and keep responses brief and concise. If you are unsure of the answer you can say that the questioner has raised an interesting point that you will have to investigate further. Have someone in the audience who will write down the questions for you, and remember that this is effectively free peer review.

Be proud of your achievements and try to do justice to the work that you and the rest of your group have done. You deserve to be up on that stage, so show off what you have achieved.

Seven tips for creating powerful oral presentations.

The next time you set out to develop a professional presentation, you might want to look to the theatrical world for inspiration. This advice comes from Erika Bailey , a professional dialect coach and the Head of Voice and Speech at American Repertory Theater. She recently shared her expertise with scholars in Harvard Medical School’s Effective Writing for Health Care certificate program.

Bailey explains that using a theatrical lens can provide a valuable framework through which to organize information for your presentation. In fact, she thinks about preparing her own presentations in two steps: first she crafts as a playwright, and then she presents as a performer. Mastering both roles can be essential to achieving success.

Here are some of her favorite tips to create powerful presentations:

Tip #1: Craft a good story to engage your audience.

Whether you are sharing research findings or talking about a new service or need, it’s always a good idea to think about the story you want to tell. “The story is a powerful way to share ideas and bring people and communities together,” Bailey says. You can think about the plotline, the characters involved and their needs, the setting and the back story.

The story could be a mystery (a problem occurs, and you need to solve it), a romance (you have two problematic ideas that come together in a marriage), a revolution (fighting against an established idea) or a crisis (tragedy may occur if you don’t act now).

Once you have your story, you might memorize the full script, or use a teleprompter, or have cards with an outline and speak in more free form. Regardless of how you present your information, just remember that the story should be at the center of your efforts to engage your reader in the experience.

Tip #2: Use simple language that is easy for people to follow.

The words you select, and how you use them, will make a big difference in how well people hear—and remember—what you tell them. This is especially true in oral presentations. “When we write sentences for people to read, we can add more complexities. But when writing for presentations, we need to simplify, since the listener has only one time to hear what you are saying,” Bailey explains. This makes it important to craft ideas and sentences that are short and succinct (preferably with more periods and fewer commas for ease of listening).

For example, Bailey works with Harvard faculty who are filming on-demand courses and often must help them adapt their well-crafted essays to work for an oral presentation. 

She helps them to make sentences shorter and more active, add pauses, slow down the pace, and insert gestures to make the material more engaging. She says that these same tweaks can also translate to many types of presentations and settings.  

Tip #3: Use cues to guide your readers through your speech.

In writing, people can go back and read something twice. But in a presentation, they only listen once. Therefore, you need to guide them with strategic cues, so they don’t have to work so hard to follow you. This can be adding simple language, such as, “This is what I am going to talk about today,” so they will know what to expect and what you want them to take away from your presentation.

You can also use repetition to make sure they will hear—and remember—your main points. For instance, she suggests saying: “I am going to talk about public speaking. You can look at yourself as a playwright and a performer.” Then repeat these ideas three times throughout your presentation to make sure people grasp the idea and will be able to recall it later.  

 Finally, you can give a signal of where you are in your speech to grab people’s attention as you wind down your presentation. “For example, I suggest saying, ‘In conclusion,’ to let your audience know when you are finishing up.” This signals them to listen carefully because you will be summarizing the takeaways again and you don’t want them to miss it.  

Tip #4: Use non-verbal clues strategically.

“Make sure you use your body for inflections and gestures and think about how to move your body in space,” Bailey says. “Think about standing tall, lengthening your spine and stretching your tailbone and you will be perceived by your audience as more energized.”

 She also recommends using non-verbal clues to punctuate (literally) your words.

“You can use pauses in your speech, and use gestures to act out periods, commas and semi-colons when you talk,” she points out.

“Gesture fully. I encourage as much use of movement as possible,” she says. With many presentations taking place over Zoom these days, she says that thinking of using your space more fully (extending your movements beyond the small box you show up in on the screen) can help you be perceived as more confident and more engaging, too.  

Tip #5: Develop stage presence to be more memorable.

Some presenters stick with you longer after the presentation ends.

“In my role at American Repertory Theater, I would go across the country and see 50 people a day audition. Then I would look at their headshots later and I could not even remember seeing some of them. But others, I can still remember now exactly what they did in that room. They were able to come alive in the moment,” she says, crediting their stage presence to making their performances so memorable.

While stage presence comes more easily to some people than others, Bailey says there are three things you can do to increase your presence:

  • Be really connected to your subject matter—be interested, curious and want to share what you know.
  • Connect to your audience in the moment.
  • See the audience and let them see you.

This commitment to connect with the audience and awareness of self can be especially essential to making that lasting impression, she stresses, and can truly set you apart from everyone else in the room.  

Tip #6: Prepare for success.

“When we write or edit, we edit until 5 minutes before a paper is due. But as a performer, you first need to write and edit your script days before the presentation so you can rehearse it,” she says.

Before any presentation, Bailey says she reads her script out loud at home and plays around with vocal variety, including the volume, the pacing and the pitch. This helps her feel more comfortable and allows her to determine the right mix for her presentation in advance.

If you want to increase your comfort level, she recommends joining an organization like Toast Masters to get more practice.  

Tip #7: Cut yourself some slack.

“If you find public speaking nerve-racking, it’s okay. It does not have to be perfect. Just find a way to be as expressive as possible (within your comfort zone) to engage your audience,” Bailey says.

Also, remember that you don’t have to suddenly become a performer. It is okay to start off small by adopting some of these tips and continuing to build on them over time as your confidence grows.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. Presentations have the advantage that many standard phrases can be used at various points. Perhaps you wish to welcome the audience, introduce the speaker and the topic, outline the structure, offer a summary, or deal with questions. In all these situations, you can apply a number of useful expressions that will make your presentation a linguistic success.

At the beginning of each presentation, you should welcome your audience. Depending on who you are addressing, you should extend a more or less formal welcome.

Language for presentations Some formulaic phrases

On this page you will find some language for presentations, also known as 'signpost' phrases. Many of these are similar to (or the same as) the lecture cues a lecturer uses. They are another example of the formulaic language used in academic contexts. You do not need to learn all of these phrases. Your basic aim is to be able to use at least one phrase for each function (e.g. expressing purpose and showing the structure in the introduction , using transitions between sections, referring to visual aids , concluding ).

How many more you learn after this is up to you. Presentations usually have many visual aids and transitions, so it would be useful to learn two or three different phrases for these functions. On the other hand, you will only state the purpose once in a presentation, so one phrase is enough for life!

Introductions

The introduction is a crucial part of any presentation. There are many functions which you need to achieve:

  • greet the audience
  • express your purpose
  • give the structure
  • give the timing
  • handle questions

A vital part of any presentation is 'transitioning' (moving on) to a new section. Why is this so crucial? Mainly because of the difference between listening and reading. When you are reading, you can easily see where one section (or paragraph) ends, and another begins. This is not true when you are listening. To help with this, good academic speakers, whether in presentations or lectures , give cues to signal the end of a section. This helps the listener understand the structure and follow the main points.

1. Know the content

All you need do is to relate antecedents, history, origins, facts, figures and aspects of the subject matter in such a way as to stimulate their imagination.

You lead the audience on, not exactly projecting yourself but helping them see what needs to be seen. You wouldn’t want to go to the stage and destroy the expectations of people eagerly waiting to listen to you.

2. Define the purpose of the presentation

A presentation isn’t just a list of random facts. It makes a specific point, just like laboratory reports or essays.

Without a clear purpose in mind, your presentation will most likely be a jumble of unorganized factual information, putting your audience in the dark about your true intent.

What is the most important message you want to convey to the audience? Consider this to be the idea or theme of your presentation.

Your presentation’s goal(s) could include, but are not restricted to, trying to inform, inspire, or persuade.

Remember that what you say as well as how you say it must be consistent with the presentation’s goal.

3. Be natural

The mistake a lot of presenters make is thinking that great presentations are all about big vocabulary and sophisticated terms.  

May I indulge you in a different perspective – great presentations are all about presentations done in the most natural way. Be calm, relax and flow effortlessly .

Do your presentations like they are your daily routines. Help your audience feel like – “yes, I agree with what he is talking about”.

Rather than trying to charm the audience with a sophisticated style, be more committed to capturing their imagination through simple cues and vivid expressions.

There is a child in everyone, no matter how old. If possible, add a little humour here and there but try not to overdo it. Ensure you stay on track.

4. Invoke curiosity

This aspect is what makes your audience hooked until the end of your presentation. They want to know where you are headed. They can’t risk being distracted until you finish. All you need do is reawaken that curious infant in the brief moment of your presentation.

It is for this reason that presentations adopt visual aids and graphical tools. The world-famous PowerPoint computer application also goes hand in hand with projectors – large screens for a clearer, broader view.

Where else is such pervasive attention given to pictures and descriptive tools apart from a kindergarten? Such applications show that there is a childlike nature in every man. Invoke it!

5. Get your audience involved

Get your audience involved in your presentation. Don’t stand behind a lectern all through, tale a brisk, confident walk and project your words into the minds of your audience. Don’t let the lectern come in between you and the audience.

Try to get your audience out of their seats, laughing, raising hands or even standing by your side to make an analysis. Getting your audience to laugh is not as difficult as you might think. For example, you might try, “Ladies and gentlemen, I was told to announce something very critical to the success of today’s event. Even though I don’t think it’s my place to begin my presentation with an announcement that has nothing to do with my topic.”

“Anyway, I’ve been asked to tell you that in the event that you laugh too hard, don’t cause a stampede or fart too loud.” 😆

6.  Gesticulate

If you can request a cordless lavaliere mic, pls do, so that you can be as flexible with your hands as possible. A handheld mic might become tiring if your presentation takes a while.

Your audience will only remember 30% of what they hear & see but 70% of what they do will stick to them forever.

7. Project your words

Two things that can make your projection so vivid and impactful are a clear voice and clarity of communication. Try to emphasize the last sound of each word which will help you to sound very polished. This may sound odd to you when you start but eventually sound normal as you get used to it.

8. Take a pause

I cannot stress this enough. Take your time to pause! It kinda helps your audience to brainstorm, evaluate and re-evaluate. You shouldn’t say more than six to eight words at a time without a pause. As longer sentences reduce readability, longer spoken words also reduce absorption.

Use a full voice, then pause. Think of great speakers that utilized a full voice and paused. They did efficiently well. Such presentations drop some value within you.

9. Use acronyms

After you have written all the words on index cards, try to think of an acronym or Slang abbreviation that has every point you want to talk about. Use this strategy to keep your presentation in order.

For example, you may have written on a marriage/relationship index card – ask, support, kiss . Think of the first letter in each word and arrange them to ASK or any other word of your choice.

ASK will keep you on track this way:

A – Ask what he thinks

S – Support his opinion first

K – Kiss him when the discussion ends

You must have practised what you will say about each word beforehand. You will only use the acronym to keep track which the audience has no clue about. They will only think you are so perfect! If your oral presentation takes time and involves longer acronyms, you could keep your index card(s) on you just in case you get lost. 

10. Give life to figures

Such information is alike in features such as introduction, plot build-up, themes climax/anticlimax, a hero and his trials/triumph and so on.

And like a good storyteller or the mythical Pied Piper, the story or the music as the case is, becomes the object of the audience’s attention. The presenter is merely an intermediary.

11. Face the object

Sure, it is not bad to feel weird for a moment. Gain your confidence back by becoming the audience for a moment.

Face the presentation with your hands towards the slide, board or what have you? Making this brief move takes a whole lot of burden off as you see that you do not have to be the audience’s object of attention for a while.

You can use this moment to stealthily move from your weak points to your strong points as you gain your confidence back .

13. Intrigue them with stories

Professional speakers are becoming professional storytellers ,  primarily stories about themselves or someone they know so well . If you can tell a story about each word or topic on your cards or slides, your speech will have a better flow.

14. Take corrections politely

One mistake people do is to try to show that they know better than their judges.

Judges, examiners, instructors or even a member of your audience can come into your presentation abruptly. Prepare your mind ahead for this and don’t fidget.

A simple “Noted, sir” “sorry, I skipped that” or “thanks for the feedback” would go a long way in determining your final presentation score.

Be courteous and mindful of harsh emotions as you face arguments or opposition. A wrong approach in dealing with this can ruin everything you have started. So be cool with everyone.

As a matter of fact, who you are and who the audience perceives you to be is a measure of the weight of your words.

Hence, it is safer to use universally acceptable codes of conduct and principles of etiquette that will put you in the good graces of the audience.

15. Define your target audience

The audience’s reaction is the only way to judge a good presentation. What do they currently know about your subject matter?

What are their perceptions about your subject matter: will they accept whatever you say, or will you have to persuade them to change their views? Do they have a good command of the English language?

An effective oral presentation requires much more than simply presenting your ideas or giving a presentation. It is all about clear communication and connecting with the audience.

Preparation is required to create that type of presentation. You must learn about your target audience to tailor your message.

If you’re talking to experts in your field, for example, you don’t have to explain all the terms you’re using but if you expect your audience to disagree with your assertions, it’s a great idea to provide additional illustrations and go into greater detail when presenting the evidence.

You can outline your presentation with your audience in mind to explain your main points and maintain a logical flow. The more you understand your target audience, the better you will be able to communicate with them.

16. P redict your audience’s thoughts and tell them

If you’re lucky enough to predict what is on their minds, you’ll get almost 100% attention from your audience. This lowers the barriers between you and them.

They’ll say “hey, he’s so clever hahaha”. Wow, you’re absolutely right! Tell them you know what they are thinking and answer a question they haven’t yet asked you.

17. Practice your presentation beforehand

18. Explore every possible detail about your subject matter

To prepare an effective oral presentation, you must thoroughly understand your subject matter, which means knowing far more than you will present.

There is no such thing as too much research. The more familiar you are with your content, the more settled and confident you will feel when presenting it to a group.

Take notes as you read about your topic. Then organize your notes for your presentation. The most straightforward structure is an outline.

In most cases, a concise outline will serve as a good template for presenting your topic. The introduction, body, and summary make up a concise outline.

  • Introduction

In the introductory part, you must provide a concise context for your discussion. This is where you describe the problem or issue that the presentation will solve.

You want to immediately grab people’s attention, stimulate their interest, and get them pondering about your topic. That is what creating engaging content is all about.

The bulk of your presentation. It provides specific examples to back up your main point. This is where you add important facts, statistics, and details to your discourse.

Make certain that your material is presented articulately, with each point connected to another and clear progressions.

To summarize, highlight the previous points briefly. Use keywords from your introduction to restate your argument.

Take note of transitory phrases or words like “in summary.” Appreciate the audience for their time and, if the presentation format allows, gladly accept their questions.

A clear structure helps to support a clear and focused message, and it prevents you from jumping from concept to concept, which can make it difficult for your audience to grasp your presentation.

Having this in place, the presentation is no longer just a discussion. It truly becomes an active participation of the audience on a discovery journey. All you have to do is relate the subject’s antecedents, background, facts, statistics, and features in a way that stimulates their curiosity.

19. Use visual aids to supplement your content

It is easier to deliver an oral presentation when you employ visual aids. Visual aids, such as PowerPoint slides or printed handouts, provide structure to your presentation and assist the audience in comprehending the key points.

Since the majority of information is deemed and grasped visually, you may need to resolve this in your presentation by including a few visuals.

This would help the audience follow your discourse and possibly discuss a few of your points after the presentation is finished.

A good visual aid , as obvious as it may seem, must remain visual. Visuals can be bulleted lists or outlines, diagrams or figures, or pictures that depict crucial points that would be difficult to explain orally. Visual aids should be used to supplement, not compete with, your presentation. Use them only when they are necessary or beneficial.

20. Anticipate questions and prepare thoughtful answers in advance

A key component of preparing for an effective oral presentation is anticipating questions and creating thoughtful responses beforehand.

It demonstrates that you are knowledgeable about the subject and that you gave the subject some research. It also helps establish credibility and demonstrate your knowledge.

Additionally, it might assist you in remaining composed and assured throughout the presentation, especially if you are posed with unexpected questions. A few strategies for getting ready for questions are as follows:

  • Researching your topic thoroughly: This will enable you to answer any questions that may come up about your subject matter.
  • Identifying key points of confusion: Think about what aspects of your presentation may be most difficult for your audience to understand and prepare answers accordingly.
  • Practicing your responses: Rehearse answering potential questions so you are more comfortable and confident when answering them during the presentation.
  • Being open to feedback: Encourage your audience to ask questions and be open to feedback , even if it is critical. Take the opportunity to address any misconceptions or confusion that may have arisen during your presentation.
  • Be prepared for the unexpected: Sometimes, the questions you get may be totally out of the blue, be prepared to answer those as well.

In summary, your oral presentation is highly related to your motion, posture, gesture, gesticulation, eye contact, pausing effect, response to applause and so on.

The evolving nature of education has seen many lecturers and teachers adopt oral examinations as an integral part of grading students’ performance.

That is apart from lines of study such as Medicine (Viva) and Law (mock trials) that already have oral-related content as a part of their continuous assessment.

It also affords the teacher the opportunity to do more than just teach but to also be a kind of ‘coach’ that nurtures not only the content but also the delivery of knowledge . As a teacher myself, I do subscribe to this method of teaching; after all, was it not Einstein that said – If you cannot explain it simply, then you do not understand it all.

In oral presentations, especially ones that adopt projected information, the words you speak are more important than the words you display.

However, the pictures you use are just as important as the words you speak. In no place is the saying truer – a picture is worth more than a thousand words.

Therefore, being in a position where you have to present your own perspective, with your own words and in your own style goes a long way in shaping your intellectual capabilities . It also builds self-confidence in those that eventually master it.

How to Do an Oral Presentation

The power of words can control the thoughts, emotions and the decisions of others. Giving an oral presentation can be a challenge, but with the right plan and delivery, you can move an entire audience in your favor.

Researching Your Presentation

Step 1 Determine your topic.

  • If speaking about the effect of junk food on an adult’s mind, include the increase of serotonin, a happiness hormone. Then inform the audience how fast the hormone drastically depletes to give out worse feelings. This gives the perspective that even the advantages of junk food are outweighed by the negative effects.

Step 4 Research, research, research.

Writing Your Script

Step 1 Write the body of your script.

  • Make sure to begin each argument with a clear description of the content such as. "The result of eating junk food has increased negative emotions such as depression, anxiety and low self-esteem". This gives the audience a quick outlook of what the argument is about. Always remember to state how the argument relates and supports the topic question.

Step 2 Start the introduction.

  • If necessary, this is where you could include, "My name is ___ and I will be speaking about the effect on junk food on our minds." Then you include a brief out view of each argument you will be speaking about. Do not include any information about your arguments in the introduction.

Step 3 Prepare a strong conclusion.

  • Some example concluding sentences include, "The entire process of the mind, changed by a simple bite of a cookie. Our entire body's control system, defined by our choices of food. The definite truth. You are what you eat."

Practicing and Performing

Step 1 Prepare your cue cards.

  • Taking the effort to memorize your script allows you to keep eye contact with the audience and brings confidence to your speech. Reading from an entire script can easily cause you to lose your place and stutter. Also make sure they are the same size and only put important key words or those that are hard to remember. This allows you to easily flip through and read off the cue cards.

Step 2 Use the aid of visual images or videos if allowed.

Chapter 3: Oral Presentations

Many academic courses require students to present information to their peers and teachers in a classroom setting. Such presentations are usually in the form of a short talk, often, but not always, accompanied by visual aids such as a PowerPoint. Yet, students often become nervous at the idea of speaking in front of a group. This chapter aims to help calms those nerves.

This chapter is divided under five headings to establish a quick reference guide for oral presentations.

  • A beginner, who may have little or no experience, should read each section in full.
  • For the intermediate learner, who has some experience with oral presentations, review the sections you feel you need work on.
  • If you are an experienced presenter then you may wish to jog your memory about the basics or gain some fresh insights about technique.

The Purpose of an Oral Presentation

Generally, oral presentation is public speaking, either individually or as a group, the aim of which is to provide information, to entertain, to persuade the audience, or to educate. In an academic setting, oral presentations are often assessable tasks with a marking criteria. Therefore, students are being evaluated on two separate-but-related competencies within a set timeframe: the ability to speak and the quality of the spoken content. An oral presentation differs from a speech in that it usually has visual aids and may involve audience interaction; ideas are both shown and explained . A speech, on the other hand, is a formal verbal discourse addressing an audience, without visual aids and audience participation.

Tips for Types of Oral Presentations

Individual presentation.

  • Know your content. The number one way to have a smooth presentation is to know what you want to say and how you want to say it. Write it down and rehearse it until you feel relaxed and confident and do not have to rely heavily on notes while speaking.
  • Eliminate ‘umms’ and ‘ahhs’ from your oral presentation vocabulary. Speak slowly and clearly and pause when you need to. It is not a contest to see who can race through their presentation the fastest or fit the most content within the time limit. The average person speaks at a rate of 125 words per minute. Therefore, if you are required to speak for 10 minutes, you will need to write and practice 1250 words for speaking. Ensure you time yourself and get it right.
  • Ensure you meet the requirements of the marking criteria, including non-verbal communication skills. Make good eye contact with the audience; watch your posture; don’t fidget.
  • Know the language requirements. Check if you are permitted to use a more casual, conversational tone and first-person pronouns, or do you need to keep a more formal, academic tone?
  • Breathe. You are in control. You’ve got this!

Group Presentation

  • All of the above applies; however, you are working as part of a group. So how should you approach group work?
  • Firstly, if you are not assigned to a group by your lecturer/tutor, choose people based on their availability and accessibility. If you cannot meet face-to-face you may schedule online meetings.
  • Get to know each other. It’s easier to work with friends than strangers.
  • Consider everyone’s strengths and weaknesses. Determining strengths and weaknesses will involve a discussion that will often lead to task or role allocations within the group; however, everyone should be carrying an equal level of the workload.
  • Some group members may be more focused on getting the script written, with a different section for each team member to say. Others may be more experienced with the presentation software and skilled in editing and refining PowerPoint slides so they are appropriate for the presentation. Use one visual aid (one set of PowerPoint slides) for the whole group; you may consider using a shared cloud drive so that there is no need to integrate slides later on.
  • Be patient and tolerant with each other’s learning style and personality. Do not judge people in your group based on their personal appearance, sexual orientation, gender, age, or cultural background.
  • Rehearse as a group–more than once. Keep rehearsing until you have seamless transitions between speakers. Ensure you thank the previous speaker and introduce the one following you. If you are rehearsing online, but have to present in-person, try to schedule some face-to-face time that will allow you to physically practice using the technology and classroom space of the campus.

Writing Your Presentation

Approach the oral presentation task just as you would any other assignment. Review the available topics and then do some background reading and research to ensure you can talk about the topic for the appropriate length of time and in an informed manner. Break the question down into manageable parts .

Creating a presentation differs from writing an essay in that the information in the speech must align with the visual aid. Therefore, with each idea, concept, or new information that you write, you need to think about how this might be visually displayed through minimal text and the occasional use of images. Proceed to write your ideas in full, but consider that not all information will end up on a PowerPoint slide. Many guides, such as Marsen (2020), will suggest no more than five points per slide, with each bullet point have no more than six words (for a maximum of 30 words per slide). After all, it is you who are doing the presenting , not the PowerPoint. Your presentation skills are being evaluated, but this evaluation may include only a small percentage for the actual visual aid: check your assessment guidelines.

Using Visual Aids

To keep your audience engaged and help them to remember what you have to say, you may want to use visual aids, such as slides.

When designing slides for your presentation, make sure:

  • any text is brief, grammatically correct and easy to read. Use dot points and space between lines, plus large font size (18-20 point)
  • Resist the temptation to use dark slides with a light-coloured font; it is hard on the eyes
  • if images and graphs are used to support your main points, they should be non-intrusive on the written work

Images and Graphs

  • Your audience will respond better to slides that deliver information quickly – images and graphs are a good way to do this. However, they are not always appropriate or necessary.

When choosing images, it’s important to find images that:

  • support your presentation and aren’t just decorative
  • are high quality, however, using large HD picture files can make the PowerPoint file too large overall for submission via Turnitin
  • you have permission to use (Creative Commons license, royalty-free, own images, or purchased)
  • suggested sites for free-to-use images: Openclipart – Clipping Culture ; Beautiful Free Images & Pictures | Unsplash ; Pxfuel – Royalty free stock photos free download ; When we share, everyone wins – Creative Commons

The specific requirements for your papers may differ. Again, ensure that you read through any assignment requirements carefully and ask your lecturer or tutor if you’re unsure how to meet them.

Using Visual Aids Effectively

Too often, students make an impressive PowerPoint though do not understand how to use it effectively to enhance their presentation.

  • Rehearse with the PowerPoint.
  • Keep the slides synchronized with your presentation; change them at the appropriate time.
  • Refer to the information on the slides. Point out details; comment on images; note facts such as data.
  • Don’t let the PowerPoint just be something happening in the background while you speak.
  • Write notes in your script to indicate when to change slides or which slide number the information applies to.
  • Pace yourself so you are not spending a disproportionate amount of time on slides at the beginning of the presentation and racing through them at the end.
  • Practice, practice, practice.

Nonverbal Communication

It is clear by the name that nonverbal communication includes the ways that we communicate without speaking. You use nonverbal communication everyday–often without thinking about it. Consider meeting a friend on the street: you may say “hello”, but you may also smile, wave, offer your hand to shake, and the like. Here are a few tips that relate specifically to oral presentations.

Being confident and looking confident are two different things. Even if you may be nervous (which is natural), the following will help you look confident and professional:

  • Avoid slouching or leaning – standing up straight instantly gives you an air of confidence, but more importantly it allows you to breathe freely. Remember that breathing well allows you to project your voice, but it also prevents your body from experiencing extra stress.
  • If you have the space, move when appropriate. You can, for example, move to gesture to a more distant visual aid or to get closer to different part of the audience who might be answering a question.
  • If you’re someone who “speaks with their hands”, resist the urge to gesticulate constantly. Use gestures purposefully to highlight, illustrate, motion, or the like.
  • Be animated, but don’t fidget. Ask someone to watch you rehearse and identify if you have any nervous, repetitive habits you may be unaware of, such as ‘finger-combing’ your hair or touching your face.
  • Avoid ‘verbal fidgets’ such as “umm” or “ahh”; silence is ok. If you needs to cough or clear your throat, do so once then take a drink of water.
  • Avoid distractions that you can control. Put your phone on “do not disturb” or turn it off completely.
  • Keep your distance. Don’t hover over front-row audience members.
  • Have a cheerful demeaner. Remember that your audience will mirror your demeanor.
  • Maintain an engaging tone in your voice, by varying tone, pace, and emphasis. Match emotion to concept; slow when concepts might be difficult; stress important words.
  • Don’t read your presentation–present it! Internalize your script so you can speak with confidence and only occasionally refer to your notes if needed.

As we all know, cigarettes are not good for our health, not only oneself but also other people around. Moreover, many people die of lung cancer every year because of smoking cigarettes.

But, should the government make it illegal? I don’t think so, because Hong Kong is a place where people can enjoy lots of freedom and if the government banned the sale of cigarettes, many people would disagree with this and stand up to fight for their freedom.

Moreover, Hong Kong is a free market. If there's such a huge government intervention, I think it’s not good for Hong Kong’s economy.

So, if the government wants people to stop smoking cigarettes, what should it do? I think the government can use other administrative ways to do so, for example education and increasing the tax on cigarettes. Also, the government can ban the smokers smoking in public areas. It’s not easy to give a good oral presentation but these tips will help you. Here are our top tips for oral presentations.

  • Use the planning time to prepare what you’re going to say. 
  • If you are allowed to have a note card, write short notes in point form.
  • Use more formal language.
  • Use short, simple sentences to express your ideas clearly.
  • Pause from time to time and don’t speak too quickly. This allows the listener to understand your ideas. Include a short pause after each idea.
  • Speak clearly and at the right volume.
  • Have your notes ready in case you forget anything.
  • Practise your presentation. If possible record yourself and listen to your presentation. If you can’t record yourself, ask a friend to listen to you. Does your friend understand you?
  • Make your opinions very clear. Use expressions to give your opinion .
  • Look at the people who are listening to you.
  • Write out the whole presentation and learn every word by heart. 
  • Write out the whole presentation and read it aloud.
  • Use very informal language.
  • Only look at your note card. It’s important to look up at your listeners when you are speaking.

Useful language for presentations

Explain what your presentation is about at the beginning:

I’m going to talk about ... I’d like to talk about ... The main focus of this presentation is ...

Use these expressions to order your ideas:

First of all, ... Firstly, ... Then, ... Secondly, ... Next, ... Finally, ... Lastly, ... To sum up, ... In conclusion, ...

Use these expressions to add more ideas from the same point of view:

In addition, ... What’s more, ... Also, ... Added to this, ...

To introduce the opposite point of view you can use these words and expressions:

  • Your audience will respond better to slides that deliver information quickly – images and graphs are a good way to do this. However, they are not always appropriate or necessary.

When choosing images, it’s important to find images that:

  • support your presentation and aren’t just decorative
  • are high quality, however, using large HD picture files can make the power point file too large overall for submission via Turnitin
  • you have permission to use (Creative Commons license, royalty-free, own images, or purchased)

This is a general guide. The specific requirements for your course may be different. Make sure you read through any assignment requirements carefully and ask your lecturer or tutor if you’re unsure how to meet them.

Using Visual Aids Effectively

Too often, students make an impressive power point though do not understand how to use it effectively to enhance their presentation.

  • Rehearse with the power point.
  • Keep the slides synchronized with your presentation; change them at the appropriate time.
  • Refer to the information on the slides. Point out details; comment on images; note facts such as data.
  • Don’t let the power point just be something happening in the background while you speak.
  • Write notes in your script to indicate when to change slides or which slide number the information applies to.
  • Pace yourself so you are not spending a disproportionate amount of time on slides at the beginning of the presentation and racing through them at the end.
  • Practice, practice, practice.

Nonverbal Communication

It is clear by the name that nonverbal communication are the ways that we communicate without speaking. Many people are already aware of this, however here are a few tips that relate specifically to oral presentations.

Being confident and looking confident are two different things. Fake it until you make it.

  • Avoid slouching or leaning – standing up straight instantly gives you an air of confidence.
  • Move! When you’re glued to one spot as a presenter, you’re not perceived as either confident or dynamic. Use the available space effectively, though do not exaggerate your natural movements so you look ridiculous.
  • If you’re someone who “speaks with their hands”, resist the urge to constantly wave them around. They detract from your message. Occasional gestures are fine.
  • Be animated, but don’t fidget. Ask someone to watch you rehearse and identify if you have any nervous, repetitive habits you may be unaware of, for example, constantly touching or ‘finger-combing’ your hair, rubbing your face.
  • Avoid ‘voice fidgets’ also. If you needs to cough or clear your throat, do so once then take a drink of water.
  • Avoid distractions. No phone turned on. Water available but off to one side.
  • Keep your distance. Don’t hover over front-row audience members; this can be intimidating.
  • Have a cheerful demeaner. You do not need to grin like a Cheshire cat throughout the presentation, yet your facial expression should be relaxed and welcoming.
  • Maintain an engaging TONE in your voice. Sometimes it’s not what you’re saying that is putting your audience to sleep, it’s your monotonous tone. Vary your tone and pace.
  • Don’t read your presentation – PRESENT it! Internalize your script so you can speak with confidence and only occasionally refer to your notes if needed.
  • Lastly, make good eye contact with your audience members so they know you are talking with them, not at them. You’re having a conversation. Watch the link below for some great speaking tips, including eye contact.

Trump allies are using this case to try to reframe the Jan. 6 attack.

Lawmakers allied with former President Trump are using a case before the Supreme Court as part of their effort to reframe the events of Jan. 6, 2021, as a political protest, not a violent assault on the Capitol in which violence disrupted Congress and lawmakers fled.

The case before the Supreme Court, focused on the text of a statute used to charge some participants, also has the potential to determine the very meaning of Jan. 6. Briefs from Mr. Trump’s supporters echo the former president’s embrace of the rioters during his campaign events.

Senator Tom Cotton of Arkansas, Representative Jim Jordan of Ohio and other Republican lawmakers said in one brief that “the Department of Justice and D.C. juries have readily attributed immorality to the genuine belief of many Jan. 6 defendants that there was fraud during the 2020 presidential election.”

Protests are part of the fabric of politics, they wrote, adding that the prosecutors’ interpretation of the statute would have applied to a peaceful rally led by the Rev. Dr. Martin Luther King Jr.

“Advocacy groups throughout history have organized trips to Washington timed to congressional or executive consideration of favored items,” the lawmakers wrote in the brief before going on to quote from a magazine article. “Most famously, the 1963 civil rights ‘March on Washington’ ‘was designed to force President Kennedy to support the Civil Rights Act’ then pending in Congress.”

The brief also discussed other protests, including the disruption of the Supreme Court confirmation hearing of Justice Brett M. Kavanaugh, and praised the Trump administration’s restraint.

“Those actions by protesters were highly improper and certainly were criminal,” the brief said of the Kavanaugh protest. “But President Trump’s Department of Justice did not adopt the strained view that those protesters should be charged” under the statute at issue in the new case.

The Biden administration, in its main brief , devoted a paragraph to the critique, drawing several distinctions. The law, the brief said, “covers acts that hinder a proceeding — not acts, like lobbying or peaceful protest, that are not readily characterized as rising to the level of obstruction or that independently enjoy protection under the First Amendment.”

The brief added that the law applied only to conduct directed at a specific proceeding and required proof that the defendant had acted corruptly.

Critics of Mr. Trump — including J. Michael Luttig, a conservative former appeals court judge, and John Danforth, a Republican former senator from Missouri — countered that the comparisons pressed by Mr. Cotton and Mr. Jordan were profoundly misplaced.

“There is simply no historical comparison between the consequences of criminal acts in opposition to the election of a new president — as illustrated by both our Civil War and the Jan. 6, 2021, invasion — and the ‘what about’ examples discussed in the Cotton-Jordan brief,” they wrote in a brief. “Indeed, no one was physically hurt” as part of “any of those examples.”

“And none of those examples,” they added, “threatened something remotely as fundamental to our constitutional system as the peaceful transfer of executive power.”

Richard D. Bernstein, a lawyer for Mr. Luttig and other former officials who signed the supporting brief, said that allowing cases under the obstruction law to proceed was crucial.

“These obstruction prosecutions deter possible future invasions of Congress aimed at preventing the peaceful transfer of power,” he said.

Another issue to watch is whether the court bites on the notion that there must some proof of evidence or document tampering to trigger the statute. If the justices accept that argument, it could mean that the law doesn’t really apply to boots-on-the-ground Jan. 6 rioters. But even if the court narrows the law in that way, it could still apply to Donald Trump’s Jan. 6-related criminal case.

Overall, the court seemed most accepting of arguments that pointed out the potential harms in interpreting the obstruction law at issue too broadly. The conservatives in particular seemed concerned that if the statute applied to Jan. 6 then it could be weaponized against a range of other political protests.

Arguments have concluded in the Jan. 6 case before the Supreme Court. Solicitor General Elizabeth Prelogar wrapped up her presentation to the justices, and Jeffrey Green, the lawyer for the Jan. 6 defendant, presented his rebuttal. The arguments were largely technical, focused on the interpretation of a statute that has mainly been construed to focus on the destruction of business records. The court’s decision in the case is expected to come by the end of the term in late June.

The court’s decision in today’s Jan. 6 case could eliminate some of the federal charges that former President Donald J. Trump is facing for his role in the plot to subvert the 2020 election. It could also jeopardize hundreds of Jan. 6 prosecutions.

Jeff Green seized on the concern by the conservative justices that an expansive view of the obstruction law could be a “weapon” against other political protest. “People are going to worry about the kinds of activity they engage in, even if it’s peaceful,” he says.

Justice Barrett asks Prelogar if the obstruction law would be triggered if someone merely stood outside the Capitol and urged the crowd on. Prelogar says if there was evidence that the person was, say, a ringleader of the crowd who made plans to help others to enter the building and stop the counting of electoral vote then, yes, they could be charged with obstruction. That pattern of facts tracks fairly closely to the case of Stewart Rhodes , the former leader of the Oath Keepers militia, who remained outside the Capitol on Jan. 6 but was charged with the obstruction count, among other crimes.

Prelogar says that even though the central figure in this case, Joseph Fischer, was charged with other crimes, including assaulting police officers, the obstruction count he faces was still valid. She says that the evidence in Fischer’s case shows he went to Capitol specifically to disrupt the election certification proceeding and so the obstruction count fits.

Chief Justice Roberts asks Prelogar what constitutes formal acceptance of an Office of Legal Counsel memo as an official Justice Department position — rather than just being advice offered to the attorney general —and Prelogar says with a half laugh “I should probably know the answer to that one as a matter of D.O.J. policy.” Roberts says he should, too.

As someone who frequently sues the government seeking disclosures under the Freedom of Information Act, I can attest that the Justice Department often takes the position that Office of Legal Counsel opinions usually do not rise to the level of being a formally adopted policy. That means, in the government’s view, they are exempt from disclosure even though they are considered binding legal interpretations for the rest of the government.

Justice Barrett asks whether a defendant has to commit physical violence to fall under this statute. Prelogar says no. The fact that several Jan. 6 defendants who committed no violence but were still charged with this obstruction law has long been a complaint from rightwing critics of the Justice Department investigation of the Capitol attack.

If you’re just joining us now, the justices are hearing from Solicitor General Elizabeth Prelogar, who is arguing that a statute written to prohibit the destruction of business records should apply to Jan. 6 rioters. Several of the conservative justices, including Samuel A. Alito Jr. and Neil M. Gorsuch, have raised hypotheticals that appear to be pulled from recent headlines to ask whether other demonstrations, including a pro-Palestinian protest that blocks the Golden Gate Bridge, might trigger charges under the law.

Prelogar answers the question in part by noting that only 350 of the 1,350 or so people indicted in connection with Jan. 6 were charged with the obstruction count. Her point is that there are ways to use the statute narrowly. There has to be actual evidence that people not only committed obstruction but did so “corruptly,” as the law requires.

The implication of her argument is that the government has shown it has used the charge judiciously in Jan. 6 cases, so the interpretation she advocates won’t lead to a wholesale criminalization of political protest.

This line of argument about what kinds of political protest fall under this statute gets right to the heart of what, if anything, made Jan. 6 an unique moment in history. Some of the conservative justices are trying to tease out why Jan. 6 is covered by the statute and not, say, a pro-Palestinian protest on the Golden Gate Bridge or a protest at the court itself.

Prelogar is trying to fend off the notion that any political protest that disrupted an official proceeding could be criminalized by this law and punished by a maximum of 20 years in prison. She says that “a peaceful protest,” even one that was “quite disruptive” might not qualify for prosecution under this statute.

What does it mean to act ‘corruptly’?

The law that is the subject of Tuesday’s argument requires prosecutors to prove the defendant acted “corruptly.” But the meaning of that word is disputed.

Indeed, even the judges in the majority in a 2-to-1 appeals court ruling against Joseph W. Fischer, who is accused of violating the law by joining the mob that attacked the Capitol on Jan. 6, 2021, could not agree on just what the word meant.

In the lead opinion, Judge Florence Y. Pan wrote that Mr. Fischer’s conduct satisfied any plausible definition and that she would not choose among them. “I leave the exact contours of ‘corrupt’ intent for another day,” Judge Pan wrote.

But Judge Justin R. Walker said he was willing to concur in her opinion only on the condition that prosecutors be required to prove that Mr. Fischer had acted corruptly in the sense of having “an intent to procure an unlawful benefit either for himself or for some other person.”

Moreover, Judge Walker wrote, prosecutors must prove that “the defendant not only knew he was obtaining an ‘unlawful benefit’ but that his ‘objective’ or ‘purpose’ was to obtain that unlawful benefit.”

The definition was crucial, Judge Walker wrote, limiting what would otherwise be the law’s “breathtaking scope.”

“If I did not read ‘corruptly’ narrowly,” he wrote, “I would join the dissenting opinion.”

In dissent, Judge Gregory G. Katsas wrote that he would define “corruptly” even more narrowly, requiring an intent to procure “an unlawful financial, professional or exculpatory advantage.”

“In contrast, this case involves the much more diffuse, intangible benefit of having a preferred candidate remain president,” Judge Katsas wrote. “If that is good enough, then anyone acting to achieve a specific purpose would satisfy this requirement, for the purpose of the action would qualify as the benefit.”

Judge Walker said he was doubtful of that reading, but he added that Mr. Fischer’s conduct might qualify under even that strict standard.

“This case may involve a professional benefit,” he wrote. “The defendants’ conduct may have been an attempt to help Donald Trump unlawfully secure a professional advantage — the presidency.”

Solicitor General Elizabeth Prelogar presented the government’s argument that the statute should apply to the Jan. 6 defendants as “a straightforward question of statutory interpretation.” She says that, in plain English, the crime that day involved people attempting to obstruct the work of Congress.

Prelogar says no, but for the simple reason that an attack like the one that took place at the Capitol on Jan. 6 had never happened before.

If you're just joining us, the justices have been hearing argument from Jeffrey T. Green, a lawyer who represents Jan. 6 defendant, Joseph W. Fischer, a former Pennsylvania police officer. The argument thus far has been, as expected, technical and focused on interpretation of a decades-old statute focused on the destruction of business records.

Green just tried to argue that the left-wing attacks on the federal courthouse in Portland were analogous to the Jan. 6 attack on the Capitol. That argument was shut down by multiple federal judges in Washington who have been hearing Jan. 6 cases.

The argument here about whether interpreting the statute in a particular way would mean some of language is superfluous underscores a larger problem with the federal obstruction of justice statutes. Criminal law professors and practitioners agree that the statutes are a confusingly drafted, overlapping mess.

A key precedent ruled that a fish is not a tangible object.

In 2015, the Supreme Court limited the sweep of the statute at issue in Tuesday’s argument, the Sarbanes-Oxley Act of 2002.

The case involved fish. More precisely, undersized red grouper.

One of the sponsors of the law, Michael Oxley, filed a brief in that case explaining its history and purpose, saying it sought to close gaps that made it hard to prosecute accountants in the wake of the collapse of Enron, a giant energy company.

The law meant to address “specific loopholes” that Arthur Andersen, Enron’s accountants, “had exploited when they shredded business documents and destroyed hard drives in anticipation of federal law-enforcement action,” wrote Mr. Oxley, a former Ohio representative, who died in 2016 .

The law, Mr. Oxley wrote, was tightly focused on such conduct and should not be read too broadly. Though he did not address the provision at issue in the new case, it is a good bet that he would have been skeptical of prosecutors’ reliance on it in a case about an attack on the Capitol. (Paul S. Sarbanes, a former senator from Maryland and the law’s other principal sponsor, died in 2020 .)

The question for the justices in the old case, Yates v. United States , was broadly similar to the one the justices are considering on Tuesday: How far can a law meant to address white-collar business fraud be stretched to encompass other sorts of wrongful conduct?

The case arose from a 2007 search of the Miss Katie, a fishing vessel whose captain was John L. Yates. A field officer boarded the ship at sea and noticed fish that seemed less than 20 inches long, which was under the minimum legal size of red grouper at the time.

The officer measured the fish and placed the 72 he deemed too small in a crate. He issued a citation and instructed Mr. Yates to take the crate to port for seizure. But Mr. Yates had the fish thrown overboard and replaced with larger ones. A second inspection in port aroused suspicions, and a crew member eventually told law enforcement officials what had happened.

Mr. Yates was convicted of violating a part of the Sarbanes-Oxley Act that made it a crime to conceal or destroy “any record, document or tangible object with the intent to impede, obstruct or influence” a federal investigation. He was sentenced to 30 days’ imprisonment.

On appeal, Mr. Yates argued that the term “tangible object,” read in context, did not apply to fish. Mr. Oxley’s supporting brief agreed, saying Congress had meant to address the shredding of records and similar conduct.

“Against this unanimous evidence of congressional intent, the government’s reading of” the provision “to reach destruction of any and all things, including piscine creatures, falls flat,” Mr. Oxley wrote.

By a 5-to-4 vote, the Supreme Court ruled that the law did not reach fish.

“A fish is no doubt an object that is tangible,” Justice Ruth Bader Ginsburg wrote for four of the justices in the majority. But she added that it would cut the law “loose from its financial-fraud mooring to hold that it encompasses any and all objects, whatever their size or significance, destroyed with obstructive intent.”

In dissent, Justice Elena Kagan wrote that the plain words of the law mattered more than its purpose. “A fish is, of course, a discrete thing that possesses physical form,” Justice Kagan wrote, citing as authority the Dr. Seuss classic “One Fish, Two Fish Red Fish Blue Fish.”

Defense lawyers have long argued that there was no document tampering aspect at all in the storming of the Capitol and one federal judge in Washington agreed with them, which is essentially why we’re here in the Supreme Court today. But it is possible to argue, as the special counsel Jack Smith has done in Trump’s case, that there was document tampering on Jan. 6. That’s because the certification proceeding involved so-called fake slates of electors wrongly claiming that Trump won the election in several states won by President Biden.

The dense semantics being argued here are circling an important question: whether this statute — designed to curb things like destroying documents — requires specific proof that records were actually tampered with. And further: whether document tampering has anything to do with pro-Trump rioters breaking into the Capitol on Jan. 6, 2021.

A key question in the case: the meaning of ‘otherwise’

The provision at issue in the case, from the Sarbanes-Oxley Act of 2002, has two parts. The question for the justices is how they interact. And that depends on the word that links them: “otherwise.”

The first part of the provision focuses on evidence, saying that anyone who corruptly “alters, destroys, mutilates or conceals a record, document or other object” to affect an official proceeding is guilty of a felony.

So far, so good. It is uncontroversial to reinforce that destroying documents to impede an investigation has been a core purpose of the law, which was prompted by the shredding of documents in an accounting scandal.

The second part of the provision makes it a crime “otherwise” to corruptly obstruct, influence or impede any official proceeding. Prosecutors say the defendant in the case, Joseph W. Fischer, did that by joining the mob that attacked the Capitol on Jan. 6, 2021.

The heart of the case is how the first part of the provision pivots to the second part.

The ordinary meaning of “otherwise,” prosecutors say, is “in a different manner.” That means, they say, that the obstruction of official proceedings need not involve the destruction of evidence. The second part, they say, is a broad catchall for any kind of corrupt interference with an official proceeding.

Lawyers for Mr. Fischer, the defendant in Tuesday’s case, counter that the first part must inform and limit the second one — meaning that the obstruction of official proceedings must be linked to the destruction of evidence. They would read “otherwise” as “similarly.”

The alternative, they say, would be to create a crime of breathtaking scope that would allow prosecutors to charge political protesters and others with felonies carrying 20-year prison sentences.

In 2008, in Begay v. United States , the court considered a law with a broadly similar structure, the Armed Career Criminal Act , which requires mandatory sentences for people convicted of possessing firearms if they have earlier been found guilty of three violent felonies. In one clause, it listed specific crimes that qualified as violent felonies — including burglary, arson and extortion.

Then, as in the new case, there followed an “otherwise” clause, this one adding any crime that “otherwise involves conduct that presents a serious potential risk of physical injury to another.”

The Supreme Court ruled that the examples informed and limited the sweep of the “otherwise” clause. If Congress had “meant the statute to be all-encompassing, it is hard to see why it would have needed to include the examples at all,” Justice Stephen G. Breyer wrote for the majority.

A drunken driving offense, the court ruled, did not qualify as one of the covered crimes even though the plain words of the clause would seem to encompass it.

Mr. Fisher’s lawyers say that the “otherwise” clause in the obstruction statute must also be anchored in the preceding clause.

The U.S. Court of Appeals for the District of Columbia Circuit disagreed, with Judge Florence Y. Pan writing that the two uses of “otherwise” were different. The gun law, she wrote, “includes a list of examples followed by ‘otherwise’ in a single, unbroken sentence.”

By contrast, she wrote, the “otherwise” in the Sarbanes-Oxley Act “sits within a separately numbered subparagraph, after a semicolon and line break, all of which put distance between it and the lists of verbs and objects” in the previous part.

In dissent, Judge Gregory G. Katsas wrote that “the relationship created by the word otherwise does not depend on punctuation or line breaks.”

Rather, he wrote, “it flows from the connotation of similarity,” among other factors. That meant, he concluded, that the second part of the provision applies “only to acts that affect the integrity or availability of evidence.”

What does the law at issue in the case actually say?

At its core, the case is about the meaning of a provision of the Sarbanes-Oxley Act of 2002. It was enacted following the collapse of Enron, a giant energy company, after the exposure of widespread accounting fraud and the destruction of documents by the company’s outside auditor.

There is an uneasy fit between the immediate purpose of the law and its recent use in more than 300 prosecutions arising from the violent riot that forced a halt to the constitutionally required congressional count of presidential electors’ ballots.

At least part of what it meant to accomplish was to address a gap in the federal criminal code at the time: It was a crime to persuade others to destroy records relevant to an investigation or official proceeding but not to do so oneself.

The law meant to close that gap. It did, in a two-part provision, Section 1512(c) of the federal criminal code:

(c) Whoever corruptly — (1) alters, destroys, mutilates, or conceals a record, document, or other object , or attempts to do so, with the intent to impair the object’s integrity or availability for use in an official proceeding or (2) otherwise obstructs, influences, or impedes any official proceeding , or attempts to do so, shall be fined under this title or imprisoned not more than 20 years, or both.

The first part focuses on evidence, making it a felony to tamper with it to affect an official proceeding. The second part makes it a crime “otherwise” to corruptly obstruct, influence or impede any official proceeding.

Fischer, who was accused of breaching the Capitol on Jan. 6, 2021, and of assaulting police officers, counter that the first part must inform and limit the second one — meaning that the obstruction of official proceedings must be linked to the destruction of evidence. They would read “otherwise” as “similarly.”

The alternative, they say, would be to create a felony of breathtaking scope that would allow prosecutors to charge political protesters with felonies carrying 20-year prison sentences.

The court’s decision could have a direct impact on Donald Trump.

While the Supreme Court’s hearing is intended to determine the scope and validity of an obstruction law used against hundreds of rioters who broke into the Capitol on Jan. 6, any decision could also have an impact on a separate criminal case: one in which former President Donald J. Trump has been accused of plotting to overturn the 2020 election.

Two of the four criminal counts Mr. Trump is facing in that case are based on the obstruction law. In an indictment filed in Washington last summer, he was charged with conspiring to obstruct the certification of the election on Jan. 6 during a joint session of Congress at the Capitol as well as with actually obstructing it.

If the justices determine that prosecutors improperly used the obstruction law against members of the pro-Trump mob who disrupted the session, Mr. Trump’s lawyers will surely seek to have the charges against him dismissed as well. In fact, they already tried that in October. They argued unsuccessfully to the trial judge in the case that Mr. Trump’s indictment unfairly used the statute, which was initially “directed at the destruction of records in accounting fraud,” by applying it “to disputing the outcome of a presidential election.”

“This stretches the statutory language beyond any plausible mooring to its text,” the lawyers wrote.

Jack Smith, the special counsel handling Mr. Trump’s case, has told the Supreme Court that the two obstruction counts against the former president would be still valid even if the justices narrowed the law to cover only crimes that involved tampering with documents or records.

Mr. Trump triggered that provision of the law, Mr. Smith has said, by plotting to create fake slates of electors that claimed he won in several keys swing states that he actually lost to President Biden. Mr. Smith has accused Mr. Trump of trying to use those fake slates to throw the certification proceeding into chaos and by urging his vice president, Mike Pence, to capitalize on the confusion by single-handedly declaring him the winner of the race.

Even if the obstruction count were ultimately removed from Trump’s indictment, it would probably not be a fatal blow.

The indictment contains two other conspiracy counts that overlap almost entirely with the accusations in the obstruction counts. One of the conspiracy charges accuses Mr. Trump of committing fraud by using deceit to subvert the normal course of the election. The other charges him with plotting to deprive millions of Americans of the right to have votes properly counted.

Prosecutions tied to the Capitol attack have ensnared more than 1,380 people.

The investigation of the Jan. 6, 2021, Capitol attack is already the largest criminal inquiry in Justice Department history, federal prosecutors have said. And even after more than three years, it has shown little sign of slowing down.

Every week, a few more rioters are arrested and charges against them are unsealed in Federal District Court in Washington. Prosecutors have suggested that a total of 2,000 or 2,500 people could ultimately face indictment for their roles in the attack.

More than 1,380 people had been charged in connection with the attack as of early this month, according to the Justice Department. Among the most common charges brought against them are two misdemeanors: illegal parading inside the Capitol and entering and remaining in a restricted federal area, a type of trespassing.

About 350 rioters have been accused of violating the obstruction statute that the Supreme Court is considering at its hearing, and nearly 500 people have been charged with assaulting police officers. Many rioters have been charged with multiple crimes, the most serious of which so far has been seditious conspiracy.

Almost 800 defendants have already pleaded guilty; about 250 of them have done so to felony charges. Prosecutors have won the vast majority of the cases that have gone to trial: More than 150 defendants have been convicted at trial and only two have been fully acquitted.

More than 850 people have been sentenced so far, and about 520 have received at least some time in prison. The stiffest penalties have been handed down to the former leaders of the Proud Boys and Oath Keepers, far-right extremist groups that played central roles in the Capitol attack.

Enrique Tarrio, the former Proud Boys leader, was sentenced to 22 years in prison , and Stewart Rhodes, who once led the Oath Keepers, was given an 18-year term .

The prosecution of a police officer, Joseph Fischer, led to this hearing.

The man whose case led to the Supreme Court hearing on a controversial federal obstruction law is a former police officer from rural Pennsylvania indicted on charges of storming the Capitol on Jan. 6, 2021, and crashing into a line of his fellow officers defending the building.

Joseph W. Fischer was working for the police department in North Cornwall Township, Pa., when prosecutors say he pushed his way into the Capitol while holding up his cellphone to take videos of the surge. Once inside, he and another rioter “galloped forward,” prosecutors say, making contact with a line of officers who were fighting off the crowd.

Mr. Fischer fell to the ground and, as some nearby officers helped him to his feet, he tried to engage with them, prosecutors say.

“I’m a cop too,” he said, “sometimes the country is worth more than your job.”

According to court papers, Mr. Fischer was concerned about his own job before making the trip to Washington. Investigators unearthed text messages he wrote to the chief of his department, saying that things could get “violent” on Jan. 6 and that the crowd should “storm the capital and drag all the democrates.”

He also warned the chief that he might need him to post his bail, the papers said.

Township officials suspended Mr. Fischer without pay on the day of his arrest in February 2021 and later fired him. But he has pushed back against the government’s description of behavior on Jan. 6.

His lawyers say that he and a companion were prepared to leave Washington that day after listening President Trump’s speech near the White House and turned around to head toward the Capitol only after hearing about the mounting protest there. The lawyers also claim that Mr. Fischer arrived at the Capitol grounds well after Congress had recessed the proceeding to certify the results of the 2020 election because of the attack.

“As Mr. Fischer walked toward the east side of the building, no barricades or fences impeded him,” the lawyers wrote in their brief to the Supreme Court.

Mr. Fischer has disputed the assertion by prosecutors that he charged the police line inside the Capitol, telling the court instead that he was pushed into the officers by “the weight of the crowd.”

He also characterized his interactions with the officers differently than prosecutors did, claiming that he merely talked with one of the officers and patted him on the shoulder.

An accounting scandal spurred the law used to prosecute Jan. 6 defendants.

The provision at issue in the case is part of the Sarbanes-Oxley Act, a 2002 law enacted after the collapse of Enron, a giant energy company, after the exposure of widespread accounting fraud and the destruction of documents by its outside auditor, Arthur Andersen.

The Supreme Court has said that the purpose of the law was “to safeguard investors in public companies and restore trust in the financial markets following the collapse of Enron.”

At least part of what the law meant to accomplish was to address a gap in the federal criminal code: it was a crime to persuade others to destroy records relevant to an investigation or official proceeding but not to do so oneself. The Sarbanes-Oxley Act was meant to close that gap.

Lawyers for Joseph W. Fischer, charged under the law with obstructing an official proceeding by joining the mob that stormed the Capitol on Jan. 6, 2021, said his case had an Alice-in-Wonderland quality.

“The Through the Looking Glass moment here,” they wrote in a Supreme Court brief , “would be for those who wrote the Sarbanes-Oxley Act upon learning that they had created a new and breathtaking obstruction offense by endeavoring to close the narrow Enron-Arthur Anderson loophole.”

Indeed, in a different case on the scope of the statute, one of the sponsors of the law, Michael Oxley, filed a supporting brief saying prosecutors had interpreted it too broadly. The law meant to address “specific loopholes” that Arthur Andersen “had exploited when they shredded business documents and destroyed hard drives in anticipation of federal law-enforcement action,” wrote Mr. Oxley, a former Ohio representative who died in 2016 .

In that case, concerning a separate provision of the law, Justice Ruth Bader Ginsburg said the law’s origins informed its meaning and spared the defendant.

“The Sarbanes-Oxley Act, all agree, was prompted by the exposure of Enron’s massive accounting fraud and revelations that the company’s outside auditor, Arthur Andersen, had systematically destroyed potentially incriminating documents,” she wrote for four of the justices in the majority. She added that the government had acknowledged that the provision “was intended to prohibit, in particular, corporate document-shredding to hide evidence of financial wrongdoing.”

Supreme Court Appears Skeptical of Using Obstruction Law to Charge Jan. 6 Rioters

The Supreme Court seemed wary on Tuesday of letting prosecutors use a federal obstruction law to charge hundreds of rioters involved in the Capitol attack on Jan. 6, 2021.

A decision rejecting the government’s interpretation of the law could not only disrupt those prosecutions but also eliminate half of the charges against former President Donald J. Trump in the federal case accusing him of plotting to subvert the 2020 election.

Mr. Trump’s case did not come up at the argument, which was largely focused on trying to make sense of a statute, enacted to address white-collar crime, that all concerned agreed was not a model of clarity. But the justices’ questions also considered the gravity of the assault and whether prosecutors have been stretching the law to reach members of the mob responsible for the attack, which interrupted certification of Joseph R. Biden Jr.’s electoral victory.

Justice Clarence Thomas, who returned to the bench after an unexplained absence on Monday, asked whether the government was engaging in a kind of selective prosecution. “There have been many violent protests that have interfered with proceedings,” he said. “Has the government applied this provision to other protests?”

Justice Sonia Sotomayor took a different view of what happened on Jan. 6. “We’ve never had a situation before where there’s been a situation like this with people attempting to stop a proceeding violently,” she said.

The question for the justices was whether one of the laws used to prosecute some of the members of the mob that stormed the Capitol fits their conduct. The law, a provision of the Sarbanes-Oxley Act of 2002, contains a broad catchall provision that makes it a crime to corruptly obstruct, influence or impede any official proceeding.

But the provision is linked to a previous one aimed at altering evidence. Chief Justice John G. Roberts Jr. said the catchall provision must be read in context. Since the Jan. 6 defendants were not accused of altering evidence, he said, the catchall provision did not apply.

Other members of the court’s conservative majority said that reading the catchall provision in isolation would allow prosecutions of all sorts of protesters.

Two members of the court’s liberal wing responded that the catchall provision was broad by design and not tethered to the previous clause. Congress had meant, they said, to give prosecutors tools to address situations that the lawmakers could not anticipate.

The effect of a ruling rejecting the use of the provision to prosecute Jan. 6 defendants is not completely clear. Most such defendants have not been charged under the provision, which prosecutors have reserved for the most serious cases, and those who have been charged under it face other counts as well.

The defendant in Tuesday’s case, Joseph W. Fischer, for instance, faces six other charges.

Nor is it clear that a ruling in Mr. Fischer’s favor would erase any charges against Mr. Trump under the law. Jack Smith, the special counsel overseeing the federal election interference case against the former president, has said Mr. Trump’s conduct could be considered a crime under even a narrow reading of the 2002 law.

Whatever the larger consequences of the court’s ruling, expected by late June, several justices on Tuesday seemed troubled by the government’s interpretation of the law, saying it would allow many other kinds of prosecutions.

“Would a sit-in that disrupts a trial or access to a federal courthouse qualify?” Justice Neil M. Gorsuch asked. “Would a heckler in today’s audience qualify, or at the State of the Union address? Would pulling a fire alarm before a vote qualify for 20 years in federal prison?”

Justice Samuel A. Alito Jr. allowed that “what happened on Jan. 6 was very, very serious.” But he added that the prosecutors’ theory could reach, say, protests in the Supreme Court’s courtroom, which have occurred from time to time.

Elizabeth B. Prelogar, the U.S. solicitor general, began her argument by recalling the events of Jan. 6, saying that what some of the participants did that day amounted to obstruction covered by the law.

“On Jan. 6, 2021, a violent mob stormed the United States Capitol and disrupted the peaceful transition of power,” she said. “Many crimes occurred that day, but in plain English, the fundamental wrong committed by many of the rioters, including petitioner, was a deliberate attempt to stop the joint session of Congress from certifying the results of the election. That is, they obstructed Congress’s work in that official proceeding.”

Justice Amy Coney Barrett asked how to distinguish the attack on the Capitol from other actions that have disrupted official proceedings. “Tell me why I shouldn’t be concerned about the breadth of the government’s reading?” she asked.

The law at issue in the case was enacted in the wake of the collapse of the energy giant Enron.

Mr. Fischer, a former police officer, was charged with violating it and with six other crimes. Justice Brett M. Kavanaugh asked why the other charges were insufficient.

“Why aren’t those six counts good enough just from the Justice Department’s perspective given that they don’t have any of the hurdles?” he asked.

Ms. Prelogar responded that the other counts did not fully reflect Mr. Fischer’s culpability.

The law was prompted by accounting fraud and the destruction of documents, but the provision is written in broad terms.

At least part of what the law meant to accomplish was to address a gap in the federal criminal code: It was a crime to persuade others to destroy records relevant to an investigation or official proceeding but not to do so oneself. The law sought to close that gap.

It did that in a two-part provision. The first part makes it a crime to corruptly alter, destroy or conceal evidence to frustrate official proceedings. The second part, at issue in Mr. Fischer’s case, makes it a crime “otherwise” to corruptly obstruct, influence or impede any official proceeding.

The heart of the case is at the pivot from the first part to the second. The ordinary meaning of “otherwise,” prosecutors say, is “in a different manner.” That means, they say, that the obstruction of official proceedings need not involve the destruction of evidence. The second part, they say, is broad catchall applying to all sorts of conduct.

Justice Elena Kagan said the catchall provision was a purposefully broad reaction to the Enron debacle.

“What Enron convinced them of was that there were gaps in these statutes,” she said of the lawmakers who enacted it.

She added: “But they didn’t know exactly what those gaps were. So they said, let’s have a backstop provision. And this is their backstop provision.”

Justice Sotomayor agreed. “They wanted to cover every base, and they didn’t do it in a logical way, but they managed to cover every base,” she said.

Jeffrey T. Green, a lawyer for Mr. Fischer, said the court should not interpret the 2002 law to create a crime of breathtaking scope that would allow prosecutors to charge political protesters and others with felonies carrying 20-year prison sentences.

He said that the first part of the provision must inform and limit the second one — to obstruction linked to the destruction of evidence. They would read “otherwise,” in other words, as “similarly.”

Chief Justice John G. Roberts Jr., citing a unanimous opinion he wrote last week, appeared to agree. “The general phrase,” he said, “is controlled and defined by reference to the terms that precede it,” he said. “The ‘otherwise’ phrase is more general, and the terms that precede it are ‘alters, destroys, mutilates, or conceals a record or document.’”

The case is one of several on the court’s docket this term affecting or involving Mr. Trump. In a separate case to be argued next week, the justices will consider Mr. Trump’s claim that he is totally immune from prosecution.

Mr. Fischer is accused of entering the Capitol around 3:24 p.m. on Jan. 6, with the counting of electoral ballots having been suspended after the initial assault.

He had told a superior in a text message, prosecutors said, that “it might get violent.” In another, he wrote that “they should storm the capital and drag all the democrates into the street and have a mob trial.”

Prosecutors say that videos showed Mr. Fischer yelling “Charge!” before pushing through the crowd, using a vulgar term to berate police officers and crashing into a line of them.

Mr. Fischer’s lawyers dispute some of this. But the question for the justices is legal, not factual: Does the 2002 law cover what Mr. Fischer is accused of?

As the end of the argument neared, Justice Ketanji Brown Jackson, a liberal, indicated that she had reservations about the government’s position, saying that the court should not lose sight of “the backdrop of a real-world context.”

“It was in the wake of Enron,” she said. “There was document destruction, and, you know, there was nothing as far as I can tell in the enactment history as it was recorded that suggests that Congress was thinking about obstruction more generally.”
