How to Write an Email to a Potential Ph.D. Advisor/Professor

One of the most common points of confusion among undergraduates and new graduate students is how to write an email to contact a professor to serve as a potential Ph.D. or graduate school advisor.  This can be a minefield.  Yet the email inquiry to a potential advisor is one of the most important steps in your entire graduate school process, in that it is your chance to make a first impression on the person who will dictate many elements of your life for the next five to ten years.

I have been on the receiving end of many emails from hapless students who clearly had no guidance, and whose communication with me ended up appearing flippant and rude.

Here is that sort of email:

“Dear Professor Kelsky, I am a student at XXX College and I’m thinking about graduate school on xxx and I’m getting in touch to ask if you can give me any advice or direction about that. Sincerely, student X”

This is an instant-delete email.

Here is what an email to a professor should look like:

“Dear Professor XXX,

I am a student at XXX College with a major in xxx.  I am a [junior] and will be graduating next May.  I have a [4.0 GPA] and experience in our college’s [summer program in xxx/internship program in xxx/Honors College/etc.].

I am planning to attend graduate school in xxx, with a focus on xxx.  In one of my classes, “xxx,” which was taught by Professor XXX, I had the chance to read your article, “xxxx.”  I really enjoyed it, and it gave me many ideas for my future research.  I have been exploring graduate programs where I can work on this topic.  My specific project will likely focus on xxxx, and I am particularly interested in exploring the question of xxxxx.

I hope you don’t mind my getting in touch, but I’d like to inquire whether you are currently accepting graduate students.  If you are, would you willing to talk to me a bit more, by email or on the phone, or in person if I can arrange a campus visit, about my graduate school plans?  I have explored your department’s graduate school website in detail, and it seems like an excellent fit for me because of its emphasis on xx and xx,  but I still have a few specific questions about xx and xxx that I’d like to talk to you about.

I know you’re very busy so I appreciate any time you can give me.  Thanks very much,

Why is this email good?  Because it shows that you are serious and well qualified.  It shows that you have done thorough research and utilized all the freely available information on the website.  It shows that you have specific plans which have yielded specific questions.  It shows that you are familiar with the professor’s work.  It shows that you respect the professor’s time.

All of these attributes will make your email and your name stand out, and exponentially increase your chances of getting a timely, thorough, and friendly response, and potentially building the kind of relationship that leads to a strong mentoring relationship.

If the professor doesn’t respond in a week or so, send a follow up email gently reminding them of your initial email, and asking again for their response.  If they ignore you again, best to probably give up.  But professors are busy and distracted, and it may take a little extra effort to get through.

Thanks for posting these bits of advice. There are so many little things about grad school that we don’t know but we are expected to know! Even though I always try to be respectful and professional in my emails to professors, having a template like this is helpful.

You’re very welcome, Liana! I agree, it’s these little unacknowledged and untaught things that can make or break a graduate school career…. I am genuinely mystified as to why graduate colleges don’t keep a full time advisor on the staff to help undergrad and grad students with these small but critical processes. But since they don’t, I’m going to try and be that here at The Professor Is In!

I wanted to ask about: what if i sent a professor an email, which has no subject line? how will he see me, and how can i fix this problem?

2nd: i didn’t write my email as much detailed as shown above, and i sent my CV as a detailed introduction about me. so how will he see me and how can i fix this?

Hello there! I know this reply is late, but I just want to put it out here so that other students who had the same problem as you can know what to do. I have a question, how long ago did you send the email? If it is just a short while ago, like five minutes, you can send the professor another email saying that you clicked the send button by mistake, and this time round make sure you include a subject. If it is more than five or ten minutes, then it is best to wait for his reply. By waiting I mean one week. If he does not reply in one week, send him another email. This time you can be more detailed. And also do not forget to include the subject.

I have sent phD project proposal to the potential advisor 12 days back, but I have not received any reply from her till today. What Shall I ask her, whether she has gone through the proposal or not or else she is not interested in that topic. Kindly advice

12 days are quite long, I will say send her a reminder email. Just one line will do, asking if she had the chance to read your previous email. If she does not reply in one week, then just move on.

This is really helpful. Actually, I had sent my first email to the potential supervisor which I had written myself without consulting to anyone or any websites and I am happy that I covered all the things that Karen has explained here. After I sent my first email he responded very well and we exchanged three emails as well. Finally he asked me to send my Masters dissertation, CV, and the proposal as well which I did after 20 days and I also got an email from him saying he received it and will get in touch with me soon. But now it has been nearly a month since I haven’t heard anything from him so I thought to write a follow up email to him and once I started writing I myself was not satisfied with the email that I wrote because I thought it was bit arrogant to directly ask what is happening with my application. So I would really be grateful if anyone could help me with that and I also don’t know how long should I wait before sending him follow up email. Any help highly appreciated. Thanks

What about writing an e-mail to request the addition of someone new to your committee? I have had one professor leave the University and another…well…let’s just say he is no longer a welcome member of my committee and I need to fill two spaces.

Good job demonstrating to students how to suck up to their “superiors” (and I use the word very, very lightly) by providing an example of how to properly be a subservient schmuck and schmooze a highly over-inflated, narcissistic ego. But then again, as many will end up wage slaves to people like you, it is a good skill to have. Then again, to others it reads like a massive endorsement for self-reliance.

What I find simply amazing is the endless self-congratulation that many professors give themselves for jumping through hoops in what amounts to an essentially, a pointless bureaucratic game. Hopefully your research contributes to the whole of humanity. Otherwise it is simply a waste of time in the larger scheme of things. There are people starving and dying out there, and we are worried how to properly impress the likes of you? You need to seriously examine the implications of this. In other words — get over yourself.

I found this comment to be stimulating and engaging! Well done! Next time, you could also try to look at things from the other side of the argument. Many of us feel that in order to achieve success it’s important to perform in a way that academics recognise and sadly hoop jumping is a necessary facet of life whether you are a street performer looking for a permit from your local authority or an artist applying for grants from a Charitable Trust. The point of this post and the point it makes quite clearly is that many students such as myself are not trained or advised on the correct protocol concerning contacting people who are probably already quite busy and who have to read literally hundreds of emails a day. If you think you could do a better job or don’t like academia no one is forcing you to do it and there is certainly even less of an obligation to do a PhD. You site doing good for humanity as the goal we should live by. I think you also need to assess the assumptions that this makes and the moral and ethical values you espouse but don’t seem to understand.

I’m from Portugal. I’m starting my PhD in Clinical Research and i will focus my attention in resistant schizophrenia. Would it make sense to have a supervisor from a foreign country and which i don’t know personally? Don’t you think that he would accept?

Your advisor has to be in the Ph.D. program you enroll in. If you are interested in enrolling in a foreign program (and are still exploring options), then yes, you can get in touch with a potential advisor there, and if accepted, you can then attend that program. They won’t discriminate based on the fact that you are from another country, if your application is strong.

I know I’m replying to an old thread, but it occurred to me that nuno might mean getting an external advisor from a different institution than the one nuno is doing his/her PhD in. Is this done in the States at all? In a lot of European universities it seems to be possible to have an advisor from another programme or even another university.

Hey Christina,

In the US usually you are at the institution where you adviser is. However you usually have outside committee members that supervise your thesis and the can be from outside universities.

I wrote a professor earlier in the week just to introduce myself, and now I have an appointment set up with the department grad advisor and I want to meet with the professor while I am up there. Dear Mrs. Karen It’s give me pleasure to visit your webpage, relay your post is very helpful, useful, and rich. I’m from Palestine, I awarded DAAD scholarship in 2008 to get M. Sc. in computer information systems, now I am looking to begin my PhD. in Germany, I must find a supervisor then we arrange to write the PhD. proposal. Finally, I found my supervisor , he send me acceptance letter after finishing PhD. proposal but my application was rejected for scholarship for some special reasons, now I am working to find another supervisor , what is your advice to me , it will better to inform the new supervisor about my previous one .. This is an excellent forum you have created. Thank you very much. Please i Just want to ask whether it is wise to call a Professor who has an open PhD position in his Lab and you are strongly interest, but you sent him and email and recieved no response. And is it generally a good idea to call a Professor on phone when you find interest in his research and hope that he takes you in into his Lab.

My advice is don’t do it. I don’t say that to all potential PhD applicants, but I do say it to older ones. It’s generally a disastrous choice both financially and psychically.

I just wanted to say that I was quite pleased by this advice until I read this response. I entered higher education as a “non-traditional” student and it has turned my life around. I’m now a masters student looking at PhD programs. It pains me to see an someone in your position advising someone against further education because of their age.

Unfortunately with the abysmal job market and the likelihood of massive debt, age becomes a major risk factor in any phd decision. I have seen the tragic outcomes among my clientele. Some do still prevail, but many more do not.

I suppose it depends what field you are in and if you are paid to be at the institution or not. In my field PhD students are typically given full funding packages and stipends, eliminating the need to take out loans. Of course, these stipends aren’t exactly generous and the job market is still dismal, but at least you don’t necessarily have to go into debt to receive a PhD. That being said, are you suggesting that there is another factor, perhaps some sort of “ageism” that also works against older students?

yes, you could. I have the slightest hesitation though. At your stage your cv won’t be very impressive, and may well be completely improperly formatted, so it could do a lot more harm than good. I suppose my instinct would be to not send it, until asked.

It’s great to see you posting something like this, it has really helped me out. I was wondering though, I’m in a situation where there are two professors at the same University that I am interested in speaking with. Should I contact them both or just pick one and stick with it? They are in the same department, but are focused on different aspects of the same field (one is shellfish restoration and the other is shellfish aquaculture).

I have used your post as an email template and send it to several professors. About half of them respond positively. I think your template is a very good format for PhD application.

Yes that would be harmful. the expectation is that you have a full-fledged research program of your own.

No, not necessarily. I think most phd students have a deep impulse or drive to do a topic and it just flows out of them. that was the case for me, certainly, and most others I know. If you don’t have that, I think doing the Ph.D. might be difficult.

Thanks for this awesome post. I followed your advices and wrote an e-mail to potential faculty for Ph.D program that I want to join. And it worked very well. I received an e-mail back from him the following morning! I did not ask whether he had time to talk to me though, and I only asked whether he is accepting students this year. His e-mail was very brief (2 sentences), saying # of students he is accepting, and he encourages me to apply. Should I send another brief ‘thank-you’ e-mail? If so, should I try to talk to him more about his group/program? or would it be better to just keep it as ‘thank-you’ e-mail? I would very much appreciate your time and help!

Thank you for your info. I found your advice reassuring. I have one question though. I have had some good responses and offers in Europe. Now I am planning to apply to some high-ranked US universities for a research position in electronics. My master’s institution in Sweden is not that famous which I perceived as a disadvantage. How much weight does professors in the US give to GRE and grade when selecting students for a PhD? My GRE (Q:800, V~510) and B+ GPA.

i faced the same problem. i’ve sent email to one prof at uni. X, but after 3 weeks, he didint reply me. so i’ve sent another email tp another prof at uni. Y… after few hours he reply saying, im ready to supervise you, welcome to uni Y.

Then, a week after that, the Prof from Uni X replied me saying. plese send your 2 pages proposal for my consideration.

Dear Karen there were great tips i have never known. i just want to know if it works if i mention that i completed a first year of PhD in my home country and i dont want to pursue it any more or not? While the second part of this sentence is fine, I’d be rather cautious about the first half. I am in the process of writing a letter to a potential supervisor myself and have gone to talk to different professors in my current university to ask for advice. I do have a topic in mind, but almost everyone told me NOT to mention a specific topic in the e-mail but rather general idea. One of the professors even told me that more often than not the person who says they have something specific in mind will be stubborn about changing their topic (because let’s be honest, PhD topics change) and consequently not asked for an interview.

Then again, I’m speaking from an European’s point of view. Maybe the grad school application approach is different in the States.

I think you are right in that the approach is different in different countries. I am in Australia and I have met up with a university professor. He told me that most people would not be able to choose their own PHD topic and that it is important to be flexible while still making sure you will enjoy the topic you end up doing. This is because the professors apply for grants on specific topics and then need students to do that topic in their PHD. The only way you could do your own topic is if you do a self-funded PHD, i.e. apply for grants yourself. For this reason I will be including broad areas of interest in my emails rather than specific topics.

If usually we have to work on professors projects, I couldn’t find much published topics /projects online. The only thing I found was interests of supervisors and in few universities some research projects but not relevant to my field. I hope you can give me some guidance.

Thanks for providing such a nice insight and useful suggestions for admissions. I am 44 and wish to do an engineering MASc in Canada. Will my age(44) go against me ?? Dear Karen, Your description was very helpful on how to write the e-mail, but what continues to stump me is what to put into the subject line. During my time as an undergraduate, I have had many professors tell my classes to chose our subject lines wisely because they delete mail not directly related to their classes or from faculty memebers. What would be short, to the point, and attention getting as a subject so the professor doesn’t just immediately delete the e-mail without reading it?

I just wanted to say I agree wholeheartedly about following up if you don’t get a response (and you’re serious about the professor and/or line of work). I wrote to a professor enquiring about full time openings in her lab but she didn’t reply. I followed up after 2 weeks, and she replied almost 2 seconds later apologizing for not getting in touch sooner because she was out sick and the email then got forgotten. In this case, there was a happy ending. The prof flew me out for an interview, and I’m still at the same lab working full time. I was never more glad of my persistent stick-to-it-ness.

p.s., I should probably add I didn’t send a form email and that my email was tailored specifically for that lab and the research the PI does.

Hi Karen. Your advice was very useful in helping me figure out and frame my email to a potential supervisor. There is one concern however, and I have been frantically searching online for a tip on the same. I am a student doing my Masters (Thesis-based) and after three years I have decided to switch to a different university for a Course-based degree in the same program. I have completed 6 courses and a part of my research but it took me a while to figure out that research (long term research) does not suit me very well. This is a great resource for learning how to properly contact advisers, thank you for making this!

I think it would also benefit for us to know about social/Facebook etiquette when involving potential graduate advisers. Should we befriend them on Facebook? I could see reasons for and against do that. Seeing the posts, pics, and etc., could be helpful in getting to know the adviser better. On the other hand, if the adviser seems something on your page he/she doesn’t like, you run the risk of losing them. What do you? Maybe right another blog on social/ Facebook etiquette with advisers? Thanks!

Mentioning the potential research focus in the email is still a sticking point for me (“My specific project will likely focus on xxxx, and I am particularly interested in exploring the question of xxxxx”). In my case, there are many research questions I am interested in exploring within a broader topic. I don’t want to be generic, noncommittal, or scattered, but I also don’t want to be dishonest by picking a research question and declaring it my particular interest. Thank you for this great blog and willingness to share your professional knowledge. Could you please, very briefly, address two issues: 1. If a topic can be supervised by several members of faculty and is rather specific (it`s in social sciences), would it be appropriate to address one (presumably “highest ranking”) professor at the department, but at the end to kindly ask that if she/he is not interested or not able to be advisor to recommend to me someone in the department who could be more appropriate/willing/able/suitable to contact? I don’t think anyone has raised this, but coming from Eastern Europe, I don’t know if this would be considered “weak”, or “improper”, or “insulting”?

2. This is not so important, but I read few people asked similar question and it remained unanswered, but is also in way related to the previous one. I am intending to apply with my partner/fiancee who is in the same discipline, we met on first year, and since have studied, worked and lived together (I am 26, she is 39), and are very successful in it and highly compatible and productive when together – studying the same issue, but from quite different perspectives and different aspects of it (we might need to have different supervisors). Would you consider it to be a drawback that we are applying together for PhD in the US? And do you think that in similar cases it is better to send one e-mail to a Prof., or two separate, or two separate to two Prof.s?

Yes you can do as you say re question 1. Well actually, don’t do it in the initial email. Wait until you’ve had a negative reply and then ask. To ask up front would be a little awkward. Re question 2: it’s fine for you two to both apply but you must both apply independently and contact the profs independently.You can let drop informally that you are a couple, but formally in the apps, it’s got to be entirely individual.

I’ve already contacted some Professors for possible Ph.D. supervision and the content of my e-mail was close to (but not as detailed) as the template here because I was trying to avoid sending a lengthy mail. However, I’ve not gotten any reply for days now. Please, I need your advice; should I resend my mails following this template or … ? Here’s a sample of the mail I sent on Tue, 17th, Sept., 2013:

Hello Prof. XXX,

I am XXX, a graduate of XXX and a current research student at the XXX University. I am writing you this email to inform you of my interest in your field of research (XXX). My current Masters research is in XXX and I have also been researching into more problems in this area. Hello Prof Karen, Thank you for generous tips and advice. I got tired to get such kind of information to relief my stresses. On the other hand, I would expect that I will need a far more deeper guidance about my PhD application road map. I have selected USCD (Materials Science + Chemical Eng.), Carnegie Mellon U. (Materials Science), U of South Florida (Chemical Engineering). My challenge that I will be facing both the TOEFL on Oct 25th and GRE on Dec 19th. Additionally, I have my courses in the master that I study here in Brazil, UFRGS. While the sites of the aforementioned schools state that it is not advised to contact faculties as they can not give any prior admission unless to submit all the application materials; test scores, transcripts, etc, it is welcome to contact them if you want to talk about the research they do or you want to do. The problem is that I am missing mind duel to all this timed tasks that I have to carry out simultaneously. During that I feel that an optional transaction like initiating a contact with a professor who shares my research interests – specially they won’t respond mostly – is not so advisable. Do you agree with me? Second point I study here in Brazil in Portuguese. As an Egyptian, I used to study engineering in a mixture of English and Arabic. Thus, it was difficult to understand and communicate with the teacher and classmates during discussion. After all, it is a MSc and understanding to solve questions in exams is important than understanding the language itself. So that I used to study in English and then make such conversion from English to Portuguese in exam times. As a result, I usually get B grades. I got only one A. Do you think that will lower my chance of getting admission? Third about recommendation letters, I do not have the complete ability to determine which faculty professors I should ask to recommend me. For example, my supervisor is really a nice woman and supportive. However, some times she looks like angry from me and neither I nor my colleagues know a specific reason for that. I just try to relax, supervise, and educate myself. Like that, shall i ask her to recommend me or not. Other professor who was my 65 year old supervisor in Egypt. He was considering me as a son to him and he has written many recommendations to me. But due to out-of-control problems in my work as a TA in the same dept, I feel like he has changed towards me. I am sure that he still appreciate my hard work and traits and he is the most knowledgeable person about me. Shall I ask him to recommend me?

I am an international student. Your article, “how to Write an Email to a Potential Ph.D. Advisor/Professor”, had helped shining the way to communicate with professors who live overseas.

After sending my email to three places, I received a good reply from a prospective professor who told me that I was a good fit to his/her laboratory.

Because this is only one month after submitting my applications, I do not know whether the email from the professor will guarantee my chance of acceptance. At least his/her reply helps me narrow down the researches that I should pursue.

Recently, I came across a problem. I found a university in which there are more than one professor that I would like to work with.

In fact, this problem is often, but I cannot make a decision for this department. Could you please give me advice on whether I should send the letter to more than one professor in the same department or what positive or negative consequences that I might have encounter.

I can’t help but echo what someone else had already mentioned in the earlier posts. I feel like you have to suck up to the professor to get any real attention. I’m a straight forward guy, and I don’t understand why we can’t just keep it short and sweet, like two or three sentences, with a CV/resume.

I don’t think I can bring myself to go into detail about how great the professor is, or how I’ve read all his/her papers, or how excited I am to start my research career. It’s politics, and I hate that game.

Dear professor Karen, This is really the most important and fantastic system of writing for admission application i ever had. Surprisingly, I was facing a big challenge how to write a constructive email for consideration of my graduate program this year. I have now alleviated this mountainous problem. Hello. I am a graduate student in physical chemistry (Master of Science). I have worked in Computational and Theoretical chemistry for more 3 years. I believe the nice thing about this post is that it reminds you to tell something about yourself; your GPA, your experience, your good qualities. I think those are always worth mentioning. The other really nice thing is that it tells you to get to know the supervisor’s research (after all, why would you want a supervisor whose research was not interesting?) But I disagree with being too concerned about pleasing the professor. I think honesty is way better, and I think people should remember that it’s not just the professor evaluating the potential student, but also the student evaluating the professor; if the professor is always busy, he probably won’t have time for you either. Sucking up will eventually *always* fail. Also, by attempting to please the professor too much I think people are supporting a system where professors pick their students based not on their qualifications and interests but how much they like the person. Just my two cents.

Do you mean that i Should fill it with my research title? I was intend to fill it with my research title but then i was confused because i have some alternative for my research project.

Secondly, I am currently working on my research proposal and will be consulting potential supervisors very soon, however I do have a big worry. I am 32 years and I intend to start my Ph.D next year. I have 2 Bachelor of Science Degrees and a Masters of Science Degree. 10 Effective Ways to Contact Potential PhD Supervisors in the US

Apart from acquiring in-depth knowledge, a PhD doctoral degree is a prestigious recognition. It can boost your career opportunities in academia, research, and innovation and broaden your networking horizons. However, considering a doctoral program requires significant time and effort; the application process is tailored to help institutes select the most promising candidates. While the PhD application process involves various kinds of nitty-gritty, communicating with potential PhD supervisors is a common step all candidates need to ace.

Why Should You Reach out to Potential PhD Supervisors?

Before or while submitting your admission to universities for a PhD, you are asked to reach out to potential PhD supervisors who are faculty members at these universities. By contacting potential PhD supervisors, you check that your university of choice has a faculty member with a similar research interest and can supervise the research you intend to carry out. If this person is willing to supervise you, they will not only mentor and guide you throughout your PhD program but will also advocate for your admission to the university.

Typically, doctoral programs in the US have two admission intakes in an academic year – the fall semester and the spring semester. For example, if you seek admission to the Fall 2023 program, you must prepare your application by or before Fall 2022. The deadlines for submitting applications for the Fall 2023 program would be December 2022/January 2023. It is critical to identify your research area and interests before starting any PhD application. Prospective supervisors will welcome such clarity of thought as it outlines your PhD agenda and highlights your commitment.

3. Do Your Research 

Carrying out thorough research on a university and faculty members or the best destination for a PhD will lay the groundwork for your applications. Further, learn about the faculty members teaching in relevant departments at the universities you shortlist. Whatever your reasons, learning the correct way to impress a PhD supervisor can do wonders for building a great relationship and increasing your chances of success not only in your project but also in opening doors for your future career development.

Based on my own experiences, I’m going to share 10 of the best ways to impress a supervisor – 5 for before they agree to take you on, and 5 for when you become one of their PhD students.

5 Ways to Impress a PhD Supervisor Before They Agree to Supervise You

1. communicate clearly.

PhD supervisors are busy people, they receive countless emails every day from panicked students, colleagues chasing up peer-reviews, and potential PhD candidates like yourself. When you first contact a potential supervisor, stick to sending them a brief email. Note the brief there. Specify who you are, your educational background, that you are interested in their project, why you are interested in their project, and include a copy of your resume.

2. Be Knowledgeable About Your Field

All supervisors want a research student who’s knowledgeable and well-read in their field, as they tend to produce higher-quality work and encounter fewer problems. Although no one expects you to be an expert, make sure you have at least read three of the most popular journal publications in your chosen research area.

3. Research Them

Looking up the supervisor will give you an insight into their research interests, what topics they’re currently researching, and whether they’ve made any notable contributions, be it a publication, a book or a talk at a leading conference. Your goal isn’t to flatter them, but to be able to clearly explain how your project applies to them and why you would like them to be your supervisor. For example, you might pick up on the fact that the supervisor has recently published several papers or attended a number of conferences on a particular subject. Proposing a project closely linked to this area is likely to attract their attention more than a project in a subject which they haven’t published on for several years.

Know what you want to research, why you want to research it, and what you want to do after having completed your research.

A PhD is an enormous commitment – it can take up to 8 years, be financially challenging and mentally exhausting. A supervisor will want to reassure themselves that you genuinely believe a PhD is for you, as having a student struggle the entire way through, or worse, drop out altogether, isn’t good for any involved. Spend some time reading up on the common challenges you can expect as a PhD student and determining what your career goals are. Being able to demonstrate an awareness for both of these will help convince the supervisor that your consideration for doing a PhD is a rational one.

It’s natural to want to impress your supervisor, but remember, if they’ve already agreed to supervise you, they’re already impressed with your academic background and research potential. In truth, most supervisors are never more impressed with their students than on the day they receive their doctorate, with all the years of independent research, publications, and hard word work paying off.

If you still want to take a few extra steps to impress your supervisor, here are 5 things you can do during your PhD studies that will get noticed:

6. Be Proactive

Plan your work, commit to your agreed schedule, and fulfil all your obligations. Nothing makes a supervisor happier than an active student taking full responsibility for his or her project. Being proactive assures your supervisor that your project will advance in the right direction, and when you do need support, it’s for genuine issues that warrant their time.

Being a talented researcher isn’t only about being able to conduct research, but also about being able to do so independently. Showing them that you’re capable of this won’t only keep them looking forward to their next meeting, but it will also give them a high level of confidence in your long-term potential.

7. Document, document, document

It happens occasionally – you get a little complacent, or you’re unusually tired that day – and you don’t label your samples or record your results with a high level of care. No matter the excuse, that’s poor practice and will make it harder for yourself when writing up your thesis, or for your supervisor when trying to discuss your results with them.

One of the simplest ways to impress your supervisor (or any fellow researcher for that matter) is to document everything clearly and systematically. This can range from creating a detailed spreadsheet to keeping a frequently updated LATEX file .

However, it should be stressed that you mustn’t overstep your bounds – especially when it comes to unfinished work or areas of new potential research. Sharing something your supervisor hasn’t yet wanted to make public is the quickest way to go from impressing to annoying them.

Supervisors are busy individuals, with a schedule full of lectures, lab sessions, department meetings, plus their own research.

You can earn the gratitude of your supervisor by helping them with some of their tasks, such as offering to host a tutorial on their behalf or setting up the lab for their next demonstration. You can also extend your help to new PhD students who join your research group by acting as a mentor and guiding them through the early challenges of doctoral studies, such as explaining how to order equipment or who to talk to for certain lab requirements.

Supervisors appreciate this type of action as it creates a friendly and collaborative environment for the research group for which they are ultimately responsible for.

10. Clean up After Yourself

You shouldn’t need to be told about this, but it’s surprising how many research students fail to clean up after themselves after having completed laboratory work. This not only goes against laboratory policy , but it gives a poor impression of your research group, which is especially important when you consider the fact you are likely sharing the facilities with staff members who are colleagues of your supervisor.

Cleaning up after yourself shows you respect your colleagues and your workplace and suggests that you have a high personal standard which is always commendable in the eyes of a supervisor. Besides, it’s not that difficult to discard your samples, wipe down your surfaces and record all perishable items that need to be refilled at the end of each day.

In the same way that a supervisor takes you on as a student, you’re also taking them on as a supervisor, so the relationship must work both ways for it to be successful. I strongly encourage you, in your first meetings with a potential supervisor, to get a sense of whether your personalities are complementary or whether you think there’s a clash. Try to find out what kind of character your supervisor has before joining their research group (e.g. whether they’re a hands-on supervisor or whether they’re a laid back one); if you do this right, most of my tips will fall into place naturally without you having to try.

PhD supervisors are the unsung heroes of doctoral degrees, helping students stay calm, complete their assignments and achieve excellent results throughout the course. If there’s a problem that you need to talk through or want to bounce an idea off of someone, PhD supervisors are there to lend an ear. As such, it seems only fair to shine a light on the guidance generously given by these wonderful experts. Siung Ghai is studyinga PhD in Space Physics at the University of Sheffield . He explains how much his supervisor has done for him during his degree, and why they’re so important in assisting you with your PhD studies…

Ever since I was young I have always wanted to be an astronaut. However, whenever I have told people about this, they have laughed at me. But now that I’m studying towards a PhD in Space Physics, and through this have had the opportunity to work with scientists, NASA and the European Space Agency, they’re not laughing anymore!

One person who never laughed at me was my brilliant supervisor Simon. When I told him my dream was to go to outer space he listened to me with 110% concentration. Our first meeting was a moment that I'll never forget. There was no laughter, just unwavering support for my passion and dream, something which I’ve come to greatly appreciate in my time at university as a postgrad.

The best supervisors are those that stimulate and foster your talents and ability with unconditional support. I passed my degree with flying colours and excelled in my current PhD work but could not have done any of this without the support and guidance of my supervisor.

When you’re a PhD student it’s often easy to feel lonely as the reality of independent study sets in. It’s important that your supervisor is as available as possible to you – and I was lucky to find someone who was always ready to listen to any of my concerns.

Throughout my studies Simon was proactive about putting networking opportunities in front of me, not just with others within the UK with an interest in my discipline, but also on the overseas stage. I was invited to give academic presentations at three international space assemblies in Turkey, the USA and Japan, largely thanks to his support.

Space may be the final frontier, but many countries have an interest in the field. It’s impossible to work in isolation so a supervisor who can support you with international collaboration opportunities will be a huge asset to you. I was lucky to benefit from his connections and was paired up with scientists from NASA for my current research – something which I could only have dreamed of, when starting out as an undergrad all those years before.

But as much as support is valuable, it’s about inspiration too. A supervisor who can motivate you to go the extra mile, to do that little bit more, will pay dividends in terms of the quality and standing of your eventual research output. Simon inspired me not only to dream big, but dare to achieve bigger than anything I thought possible. It’s easy to feel intimidated by someone who is a leading expert in their field, but when this person can make you feel as though you are on the same level it is easy to be inspired to do more.

I’m not for a second pretending that a wonderful supervisor will make your PhD a walk in a park…there will be challenges, it will still be hard work. But if you can find a PhD supervisor just a little bit like Simon, you will be very lucky indeed. I can’t be more grateful to have had him as part of my research journey.

The PhD beckons. You thought long and hard about why you want to do it, you understand the sacrifices and commitments it entails, and you have decided that it is the right thing for you. Congratulations! Undertaking a doctoral degree can be an extremely rewarding experience, greatly enhancing your personal, intellectual, and professional development. If you are still on the fence about whether or not you want to pursue a PhD, see [ 1 , 2 ] and others to help you decide.

As a PhD student in the making, you will have many important decisions to consider. Several of them will depend on your chosen discipline and research topic, the institution you want to attend, and even the country where you will undertake your degree. However, one of the earliest and most critical decisions you will need to make transcends most other decisions: choosing your PhD thesis supervisor. Your PhD supervisor will strongly influence the success and quality of your degree as well as your general well-being throughout the program. It is therefore vital to choose the right supervisor for you. A wrong choice or poor fit can be disastrous on both a personal and professional levels—something you obviously want to avoid. Unfortunately, however, most PhD students go through the process of choosing a supervisor only once and thus do not get the opportunity to learn from previous experiences. Additionally, many prospective PhD students do not have access to resources and proper guidance to rely on when making important academic decisions such as those involved in choosing a PhD supervisor.

In this short guide, we—a group of PhD students with varied backgrounds, research disciplines, and academic journeys—share our collective experiences with choosing our own PhD supervisors. We provide tips and advice to help prospective students in various disciplines, including computational biology, in their quest to find a suitable PhD supervisor. Despite procedural differences across countries, institutions, and programs, the following rules and discussions should remain helpful for guiding one’s approach to selecting their future PhD supervisor. These guidelines mostly address how to evaluate a potential PhD supervisor and do not include details on how you might find a supervisor. In brief, you can find a supervisor anywhere: seminars, a class you were taught, internet search of interesting research topics, departmental pages, etc. After reading about a group’s research and convincing yourself it seems interesting, get in touch! Make sure to craft an e-mail carefully, demonstrating you have thought about their research and what you might do in their group. After finding one or several supervisors of interest, we hope that the rules bellow will help you choose the right supervisor for you.

Rule 1: Align research interests

You need to make sure that a prospective supervisor studies, or at the very least, has an interest in what you want to study. A good starting point would be to browse their personal and research group websites (though those are often outdated), their publication profile, and their students’ theses, if possible. Keep in mind that the publication process can be slow, so recent publications may not necessarily reflect current research in that group. Pay special attention to publications where the supervisor is senior author—in life sciences, their name would typically be last. This would help you construct a mental map of where the group interests are going, in addition to where they have been.

Be proactive about pursuing your research interests, but also flexible: Your dream research topic might not currently be conducted in a particular group, but perhaps the supervisor is open to exploring new ideas and research avenues with you. Check that the group or institution of interest has the facilities and resources appropriate for your research, and/or be prepared to establish collaborations to access those resources elsewhere. Make sure you like not only the research topic, but also the “grunt work” it requires, as a topic you find interesting may not be suitable for you in terms of day-to-day work. You can look at the “Methods” sections of published papers to get a sense for what this is like—for example, if you do not like resolving cryptic error messages, programming is probably not for you, and you might want to consider a wet lab–based project. Lastly, any research can be made interesting, and interests change. Perhaps your favorite topic today is difficult to work with now, and you might cut your teeth on a different project.

Rule 2: Seek trusted sources

Discussing your plans with experienced and trustworthy people is a great way to learn more about the reputation of potential supervisors, their research group dynamics, and exciting projects in your field of interest. Your current supervisor, if you have one, could be aware of position openings that are compatible with your interests and time frame and is likely to know talented supervisors with good reputations in their fields. Professors you admire, reliable student advisors, and colleagues might also know your prospective supervisor on various professional or personal levels and could have additional insight about working with them. Listen carefully to what these trusted sources have to say, as they can provide a wealth of insider information (e.g., personality, reputation, interpersonal relationships, and supervisory styles) that might not be readily accessible to you.

Rule 3: Expectations, expectations, expectations

A considerable portion of PhD students feel that their program does not meet original expectations [ 3 ]. To avoid being part of this group, we stress the importance of aligning your expectations with the supervisor’s expectations before joining a research group or PhD program. Also, remember that one person’s dream supervisor can be another’s worst nightmare and vice versa—it is about a good fit for you. Identifying what a “good fit” looks like requires a serious self-appraisal of your goals (see Rule 1 ), working style (see Rule 5 ), and what you expect in a mentor (see Rule 4 ). One way to conduct this self-appraisal is to work in a research lab to get experiences similar to a PhD student (if this is possible).

Money!—Many people have been conditioned to avoid the subject of finances at all costs, but setting financial expectations early is crucial for maintaining your well-being inside and outside the lab. Inside the lab, funding will provide chemicals and equipment required for you to do cool research. It is also important to know if there will be sufficient funding for your potential projects to be completed. Outside the lab, you deserve to get paid a reasonable, livable stipend. What is the minimum required take-home stipend, or does that even exist at the institution you are interested in? Are there hard cutoffs for funding once your time runs out, or does the institution have support for students who take longer than anticipated? If the supervisor supplies the funding, do they end up cutting off students when funds run low, or do they have contingency plans? ( Fig 1 ).

Professional development opportunities—A key aspect of graduate school training is professional development. In some research groups, it is normal for PhD students to mentor undergraduate students or take a semester to work in industry to get more diverse experiences. Other research groups have clear links with government entities, which is helpful for going into policy or government-based research. These opportunities (and others) are critical for your career and next steps. What are the career development opportunities and expectations of a potential supervisor? Is a potential supervisor happy to send students to workshops to learn new skills? Are they supportive of public outreach activities? If you are looking at joining a newer group, these sorts of questions will have to be part of the larger set of conversations about expectations. Ask: “What sort of professional development opportunities are there at the institution?”

Publications—Some PhD programs have minimum requirements for finishing a thesis (i.e., you must publish a certain number of papers prior to defending), while other programs leave it up to the student and supervisor to decide on this. A simple and important topic to discuss is: How many publications are expected from your PhD and when will you publish them? If you are keen to publish in high-impact journals, does your prospective supervisor share that aim? Rule 4: It takes two to tango

Sooner or later, you will get to meet and interview with a prospective PhD supervisor. This should go both ways: Interview them just as much as they are interviewing you. Prepare questions and pay close attention to how they respond. For example, ask them about their “lab culture,” research interests (especially for the future/long term), and what they are looking for in a graduate student. Do you feel like you need to “put on an act” to go along with the supervisor (beyond just the standard interview mode)? Represent yourself, and not the person you think they are looking for. All of us will have some interviews go badly. Remember that discovering a poor fit during the interview has way fewer consequences than the incompatibility that could arise once you have committed to a position.

To come up with good questions for the prospective supervisor, first ask yourself questions. What are you looking for in a mentor? People differ in their optimal levels of supervision, and there is nothing wrong with wanting more or less than your peers. How much career guidance do you expect and does the potential supervisor respect your interests, particularly if your long-term goals do not include academia? What kind of student might not thrive in this research group?

Treat the PhD position like a partnership: What do you seek to get out of it? Keep in mind that a large portion of research is conducted by PhD students [ 4 ], so you are also an asset. Your supervisor will provide guidance, but the PhD is your work. Make sure you and your mentor are on the same page before committing to what is fundamentally a professional contract akin to an apprenticeship (see “ Rule 3 ”).

Rule 5: Workstyle compatibility

Sharing interests with a supervisor does not necessarily guarantee you would work well together, and just because you enjoyed a course by a certain professor does not mean they are the right PhD supervisor for you. Make sure your expectations for work and work–life approaches are compatible. Do you thrive on structure, or do you need freedom to proceed at your own pace? Do they expect you to be in the lab from 6:00 AM to midnight on a regular basis (red flag!)? Are they comfortable with you working from home when you can? Are they around the lab enough for it to work for you? Are they supportive of alternative work hours if you have other obligations (e.g., childcare, other employment, extracurriculars)? How is the group itself organized? Is there a lab manager or are the logistics shared (fairly?) between the group members? Discuss this before you commit!

Two key attributes of a research group are the supervisor’s career stage and number of people in the group. A supervisor in a later career stage may have more established research connections and protocols. An earlier career stage supervisor comes with more opportunities to shape the research direction of the lab, but less access to academic political power and less certainty in what their supervision style will be (even to themselves). Joining new research groups provides a great opportunity to learn how to build a lab if you are considering that career path but may take away time and energy from your thesis project. Similarly, be aware of pros and cons of different lab sizes. While big labs provide more opportunity for collaborations and learning from fellow lab members, their supervisors generally have less time available for each trainee. Smaller labs tend to have better access to the supervisor but may be more isolating [ 5 , 6 ]. Also note that large research groups tend to be better for developing extant research topics further, while small groups can conduct more disruptive research [ 7 ].

Rule 6: Be sure to meet current students

Meeting with current students is one of the most important steps prior to joining a lab. Current students will give you the most direct and complete sense of what working with a certain supervisor is actually like. They can also give you a valuable sense of departmental culture and nonacademic life. You could also ask to meet with other students in the department to get a broader sense of the latter. However, if current students are not happy with their current supervisor, they are unlikely to tell you directly. Try to ask specific questions: “How often do you meet with your supervisor?”, “What are the typical turnaround times for a paper draft?”, “How would you describe the lab culture?”, “How does your supervisor react to mistakes or unexpected results?”, “How does your supervisor react to interruptions to research from, e.g., personal life?”, and yes, even “What would you say is the biggest weakness of your supervisor?”

Rule 7: But also try to meet past students

While not always possible, meeting with past students can be very informative. Past students give you information on career outcomes (i.e., what are they doing now?) and can provide insight into what the lab was like when they were in it. Previous students will provide a unique perspective because they have gone through the entire process, from start to finish—and, in some cases, no longer feel obligated to speak well of their now former supervisor. It can also be helpful to look at previous students’ experiences by reading the acknowledgement section in their theses.

Rule 8: Consider the entire experience

Your PhD supervisor is only one—albeit large—piece of your PhD puzzle. It is therefore essential to consider your PhD experience as whole when deciding on a supervisor. One important aspect to contemplate is your mental health. Graduate students have disproportionately higher rates of depression and anxiety compared to the general population [ 8 ], so your mental health will be tested greatly throughout your PhD experience. We suggest taking the time to reflect on what factors would enable you to do your best work while maintaining a healthy work–life balance. Does your happiness depend on surfing regularly? Check out coastal areas. Do you despise being cold? Consider being closer to the equator. Do you have a deep-rooted phobia of koalas? Maybe avoid Australia. Consider these potentially even more important questions like: Do you want to be close to your friends and family? Will there be adequate childcare support? Are you comfortable with studying abroad? How does the potential university treat international or underrepresented students? When thinking about your next steps, keep in mind that although obtaining your PhD will come with many challenges, you will be at your most productive when you are well rested, financially stable, nourished, and enjoying your experience.

Rule 9: Trust your gut

You have made it to our most “hand-wavy” rule! As academics, we understand the desire for quantifiable data and some sort of statistic to make logical decisions. If this is more your style, consider every interaction with a prospective supervisor, from the first e-mail onwards, as a piece of data.

However, there is considerable value in trusting gut instincts. One way to trust your gut is to listen to your internal dialogue while making your decision on a PhD supervisor. For example, if your internal dialogue includes such phrases as “it will be different for me,” “I’ll just put my head down and work hard,” or “maybe their students were exaggerating,” you might want to proceed with caution. If you are saying “Wow! How are they so kind and intelligent?” or “I cannot wait to start!”, then you might have found a winner ( Fig 2 ).

Rule 10: Wash, rinse, repeat

The last piece of advice we give you is to do this lengthy process all over again. Comparing your options is a key step during the search for a PhD supervisor. By screening multiple different groups, you ultimately learn more about what red flags to look for, compatible work styles, your personal expectations, and group atmospheres. Repeat this entire process with another supervisor, another university, or even another country. We suggest you reject the notion that you would be “wasting someone’s time.” You deserve to take your time and inform yourself to choose a PhD supervisor wisely. The time and energy invested in a “failed” supervisor search would still be far less than what is consumed by a bad PhD experience ( Fig 3 ).

The more supervisors your interview and the more advice you get from peers, the more apparent these red flags will become.

Conclusions

Pursuing a PhD can be an extremely rewarding endeavor and a time of immense personal growth. The relationship you have with your PhD supervisor can make or break an entire experience, so make this choice carefully. Above, we have outlined some key points to think about while making this decision. Clarifying your own expectations is a particularly important step, as conflicts can arise when there are expectation mismatches. In outlining these topics, we hope to share pieces of advice that sometimes require “insider” knowledge and experience.

After thoroughly evaluating your options, go ahead and tackle the PhD! In our own experiences, carefully choosing a supervisor has led to relationships that morph from mentor to mentee into a collaborative partnership where we can pose new questions and construct novel approaches to answer them. Science is hard enough by itself. If you choose your supervisor well and end up developing a positive relationship with them and their group, you will be better suited for sound and enjoyable science.

2. ensuring adequacy of supervision.

Heads of Schools are responsible for arranging for PGRs in their School to receive appropriate and continuous supervision during their period of registered study.

A PGR should only be admitted if the Head of School is satisfied that:

  • there are members of staff in the School suitably academically qualified for the task and who have the academic expertise and supervisory experience to supervise the PGR;
  • the members of staff are willing to supervise the PGR and that the candidate are willing to accept them as their supervisor;
  • the member of staffs’ other teaching and research commitments permit them to accept the additional supervisory role;
  • the members of staff are aware of the role and responsibilities of supervisors;
  • the members of staff have received appropriate advice/training in supervision skills.

The Head of School should also be satisfied that the above conditions are met for all members of the supervisory team including those from outside the School.

3. Supervisory Team

Includes:  allocation; appointing joint or lead supervisors; responsibilities; availability

PGRs will be allocated a supervisory team containing at least two co-supervisors. This should normally occur prior to the PGR commencing their studies, but failing that and in exceptional circumstances supervisors must be allocated within four weeks of the commencement of their studies.

At least one member of the supervisory team will be currently engaged in research in the relevant discipline(s), so as to ensure that the direction and monitoring of the candidate’s progress is informed by up to date subject knowledge and research developments. The other member(s) need not necessarily have relevant discipline expertise, so long as the breadth of experience and knowledge across the supervisory team means that the candidates will always have access to someone with experience of supporting PGRs through to successful completion of their programme.

One of the supervisors in a co-supervisory arrangement must be designated as the lead supervisor and act as the main point of contact between the University and the PGR. The respective roles and responsibilities of the lead and other members of the supervisory team should be agreed and the candidate advised.  More information on the role of the supervisor can be found here:

Responsibilities of the supervisor

If one of the co-supervisors is absent from the University at any point during the period of registration, and this period of absence exceeds six months, an alternative supervisor should be appointed at the earliest opportunity. If it is the lead supervisor who is absent, it should be agreed which member of the supervisory team will cover their responsibilities during the absence and the candidate should be advised. In the event of short periods of supervisor absence, supervisions should continue as required with the remaining member(s) of the supervisory team.

Research opportunities may be identified separately by supervisors, a candidate or a sponsor, or following discussions between a sponsor and the supervisors or a sponsor and the candidate. The key element linking the PGR and supervisors must be interest in and appropriate knowledge of the proposed area of research. There should be mutual agreement on the specific research topic, following discussions between the parties.

The Head of School should involve both the PGR and the members of staff in the preliminary discussions about supervision and should seek their agreement to initial supervision arrangements. A form is available for use by Schools to notify changes to the supervision arrangements for a PGR (see below), to be signed by the candidate, supervisors and the Head of School. Student Services Development (or equivalent) should always be notified in writing of changes to supervision arrangements and this will act as confirmation that the PGR has agreed to the change in supervisory arrangements.

For UKRI funded PGRs, this information should also be shared with the Graduate School in order that they can notify relevant Research Councils and funders.  There may also be a requirement to inform a candidate’s sponsor, in the case of PGRs supported by other routes.

6. Eligibility to act as supervisor

Subject to the following sections, any member of staff currently undertaking research in the relevant discipline may be nominated to supervise a PGR, provided that they intend to remain in post for the normal duration of the candidate’s registered period of study and irrespective of whether they are on an open or fixed-term contract. 

Senior Research Fellows (Level 5) who have experience of successful supervision may act as the lead supervisor.

Postdoctoral research staff may act as the second supervisors in a co-supervision arrangement.

Honorary Professors, Honorary Lecturers, recently retired staff and Emeritus Professors may act as second supervisors in a co-supervision arrangement.  Postdoctoral staff and Level 4 Research Officers (or equivalent) who do not meet these criteria may act as an assistant supervisor within a supervisory team working with a lead and second supervisor.

7. Academic staff supervising for the first time

Includes:  lead supervisor; attending the course for postgraduate certificate in higher education; assigning a mentor; role of Head of School

Staff who are appointed as supervisors for the first time are not normally permitted initially to act as the lead supervisor, but should first be required to gain supervisory experience by acting in a co-supervision arrangement with an experienced member of staff. Exceptionally, Heads of Schools may apply to the University for permission to allow a new member of academic staff to act as the main supervisor, if a good case can be made that the member of staff's experience makes it appropriate for them to act in this capacity.

Staff appointed as supervisors or assistant supervisors for the first time, must undertake relevant training and development in supervisory practice (such as that offered by the Researcher Academy, Doctoral Training Centres and Partnerships). They must be in a co-supervison arrangement with a member of staff who has relevant supervisory experience and can and is willing to act as a mentor with respect to doctoral supervision.

8. Non-University staff

Includes:  responsibility of Head of School

Staff of outside institutions who are not members of the academic or research staff of the University of Nottingham may, in appropriate circumstances, be appointed to act as co-supervisors as part of a supervisory team e.g. industrial supervisors on an Industrial Cooperative Awards in Science & Technology (CASE) award, supervisors for PGRs registered under the regulations governing students registered in outside organisations (see below). In such cases the candidate must still have two University of Nottingham supervisors. This rule can be waived in cases where the PGR is a member of a Doctoral Training Programme (DTP) or Doctoral Training Centre (DTC) and the other supervisor is appointed through that DTP/DTC.

Heads of Schools should consider the proposed external supervisor's expertise in the candidate’s research topic and their research-standing and ensure that they are made aware of and enabled to fulfil the University's expectations of supervisors and are offered opportunities to engage in developmental activities.  

9. Staff without Doctorates

Includes: academic staff at lecturer grade; permission

Academic staff at Lecturer grade who do not hold a doctorate themselves should not normally be permitted to act as the lead supervisor of a PGR.

However, a Head of School may apply to the University for permission to allow such a member of academic staff to act as the lead supervisor if a good case can be made that the individual's research and professional background makes it appropriate for them to act in this capacity.

The Head of School has responsibility for determining the number of PGRs an individual member of staff may supervise.

No maximum number is recommended but this should depend on the ability of the individual supervisor to deliver quality supervision as detailed in this Quality Manual under The Roles and Responsibilities of a Supervisor.

A LETTER TO PHD SUPERVISORS

Dear PhD Supervisors,

On Thursday, 26th August 2021, at 2:00 pm, I got off the phone with my friend doing a PhD in another institution who explained to me his horrific experiences with his supervisor. My friend has been struggling to get his family into Australia since he started his PhD journey. Like everyone else, he was supposed to apply for an exemption for his wife and child. Although he had every document required, he needed a letter from his supervisor to support his application, but apparently and in his words: “the man does not want to have anything to do with my personal life and my family”.

This is the premise of my letter to you. While I understand that there could be many reasons why you might not want to meddle in the personal lives of your students. This is different. It is different because my friend only needed a letter to help him get reunited with his family again since he left Nigeria in 2019. In the midst of all these, you have continued to push your students to submit the draft of their manuscripts, you hound them with deadlines. Arguably, your primary responsibility is to ensure that the student progresses academically, but how productive will your student be when their mental health is negatively impacted?

These issues are compounded for international students who secure scholarships to study. Sometimes we are voiceless and powerless because we get caged in the pain of not standing up to you who supported our application to get a scholarship. Sometimes we mask the pain with the hope that it will get better. If you look deeper, we are bleeding.

Recently, a friend with whom we submitted an application could not ask his supervisor for a reference. Not because he did not want to but because he did not trust his supervisor to paint a good picture of him as a result of the toxic relationship. In 2017, a friend of mine on a PhD scholarship in the UK dropped out because of his supervisor. This is sad. This is painful.

After listening to my friend speak today, I reflected on my own experience with my supervisors, whom I remain absolutely grateful for. My supervisors (Dr. Julie Anne King and Dr. Jo Durham) are a template for what “GOOD SUPERVISORS” should represent. I know this because:

  • Every supervisory meeting I have begins with “Aaron, how is Ezinne (my bride) and Zoe ( my daughter) doing?
  • The meeting ends with “Please say hi to your family for us.
  • If it is a virtual meeting, they will usually say, “Aaron, if Zoe is not sleeping, can we see her and say hi?”
  • My principal supervisor sometimes takes time to ask “When is Ezinne starting her PhD? Hope she still has those plans?”

In many meetings, we spent more than 30 minutes discussing family before coming back to my PhD. Apologies if you feel upset that I have used my supervisors to make a point but I have only had the courage to do this because they are nothing short of AMAZING. In fact, they have been so kind to me and my family that my bride calls them “MY PHD MOTHERS”. Please do not be shocked by this, and No! It is not a breach of professional boundaries but an expression and appreciation of how deep their humanity goes. As PhD Supervisors, you should be parents to us. You are literally our academic parents who nurture us towards maturity.

My appeal to you today is to adopt a template that works for you in supervising and caring for your PhD students. Feel free to learn from my supervisor’s template, part of which is shown in points 1-4. Whatever template you choose, “BE HUMAN”.

In closing, your duty to your student is to ensure they excel in their PhDs, and since health and success are inextricable, it is important you care more for their health, without which they cannot function. If your focus remains ONLY on the number of papers your student can publish with outright neglect of their wellbeing, as is the case of my friend, YOU HAVE FAILED AS A SUPERVISOR.

I do hope you reflect on my letter and treat PhDs better. In my case, I am fortunate, as you can see in the attached picture of my supervisor and I.
