HRSA just issued the “FY 2025 Quality Improvement Fund – Transitions in Care for Justice-Involved Populations (QIF-TJI)” NOFO. This program provides grants to “strengthen transitions in healthcare for persons soon to be released from incarceration” under the Second Chance Act.  There’s $51M available with grants to $1 million over two years. How big are the awards Williams Grant Writing gets for clients?

We respect client confidentiality, so while we can’t tell you who, we can tell you how much. We’ve prepared grants as small as a few thousand dollars and as much as one million dollars. On average, our clients receive grants between $20K and $300K.

Do you have time for my organization?

Grant writing has a lot of “hurry up and wait” baked into the process. Inevitable wait times for revisions and draft approvals give us the flexibility to work with new clients.

I want to write proposals for my organization on a monthly basis instead of just one project. Can you help with that?

Yes! WGW is happy to provide writing services either project-by-project (check out the À La Carte package) or as part of a full grant subscription (explore the Partnership Plan for turnkey grant research, writing, and reporting).

I’ve heard I should connect and develop a relationship with potential funders. Can you do that for me?

We do not offer relationship-building services, but absolutely encourage all our clients to make the effort to do this on their own. The simple reason is that if you ever stop working with us, you’ll lose the connection. And we’re committed to doing what makes the most sense for you. These connections drastically increase your chances of getting funded. When we take on the research, writing, and/or reporting, your executive director will have much more time to focus on this.

We have a grant writer on staff that sometimes needs help with grant proposals. Can you help us with this?

Absolutely! We’re happy to help with the load wherever we are needed in the process. We’ll finish projects that you’ve already started, vet funding opportunities your organization has already identified, create applications for new programs, and more.

What are funding foundations looking for when they award grants?

Grant funders look for the same things that a venture capitalist looks for in a good startup: history, infrastructure, sustainability, sound financials, uniqueness of program or project, and good people. That’s why we only guarantee compelling grant proposals and not the funding itself (unless you choose The Full Monty package). It’s not just the grant that matters, but your organization as a whole. Our job is to help you tell your story powerfully.

How long does it take to write a grant?

Private grants take a minimum of three weeks once the writing begins. Government grants can take at least four weeks. If you need something faster, ask us about rush rates! We’ll work nights and weekends to meet your deadline if that’s what you need.

Our grant research service is a limited-time engagement and limits nonprofits to what is available at that moment and time. The grant management services offer an alternative to hiring an in-house grant management team.

Grant management is designed for organizations that want ongoing grant research but are either not ready to hire an in-house grant management team, do not want the added overhead, or do not have the financial means to hire a grant management team.

Our grant management services include a grant coordinator, grant writer, and information pulled from multiple grant databases and grant management technology.

Each grant management package includes a case statement explicitly created for your organization’s programs, foundation research based on the package size chosen, a dedicated grant coordinator to provide grant readiness guidance and education, and a dedicated grant writer.

We seek grant funding solely from private foundations.

Historically, grantors required a formal grant proposal document as the initial approach for funding, but recently many grantors have moved to online portals for their initial grant applications. The case statement replaces outdated proposal documents and answers most foundations’ questions.

Each case statement includes the following:

  • Organizational Information
  • Need Statement
  • Methodology
  • Sustainability

A Letter of Inquiry (also known as a Letter of Intent) allows the grantor to better gauge and understand your organization’s programs to determine if they are interested in learning more about your organization. This document consists of a one- or two-page brief of the proposed project or programs requiring funding. Some foundations require this letter as the initial application to ensure the project falls within their giving guidelines. The foundation may then request in-depth information to decide.

Grantors may request any, or all, of the following documents to be included with grant applications:

  • A copy of the organization’s IRS Determination Letter
  • The organization’s operational & program budgets for the next fiscal year
  • A copy of the organization’s most recently filed 990s (not 990n)
  • A copy of the organization’s last audited financial statement
  • A current list of all board members, executive leadership, and paid staff
  • A list of major donors, including grantors, corporate sponsors, etc.

If you are denied funding because a grantor does not support your geographical location or the foundation does not support programs like yours, we will replace that grant application with another. Foundation requirements are subject to change and may not be updated in our databases. We will not replace the application if the funding is denied simply because the foundation has chosen to fund a different program or organization.

No, it would be unethical to make such a promise. However, we guarantee thorough research and the quality of the applications we submit. We work hard to understand what foundations are looking for, and we customize all applications to the specific formats requested by grantors. Getting funded largely depends on your organization’s history of successful program implementation, the quality of programs offered, the methodology utilized, and proven long-term financial sustainability. Some grant applicants may be approved for and receive funding within a year, while others may take years to obtain grant funding. Take notes and make a checklist of these requirements to add to an Excel spreadsheet, Google smartsheet, or management system for organizing and tracking your grant process.

Finally, understand how you will submit the final grant application. Many funders use online portals with character or word limits for each section. Be aware of these limits beforehand. Simplify the editing process by first writing each section in a Word document to be copy and pasted into the corresponding submission fields.

If there is no online application platform, the funder will usually offer a comprehensive Request for Proposal (RFP) to guide the structure of your grant proposal. The RFP: 

  • Specifies page constraints
  • Delineates specific sections
  • Outlines additional attachments

Components of a grant proposal

Executive summary

Like an abstract for your research manuscript, the executive summary is a brief synopsis that encapsulates the overarching topics and key points of your grant proposal. It must set the tone for the main body of the proposal while providing enough information to stand alone if necessary.

After the executive summary is the project narrative . This is the main body of your grant proposal and encompasses several distinct elements that work together to tell the story of your project and justify the need for funding. 

Include these primary components:

Introduction of the project team

Briefly outline the names, positions, and credentials of the project’s directors, key personnel, contributors, and advisors in a format that clearly defines their roles and responsibilities. Showing your team’s capacity and ability to meet all deliverables builds confidence and trust with the reviewers.

Needs assessment or problem statement

A compelling needs assessment (or problem statement) clearly articulates a problem that must be urgently addressed. It also offers a well-defined project idea as a possible solution. This statement emphasizes the pressing situation and highlights existing gaps and their consequences to illustrate how your project will make a difference.

To begin, ask yourself these questions:

  • What urgent need are we focusing on with this project?
  • Which unique solution does our project offer to this urgent need? 
  • How will this project positively impact the world once completed?

Here are some helpful examples and templates.

Goals and objectives

Goals are broad statements that are fairly abstract and intangible. Objectives are more narrow statements that are concrete and measurable. For example :

  • Goal : “To explore the impact of sleep deprivation on cognitive performance in college students.”
  • Objective : “To compare cognitive test scores of students with less than six hours of sleep and those with 8 or more hours of sleep.”

Focus on outcomes, not processes, when crafting goals and objectives. Use the SMART acronym to align them with the proposal's mission while emphasizing their impact on the target audience.

Methods and strategies

It is vitally important to explain how you intend to use the grant funds to fulfill the project’s objectives. Detail the resources and activities that will be employed. Methods and strategies are the bridge between idea and action. They must prove to reviewers the plausibility of your project and the significance of their possible funding.

Here are some useful guidelines for writing your methods section that are outlined in " Winning Grants: Step by Step ."

  • Firmly tie your methods to the proposed project's objectives and needs assessment.
  • Clearly link them to the resources you are requesting in the proposal budget.
  • Thoroughly explain why you chose these methods by including research, expert opinion, and your experience.
