Master of Public Health

Sophas application tips.

  • In order to be considered for admission, an application must have a  SOPHAS status  of “ verified ” in SOPHAS with all application requirements received by SOPHAS.
  • You may e-submit your application in SOPHAS even if you are still waiting for your three letters of recommendation, official transcripts, WES credential evaluation, or official test score reports to be received by SOPHAS. These items will automatically be added to your application as they are received by SOPHAS and your application will progress more quickly through the SOPHAS system if it has already been e-submitted.
  • TOEFL: about 16 business days
  • GRE*: about 12 to 18 business days
  • MCAT*: about 35 business days

* The GRE/MCAT requirement is waived for Fall 2023 applicants. Test scores are optional and applicants may self-report their scores in SOPHAS.

  • TOEFL institution code: 5688
  • GRE* institution code: 0111
  • MCAT* institution code: SOPHAS
  • Once you have e-submitted in SOPHAS, check your status regularly until all application requirements have been received and your application has a status of “ verified .” Neither SOPHAS nor the Vanderbilt MPH Program is responsible for notifying applicants of missing application requirements. If you have requested required materials and a reasonable amount of time has passed without them appearing in SOPHAS, follow up with the letter writer, institution, or testing organization. Verify that your request was received and that the sender has all the information needed to send the required item to the correct destination.
  • Communications from SOPHAS and the Vanderbilt MPH Program are sent to the primary email address entered into the SOPHAS application. If your email address has changed, be sure to update your primary email address in SOPHAS so you don’t miss any important updates from SOPHAS or the Vanderbilt MPH Program.

The following FAQs are for SOPHAS applicants. Certificate applicants and Bachelor's/Master's applicants should consult those programs.

Each academic department at the Bloomberg School administers and awards scholarship assistance. Typically, all admitted students receive consideration for any available funding by their academic department.  No application is required, and award notifications are sent directly by the departments.  Excluding the Bloomberg Fellowship Program, all students admitted to the MPH program are also automatically considered for scholarship assistance by the MPH Program Office.

All completed aid applications received by our March 15 priority deadline will receive a financial aid notice in sufficient time to make your enrollment decision before the April 15 admission decision deadline.  The office processes applications on a rolling basis as your file complete.

Students applying to the following programs should apply via the Schools of Public Health Application Service ( SOPHAS) :

  • Doctoral Programs
  • Masters’ Programs
  • Residency Programs

Students applying to the following programs should apply via  SOPHAS Express :

  • Certificate Programs
  • Bachelor's/Master's Programs (JHU Undergraduates Only)

Students applying to a Postdoctoral Fellowship should use the  Bloomberg School Application . However, applicants should first review the  Postdoctoral Training Website .

The Schoolwide  MPH  and  DrPH , as well as most of the  Online Programs for Applied Learning MAS degrees , are the only programs that require work experience. While public health work experience enhances any application, all ten other graduate degrees are options for those that do not have two years or more of work experience. Also available are  combined degree  options,  certificates , and other non-degree opportunities.

Each academic program at the Bloomberg School determines  standardized test score  requirements. Scores are either required, optional, or not required/not reviewed. The GRE is the most universally accepted. Some programs within the Bloomberg School will accept alternate scores (MCAT, LSAT or GMAT). Once you decide on a degree program, review the  standardized test score drop down lists  to determine the appropriate test.

Keep in mind, test results can take up to five weeks to reach SOPHAS. So please plan to take the appropriate test well in advance of any  application deadlines .

International students from countries where English is not the official language must submit the scores of an English language proficiency test. The Bloomberg School will accept either TOEFL, IELTS, Duolingo English Test, or Pearson Test for English (PTE) Academic scores to fulfill this requirement. Details regarding this requirement and possible exemptions may be found on the  international applicant  page.

The SOPHAS application fee is $145 USD for the first designated school and $55 USD for each additional school.

The majority of fee waivers are processed through SOPHAS. Qualifications are listed on their  website . Please note that there are a limited number of fee waivers available.

Additionally, some departments are able to provide fee waivers. Please contact the respective departments or program offices for their individual process. Department of Biochemistry and Molecular Biology - PhD only Department of Biostatistics Department of Environmental Health and Engineering Department of Molecular Microbiology and Immunology Online Programs for Applied Learning

The Bloomberg School recommends that you take your time researching our offerings and focus on the program that best suits your goals and interests. You may, however, apply to more than one program and/or concentration. If you apply to multiple programs, you may apply to a maximum of three programs per application cycle.

Please be aware you will be required to pay separate application fees for each program to which you apply. You will also want to submit separate personal statements explaining your interest in that specific program.

How transcripts are sent depends on the type of institution from which the applicant earned course credits and/or a degree. Please carefully review the different instances at the SOPHAS Help Center .

While the MPH and DrPH are not eligible for the STEM OPT Extension, the Bloomberg School offers many programs that are eligible for STEM OPT extension. Review our  STEM OPT Extension page for a list of programs.

Yes. You will need to use the SOPHAS Transcript request form to request a BSPH transcript be sent to SOPHAS.

SOPHAS has a “complete” status which means that your application may meet the SOPHAS requirements for admission – paid application fee, two letters of recommendation, and domestic transcripts. SOPHAS will then “verify” your application at which point they will check the information that you entered for your domestic transcripts.

Applications are considered complete for review once all of  the materials for the program you are applying to have been received  and  the application is verified by SOPHAS. Your application can be verified by SOPHAS without all of the Bloomberg Schools requirements being met. In addition to the two Letters of Recommendation and transcripts (for domestic applicants) that SOPHAS requires for verification, the Bloomberg School will typically require test scores, an additional letter of recommendation, and (for international applicants) your credential evaluation.

After you submit your application and all the required materials are received and processed, your application will be marked complete and sent to the appropriate admissions review committee. The time it takes for the committee to make a decision varies depending on the department and program. You will be notified when a decision is reached.

The Bloomberg School allows individuals to take one or two classes as a non-degree seeking student. This is known as a "Special Student Limited." The Office of Continuing Education Student Services handles the  application for non-degree seeking students .

Yes, the Bloomberg School awards several competitive, merit-based scholarships to accepted students who are pursuing a full-time program. Be sure to review the  scholarships  page for more information.

Applications for the JPHCOPH graduate programs are accepted for  FALL  admission only.  Applications and ALL supporting documents must be in SOPHAS no later than the  JPHCOPH Application Deadline  to be considered for admission .   It is highly recommended that your application and all supporting documents be received by SOPHAS  at least four (4) weeks  prior to the JPHCOPH application deadline date.

What does it mean to be verified in SOPHAS? Verification in SOPHAS is the process used to ensure all of an applicant’s coursework was entered correctly and consistently. This standardization is achieved by using the applicant’s coursework to create a standard set of GPAs, ensuring they are compared to other applicants fairly and equally. Several things happen during verification including comparing all components of coursework to the official transcripts received. Each course entered in the transcript entry section is placed under a specific course subject category, and each grade entered is converted to a CAS grade value. Then, GPAs are calculated using the converted grade values. Lastly, degrees are authenticated. Once verification is completed, the applicant’s application status will move from Complete to Verified. An application will not be processed until it is verified and all supporting documents have been received in SOPHAS.

Important: Your application will be marked as incomplete and will not be considered for admission if any of the supporting documents are not in SOPHAS by the deadline date.

  • February 1st Deadline

Application Timeline

It is highly recommended that you request official transcripts/foreign evaluations, test scores, and reference letters at least eight (8) weeks prior to the JPHCOPH application deadline date as this is essential to the verification process. Keep in mind that it takes 7-10 business days from the date of receipt to post transcripts and official test scores to your application. Evaluations or Letters of Recommendation are immediately updated once received from your recommender. Please refer to the timeline in the SOPHAS Quick Start Guide .

  • SOPHAS Timeline – To ensure your application is mailed (sent) to JPHCOPH on time, all materials should be received by SOPHAS at least four (4) weeks prior to the JPHCOPH application deadline date. Once your application is considered complete, it can take up to four (4) weeks to be processed and verified by SOPHAS.
  • Georgia Southern University Timeline – Review of all application will begin immediately after the deadline by the DrPH Admissions committee. Applicants passing an initial review will be notified to schedule a virtual or in-person interview. After all interviews have been completed, decisions will be made and promptly communicated to applicants.
  • Wait List – Applicants may be placed on a waitlist to be considered for admission later in the admissions review cycle. In this case, the applicant will be notified by email and offered the opportunity to remain on the waitlist or to be removed from the applicant pool. Waitlist candidates will receive information regarding their updated status on or before May 1 .

Ready to apply ?

Busph is currently accepting applications for spring 2024 and fall 2024 enrollment., how to apply ., let’s get started., schools of public health application service (sophas) process.

BUSPH reviews applications on a rolling basis for fall and spring matriculation (with the exception of doctoral programs). Most of our program applications will go through a three-phase process, beginning with submission through SOPHAS , a centralized application service for public health graduate programs.

Stage 1: Submit your SOPHAS Application

Applying via the schools of public health application service (sophas) process.

Questions about the SOPHAS platform? Contact SOPHAS for help:

[email protected] 617-612-2090

  • SOPHAS averages 2-4 weeks for verification of submitted applications.

SOPHAS (Schools of Public Health Application Service) is the Centralized Application Service (CAS) for schools and programs of public health. As an applicant through SOPHAS, you can select unique designations for the schools/programs and degrees for which you wish to apply. You will complete a single application, submit one set of recommendation letters, and one set of transcripts. All schools and programs have slightly different requirements, but your personal information, recommendations, and transcripts will be the same across the board.

SOPHAS will hold your submission to your designated schools until the following criteria are met:

  • Completion of personal essay/statement of purpose for each designation and any supplemental questions each school of choice might include
  • All U.S. or Canadian transcripts are received
  • Two out of three recommendations have been submitted
  • Payment of application fee

Once these criteria are met, SOPHAS will use submitted transcripts to verify your coursework. It is imperative that you check email and log in to your SOPHAS account regularly to be sure there are no issues with the coursework verification. Once SOPHAS has completed its verification, your application will be electronically submitted to those schools/programs which you have designated. During peak times it can take up to four weeks for your application to be verified and electronically submitted to your designated schools/programs.

SOPHAS will not hold your application for the following items:

  • Standardized test scores
  • WES evaluations

If your application is missing one of these items when it is submitted to SPH, we may consider your application incomplete. Should this happen, SPH admissions will communicate this to you, and hold your application from review until the remaining items have been submitted. Please note that our published deadlines are for submission to SOPHAS. Due to the verification process, many applications are received by SPH after the published deadline.

In order to check on the status of transcripts, letters of recommendation, or any issue regarding the SOPHAS application prior to its being submitted to SPH, simply log in to a designated SOPHAS account. For problems regarding the receipt of transcripts, the submission of recommendation letters, or the application, please contact SOPHAS customer service directly at 617-612-2090 or  [email protected] .

Stage 2: BUSPH Admissions receives your SOPHAS submission

Busph admissions.

Contact BUSPH Admissions:

[email protected] 617-358-4095

  • BUSPH Admissions averages 1-2 weeks for verification of complete application.

Once SOPHAS has electronically submitted your application to SPH, we will email you a receipt confirmation. A follow up email will let you know whether your application is considered complete and ready for stage three, or if your application is missing one or more items.

If your application is missing one or more items, we will monitor SOPHAS for updates. Each week, we review all incomplete applications for changes, and will periodically email you to remind you of your status. When we receive all required materials we will let you know by email. When your application is considered complete we will begin the review process.

Feel free to contact BUSPH Admissions regarding outstanding items, concerns, or questions you have about your application status. We can be reached most easily at [email protected] , or by phone at 617-358-4095. If you need to update your mailing address, email address, or phone number, it must be updated through your SOPHAS account .

If your application is complete when SPH admissions receives it, this stage will take no more than one week.

Stage 3: BUSPH Faculty and department review for admissions decision

Sph departments and admissions committee.

Contact Admissions:

  • Once notified that your application is complete and ready for review, you will be provided an estimated decision timeline.

Your application will be thoroughly reviewed by a faculty member or committee of faculty members at SPH, who will make a recommendation to the SPH Admissions Committee.

Once a final decision has been made, applicants will receive an official decision notification electronically to the email address listed on the SOPHAS application.

Application Tips

Apply early. ALL MATERIALS should arrive at SOPHAS at least four weeks prior to your earliest deadline. It can take up to 10 business days for items such as transcripts or money order payments to be marked as received by SOPHAS from the date they are mailed, and it can take up to FOUR WEEKS for your completed application to be processed and mailed to GPH. Submitting your materials early helps ensure timely processing and avoids costly delays.

Don’t wait for supplemental materials to submit your application. Do not wait for your standardized test scores, recommendations or other documents to be received by SOPHAS before submitting your application. Submit your application as soon as you have entered all required information; we may wish to begin processing your application right away and will add documents, recommendations and test scores as they are received.

Do not send any copies of application documents, as they will not be accepted as part of your application. SOPHAS will not accept faxes, photocopies, or unofficial documents. Notify your registrar that you need an official copy sent to SOPHAS; a request form can be found in the application’s Colleges and Universities section.

After you have submitted your application, use the SOPHAS application system to check the status of your application instead of calling or emailing the admissions office. You can ensure all required documents are received and your application is being processed in the “My Status” section of SOPHAS. Check your status often until you application is complete.

Please note that during certain times of year, due to extremely heavy inquiry volume it may take up to 1-2 weeks for email or phone inquiries to GPH’s admissions office to be responded to.

How Are Applications Reviewed?

The review process for the MPH program is comprehensive and holistic, taking into account all factors and experiences in a prospective student’s application. Our review of applications examines the following characteristics.

Transcripts : A bachelor's degree or higher from a regionally accredited college or university, with no previous work and/or research experience required. Reviewers consider the overall GPA, as well as the academic rigor of the academic institution and any changes or improvements in academic performance.

We are interested in admitting candidates who have the potential to be global public health leaders. Evidence of leadership (during you educational experiences and outside) includes:

Charity/Volunteerism

Professional Associations

  • Work as a Reviewer/Editor of any publications

Personal Statement

The personal statement is given considerable weight in the admissions process. We expect thoughtful and reflective answers and invite applicants to take this opportunity to creatively and honestly communicate their own engagement with global public health and interest in graduate study at NYU. Factors include:

Writing Ability : writing style, spelling, grammar, and conciseness

Substance : More compelling personal statements demonstrate how the student would benefit from the NYU MPH and that the applicant already has a sophisticated understanding of the field in which you are currently working or intend to work.

Congruence with Program Goals : Show an understanding of the degree and describe how the program’s mission and goals will help you achieve your professional and/or academic pursuits.

Ability to Follow Directions : The substance of each question in the prompt should be addressed either directly or indirectly somewhere in the statement.

Recommendations

Each of your three references should include a recommendation form and an accompanying letter of recommendation. Applicants who are currently students applying for a joint degree program, or who have graduated within the past three years must submit at least one academic reference. Other references should be from professional contacts, not friends or peers. Reviewers consider the following:

Strength of Recommendation : Recommendations should discuss/evaluate the applicants’ academic and/or professional qualifications and potential for success

Credential of Recommender: Is the writer a supervisor, senior professor, etc? Is the person qualified to make the recommendation?

Comparison to Others: how the recommender evaluated the applicant against others s/he has taught or supervised

Consistency: Recommendations that vary substantially in their overall evaluation may not show clear evidence of the applicant’s potential.

Work Experience

Applicants are asked to include their most recent resume or curriculum vitae so we may consider the following factors:

Public Health Experience : Does the applicant have prior work experience in public health or a related field and in particular, public health issues?

International Experience : Has the applicant worked internationally and/or in the US on international issues? Does the applicant show evidence of cultural competence?

Types of Positions Held : Does the applicant’s work history lend support for success in the program as well as success in a career in public health?

Publications : Although not required for admissions, reviewers consider any publications from the applicant, with particular attention to publications in peer-reviewed journals.

Application Deadlines and Review Timeline

Admission review is conducted on a rolling basis and in order of their receipt and completion. We encourage you to submit your materials as early as possible as admission offers are extended throughout the year and space will become limited as the deadline approaches. Please note that due to heavy application volume during certain times of year, admission decisions can take anywhere from three weeks to three months to be issued.

Applicants are notified of their admissions decisions via email sent to the email address entered into the SOPHAS application. NYU GPH no longer mails print admission letters except by special request. ►  August 17: Application opens

SOPHAS application opens for spring and fall applicants to all concentrations.

►  December 15: Deadline for Spring

All applications are due for both domestic and international applicants, whether applying to an on-campus or online program for spring. ►  February 1: Initial deadline for Fall

All applications are due for both domestic and international applicants. Applications will be considered on a rolling basis for all applications received past February 1. Once an application is complete, it will be forwarded to the Admissions Committee for review.

►  After February 1: Rolling admissions on a space-available basis

Applications may be accepted after February 1st on a rolling basis for programs in which space remains.  This is not guaranteed, so we encourage interested applicants to submit their applications prior to the February 1st deadline.

►  April 15: Enrollment decision deadline

All applicants admitted prior to April 1st are required to notify NYU of their enrollment decision by this date.

The Best Structure for a SOPHAS Letter of Recommendation Template

If you’re applying to a graduate program in public health, you’ll likely be using the SOPHAS (Schools of Public Health Application Service) system. As part of your application, you’ll need to submit letters of recommendation from people who can vouch for your academic and professional qualifications. To make this process easier for your recommenders, it’s a good idea to provide them with a template or outline of what should be included in the letter. Here’s what you should include:

Introduction – Begin by introducing yourself and explaining your relationship to the recommender. Include the name of the program you’re applying to and the deadline for submission.

Qualifications – In this section, provide a brief overview of your qualifications for the program. You might mention your academic background (including any degrees or certifications), relevant work experience, and any extracurricular activities or volunteer work that demonstrate your commitment to public health.

Strengths and Abilities – Next, ask your recommender to provide specific examples of your strengths and abilities. This might include your ability to work independently or as part of a team, your critical thinking skills, your communication skills, and your ability to manage multiple priorities.

Areas for Improvement – While this section might seem daunting, it’s important to include it in the letter. Ask your recommender to include any areas where you can improve, and provide specific examples of how you might work to address these challenges.

Conclusion – Wrap up the letter by reiterating your qualifications and thanking the recommender for their time. Encourage them to reach out if they have any questions or concerns, and provide your contact information so they can easily get in touch.

By providing your recommenders with a clear outline, you’ll make it easier for them to write a strong and effective letter of recommendation. It’s important to remember that this is a valuable part of your application, so take the time to ensure that your recommenders have the information they need to write a letter that highlights your strengths, abilities, and potential for success in your chosen program.

Tips for Writing a Strong SOPHAS Letter of Recommendation

The SOPHAS application process is a crucial step for students who aspire to pursue further studies in public health. One of the key components of a successful application is a strong letter of recommendation, which highlights the applicant’s academic achievements, personal and professional qualities, and potential for success in the program. Here are some tips for writing a powerful SOPHAS letter of recommendation.

  • Know the applicant well: Before writing the letter, spend some time getting to know the applicant, their academic background, interests, and career goals. This will enable you to provide a more personalized and thoughtful recommendation that reflects their unique qualities and strengths.
  • Be specific and detailed: Provide specific examples of the applicant’s achievements, skills, and contributions. Use concrete examples to illustrate their work ethic, research abilities, leadership qualities, or interpersonal skills.
  • Highlight their public health experience: Public health programs are looking for candidates who have a passion for public health and have demonstrated their commitment to the field. If the applicant has relevant public health experience, highlight it in the letter and explain how it has prepared them for graduate studies.
  • Avoid generalizations and cliches: It’s easy to write generic recommendations that use cliches or vague language. Avoid this by providing specific and detailed examples that showcase the applicant’s strengths, skills, and accomplishments.
  • Be honest and balanced: While it’s important to highlight the applicant’s strengths, avoid sugarcoating or exaggerating their achievements. Be honest about their areas of improvement and provide constructive feedback that can help them grow and develop.
  • Proofread and edit: Before submitting the letter, make sure to proofread it carefully for grammar, spelling, and typos. Edit it to ensure that it is concise, clear, and coherent.

Writing a SOPHAS letter of recommendation can be a challenging task, but by following these tips, you can provide a compelling endorsement that helps the applicant stand out from the crowd.

It also contains resources that may help you work more efficiently throughout your admissions process. If you have additional questions or need further assistance, please contact a member of your account team.

Cycle Timeframes

Applicant portal.

The Applicant Portal opens in mid-August and closes in early August. You can view the specific cycle dates, including final processing dates (e.g., last date to submit transcripts, last date to request letters of recommendation, etc.), on the SOPHAS Application Cycle Dates page.

Configuration Portal

Between late April to mid-July, configurations are entered into the prelaunch environment. The account team and ASPPH review submitted configurations in July.

You can view new applicants and initiate a transfer settings shortly after the new cycle opens in mid-August.

Program Participation Requirements

ASPPH requires all programs to designate two contacts at your institution who will receive all communication from ASPPH and SOPHAS, including the configuration, application, and WebAdMIT launch notifications.

The first three sections of the SOPHAS application (i.e., Personal Information, Academic History, and Supporting Information) compose the core application. They contain questions that are commonly asked of applicants across all participating programs, such as an applicant's biographic information, standardized test scores, and experiences. The fourth section of the application is Program Materials, which is customized by you through the Configuration Portal (discussed in the next section).

You can access the SOPHAS application and SOPHAS Applicant Help Center to review the applicant experience. You can also create a test application in the Applicant Portal; we recommend creating a new account and adding "test" to your name (e.g., TestJohn TestDoe).

For a general overview of the applicant experience, review the following documents:

  • Applicant Processing Reference Guide : learn how applicants move through the application and Liaison processes applicant materials, such as transcripts and official test scores.
  • Review the requirements for the SOPHAS Complete application status .
  • SOPHAS Quick Start Guide and FAQs : a suggested timeline for completing and submitting the application, links to important pages including cycle dates and fees, and a FAQs section.

You can direct any applicant inquiries related to the application to SOPHAS Customer Service .

Verification

Once all required application materials are received, the applicant is placed in line to be verified. Verifications occur in chronological order and can take up to 10 business days to complete. Once an application is verified, the applicant receives a notification and their status changes to Verified . Refer to the Applicant Processing Reference Guide for more information.

Use the Configuration Portal Quick Start Guide to make sure you configure your program(s) efficiently and completely in the prelaunch environment . Be sure to check out your CAS's configuration options and review the best practices found throughout. If any optional sections of the application are required for your program (e.g., experiences, test scores, etc.), you'll want to note this on your program home page.

Once you've configured your program, you'll need to have it approved by the account team and ASPPH before it is available to applicants. If your program is reviewed after the cycle launches, ASPPH will approve it.

Review the WebAdMIT Manual for any questions related to working in WebAdMIT. The Reference Guides and WebAdMIT Training and Support sections are additional resources as you configure WebAdMIT for your needs. Documents commonly requested include:

  • Application Coupons Reference Guide : learn how to request coupons to offset application fees and disperse them to applicants. To purchase coupons, use the Coupon Code Payment Gateway .

How to Write a Strong Letter of Recommendation for College

sophas application letter of recommendation

If you’re a college counselor, coach, teacher, or mentor looking to support your college-bound students, chances are you’ve been asked to write a strong letter of recommendation. Stand-out letters of recommendation can give students a serious leg-up during college admissions. According to a 2024 post from Admit Report , college admissions officers will read as many as than 50,000 applications per admission cycle for a given university.

With that much competition, it can take a lot to help your student stand out. So, what catches an admissions officer’s eye? Strong letters of recommendation.

In that same survey, admissions counselors said letters of recommendation were more important to them than a student’s extracurricular activities, AP test scores, or even class rank. That means it’s worth putting a little extra effort into your next letter. Here’s how to write a college letter of recommendation that will blow the admission committee’s socks off.

Need more help? Check out Going Merry’s high school counselor hub for email templates, how-to’s, and other resources.

Introduction

The introduction is one of the most important parts of your letter. This is your chance to hook the reader and draw them in. Here’s how to ace one common recommendation letter format.

1. Open with a formal salutation

Your letter of recommendation should begin like any business letter. Keep in mind that, while common, “Dear Sir or Madam,” can feel gendered or outdated. “To Whom It May Concern,” is acceptable but can feel a little impersonal. If you can, find out the name of the admissions director. If you can’t find a direct contact, simply address your letter to “Dear Admissions Counselor.” Be sure to type on your official letterhead to give your letter an even more professional look.

2. Introduce the student

Start your first paragraph with a sentence or two explaining how long you’ve known the student and in what capacity. Were you their baseball coach, English teacher, or high school counselor ? Explain how you met. If possible, use a little descriptive detail to bring this anecdote to life, and mention your first impressions of the student. It’s usually standard to use the student’s first and last name upon first mention, then refer to them by their first name going forward.

3. Establish a personal connection

Next, add a sentence or two demonstrating your connection to the student. This is one of the most crucial parts of writing a strong college letter of recommendation. Admissions officers are looking for endorsements from people who really know the candidate well. If you don’t have a personal connection to the student that goes beyond simply being their teacher or counselor, that’s okay. Remember, you can always say no and encourage them to ask someone else to write their letter instead.

One of the best ways to establish this connection and help a student stand out is to tell a memorable story that illustrates their character. Include an example of a time when their qualities or skills really shone. Maybe this is a story about how they stepped up in a leadership position, reacted well in a moment of success or failure, or went out of their way to help another student. Make sure it’s specific and personalized.

Use this section to paint a picture of this young person and explain what makes them stand out.

1. Highlight the student’s achievements

Use the next paragraph to mention the student’s top accomplishments. Keep in mind that the admissions officer will already have the student’s resume and GPA in front of them, so don’t waste time listing a bunch of achievements.

Instead, mention a specific example or short anecdote that might add color to a prominent resume item. For example, the admissions officer probably already knows that your student is a varsity basketball player or a debate team captain. But if this is the hardest-working student-athlete you’ve ever coached or the most brilliant debater the school has ever seen, that’s worth a mention.

Another tip: While it can be helpful to use a letter template , try to avoid using the same formula for every student on your list. College admissions officers are often assigned to a particular region. That means the same person will likely end up reading the same high school teachers’ or counselors’ letters year after year. If your letters are practically the same for each student, the admissions officer will notice.

2. Speak to the student’s character

Now that you’ve mentioned a student’s successes, it’s time to explain what personal qualities led to such success. Try to make this part of the letter flow naturally from the previous section.

This is your chance to talk about the student’s hard work, magnetic personality, or aptitude for learning. That said, it’s best to avoid generic statements and clichés . The phrases “great work ethic,” and “strong team spirit” show up on thousands of letters each year. Instead, use concrete examples and descriptive detail to bring your student’s character traits to life.

Instead of “He’s thoughtful,” say “He’s capable of discussing even the most complex topics with humility and nuance.” Instead of “She’s intellectually curious,” say, “She thinks like a scientist, and over the last four years, she’s turned in such thoughtful lab assessments that sometimes I worried she was teaching me more than I was teaching her.” It’s that kind of vivid description and personalization that catches the attention of college admissions counselors.

Also be mindful of racial biases and gender biases in letter writing . If you’re not mindful, these unconscious biases can sneak into your letter and negatively color the admissions officer’s view of your student.

3. Provide context

Praise doesn’t mean much without context. Be sure to benchmark your student’s achievements against those of their peers. This kind of context gives college admissions counselors a better understanding of the student’s abilities. It will be easier for them to make admissions decisions when they can clearly evaluate a student’s performance relative to others.

So, for example, a weak recommendation letter might state that a student “writes well and participates often in class.” A strong recommendation letter might say something like, “I’ve taught more than 2,000 students in my time as an educator and I’ve never met someone with such a knack for the written word. Many young people struggle to describe their inner world in vivid detail, but Henry succeeded in capturing both me and his classmates with his thoughtful, relatable prose.”

Your final paragraph is your chance to remind your reader why this student is so unique and deserving of a spot at this particular school. Be sure to follow these general guidelines:

1. End on a positive note

Your final paragraph should provide a brief summary of your recommendation so far and express why you believe so strongly in this particular student’s likelihood of success. It’s standard to include your contact information in the conclusion in case the admissions office has any further questions for you. This could include your email or office phone number — whatever you’re comfortable providing.

2. Use a formal closing

As with your opening, the closing of your letter should be professional and businesslike. “Best Regards,” is a common closing, though “Sincerely,” or “Respectfully,” will also work.

Guidelines to follow as you write

Writing a strong letter of recommendation isn’t just about what you write – it’s how you write, too. Here are some guidelines to keep in mind.

  • Keep it relatively brief: The audience you’re writing for has to evaluate countless recommendation letters just like the one you’re writing. Be respectful of their time and try to keep your letter to around one page in length.
  • Be honest and balanced : While it’s important to emphasize the student’s positive qualities, it’s just important to be honest and balanced in your assessment. Avoid exaggerations or misleading statements.
  • Tailor the recommendation to the college: Do some research on the colleges the student is applying to and customize your letter accordingly. Highlight traits or experiences that align with the particular college’s values or programs. This shows that you’ve taken the time to understand the student’s goals and aspirations.
  • Avoid cliches: Steer clear of overused phrases and generic statements. Instead, provide original and thoughtful insights about the student.
  • Use professional language and tone : The admissions process is serious business. Maintain a professional tone throughout the letter and use appropriate language. Avoid slang or informal expressions.
  • Proofread and edit : Take the time to review and edit your letter carefully. Check for any spelling or grammatical errors, and ensure that the letter flows smoothly and is well-organized. Consider asking a colleague to proofread it when you’re done.
  • Follow the guidelines : If the college or university provides specific guidelines or requirements for the letter of recommendation, make sure to follow them closely. This may include details on formatting, submission methods, or specific questions to address.
  • Give yourself enough time to write: Writing a college letter of recommendation can take hours, days, or weeks depending on who you are and your relationship to the student. Give yourself plenty of time to sit down, write a draft, and revisit it to make sure it’s polished enough to submit.
