MUET Writing 101: How to Tackle Email Writing Question

How to respond to an email? This is the challenge that is faced by the students. Should you write by just responding to the questions qiven in the task? Or…. Should you write more than what is required? What do you think?

Given the stipulation of writing at least 100 words, what can we write? Or, what do we want to write?

What can we do first?

Well, for the foundation, let’s set the 3 steps in mind…

Step 1: Get to understand the task.

How? Analyse the email (stimulus) and identify the followings:-

  • a. Identify the keyword(s) in the question / instruction.
  • b. Who sent the email?
  • c. To whom it is sent or written to?
  • d. What is the email really about?

Formal or casual language?

When you have identified a, b,   c & d then you will know the type of language you need to respond to and the kind of sentences to construct. Formal language, used officially by e.g managers, bankers, CEO etc. While casual language (informal) used informally between friends, family members or some scammers (who act as your friend… DANG!!) haha.

In short, the keywords and the language in the stimulus will specify which register the students ought to use when replying the email later.

Ok. Moving ON!!!!!!…

This is the example of the email question.

Your colleague, Rita, was absent from work because she had to attend her sister’s wedding. Read the email from her asking about the Innovative Writing Convention that she missed.

Using all the notes given, write a reply of at least 100 words in an appropriate style .

Step 2: Use all the notes / keywords / details in the email in your reply.

So, let’s read the instruction(s) and the email to identify which notes / keywords to use for responding the email later. Underline them. (observe the underlined sentences in each of the paragraphs)

Your colleague, Rita, was absent from work because she had to attend her sister’s wedding. Read the email from her asking about the Innovative Writing Convention that she missed.

What are we supposed to do NEXT?

Maybe this will help you to understand on how to write. 

  • After identifying the notes or key ideas ,observe the possible response (refer no 1, 2, 3 & 4).

Based on the above, what you could do:-

  • Write a proper salutation i.e Hi John / Hello buddy
  • Identify the “ notes ” first. This is something I would say, “underline the key ideas in the instructions and in each paragraph”.
  • Based on the notes that you have underlined, write a response for each paragraph. In doing so, you need to write a proper response. Remember! Whatever keywords in the instruction, should be adequately mentioned and elaborate in the designated paragraph . 
  • When writing your response, please “AGREE” to the questions asked. For example point no 2,  Did you join………?  You should reply “Yes” and then elaborate. Same goes with point no 3, W as it interesting? You should say “Yes” or any other related word to Yes. Then elaborate.
  • You can use informal or casual language style to give your response, since this is an email.

STEP 3: Write the response

As always, when we are set to write the response, we should write in paragraphs. We could refer to the each of the notes above to write each of the paragraphs.

Note 1 (for paragraph 1)

The convention was indeed a great one! A lot of audience were there and they loved it.

Note 2 (for paragraph 2)

Yes it was interesting even though  I was expecting rather new ideas from the presenter. Nonetheless, a few participants were chosen to give a highlight on the topic for a particular session and it was amazing to see the outcome. Our officemate, Mr Zooki, was in the limelight at that time. He even mentioned some quotes in British accent which to me is rather funny since he is the serious type in the office.

Note 3 (for paragraph 3)

Well, it was interesting and, actually one of the main ideas in the writing activities as well. I would say, we had different perspective about property investment though it was not part of the main purpose of this convention. But, surprisingly, his ideas on how to use other people’s money and increase your asset is worth to try for people like us.

Note 4 (for paragraph 4)

Yes, I would love to. Let me check my schedules first because I have tonnes of paperwork nearing to that occasion. I need to re-organize the workload and I will let you know as soon as possible.

So, the email would look like this.

Ok, I think that is all. For now, maybe you could observe the following tips:-

  • If the sender asks for the details about a previous event, your reply or response should have  a precise information of the event mentioned in the email. For e.g, the venue, date, the organizer, the details of the event etc)
  • If you are to describe the event, use relevant adjectives. Perhaps you could describe sensory details as well like what you’ve heard, seen, touched etc.
  • Use relevant expression for some of the paragraphs like to express a preference, to express a reaction, to express disagreement, to decline, etc.
  • Try be in an “advance mode” by elaborating some of your main points just to provide more detailed information.

What is MUET writing in Malaysia?

MUET is also known as the Malaysian University English Test seeks to measure the English proficiency among candidates who plan on pursuing tertiary studies at universities located within Malaysia.

The MUET is a test that tests the four language skills of listening, speaking, reading, and writing. While some people may be better at one or two than others; they’re all important to hone in order for anyone interested in pursuing an education around these topics.

The MUET writing test is challenging- students have to transfer information from a non-linear source and write an essay of at least 350 words on the topic given.

MUET Essay Task 1: Report writing (40 marks)

  • You have been given 40 minutes to complete the task.
  • Study and analyze the information.
  • Describe the information or the process in a report format
  • Write between 150-200 words

MUET Essay Task 2: Extended writing (60 marks)

  • The essay must not be less than 350 words
  • Given 50 minutes to complete the task

MUET Essay Writing Format

MUET is a challenging exam because it includes writing within the Academic Writing Format. For many students, this format may be unfamiliar and difficult to understand or execute in their answers at test time so they don’t score well on that section of MUET.

This difficulty can come from being unaware of how academic writing differs from other forms such as creative or personal essays which are more common formats for essay questions outside of the MUET testing space.

1. Introduction paragraph:

Introduce your topic to the reader.

  • Use catchy lines, questions, brief definitions, etc.
  • Must have a thesis statement a statement which consists of the main big ideas
  • Never use: “research or study” use words like on the basics of my readings, in my opinion, as this is essay writing, not a research paper.
  • Never use: “ can be defined as” use words like “In my opinion, I believe that, etc.”

2. Body paragraph:

Body paragraph: must have 3 paragraphs.

  • State the main idea
  • Often written as the first sentence of each paragraph
  • Supporting details and ideas
  • Examples, elaborations, explanations,s, and descriptions can also be included
  • Must support the main idea discussed in this particular body/body paragraph
  • Use linkers, connectors, and transition words.

Conclusion paragraph:

  • Restate the main idea
  • Use words like hence, therefore, thus, as a result.
  • Write it like it is the last sentence of the paragraph.

3. Concluding paragraph:

  • Bring the ending of things that you have discussed earlier.
  • Restate your thesis statements.
  • The conclusion must have 4 sentences
  • You may suggest, give opinions or reaffirm your stand
  • Use words: To conclude, to summarize, as a conclusion, finally, lastly, eventually, to encapsulate.

Tips to write MUET Essay for Malaysian Students

The best way to write a MUET essay is to have a succinct thesis in the introduction and also be cognizant of transitions between one topic and another.

Moreover, it’s important to know your audience when you’re writing an essay for MUET. One key point which is usually overlooked by students is having knowledge about the specific subject they’re talking about.

  • Transfer information
  • Use good grammar
  • Carefully analyze the graphical information
  • Give your opinion
  • Think critically
  • If you’re aiming at scoring Band 5 or higher, then critical thinking is a must.
  • If your aim is to score Band 5 or higher on the exam, it’s time for some serious rigor and reflection.

Types of MUET Essays

MUET essays are usually of the expository type, they can also be argumentative or persuasive.

  • While an essay with a descriptive header generally has a focus on what is being described.
  • An essay with a narrative header (or “story”) generally puts a priority on how something was done or what it felt like to do it and the completion
  • And an informative-explanatory (inform + explain) header offers treatment or analysis of existing data, facts, practices, etc.
  • Persuasive essay questions require you to take up a position on an issue and then persuade or convince the reader about your viewpoint based upon evidence. These can come in the form of anecdotes, facts, statistics etcetera
  • Expository Essays are different from other types of essays in that they don’t require any persuasion but instead simply look for evidence supporting or disproving what you have been told/asked about.

Importance of MUET essay

You will be required to take the MUET test if you are planning on pursuing your university degree at local public university.

However, note that this requirement is not compulsory for those who wish to pursue their education outside of these institutions and choose instead to study at private schools or international ones (MUET tests are only necessary when applying for scholarships).

Remember also, that different universities may have different English proficiency requirements so make sure you check what they need before sending off an application.

The grading system for MUET

When students get their MUET result, they’ll be able to see the mark for each paper and then an overall score. Band 1 is when the student will have to take two extra English courses during holiday time; a Band 3 or 4 means one course more than this. If you’re in bands 5 or 6- excellent! You don’t need any additional lessons over the summer holidays whatsoever.

For the MUET writing test question one, you are required to create and write a reply to a letter or email. This will need to be at least 100 words long for the task and should make use of all of the information in the email or letter provided. Let’s take a closer look at an example:

Your classmate, Elliott, was unable to visit your English teacher who was injured because he was ill. Read the email from him asking about the visit that he had missed. 

From: Elliott

Subject: How is Mrs. Alina doing?

How are you? How is Mrs.Alina doing since her injury? I am really sad that I could not join all of you to visit her as I was down with a fever and cough. 

I heard that Mrs. Alina hurt he arm quite seriously. Am I right? How did it happen?

Please update me on her situation and when she will be back at school. 

I hope I can visit her soon. Would you like to come with me then?

Write soon. 

When approaching this task you can break down the email into distinct sections so that you can reply effectively. You can use the paragraph structure for this purpose. For example:

Let Elliott know how you are and explain what the current situation with Mrs. Alina is. 

Describe what happened to Mrs. Alina and how severe the accident was. 

Give an update on when Mrs. Alina will be returning to school. 

Answer Eliott on whether you would like to accompany him on a visit to Mrs. Alina. 

Here is a basic model answer reply for question one:

I am well thank you. I hope you are feeling better and recovered from your fever and cough. Mrs. Alina was in the emergency ward for a few hours and she was discharged on the same day. She has been home resting since.

Section 1 is about writing an e-mail which is only a short communicative message with only a limitation of 80 words . In this part, you have no choice but to do it by answering directly to the point and the suggested time is 20 minutes .

Here are some of the most important tips:

  • Don’t ever miss the format, e.g. the email address, the subject, introduction, conclusion and closing part.
  • For the introduction, try to be simple and interesting to attract the readers, for example: I hope you are doing well!

Section 2 is about writing an article based on a given question.

So, in this article we are going to look at how you can come up with relevant content points and also how to expand your ideas in your elaborations. The sample paragraph for each content point and later the sample of the complete essay will also be provided. The topic of this essay is Academic Excellence.

In this article we are going to cover:

The topic of academic excellence is one of the topics that could be included in the writing question 2. For this topic, the question could be focussing on certain aspects like academic achievement versus skills, distractions in a student’s life in achieving academic excellence and is certification important in this digital era to name a few. This is the topic that we are going to be working on in this article:

The MUET Writing Sample Essay Question

This is how the question for writing question 2 is worded in the writing paper. Before going any further we need to first of all understand the question given. We can do this by carefully reading the rubric [rubric: the instruction found in the question] and understand what is needed of you to fulfil the task.

I would like to advise you not to rush through this very first step of reading and understanding the question as I always see this easily done by students.  You really need to understand the topic and the task first in order for you to answer the question correctly and to answer it well. I have seen so many times that students have misunderstood the question and so failed to fulfil the task. So read and understand the question first.

The question starts with giving a realistic setting for the task which is ‘during a career day, a guest speaker made a comment…’. This could of course be replaced with other situations like ‘during a talk, the school counsellor said….’or others.

The speaker would be making a comment that would be inviting some kind of discussion from different points of view (POV) and which is going to be the topic of the essay you are writing. The question requires you to write an essay in continuous writing of more than 250 words expressing your personal opinion on this statement.

The Topic of the Sample Essay

The statement made by the guest speaker is ‘employers only look for academic excellence when hiring’ . The topic is giving the situation that could happen during a job interview when employers are looking for employees to hire. Here in this statement, the counsellor feels that employers during interviews will be putting a lot of importance on academic excellence.

There are two ways that you can respond to this statement.

The first is when you totally support the statement. What this means is you totally agree that employers do only want to hire people who did very well in their studies. You are 100% for this statement so all your content points will be showing and expressing your POV of why you believe that employers look for academic achievements before agreeing to hire someone .

The second way of responding to this statement is to partially agree to it. You partially agree to a statement when you support the statement but only to a certain extent.

This means that you will say that the statement is partly true because you feel that employers do look for other qualities in a future employee. Next you will be adding in your own ideas as to why you feel that way.

Let’s look at the content points to support the first response when you totally agree to the statement.

The First Response

All content points would be giving the reasons as to why the employers are doing this. Keep this in mind that you believe that what the employers are doing are correct and you will have to sound like you support their actions. You will have to be convincing and try to show the readers [the examiners] in a clear way the rationale for the employers only choosing future employees with academic excellence.

To come up with logical points to support your view on why it is right to select future employees with academic excellence, you would need to put yourself in the situation of the employer.

What is the importance of academic excellence from the employer’s point of view? What line of business do you think and what post would the future employee be filling that would need an employer to be looking for a person who has excelled in their studies? What is it that the person with academic excellence has or is that a person without academic excellence would not have or is not?

First Content Point

So, the first content point for this is you’re going to say that academic excellence especially in tertiary education [tertiary education: above school level education like in college, university and vocational level] shows that the person is an expert in their field. Certain jobs would demand a person to be a specialist in certain areas.

Elaboration

For this content point you can first of all determine who are the people who possess academic excellence and how they are the best choice for the employers to employ.

Also it would be making it clearer the importance of hiring a person with academic excellence by including the effect of hiring the wrong person to do the job. This is for instance done by hiring a person who is not knowledgeable in that particular field.

I am providing sample paragraphs for the three content points stated for the first response. I would like to advise you to:

  • copy these paragraphs onto a piece of foolscap paper just to get the feel of writing out the content points on paper. 
  • then only by referring to the content points and elaborations given write out your own paragraphs

First and foremost, the reason why employers put academic excellence as the first criterion for choosing future employees is because academic excellence especially in tertiary education signals a certain level of expertise. Employers do this because there is a particular need in certain professions that demands a person to have attained this academic excellence. These are the types of jobs that require specialised knowledge like the technologically demanding occupations of the future. In light of this the employers would even before the process of hiring, would specify very clearly in the job requirement what they would be looking for, for the purpose of narrowing down the future candidates who will be applying for the post. From the many gleaming resumes that come their way the next process would be to sieve through and hand pick the crème de la crème which are those who possess academic excellence and the expertise the employers are seeking for. Otherwise, the effect of employing someone ineligible for the job would be detrimental for the future of the company.

Second Content Point

The second point is great academic achievement shows that the person is very hardworking. You believe this to be very true because you feel that great academic achievement doesn’t come easy as it requires a lot of hard work and determination.

A person’s excellent achievement in their studies shows that a lot of hard work and time had been put into improving themselves especially when they were in university.  This criterion of not shying away from hard work is what employers are looking out for in future employees.

As the elaboration you can add that achieving academic excellence would be a feat that is not easy to achieve. Stress on the fact that it will involve a long process that would involve a lot of hard work.

However, the person with the excellent achievement in their studies would be ready to roll up their sleeves and get on with working to better themselves.

Sample Paragraph

Secondly, employers seek academic excellence in future employees because the ability to achieve academic excellence indirectly shows that the person is very hard working. Diligence in the part of the employee is certainly vital for the future of the company and the fact that these people were able to achieve greater heights in their studies show that they have worked really hard for it and would expectantly practise the same diligence at the workplace.  One thing for sure is that achieving academic excellence for the majority of people is not an easy task to accomplish. It may even have involved sweat and tears. The person who possesses excellence in their studies may have invested in long hours at the library that would most likely include burning the midnight oil. What this translates to the employers is that the person is someone who is ready to work hard and give it all in their pursuit of achieving excellence and when employed, would put in the same productiveness for the benefit of the company. Hence this is one of the reasons why achieving excellence in a person’s studies would be the quality that employers are looking for when hiring.

Third Content Point

The third content point is you can say that achieving academic excellence shows that the person is driven and this gives a very positive picture of the future employee as someone who is very motivated.  

The excellent achievement in their studies shows that, if the person has set his or her mind on something he or she is going to work for it and try very hard to achieve it.

Academic excellence is something that is not easy to come by. So, when the person has achieved excellence in his or her studies it shows that the person is fully driven and is fully motivated. The person could drive himself or herself towards that one goal that he or she wants to reach which is achieving academic excellence.

Thirdly the reason why employers seek academic excellence when hiring is because it shows that the people, they are potentially hiring are very driven.  They are perceived to be very motivated and really determined to succeed and this is evident in their achievements in their studies. Because of the hard work that is involved in achieving their level of excellence in their studies the candidates applying for the job would be viewed as people who are used to working hard and going the extra mile to accomplish their goal. They are ready to go above and beyond for the sole purpose of excelling in their studies. From this the employers might view them as the people who the employers could rely on to put in the dedication and perseverance to bring the company later to the next level like during their studies previously. Employees who are driven to achieve success would be ready to sacrifice their time and energy for the company too. They will aim for one main goal which is success and will be ready to put in the work required to achieve it. Therefore, possessing academic excellence would certainly be the basis on why employers would want to hire them. 

Ultimately, achieving academic excellence is one quality that employers are looking for as this is going to be very valuable in a working environment. Being driven is something that is going to help make the company a success.

The Complete Sample Essay

Here is the complete sample essay for the topic of academic excellence. Read through the introduction, content points and the conclusion to see the flow of the essay.

                In conclusion, employers do look for that one important quality in a future employee and that is having academic excellence. This is true for most employers as could be seen currently happening in our country when there are 2 candidates or more applying for the vacant post the person most likely to get the job would be the person showing up with very good grades during their studies. This is sad but true that candidates with academic excellence tend to have very high success rate during an interview. The reasons for this have been discussed earlier on in this essay where employers tend to hire people who possess academic excellence because they are perceived to be an expert in their field and possessing positive characteristics of being hard working and very driven. Consequently, these are the reasons why academic excellence is very much sought after by employers and why ever not when what the employers get from it is only going to bring a positive outcome to the company.  On a final note, this would be a wakeup call for students to take their studies seriously and put in more effort in trying to make that grade and hopefully succeed in getting a career of their dreams.

Academic excellence may be what employers are wanting in future employees for certain positions but not all the time.  This is because there are positions that demand talents and skills in certain aspects to fulfil certain other positions.

So really my true stand would be to partially agree to the topic. Here you can see that what I have written in my essay may not be entirely what I personally believe in. 

This is because I have chosen to totally agree to the topic because I believe that I have more to say about it if compared to if I were to choose to partially agree. It is going to make me write faster and points for my elaborations would become easier to write.

This is exactly what I would advise you to do during the exams. Put aside your personal beliefs if you think going the other way would make you write your essay better and faster.

Ladies and gentlemen, welcome to the future of letter writing– electronic mail writing. Gone are the days where people have to wait for weeks to receive a letter from a friend or a significant other. The concept of pen pals is no longer applicable when everyone from any part of the world can be contacted almost immediately– depending on your Internet speed and the kind of social media site you are using. If there are certain laws in your country that prevent you from accessing Google-related sites or even Facebook-owned sites, (e.g. China) then you would have to find another way to contact your fellow peers and colleagues using whatever mobile apps they have (e.g. WeChat). Regardless, almost all forms of communication (except face-to-face talking) is already done through the use of modern technology that is able to fill the gap between the distance among people. The use of electronic mail writing these days are for more semi-formal and formal purposes (e.g. submitting a resume, asking your college instructor for some clarifications, making a business transaction) than casual purposes (e.g. chatting with a friend). General Tips for Writing Emails in English

1. be sure an email is necessary.

Ask yourself if sending an email is really the best option to use in addressing the query or issue to the concerned party. Because if the matter at hand is something not so important or confidential, it can always be dealt directly with the aforementioned party. But then again, it is entirely up to your discretion. If you’ve decided that an email is the best option, then write your email and click “send”. You may also see article writings .

2. Use separate business and personal email addresses

Many jobs will normally give you an email address that you have to use, in case you have concerns or questions that you would want to raise to your boss or supervisor. Make sure that you strictly use your work email for work matters and personal email address for personal matters. Having a work email can look and sound more professional. That’s good if you’re writing a formal email, but it might not be as nice if you’re writing to a friend. You may also see memo writings .

3. Be clear, brief and polite

Everyone in the office is usually bombarded with emails every single day. That is why it is always best to keep the content of the message short, simple and concise enough so that they may be able to understand the gist of the letter without straining so much effort and time. Go straight to the point, but not in a rude and condescending way. Write your email just like you would in an essay. Similar to an essay, you have to introduce the topic, explain the different points, and then conclude the topic. You may also see summary writings .

4. Don’t write emails when you’re angry

They say that there is a right time for everything– which includes expressing that rage and anger towards the person. But never in an email. Keep in mind that you have to be respectful and courteous to the one you are sending that letter to.

5. Use short sentences

Just as it is important to keep the content of your message short and simple, it is also essential to keep the sentences simple and easy to read in order to keep your thoughts cohesive and understandable. Try your best not to use very lengthy sentences in your letter. Instead, learn to break down each separate thought with a ‘period’. You may also see minutes writings .

6. Be careful with “forward” and “reply to all”

The “forward” button is considered a lifesaver especially when you do not have the files you need to send to your boss or colleague, and you realize you sent that specific file to someone else who needed it before they did. So, you simply use that forward button in order to save time and effort. But make sure that the content of the forwarded message is meant for that specific person. Otherwise, it is best you delete the rest and to just retain the file that is needed to be sent. The same can be said for the “reply to all” option. If your supervisor has sent a joint message to recipients A, B, and C, make sure you only reply to your supervisor and not reply to all the concerned parties mentioned, especially if it is not really “need to know” information by the others. 7. Read your email personally before sending it

Since you are the one composing the email, it would be best if you took the time to proofread the letter just to make sure that the grammar is in tact and that the thoughts are coherent enough for your letter to be organized and understandable. This will prevent the email recipient from struggling to understand your email.

8. Double-check email addresses for all recipients

Make sure that the recipient’s email address is correct. Be careful as there are times that email addresses are structured in a similar way. You may also see argumentative writings .

The 3 Common Types of Emails

1.  a personal email –  introducing yourself for the first time.

As mentioned before, most people do not write personal emails to each another anymore. They would mostly communicate through texting, calling, or via any social media applications that do not really need much formality (e.g. Facebook Messenger, Viber, WeChat). But if ever you are the conservative type of person, then here are a few guidelines that you would need to follow.

General rules for personal emails:

  • Politeness:  You don’t need to be too formal, but you would want to appear polite and friendly when you address the recipient. If you have any requests that you would need to ask from your friends, make sure that you are polite in doing so. Instead of saying “Write me back,” for example, try something like “If you have a chance, I’d love to hear back from you,” or even “Please write back when you have a chance.”
  • Greetings:  For greetings, people would normally use the first name after the word “Dear”.
  • Closings: To say goodbye, use something like “Thank you”, “See you soon!” or even a brief sentence like “I’m really looking forward to meeting you in person.” Be sure to write/type your name, even if it will be included in your signature.
  • Casualness:  With these types of emails, you can probably include more jokes or informal comments. However, still be careful about the tone of your email, especially if you don’t know the recipient well.

Example of a personal email:

For this example, let’s imagine that you are going abroad for the summer, say the United States or Canada. When you get there, you’ll be staying with a host family. There is a great chance that you will need to introduce yourself via email. Listed below is a sample:

Dear Smith Family,

My name is Mark. I received a confirmation letter from the exchange organization today. It said I’ll be staying with you for three months later this year. I wanted to introduce myself so you can know a bit more about me.

I’m currently 17 years old. I like listening to classical music, playing football and reading comic books. I will graduate from high school later this year, and I hope to go to college in the next year. I’ve never traveled outside of my country, so meeting you and visiting your country will be an exciting, new experience! 

I’d also like to know more about you, so if you have a chance, please write back at this email address. If you have any questions for me, I’d be happy to answer them.

Thanks again for agreeing to host me—I’m very excited to meet you in person!

2. A Semi-Formal Email – Writing to request an appointment or meeting

This is a very common type of email, especially when you need to write to your teacher to request a meeting.

General rules for semi-formal emails:

  • Length:  Follow the K.I.S.S. (keep it short and simple). Remember that you are talking to a professional. These types of people do not have the luxury of time to thoroughly go through your letter, sentence per sentence. So, go straight to the point on what you want to discuss. After all, other concerns can be resolved during the meeting.
  • Respect:  Remember that you’re requesting a favor from the recipient, so be respectful and not too demanding.
  • Greetings:  Use formal or semi-formal greetings. You can still use “Dear ~,” but instead of including the recipient’s first name, use their title (Mr., Mrs., Ms., Dr., Prof. etc.) and last name.
  • Closings: Depending on the purpose, you can probably use a semi-formal goodbye, such as “Thanks,” “Hope to hear from you soon” or “Thanks in advance.” If it’s someone you have talked to before in person, you can maybe use something less formal, like “Have a great weekend.”
  • Clarity:  If you’re requesting for a specific day, that day/date and time should be set. Try to give multiple options. That way, if your first option doesn’t work out, your recipient has other dates/times to choose from.

Example of a semi-formal email:

Dear Professor Constantine,

I really enjoyed your Introduction to Witchcraft Course, and I was interested in continuing by taking the Advanced Demonology Course next semester. I’d like to meet with you to ask a few questions about the course, and also to get more information about the scholarship for international students.

Would it be possible to meet with you at your office sometime next week? I’m available during your regular office hours on Tuesday and Wednesday (1-4 p.m.), but if you’re busy on those days, I could also meet any time on Monday or on Friday afternoon. Please let me know what day and time would work best for you.

3. A Formal Email – Writing about a problem with a product

General rules for formal emails:.

  • Politeness:  Follow Confucius’ Golden Rule which is, “Do not do unto others want you others to do unto you.”
  • Formality: Avoid making jokes and using slang words.
  • Clarity:  Be clear by including any relevant details.
  • Requests: State the result or response that you want or expect. This is also called making your email “actionable.”
  • Greetings: For greetings, use a common phrase like “To Whom It May Concern,” since you probably won’t know the name of the person who will be receiving the email. But if you do know the name, you can use “Dear [Title] [Last Name],” like the one in the semi-formal email example.

If those seem  too formal, you may want to try something like “Good Morning/Afternoon/Evening.” It could make you seem friendly and make the recipient more receptive to your complaint or questions.

  • Closings: For goodbyes, a simple “Sincerely Yours” is best. But if it’s a more casual company or an organization that you’ve already interacted with, you can always say “Thanks”.

Example of a formal email:

To Whom It May Concern,

I recently bought a magic wand from Hogwarts, but unfortunately it appears that the wand is not working correctly.

For reference, the model number is TOS-577, and I bought it on May 1, 2016 from Dumbledore at Hogwarts. I returned the magic wand to the store, but they said I should contact you since you would have an idea on how to fix the wand. Because of that, they weren’t able to offer a refund or exchange.

I can understand Hogwarts’ position, but the magic wand shouldn’t have broken so soon. It is still covered under the school’s warranty, so I would like to exchange the magic wand for a working model. Please let me know what steps I need to take for this to happen.

My suggestion for the Malaysia Day celebration would be Dancing dan Singing competition. This activity will help the students know the patriotic songs besides showing off their hidden talents. Over and above that, the students will also get the opportunity to show their creativity in composing songs and delivering them to the audience. They can dress up as freedom fighters or national leaders. I am pretty sure the students will enjoy it.
