  • It is written in a formal language.
  • A research report is usually written in the third person.
  • It is informative and based on first-hand verifiable information.
  • It is formally structured with headings, sections, and bullet points.
  • It always includes recommendations for future actions. 

Types of Research Report 

The research report is classified based on two things; nature of research and target audience.

Nature of Research

  • Qualitative Research Report

This is the type of report written for qualitative research . It outlines the methods, processes, and findings of a qualitative method of systematic investigation. In educational research, a qualitative research report provides an opportunity for one to apply his or her knowledge and develop skills in planning and executing qualitative research projects.

A qualitative research report is usually descriptive in nature. Hence, in addition to presenting details of the research process, you must also create a descriptive narrative of the information.

  • Quantitative Research Report

A quantitative research report is a type of research report that is written for quantitative research. Quantitative research is a type of systematic investigation that pays attention to numerical or statistical values in a bid to find answers to research questions. 

In this type of research report, the researcher presents quantitative data to support the research process and findings. Unlike a qualitative research report that is mainly descriptive, a quantitative research report works with numbers; that is, it is numerical in nature. 

Target Audience

Also, a research report can be said to be technical or popular based on the target audience. If you’re dealing with a general audience, you would need to present a popular research report, and if you’re dealing with a specialized audience, you would submit a technical report. 

  • Technical Research Report

A technical research report is a detailed document that you present after carrying out industry-based research. This report is highly specialized because it provides information for a technical audience; that is, individuals with above-average knowledge in the field of study. 

In a technical research report, the researcher is expected to provide specific information about the research process, including statistical analyses and sampling methods. Also, the use of language is highly specialized and filled with jargon. 

Examples of technical research reports include legal and medical research reports. 

  • Popular Research Report

A popular research report is one for a general audience; that is, for individuals who do not necessarily have any knowledge in the field of study. A popular research report aims to make information accessible to everyone. 

It is written in very simple language, which makes it easy to understand the findings and recommendations. Examples of popular research reports are the information contained in newspapers and magazines.

Structure and Example of a Research Report

This is the title of your systematic investigation. Your title should be concise and point to the aims, objectives, and findings of a research report. 

  • Table of Contents

This is like a compass that makes it easier for readers to navigate the research report.

An abstract is an overview that highlights all important aspects of the research including the research method, data collection process, and research findings. Think of an abstract as a summary of your research report that presents pertinent information in a concise manner. 

An abstract is always brief; typically 100-150 words and goes straight to the point. The focus of your research abstract should be the 5Ws and 1H format – What, Where, Why, When, Who and How. 

  • Introduction

Here, the researcher highlights the aims and objectives of the systematic investigation as well as the problem which the systematic investigation sets out to solve. When writing the report introduction, it is also essential to indicate whether the purposes of the research were achieved or would require more work.

In the introduction section, the researcher specifies the research problem and also outlines the significance of the systematic investigation. Also, the researcher is expected to outline any jargons and terminologies that are contained in the research.  

  • Literature Review

A literature review is a written survey of existing knowledge in the field of study. In other words, it is the section where you provide an overview and analysis of different research works that are relevant to your systematic investigation. 

It highlights existing research knowledge and areas needing further investigation, which your research has sought to fill. At this stage, you can also hint at your research hypothesis and its possible implications for the existing body of knowledge in your field of study. 

  • An Account of Investigation

This is a detailed account of the research process, including the methodology, sample, and research subjects. Here, you are expected to provide in-depth information on the research process including the data collection and analysis procedures. 

In a quantitative research report, you’d need to provide information surveys, questionnaires and other quantitative data collection methods used in your research. In a qualitative research report, you are expected to describe the qualitative data collection methods used in your research including interviews and focus groups. 

In this section, you are expected to present the results of the systematic investigation. 

This section further explains the findings of the research, earlier outlined. Here, you are expected to present a justification for each outcome and show whether the results are in line with your hypotheses or if other research studies have come up with similar results.

  • Conclusions

This is a summary of all the information in the report. It also outlines the significance of the entire study. 

  • References and Appendices

This section contains a list of all the primary and secondary research sources. 

Tips for Writing a Research Report

  • Define the Context for the Report

As is obtainable when writing an essay, defining the context for your research report would help you create a detailed yet concise document. This is why you need to create an outline before writing so that you do not miss out on anything. 

  • Define your Audience

Writing with your audience in mind is essential as it determines the tone of the report.   • Understand the Problem

Every research aims at solving a specific problem or set of problems, and this should be at the back of your mind when writing your research report. Understanding the problem would help you to filter the information you have and include only important data in your report.

Chapter 11: Presenting Your Research

Writing a Research Report in American Psychological Association (APA) Style

Learning Objectives

  • Plan and write an effective APA-style research report.

In this section, we look at how to write an APA-style empirical research report , an article that presents the results of one or more new studies. Recall that the standard sections of an empirical research report provide a kind of outline. Here we consider each of these sections in detail, including what information it contains, how that information is formatted and organized, and tips for writing each section. At the end of this section is a sample APA-style research report that illustrates many of these principles.

Sections of a Research Report

Title page and abstract.

An APA-style research report begins with a  title page . The title is centred in the upper half of the page, with each important word capitalized. The title should clearly and concisely (in about 12 words or fewer) communicate the primary variables and research questions. This sometimes requires a main title followed by a subtitle that elaborates on the main title, in which case the main title and subtitle are separated by a colon. Here are some titles from recent issues of professional journals published by the American Psychological Association.

  • Sex Differences in Coping Styles and Implications for Depressed Mood
  • Effects of Aging and Divided Attention on Memory for Items and Their Contexts
  • Computer-Assisted Cognitive Behavioural Therapy for Child Anxiety: Results of a Randomized Clinical Trial
  • Virtual Driving and Risk Taking: Do Racing Games Increase Risk-Taking Cognitions, Affect, and Behaviour?

Below the title are the authors’ names and, on the next line, their institutional affiliation—the university or other institution where the authors worked when they conducted the research. As we have already seen, the authors are listed in an order that reflects their contribution to the research. When multiple authors have made equal contributions to the research, they often list their names alphabetically or in a randomly determined order.

In some areas of psychology, the titles of many empirical research reports are informal in a way that is perhaps best described as “cute.” They usually take the form of a play on words or a well-known expression that relates to the topic under study. Here are some examples from recent issues of the Journal Psychological Science .

  • “Smells Like Clean Spirit: Nonconscious Effects of Scent on Cognition and Behavior”
  • “Time Crawls: The Temporal Resolution of Infants’ Visual Attention”
  • “Scent of a Woman: Men’s Testosterone Responses to Olfactory Ovulation Cues”
  • “Apocalypse Soon?: Dire Messages Reduce Belief in Global Warming by Contradicting Just-World Beliefs”
  • “Serial vs. Parallel Processing: Sometimes They Look Like Tweedledum and Tweedledee but They Can (and Should) Be Distinguished”
  • “How Do I Love Thee? Let Me Count the Words: The Social Effects of Expressive Writing”

Individual researchers differ quite a bit in their preference for such titles. Some use them regularly, while others never use them. What might be some of the pros and cons of using cute article titles?

For articles that are being submitted for publication, the title page also includes an author note that lists the authors’ full institutional affiliations, any acknowledgments the authors wish to make to agencies that funded the research or to colleagues who commented on it, and contact information for the authors. For student papers that are not being submitted for publication—including theses—author notes are generally not necessary.

The  abstract  is a summary of the study. It is the second page of the manuscript and is headed with the word  Abstract . The first line is not indented. The abstract presents the research question, a summary of the method, the basic results, and the most important conclusions. Because the abstract is usually limited to about 200 words, it can be a challenge to write a good one.

Introduction

The  introduction  begins on the third page of the manuscript. The heading at the top of this page is the full title of the manuscript, with each important word capitalized as on the title page. The introduction includes three distinct subsections, although these are typically not identified by separate headings. The opening introduces the research question and explains why it is interesting, the literature review discusses relevant previous research, and the closing restates the research question and comments on the method used to answer it.

The Opening

The  opening , which is usually a paragraph or two in length, introduces the research question and explains why it is interesting. To capture the reader’s attention, researcher Daryl Bem recommends starting with general observations about the topic under study, expressed in ordinary language (not technical jargon)—observations that are about people and their behaviour (not about researchers or their research; Bem, 2003 [1] ). Concrete examples are often very useful here. According to Bem, this would be a poor way to begin a research report:

Festinger’s theory of cognitive dissonance received a great deal of attention during the latter part of the 20th century (p. 191)

The following would be much better:

The individual who holds two beliefs that are inconsistent with one another may feel uncomfortable. For example, the person who knows that he or she enjoys smoking but believes it to be unhealthy may experience discomfort arising from the inconsistency or disharmony between these two thoughts or cognitions. This feeling of discomfort was called cognitive dissonance by social psychologist Leon Festinger (1957), who suggested that individuals will be motivated to remove this dissonance in whatever way they can (p. 191).

After capturing the reader’s attention, the opening should go on to introduce the research question and explain why it is interesting. Will the answer fill a gap in the literature? Will it provide a test of an important theory? Does it have practical implications? Giving readers a clear sense of what the research is about and why they should care about it will motivate them to continue reading the literature review—and will help them make sense of it.

Breaking the Rules

Researcher Larry Jacoby reported several studies showing that a word that people see or hear repeatedly can seem more familiar even when they do not recall the repetitions—and that this tendency is especially pronounced among older adults. He opened his article with the following humourous anecdote:

A friend whose mother is suffering symptoms of Alzheimer’s disease (AD) tells the story of taking her mother to visit a nursing home, preliminary to her mother’s moving there. During an orientation meeting at the nursing home, the rules and regulations were explained, one of which regarded the dining room. The dining room was described as similar to a fine restaurant except that tipping was not required. The absence of tipping was a central theme in the orientation lecture, mentioned frequently to emphasize the quality of care along with the advantages of having paid in advance. At the end of the meeting, the friend’s mother was asked whether she had any questions. She replied that she only had one question: “Should I tip?” (Jacoby, 1999, p. 3)

Although both humour and personal anecdotes are generally discouraged in APA-style writing, this example is a highly effective way to start because it both engages the reader and provides an excellent real-world example of the topic under study.

The Literature Review

Immediately after the opening comes the  literature review , which describes relevant previous research on the topic and can be anywhere from several paragraphs to several pages in length. However, the literature review is not simply a list of past studies. Instead, it constitutes a kind of argument for why the research question is worth addressing. By the end of the literature review, readers should be convinced that the research question makes sense and that the present study is a logical next step in the ongoing research process.

Like any effective argument, the literature review must have some kind of structure. For example, it might begin by describing a phenomenon in a general way along with several studies that demonstrate it, then describing two or more competing theories of the phenomenon, and finally presenting a hypothesis to test one or more of the theories. Or it might describe one phenomenon, then describe another phenomenon that seems inconsistent with the first one, then propose a theory that resolves the inconsistency, and finally present a hypothesis to test that theory. In applied research, it might describe a phenomenon or theory, then describe how that phenomenon or theory applies to some important real-world situation, and finally suggest a way to test whether it does, in fact, apply to that situation.

Looking at the literature review in this way emphasizes a few things. First, it is extremely important to start with an outline of the main points that you want to make, organized in the order that you want to make them. The basic structure of your argument, then, should be apparent from the outline itself. Second, it is important to emphasize the structure of your argument in your writing. One way to do this is to begin the literature review by summarizing your argument even before you begin to make it. “In this article, I will describe two apparently contradictory phenomena, present a new theory that has the potential to resolve the apparent contradiction, and finally present a novel hypothesis to test the theory.” Another way is to open each paragraph with a sentence that summarizes the main point of the paragraph and links it to the preceding points. These opening sentences provide the “transitions” that many beginning researchers have difficulty with. Instead of beginning a paragraph by launching into a description of a previous study, such as “Williams (2004) found that…,” it is better to start by indicating something about why you are describing this particular study. Here are some simple examples:

Finally, remember that your goal is to construct an argument for why your research question is interesting and worth addressing—not necessarily why your favourite answer to it is correct. In other words, your literature review must be balanced. If you want to emphasize the generality of a phenomenon, then of course you should discuss various studies that have demonstrated it. However, if there are other studies that have failed to demonstrate it, you should discuss them too. Or if you are proposing a new theory, then of course you should discuss findings that are consistent with that theory. However, if there are other findings that are inconsistent with it, again, you should discuss them too. It is acceptable to argue that the  balance  of the research supports the existence of a phenomenon or is consistent with a theory (and that is usually the best that researchers in psychology can hope for), but it is not acceptable to  ignore contradictory evidence. Besides, a large part of what makes a research question interesting is uncertainty about its answer.

The Closing

The  closing  of the introduction—typically the final paragraph or two—usually includes two important elements. The first is a clear statement of the main research question or hypothesis. This statement tends to be more formal and precise than in the opening and is often expressed in terms of operational definitions of the key variables. The second is a brief overview of the method and some comment on its appropriateness. Here, for example, is how Darley and Latané (1968) [2] concluded the introduction to their classic article on the bystander effect:

These considerations lead to the hypothesis that the more bystanders to an emergency, the less likely, or the more slowly, any one bystander will intervene to provide aid. To test this proposition it would be necessary to create a situation in which a realistic “emergency” could plausibly occur. Each subject should also be blocked from communicating with others to prevent his getting information about their behaviour during the emergency. Finally, the experimental situation should allow for the assessment of the speed and frequency of the subjects’ reaction to the emergency. The experiment reported below attempted to fulfill these conditions. (p. 378)

Thus the introduction leads smoothly into the next major section of the article—the method section.

The  method section  is where you describe how you conducted your study. An important principle for writing a method section is that it should be clear and detailed enough that other researchers could replicate the study by following your “recipe.” This means that it must describe all the important elements of the study—basic demographic characteristics of the participants, how they were recruited, whether they were randomly assigned, how the variables were manipulated or measured, how counterbalancing was accomplished, and so on. At the same time, it should avoid irrelevant details such as the fact that the study was conducted in Classroom 37B of the Industrial Technology Building or that the questionnaire was double-sided and completed using pencils.

The method section begins immediately after the introduction ends with the heading “Method” (not “Methods”) centred on the page. Immediately after this is the subheading “Participants,” left justified and in italics. The participants subsection indicates how many participants there were, the number of women and men, some indication of their age, other demographics that may be relevant to the study, and how they were recruited, including any incentives given for participation.

After the participants section, the structure can vary a bit. Figure 11.1 shows three common approaches. In the first, the participants section is followed by a design and procedure subsection, which describes the rest of the method. This works well for methods that are relatively simple and can be described adequately in a few paragraphs. In the second approach, the participants section is followed by separate design and procedure subsections. This works well when both the design and the procedure are relatively complicated and each requires multiple paragraphs.

What is the difference between design and procedure? The design of a study is its overall structure. What were the independent and dependent variables? Was the independent variable manipulated, and if so, was it manipulated between or within subjects? How were the variables operationally defined? The procedure is how the study was carried out. It often works well to describe the procedure in terms of what the participants did rather than what the researchers did. For example, the participants gave their informed consent, read a set of instructions, completed a block of four practice trials, completed a block of 20 test trials, completed two questionnaires, and were debriefed and excused.

In the third basic way to organize a method section, the participants subsection is followed by a materials subsection before the design and procedure subsections. This works well when there are complicated materials to describe. This might mean multiple questionnaires, written vignettes that participants read and respond to, perceptual stimuli, and so on. The heading of this subsection can be modified to reflect its content. Instead of “Materials,” it can be “Questionnaires,” “Stimuli,” and so on.

The  results section  is where you present the main results of the study, including the results of the statistical analyses. Although it does not include the raw data—individual participants’ responses or scores—researchers should save their raw data and make them available to other researchers who request them. Several journals now encourage the open sharing of raw data online.

Although there are no standard subsections, it is still important for the results section to be logically organized. Typically it begins with certain preliminary issues. One is whether any participants or responses were excluded from the analyses and why. The rationale for excluding data should be described clearly so that other researchers can decide whether it is appropriate. A second preliminary issue is how multiple responses were combined to produce the primary variables in the analyses. For example, if participants rated the attractiveness of 20 stimulus people, you might have to explain that you began by computing the mean attractiveness rating for each participant. Or if they recalled as many items as they could from study list of 20 words, did you count the number correctly recalled, compute the percentage correctly recalled, or perhaps compute the number correct minus the number incorrect? A third preliminary issue is the reliability of the measures. This is where you would present test-retest correlations, Cronbach’s α, or other statistics to show that the measures are consistent across time and across items. A final preliminary issue is whether the manipulation was successful. This is where you would report the results of any manipulation checks.

The results section should then tackle the primary research questions, one at a time. Again, there should be a clear organization. One approach would be to answer the most general questions and then proceed to answer more specific ones. Another would be to answer the main question first and then to answer secondary ones. Regardless, Bem (2003) [3] suggests the following basic structure for discussing each new result:

  • Remind the reader of the research question.
  • Give the answer to the research question in words.
  • Present the relevant statistics.
  • Qualify the answer if necessary.
  • Summarize the result.

Notice that only Step 3 necessarily involves numbers. The rest of the steps involve presenting the research question and the answer to it in words. In fact, the basic results should be clear even to a reader who skips over the numbers.

The  discussion  is the last major section of the research report. Discussions usually consist of some combination of the following elements:

  • Summary of the research
  • Theoretical implications
  • Practical implications
  • Limitations
  • Suggestions for future research

The discussion typically begins with a summary of the study that provides a clear answer to the research question. In a short report with a single study, this might require no more than a sentence. In a longer report with multiple studies, it might require a paragraph or even two. The summary is often followed by a discussion of the theoretical implications of the research. Do the results provide support for any existing theories? If not, how  can  they be explained? Although you do not have to provide a definitive explanation or detailed theory for your results, you at least need to outline one or more possible explanations. In applied research—and often in basic research—there is also some discussion of the practical implications of the research. How can the results be used, and by whom, to accomplish some real-world goal?

The theoretical and practical implications are often followed by a discussion of the study’s limitations. Perhaps there are problems with its internal or external validity. Perhaps the manipulation was not very effective or the measures not very reliable. Perhaps there is some evidence that participants did not fully understand their task or that they were suspicious of the intent of the researchers. Now is the time to discuss these issues and how they might have affected the results. But do not overdo it. All studies have limitations, and most readers will understand that a different sample or different measures might have produced different results. Unless there is good reason to think they  would have, however, there is no reason to mention these routine issues. Instead, pick two or three limitations that seem like they could have influenced the results, explain how they could have influenced the results, and suggest ways to deal with them.

Most discussions end with some suggestions for future research. If the study did not satisfactorily answer the original research question, what will it take to do so? What  new  research questions has the study raised? This part of the discussion, however, is not just a list of new questions. It is a discussion of two or three of the most important unresolved issues. This means identifying and clarifying each question, suggesting some alternative answers, and even suggesting ways they could be studied.

Finally, some researchers are quite good at ending their articles with a sweeping or thought-provoking conclusion. Darley and Latané (1968) [4] , for example, ended their article on the bystander effect by discussing the idea that whether people help others may depend more on the situation than on their personalities. Their final sentence is, “If people understand the situational forces that can make them hesitate to intervene, they may better overcome them” (p. 383). However, this kind of ending can be difficult to pull off. It can sound overreaching or just banal and end up detracting from the overall impact of the article. It is often better simply to end when you have made your final point (although you should avoid ending on a limitation).

The references section begins on a new page with the heading “References” centred at the top of the page. All references cited in the text are then listed in the format presented earlier. They are listed alphabetically by the last name of the first author. If two sources have the same first author, they are listed alphabetically by the last name of the second author. If all the authors are the same, then they are listed chronologically by the year of publication. Everything in the reference list is double-spaced both within and between references.

Appendices, Tables, and Figures

Appendices, tables, and figures come after the references. An  appendix  is appropriate for supplemental material that would interrupt the flow of the research report if it were presented within any of the major sections. An appendix could be used to present lists of stimulus words, questionnaire items, detailed descriptions of special equipment or unusual statistical analyses, or references to the studies that are included in a meta-analysis. Each appendix begins on a new page. If there is only one, the heading is “Appendix,” centred at the top of the page. If there is more than one, the headings are “Appendix A,” “Appendix B,” and so on, and they appear in the order they were first mentioned in the text of the report.

After any appendices come tables and then figures. Tables and figures are both used to present results. Figures can also be used to illustrate theories (e.g., in the form of a flowchart), display stimuli, outline procedures, and present many other kinds of information. Each table and figure appears on its own page. Tables are numbered in the order that they are first mentioned in the text (“Table 1,” “Table 2,” and so on). Figures are numbered the same way (“Figure 1,” “Figure 2,” and so on). A brief explanatory title, with the important words capitalized, appears above each table. Each figure is given a brief explanatory caption, where (aside from proper nouns or names) only the first word of each sentence is capitalized. More details on preparing APA-style tables and figures are presented later in the book.

The main purpose of these figures is to illustrate the basic organization and formatting of an APA-style empirical research report, although many high-level and low-level style conventions can be seen here too.

A research report is one big argument about how and why you came up with your conclusions. To make it a convincing argument, a typical guiding structure has developed. In the different chapters, there are distinct issues that need to be addressed to explain to the reader why your conclusions are valid. The governing principle for writing the report is full disclosure: to explain everything and ensure replicability by another researcher.

This review covers the basic elements of a research report. This is a general guide for what you will see in journal articles or dissertations. This format assumes a mixed methods study, but you can leave out either quantitative or qualitative sections if you only used a single methodology.

This review is divided into sections for easy reference. There are five MAJOR parts of a Research Report:

1.    Introduction 2.    Review of Literature 3.    Methods 4.    Results 5.    Discussion

As a general guide, the Introduction, Review of Literature, and Methods should be about 1/3 of your paper, Discussion 1/3, then Results 1/3.

Section 1 : Cover Sheet (APA format cover sheet) optional, if required.

Section 2: Abstract (a basic summary of the report, including sample, treatment, design, results, and implications) (≤ 150 words) optional, if required.

Section 3 : Introduction (1-3 paragraphs) •    Basic introduction •    Supportive statistics (can be from periodicals) •    Statement of Purpose •    Statement of Significance

Section 4 : Research question(s) or hypotheses •    An overall research question (optional) •    A quantitative-based (hypotheses) •    A qualitative-based (research questions) Note: You will generally have more than one, especially if using hypotheses.

Section 5: Review of Literature ▪    Should be organized by subheadings ▪    Should adequately support your study using supporting, related, and/or refuting evidence ▪    Is a synthesis, not a collection of individual summaries

Section 6: Methods ▪    Procedure: Describe data gathering or participant recruitment, including IRB approval ▪    Sample: Describe the sample or dataset, including basic demographics ▪    Setting: Describe the setting, if applicable (generally only in qualitative designs) ▪    Treatment: If applicable, describe, in detail, how you implemented the treatment ▪    Instrument: Describe, in detail, how you implemented the instrument; Describe the reliability and validity associated with the instrument ▪    Data Analysis: Describe type of procedure (t-test, interviews, etc.) and software (if used)

Research Reports: Definition and How to Write Them

Research Reports

Reports are usually spread across a vast horizon of topics but are focused on communicating information about a particular topic and a niche target market. The primary motive of research reports is to convey integral details about a study for marketers to consider while designing new strategies.

Certain events, facts, and other information based on incidents need to be relayed to the people in charge, and creating research reports is the most effective communication tool. Ideal research reports are extremely accurate in the offered information with a clear objective and conclusion. These reports should have a clean and structured format to relay information effectively.

What are Research Reports?

Research reports are recorded data prepared by researchers or statisticians after analyzing the information gathered by conducting organized research, typically in the form of surveys or qualitative methods .

A research report is a reliable source to recount details about a conducted research. It is most often considered to be a true testimony of all the work done to garner specificities of research.

Components of Research Reports

Research is imperative for launching a new product/service or a new feature. The markets today are extremely volatile and competitive due to new entrants every day who may or may not provide effective products. An organization needs to make the right decisions at the right time to be relevant in such a market with updated products that suffice customer demands.

The details of a research report may change with the purpose of research but the main components of a report will remain constant. The research approach of the market researcher also influences the style of writing reports. Here are seven main components of a productive research report:

  • Research Report Summary: The entire objective along with the overview of research are to be included in a summary which is a couple of paragraphs in length. All the multiple components of the research are explained in brief under the report summary.  It should be interesting enough to capture all the key elements of the report.
  • Research Introduction: There always is a primary goal that the researcher is trying to achieve through a report. In the introduction section, he/she can cover answers related to this goal and establish a thesis which will be included to strive and answer it in detail.  This section should answer an integral question: “What is the current situation of the goal?”.  After the research design was conducted, did the organization conclude the goal successfully or they are still a work in progress –  provide such details in the introduction part of the research report.
  • Research Methodology: This is the most important section of the report where all the important information lies. The readers can gain data for the topic along with analyzing the quality of provided content and the research can also be approved by other market researchers . Thus, this section needs to be highly informative with each aspect of research discussed in detail.  Information needs to be expressed in chronological order according to its priority and importance. Researchers should include references in case they gained information from existing techniques.
  • Research Results: A short description of the results along with calculations conducted to achieve the goal will form this section of results. Usually, the exposition after data analysis is carried out in the discussion part of the report.

  • Research Discussion: The results are discussed in extreme detail in this section along with a comparative analysis of reports that could probably exist in the same domain. Any abnormality uncovered during research will be deliberated in the discussion section.  While writing research reports, the researcher will have to connect the dots on how the results will be applicable in the real world.
  • Research References and Conclusion: Conclude all the research findings along with mentioning each and every author, article or any content piece from where references were taken.

15 Tips for Writing Research Reports

Writing research reports in the manner can lead to all the efforts going down the drain. Here are 15 tips for writing impactful research reports:

  • Prepare the context before starting to write and start from the basics:  This was always taught to us in school – be well-prepared before taking a plunge into new topics. The order of survey questions might not be the ideal or most effective order for writing research reports. The idea is to start with a broader topic and work towards a more specific one and focus on a conclusion or support, which a research should support with the facts.  The most difficult thing to do in reporting, without a doubt is to start. Start with the title, the introduction, then document the first discoveries and continue from that. Once the marketers have the information well documented, they can write a general conclusion.
  • Keep the target audience in mind while selecting a format that is clear, logical and obvious to them:  Will the research reports be presented to decision makers or other researchers? What are the general perceptions around that topic? This requires more care and diligence. A researcher will need a significant amount of information to start writing the research report. Be consistent with the wording, the numbering of the annexes and so on. Follow the approved format of the company for the delivery of research reports and demonstrate the integrity of the project with the objectives of the company.
  • Have a clear research objective: A researcher should read the entire proposal again, and make sure that the data they provide contributes to the objectives that were raised from the beginning. Remember that speculations are for conversations, not for research reports, if a researcher speculates, they directly question their own research.
  • Establish a working model:  Each study must have an internal logic, which will have to be established in the report and in the evidence. The researchers’ worst nightmare is to be required to write research reports and realize that key questions were not included.

  • Gather all the information about the research topic. Who are the competitors of our customers? Talk to other researchers who have studied the subject of research, know the language of the industry. Misuse of the terms can discourage the readers of research reports from reading further.
  • Read aloud while writing. While reading the report, if the researcher hears something inappropriate, for example, if they stumble over the words when reading them, surely the reader will too. If the researcher can’t put an idea in a single sentence, then it is very long and they must change it so that the idea is clear to everyone.
  • Check grammar and spelling. Without a doubt, good practices help to understand the report. Use verbs in the present tense. Consider using the present tense, which makes the results sound more immediate. Find new words and other ways of saying things. Have fun with the language whenever possible.
  • Discuss only the discoveries that are significant. If some data are not really significant, do not mention them. Remember that not everything is truly important or essential within research reports.

  • Try and stick to the survey questions. For example, do not say that the people surveyed “were worried” about an research issue , when there are different degrees of concern.
  • The graphs must be clear enough so that they understand themselves. Do not let graphs lead the reader to make mistakes: give them a title, include the indications, the size of the sample, and the correct wording of the question.
  • Be clear with messages. A researcher should always write every section of the report with an accuracy of details and language.
  • Be creative with titles – Particularly in segmentation studies choose names “that give life to research”. Such names can survive for a long time after the initial investigation.
  • Create an effective conclusion: The conclusion in the research reports is the most difficult to write, but it is an incredible opportunity to excel. Make a precise summary. Sometimes it helps to start the conclusion with something specific, then it describes the most important part of the study, and finally, it provides the implications of the conclusions.
  • Get a couple more pair of eyes to read the report. Writers have trouble detecting their own mistakes. But they are responsible for what is presented. Ensure it has been approved by colleagues or friends before sending the find draft out.

From successful product launches or software releases to planning major business decisions, research reports serve many vital functions. They can summarize evidence and deliver insights and recommendations to save companies time and resources. They can reveal the most value-adding actions a company should take.

However, poorly constructed reports can have the opposite effect! Taking the time to learn established research-reporting rules and approaches will equip you with in-demand skills. You’ll be able to capture and communicate information applicable to numerous situations and industries, adding another string to your resume bow.

  • What are research reports?

A research report is a collection of contextual data, gathered through organized research, that provides new insights into a particular challenge (which, for this article, is business-related). Research reports are a time-tested method for distilling large amounts of data into a narrow band of focus.

Their effectiveness often hinges on whether the report provides:

Strong, well-researched evidence

Comprehensive analysis

Well-considered conclusions and recommendations

Though the topic possibilities are endless, an effective research report keeps a laser-like focus on the specific questions or objectives the researcher believes are key to achieving success. Many research reports begin as research proposals, which usually include the need for a report to capture the findings of the study and recommend a course of action.

Causal (or explanatory) research (i.e., research identifying relationships between two variables)

Inductive research, also known as ‘theory-building’

Deductive research, such as that used to test theories

  • Importance of a research report

Research reports can unify and direct a company's focus toward the most appropriate strategic action. Of course, spending resources on a report takes up some of the company's human and financial resources. Choosing when a report is called for is a matter of judgment and experience.

Some development models used heavily in the engineering world, such as Waterfall development, are notorious for over-relying on research reports. With Waterfall development, there is a linear progression through each step of a project, and each stage is precisely documented and reported on before moving to the next.

The pace of the business world is faster than the speed at which your authors can produce and disseminate reports. So how do companies strike the right balance between creating and acting on research reports?

The answer lies, again, in the report's defined objectives. By paring down your most pressing interests and those of your stakeholders, your research and reporting skills will be the lenses that keep your company's priorities in constant focus.

Honing your company's primary objectives can save significant amounts of time and align research and reporting efforts with ever-greater precision.

Some examples of well-designed research objectives are:

Proving whether or not a product or service meets customer expectations

Demonstrating the value of a service, product, or business process to your stakeholders and investors

Improving business decision-making when faced with a lack of time or other constraints

Clarifying the relationship between a critical cause and effect for problematic business processes

Prioritizing the development of a backlog of products or product features

Comparing business or production strategies

Evaluating past decisions and predicting future outcomes

  • Features of a research report

Research reports generally require a research design phase, where the report author(s) determine the most important elements the report must contain.

Just as there are various kinds of research, there are many types of reports.

Here are the standard elements of almost any research-reporting format:

Report summary. A broad but comprehensive overview of what readers will learn in the full report. Summaries are usually no more than one or two paragraphs and address all key elements of the report. Think of the key takeaways your primary stakeholders will want to know if they don’t have time to read the full document.

Introduction. Include a brief background of the topic, the type of research, and the research sample. Consider the primary goal of the report, who is most affected, and how far along the company is in meeting its objectives.

Methods. A description of how the researcher carried out data collection, analysis, and final interpretations of the data. Include the reasons for choosing a particular method. The methods section should strike a balance between clearly presenting the approach taken to gather data and discussing how it is designed to achieve the report's objectives.

Data analysis. This section contains interpretations that lead readers through the results relevant to the report's thesis. If there were unexpected results, include here a discussion on why that might be. Charts, calculations, statistics, and other supporting information also belong here (or, if lengthy, as an appendix). This should be the most detailed section of the research report, with references for further study. Present the information in a logical order, whether chronologically or in order of importance to the report's objectives.

Conclusion. This should be written with sound reasoning, often containing useful recommendations. The conclusion must be backed by a continuous thread of logic throughout the report.

  • How to write a research paper

With a clear outline and robust pool of research, a research paper can start to write itself, but what's a good way to start a research report?

Research report examples are often the quickest way to gain inspiration for your report. Look for the types of research reports most relevant to your industry and consider which makes the most sense for your data and goals.

The research report outline will help you organize the elements of your report. One of the most time-tested report outlines is the IMRaD structure:

Pay close attention to the most well-established research reporting format in your industry, and consider your tone and language from your audience's perspective. Learn the key terms inside and out; incorrect jargon could easily harm the perceived authority of your research paper.

Along with a foundation in high-quality research and razor-sharp analysis, the most effective research reports will also demonstrate well-developed:

Conclusions and recommendations

Readability, striking a balance between simple phrasing and technical insight

How to gather research data for your report

The validity of research data is critical. Because the research phase usually occurs well before the writing phase, you normally have plenty of time to vet your data.

However, research reports could involve ongoing research, where report authors (sometimes the researchers themselves) write portions of the report alongside ongoing research.

However you choose to manage the research and reporting, your data must meet robust quality standards before you can rely on it. Vet any research with the following questions in mind:

Does it use statistically valid analysis methods?

Do the researchers clearly explain their research, analysis, and sampling methods?

Did the researchers provide any caveats or advice on how to interpret their data?

Have you gathered the data yourself or were you in close contact with those who did?

Is the source biased?

Usually, flawed research methods become more apparent the further you get through a research report.

It's perfectly natural for good research to raise new questions, but the reader should have no uncertainty about what the data represents. There should be no doubt about matters such as:

Whether the sampling or analysis methods were based on sound and consistent logic

What the research samples are and where they came from

The accuracy of any statistical functions or equations

Validation of testing and measuring processes

When does a report require design validation?

A robust design validation process is often a gold standard in highly technical research reports. Design validation ensures the objects of a study are measured accurately, which lends more weight to your report and makes it valuable to more specialized industries.

Product development and engineering projects are the most common research-report examples that typically involve a design validation process. Depending on the scope and complexity of your research, you might face additional steps to validate your data and research procedures.

If you’re including design validation in the report (or report proposal), explain and justify your data-collection processes. Good design validation builds greater trust in a research report and lends more weight to its conclusions.

Choosing the right analysis method

Just as the quality of your report depends on properly validated research, a useful conclusion requires the most contextually relevant analysis method. This means comparing different statistical methods and choosing the one that makes the most sense for your research.

Most broadly, research analysis comes down to quantitative or qualitative methods (respectively: measurable by a number vs subjectively qualified values). There are also mixed research methods, which bridge the need for merging hard data with qualified assessments and still reach a cohesive set of conclusions.

Some of the most common analysis methods in research reports include:

Significance testing (aka hypothesis analysis), which compares test and control groups to determine how likely the data was the result of random chance.

Regression analysis , to establish relationships between variables, control for extraneous variables , and support correlation analysis.

Correlation analysis (aka bivariate testing), a method to identify and determine the strength of linear relationships between variables. It’s effective for detecting patterns from complex data, but care must be exercised to not confuse correlation with causation.

With any analysis method, it's important to justify which method you chose in the report. You should also provide estimates of the statistical accuracy (e.g., the p-value or confidence level of quantifiable data) of any data analysis.

This requires a commitment to the report's primary aim. For instance, this may be achieving a certain level of customer satisfaction by analyzing the cause and effect of changes to how service is delivered. Even better, use statistical analysis to calculate which change is most positively correlated with improved levels of customer satisfaction.

There's endless good advice for writing effective research reports, and it almost all depends on the subjective aims of the people behind the report. Due to the wide variety of research reports, the best tips will be unique to each author's purpose.

Consider the following research report tips in any order, and take note of the ones most relevant to you:

No matter how in depth or detailed your report might be, provide a well-considered, succinct summary. At the very least, give your readers a quick and effective way to get up to speed.

Pare down your target audience (e.g., other researchers, employees, laypersons, etc.), and adjust your voice for their background knowledge and interest levels

For all but the most open-ended research, clarify your objectives, both for yourself and within the report.

Leverage your team members’ talents to fill in any knowledge gaps you might have. Your team is only as good as the sum of its parts.

Justify why your research proposal’s topic will endure long enough to derive value from the finished report.

Consolidate all research and analysis functions onto a single user-friendly platform. There's no reason to settle for less than developer-grade tools suitable for non-developers.

7 Writing the Research Paper

Writing in a formal, academic, and technical manner can prove a difficult transition for clinicians turned researchers; however, there are several ways to improve your professional writing skills.  This chapter should be considered a collection of tools to consider as you work to articulate and disseminate your research.

Chapter 7: Learning Objectives

This is it! You’re ready to tell the world of the work you’ve done. As you prepare to write your research paper, you’ll be able to

  • Discuss the most general components of a research paper
  • Articulate the importance of framing your work for the reader using a template based on the research approach
  • Identify the major components of a manuscript describing original research
  • Identify the major components of a manuscript describing quality improvement projects
  • Contrast the specifications of guidelines and protocols
  • Identify the major components of a narrative review

Guiding Principles

Although it is wise to identify a potential journal or like avenue as you begin to write up you research, this is not always feasible. For this reason, it is a good idea to have an adequate understanding of the general expectations of what is required of written research articles and manuscripts. Here are some things to keep in mind:

Consider the articles you read

As you begin to research potential research interests, pay close attention to the style of writing found in peer-reviewed and academic journals.  You will notice that the ‘tone’ of ‘voice’ is often formal and rarely uses the first-person narrative.  You will be expected to develop writing of this caliber in order to be published in a reputable peer-reviewed forum.  One of the most difficult concepts for novice researchers to understand is that professional or technical writing is very different from casual or conversational writing.  There is little room for anecdotes, opinions, or overly descriptive narratives.  Keep your writing succinct and focused.

Keep it simple, silly! (KISS)

Recall when you were first introduced to writing a paper in an early English Composition course.  It is likely that you were told that the key components of a paper are the introduction, body, and conclusion.  This is truly the foundational structure of any good paper.  Consider the following outline for your writing assignments:

Introduction

  • Brief overview of the topic which identifies the gap of understanding about a particular topic that you hope to address (why is it important?)
  • Statement of problem (what issue are you going to address?)
  • Purpose statement/thesis statement (what is the objective of this paper?)

Typically the body of the paper will be broken down into themes or elements outlined in the introduction.  Occasionally rather than themes or topics to be addressed, the ‘body’ of the paper will have specific components such as a literature review, methodology, data analysis, discussion, and/or recommendation section.  Each of these sections may have specific requirements within that section. Later in this chapter, you will be introduced to specific requirements of different types of research papers.

The body of any paper is the ‘meat and potatoes’ of the work.  That is, this is the section wherein you both present and explain your ideas in support of the purpose of the paper (described in the introduction).  The body of your paper, regardless of specific structure, is where the majority of your evidentiary base should be included.  That is, many of the statements you make in these sections will require substantiation from outside resources.  It is vital to include appropriate citations of all references used. To save yourself time, cite and reference correctly as you write. Doing so will help ensure that you stay organized as your work evolves.

Sections such as methods or data analyses, will not require as much substantiation and should be considered very ‘cut and dry’. That is, there will be little to no discussion or interpretation of the evidence here. Results sections, similarly, should be focused on the presentation of results specific to your investigation, including statistical analyses. When reporting results of your work consider the format and whether it makes sense to summarize results in a table, figure, or appendix. The appropriate method will depend on both the type and amount of information that you are trying to convey.

The discussion section is the point at which you should frame your results in the context of your interpretation of the existing literature and how your work addresses the gap in knowledge. You’ll work to substantiate your interpretation by utilizing references to present evidence to support your rational. Pay close attention to your approach as you discuss your results and the impact of your work. Be careful not to make declarative statements if your data does not support a cause-and-effect relationship. Additionally, be careful not to draw inference as a result of bias. That is, use caution in skewing the evidence to support your hypothesis.

The conclusion is exactly that.  This is your opportunity to wrap your thoughts up succinctly.  A good conclusion will remind the reader of the point or focus of the paper, reiterate the arguments outlined in the body as well as summarize any discussion or recommendations posed in those respective sections, and articulate what the content of the paper added to the knowledge base of the subject.  This is not a time to introduce new arguments, concepts, or evidence.  The reader should be able to finish the paper understanding the purpose of the paper, the main arguments, and the impact of the work on the subject.

References should be cited correctly in text as well as appropriately formatted at the end of each body of work. The format of your references will depend on the guidelines required of the intended journal or forum you’re submitting to. For example, papers written utilizing the American Psychological Association (APA) formatting standards will include reference pages which are organized on a separate page, titled ‘References’, and organized alphabetically by author surname. If you’re not quite sure of where you’ll be submitting your paper for publication, it may be best to write using APA format; because the references are listed in ascending alphabetical order, adding or removing references during the revision process will be minimally impactful on the designation of subsequent references. Altering your references can then be done once you identify a method of dissemination and review specific guidelines.

Understanding how to present your work can be difficult. It’s one thing to plan and do the research; it’s quite another to put it down on paper in a logical and articulate way. As we discussed in chapters 1 and 2, planning is essential to the success of your research. Similarly, planning the layout of your manuscript will help ensure that you stay both organized and focused. Although most articles can be generalized as having an introduction, body, and conclusion; the specific components within each of those sections varies depending on the approach to research.

Original Research

Although many journals may outline specific requirements for how your manuscript or research paper is to be formatted, there are some generally acceptable formats. One of the most generalizable formats is referred to as IMRaD. IMRaD is an acronym and includes the following elements:

  • Introduction- 25%
  • Methods- 25%
  • Results- 35%
  • Discussion/conclusion- 15%
  • Clearly state the focus for the work. Provide a brief overview of the issue and the gap in knowledge identified; including both a problem and purpose statement in the context of what is currently understood about the topic. This is where you ‘reel’ the reader in and also highlight the important themes which are consistently addressed in the existing literature.
  • General and specific approaches
  • Participant selection/randomization
  • Instrumentation/measurements utilized
  • Here is where you report specific findings and outcomes of your work. There should be very little discussion in this section. Rather, you should present your results and comment, briefly, on how this may relate to the existing literature and state the bottom line. That is, what do these findings suggest. These succinct comments should frame the lens of the discussion section.
  • In the discussion section you can further elaborate on your interpretation, based in the evidence, of how your findings relate to what other researchers have found. You can discuss flaws in your work as well as suggestions for direction of future research. You should address each of the main points you presented in your introduction section(s).

QI Projects

When presenting your QI project; a systematic reporting tool, such as the SQUIRE method , is helpful to ensure that you appropriately present the information in a way that both adds to the understanding of the problem as well as a descriptive approach to solving the issue.

  • Summarize all key findings in the format required by the publication. Typical sections include background (including statement of the problem), methods, intervention, results, and conclusion
  • Include a description on the nature and significance of the problem
  • Summary of what is currently understood about the problem
  • Overview of framework, model, concepts and/or theory used to explain the problem. Include an assumptions, delimitations, or definitions used to both describe the problem as well as develop the intervention and why the intervention was intended to work.
  • Describe the purpose of the project
  • Describe the contextual elements relevant to both the problem and intervention (e.g. environmental factors contributing to the problem)
  • Include team-based approach, if applicable
  • Describe the approach used to assess the impact of the intervention as well as what approach was used to evaluate/assess the intervention
  • What tools did you use to study both the process and intervention and why?
  • What tools are in place for ongoing assessment of efficacy of the project?
  • How is completeness and accuracy of the data measured?
  • Describe the quantitative/qualitative methods used to draw inference from the data collected
  • Describe how ethical considerations were addressed and whether the project was overseen by an Institutional Review Board (IRB)
  • Initial steps of intervention and evolution over time; including modifications to the intervention or project
  • Details of the process measures and outcome
  • Key findings including relevance to the rational and specific aims
  • Strengths of the projects
  • Nature of the association between intervention and outcome
  • Comparison of the findings with those of other publications
  • Impact of the project
  • Reasons for differences between observed and anticipated outcomes; include contextual rationale
  • Costs and strategic implications
  • Limits to the generalizability of the work
  • Factors that may have limited internal validity (e.g. confounding variables, bias, design)
  • Efforts made to minimize or adjust for limitations
  • Usefulness of the work
  • Sustainability
  • Potential for application to other contexts
  • Implications for practice and further study
  • Suggested next steps
  • This section would be included if you received funding for the projects.

Narrative Reviews

As mentioned in chapter 2, development of either guidelines or protocols is an intensive process which often requires a systematic team approach to ensure that the scope and purpose of the work is as generalizable as possible. The best approach for the development of guidelines can be found by reviewing the World Health Organization handbook for guideline development .

Presenting a narrative review of a topic is an excellent way to contribute to the knowledge base on a particular subject as well as to provide framework for development of a protocol or guideline. The elements included in presentation of a narrative review are not all that different from those of traditional research studies; however, there are some notable differences. Here is a brief outline of what should be included in a quality narrative review, adapted from Green, Johnson, and Adams (2006) and Ferarri (2015):

  • Objective: State the purpose of the paper
  • Background: Describe why the paper is being written; include problem statement and/or research question
  • Methods: Include methods used to conduct the review; including those used to evaluate articles for inclusion into your work
  • Discussion: Frame the findings of the review in the context of the problem
  • Conclusion: State what new information your work contributes as a result of your review and synthesis
  • Key words: List MeSH terms and words that may help organize and/or locate your work
  • Clearly state the focus for the work. Provide a brief overview of the issue and the gap in knowledge identified; including both a problem and purpose statement
  • Provide an overview of how information related to the review was located. This includes what terms were searched and where as well as why studies were included in your review. Delimiting your search is important to describe the scope of the review
  • Themes or constructs should be identified throughout the review of the literature and arranged in a way such that the discussion of the theme and the link to the evidence should directly address the purpose of your inquiry
  • What sets a review apart from an annotated bibliography is synthesis of the evidence around major points identified consistently throughout the research (i.e. themes). Both consensus and diverging approaches should be included in the discussion of the evidence. This should not be considered simply a comparison of the existing evidence, but should be framed through the lens of the author’s interpretation of that evidence.
  • Tie back to the purpose as well as the major conclusions identified in the review. No new information should be discussed here, apart from suggestions for future research opportunities

An extremely important part of disseminating your work is ensuring that you have correctly attributed thoughts and content that you did not create. Depending on the nature of your research, discipline, or intended publication, the format by which you list your references or outline resources utilized may differ. Regardless of referencing formatting guidelines, it is imperative to keep your references organized as you draft different iterations of your work. For example, it may be easier to draft your work utilizing American Psychological Association (APA) formatting guidelines, which arrange references by author’s last name, in ascending alphabetical order, than in other formats which require that references be numbered in order of appearance in the text. As you add, delete, or rearrange references within the text of your manuscript, it may be both difficult and time consuming to constantly re-number each of your references. Note : Depending on the reference guidelines for your intended journal, you may be required to list the abbreviated names of journals. Finding this information can be difficult. Consider this resource for locating and identifying how best to list journal titles within a reference.

  • To advance the field: Research papers seek to advance the field or discipline by identifying gaps in knowledge, proposing new research questions or approaches, or challenging existing assumptions or paradigms.   • To demonstrate research skills: Research papers demonstrate the author’s research skills, including their ability to design and conduct a study, collect and analyze data, and interpret and communicate findings. How to Write a Research Paper: Parts of the Paper

Parts of the Research Paper Papers should have a beginning, a middle, and an end. Your introductory paragraph should grab the reader's attention, state your main idea, and indicate how you will support it. The body of the paper should expand on what you have stated in the introduction. Finally, the conclusion restates the paper's thesis and should explain what you have learned, giving a wrap up of your main ideas.

1. The Title The title should be specific and indicate the theme of the research and what ideas it addresses. Use keywords that help explain your paper's topic to the reader. Try to avoid abbreviations and jargon. Think about keywords that people would use to search for your paper and include them in your title.

2. The Abstract The abstract is used by readers to get a quick overview of your paper. Typically, they are about 200 words in length (120 words minimum to  250 words maximum). The abstract should introduce the topic and thesis, and should provide a general statement about what you have found in your research. The abstract allows you to mention each major aspect of your topic and helps readers decide whether they want to read the rest of the paper. Because it is a summary of the entire research paper, it is often written last. 

3. The Introduction The introduction should be designed to attract the reader's attention and explain the focus of the research. You will introduce your overview of the topic,  your main points of information, and why this subject is important. You can introduce the current understanding and background information about the topic. Toward the end of the introduction, you add your thesis statement, and explain how you will provide information to support your research questions. This provides the purpose and focus for the rest of the paper.

4. Thesis Statement Most papers will have a thesis statement or main idea and supporting facts/ideas/arguments. State your main idea (something of interest or something to be proven or argued for or against) as your thesis statement, and then provide your supporting facts and arguments. A thesis statement is a declarative sentence that asserts the position a paper will be taking. It also points toward the paper's development. This statement should be both specific and arguable. Generally, the thesis statement will be placed at the end of the first paragraph of your paper. The remainder of your paper will support this thesis.

Students often learn to write a thesis as a first step in the writing process, but often, after research, a writer's viewpoint may change. Therefore a thesis statement may be one of the final steps in writing.

5. The Literature Review The purpose of the literature review is to describe past important research and how it specifically relates to the research thesis. It should be a synthesis of the previous literature and the new idea being researched. The review should examine the major theories related to the topic to date and their contributors. It should include all relevant findings from credible sources, such as academic books and peer-reviewed journal articles. You will want  to:

  • Explain how the literature helps the researcher understand the topic.
  • Try to show connections and any disparities between the literature.
  • Identify new ways to interpret prior research.
  • Reveal any gaps that exist in the literature.

6. The Discussion ​The purpose of the discussion is to interpret and describe what you have learned from your research. Make the reader understand why your topic is important. The discussion should always demonstrate what you have learned from your readings (and viewings) and how that learning has made the topic evolve, especially from the short description of main points in the introduction.Explain any new understanding or insights you have had after reading your articles and/or books. Paragraphs should use transitioning sentences to develop how one paragraph idea leads to the next. The discussion will always connect to the introduction, your thesis statement, and the literature you reviewed, but it does not simply repeat or rearrange the introduction. You want to: 

  • Demonstrate critical thinking, not just reporting back facts that you gathered.
  • If possible, tell how the topic has evolved over the past and give it's implications for the future.
  • Fully explain your main ideas with supporting information.
  • Explain why your thesis is correct giving arguments to counter points.

7. The Conclusion A concluding paragraph is a brief summary of your main ideas and restates the paper's main thesis, giving the reader the sense that the stated goal of the paper has been accomplished. What have you learned by doing this research that you didn't know before? What conclusions have you drawn? You may also want to suggest further areas of study, improvement of research possibilities, etc. to demonstrate your critical thinking regarding your research.

Whether you are writing a B.S. Degree Research Paper or completing a research report for a Psychology course, it is highly likely that you will need to organize your research paper in accordance with American Psychological Association (APA) guidelines.  Here we discuss the structure of research papers according to APA style.

Major Sections of a Research Paper in APA Style

A complete research paper in APA style that is reporting on experimental research will typically contain a Title page, Abstract, Introduction, Methods, Results, Discussion, and References sections. 1  Many will also contain Figures and Tables and some will have an Appendix or Appendices.  These sections are detailed as follows (for a more in-depth guide, please refer to " How to Write a Research Paper in APA Style ”, a comprehensive guide developed by Prof. Emma Geller). 2

What is this paper called and who wrote it? – the first page of the paper; this includes the name of the paper, a “running head”, authors, and institutional affiliation of the authors.  The institutional affiliation is usually listed in an Author Note that is placed towards the bottom of the title page.  In some cases, the Author Note also contains an acknowledgment of any funding support and of any individuals that assisted with the research project.

One-paragraph summary of the entire study – typically no more than 250 words in length (and in many cases it is well shorter than that), the Abstract provides an overview of the study.

Introduction

What is the topic and why is it worth studying? – the first major section of text in the paper, the Introduction commonly describes the topic under investigation, summarizes or discusses relevant prior research (for related details, please see the Writing Literature Reviews section of this website), identifies unresolved issues that the current research will address, and provides an overview of the research that is to be described in greater detail in the sections to follow.

What did you do? – a section which details how the research was performed.  It typically features a description of the participants/subjects that were involved, the study design, the materials that were used, and the study procedure.  If there were multiple experiments, then each experiment may require a separate Methods section.  A rule of thumb is that the Methods section should be sufficiently detailed for another researcher to duplicate your research.

What did you find? – a section which describes the data that was collected and the results of any statistical tests that were performed.  It may also be prefaced by a description of the analysis procedure that was used. If there were multiple experiments, then each experiment may require a separate Results section.

What is the significance of your results? – the final major section of text in the paper.  The Discussion commonly features a summary of the results that were obtained in the study, describes how those results address the topic under investigation and/or the issues that the research was designed to address, and may expand upon the implications of those findings.  Limitations and directions for future research are also commonly addressed.

List of articles and any books cited – an alphabetized list of the sources that are cited in the paper (by last name of the first author of each source).  Each reference should follow specific APA guidelines regarding author names, dates, article titles, journal titles, journal volume numbers, page numbers, book publishers, publisher locations, websites, and so on (for more information, please see the Citing References in APA Style page of this website).

Tables and Figures

Graphs and data (optional in some cases) – depending on the type of research being performed, there may be Tables and/or Figures (however, in some cases, there may be neither).  In APA style, each Table and each Figure is placed on a separate page and all Tables and Figures are included after the References.   Tables are included first, followed by Figures.   However, for some journals and undergraduate research papers (such as the B.S. Research Paper or Honors Thesis), Tables and Figures may be embedded in the text (depending on the instructor’s or editor’s policies; for more details, see "Deviations from APA Style" below).

Supplementary information (optional) – in some cases, additional information that is not critical to understanding the research paper, such as a list of experiment stimuli, details of a secondary analysis, or programming code, is provided.  This is often placed in an Appendix.

Variations of Research Papers in APA Style

Although the major sections described above are common to most research papers written in APA style, there are variations on that pattern.  These variations include: 

  • Literature reviews – when a paper is reviewing prior published research and not presenting new empirical research itself (such as in a review article, and particularly a qualitative review), then the authors may forgo any Methods and Results sections. Instead, there is a different structure such as an Introduction section followed by sections for each of the different aspects of the body of research being reviewed, and then perhaps a Discussion section. 
  • Multi-experiment papers – when there are multiple experiments, it is common to follow the Introduction with an Experiment 1 section, itself containing Methods, Results, and Discussion subsections. Then there is an Experiment 2 section with a similar structure, an Experiment 3 section with a similar structure, and so on until all experiments are covered.  Towards the end of the paper there is a General Discussion section followed by References.  Additionally, in multi-experiment papers, it is common for the Results and Discussion subsections for individual experiments to be combined into single “Results and Discussion” sections.

Departures from APA Style

In some cases, official APA style might not be followed (however, be sure to check with your editor, instructor, or other sources before deviating from standards of the Publication Manual of the American Psychological Association).  Such deviations may include:

  • Placement of Tables and Figures  – in some cases, to make reading through the paper easier, Tables and/or Figures are embedded in the text (for example, having a bar graph placed in the relevant Results section). The embedding of Tables and/or Figures in the text is one of the most common deviations from APA style (and is commonly allowed in B.S. Degree Research Papers and Honors Theses; however you should check with your instructor, supervisor, or editor first). 
  • Incomplete research – sometimes a B.S. Degree Research Paper in this department is written about research that is currently being planned or is in progress. In those circumstances, sometimes only an Introduction and Methods section, followed by References, is included (that is, in cases where the research itself has not formally begun).  In other cases, preliminary results are presented and noted as such in the Results section (such as in cases where the study is underway but not complete), and the Discussion section includes caveats about the in-progress nature of the research.  Again, you should check with your instructor, supervisor, or editor first.
  • Class assignments – in some classes in this department, an assignment must be written in APA style but is not exactly a traditional research paper (for instance, a student asked to write about an article that they read, and to write that report in APA style). In that case, the structure of the paper might approximate the typical sections of a research paper in APA style, but not entirely.  You should check with your instructor for further guidelines.

Guide to formatting research reports.

Research reports are a way to communicate the story of your experiment.  You want to explain why the experiment was done, how it was done, the results, interpretation of the results, and why the experiment matters.  

The reports have a particular style so that information is presented in a very clear, concise, and logical manner.  It is very important that you follow the SULI or CCI guidelines for your report (see appropriate sections of the Communicating Science webpage).  The information below highlights details of how to appropriately prepare each section.

  • Abstract : This is a summary of the research paper.  Its purpose is to allow the reader to quickly review the important aspects of the paper. 
  • Introduction : The purpose of this section is to introduce the reader to the research question and provide rationale for the study that was done. 
  • Methods : This section outlines all of the methods used during the study. 
  • Results : All experimental data should be included here.  Do not include any interpretation of data.   The purpose of this section is to show the data in such a way that the reader can interpret it for him/herself.
  • Discussion : The purpose of this section is to bring all parts of the paper into perspective. 
  • References : All material obtained from outside sources should be properly referenced in the text and listed at the end of the paper.

Format of Each Section

All included items should be as brief as possible – word limits are usually around 300-500 words.  SULI guidelines are 500 words.  The following components are important:

  • A brief background as to why the experiment was done,
  • A clear statement of the purpose of the experiment – the research question,
  • A brief summary of important methods,
  • A summary of the experimental data,
  • A concise statement of conclusions,
  • A statement about why the experiment was important.

Introduction

To put the research into perspective and provide rationale for the experiments, the following components should be included:

  • Background information from the literature that puts the current experiments into perspective,
  • A statement of the general hypothesis for how the system functions,
  • A clear statement of the specific research question that is being asked,
  • A brief description of the experiment performed.  Do NOT include results or conclusions.

This is not intended to be a laboratory manual, so ​ “ cookbook” type of material is not necessary.  However, enough information should be provided so that a reasonably competent person could replicate the study by reading the description and doing a small amount of further checking.  The following should be included:

  • Chemicals and other materials used and their sources,
  • Experimental manipulations, control groups, number of replications, etc,
  • All research methods used with references where appropriate,
  • Data collection techniques,
  • Analysis techniques,
  • Statistical analysis

All experimental data including charts, graphs, tables, photographs, etc should be put in this section.  All charts, etc. should be referred to and explained in the text.  Do not include any interpretation of data.   The purpose of this section is to show the data in such a way that the reader can interpret it for him/herself.  When formatting this section, there are some important things to keep in mind.

1. Significant Digits: Pay attention to how many digits you use when reporting numerical data, particularly after a calculation.  It is not desirable or accurate to report all the digits just because your calculator or Excel reports them.  Report only as many digits as accurately measured by the instrument used.  After a calculation (for example, a mean calculation) it is acceptable to report one additional digit.  Do not report any more digits than is acceptable.   Doing so would suggest more accuracy than was actually measured.

2. Describing Data: Make every effort to be precise in your descriptions – do not use ambiguous words.  When statistical analysis is done, be careful in how it is used.  If two data sets are not significantly different from each other, then they are the same even if the numerical values are different. 

  • It is incorrect to say, ​ “ The rate of secretion of VEGF was greater in Group 1 when compared to Group 2, although they were not significantly different from each other.”  The correct statement would be ​ “ Groups 1 and 2 secreted VEGF at the same rate.”

3. Figures: Label all pictures and graphs as ​ “ Figure” and number sequentially.  Place the label below the figure and include a descriptive title for the figure.  Additional information can be included in the figure legend for a clearer understanding the figure.  DO NOT place excessive descriptions in the legend.

4. Tables: Label as ​ “ Table’ and number sequentially.  Place the label above the table with a title for the table.  Place clarifying information below the table.

5. Data Labeling: Make sure that words are used to identify experimental groups, tubes, etc on all figures and tables.  DO NOT LABEL SIMPLY AS ​ “ TUBE 1” OR ​ “ GROUP 1” etc.

It is very important that data is described in two places – both in the written text and in the figures and tables.

6. Text vs. Figures/Tables: Do not simply place charts, graphs, etc in the results section without explanation.  ALL data should be described in written form.  If data is placed in a table or figure it MUST ALSO BE found in the text of the document.  The text description of the data should specifically refer to the figure or table containing the data.  See specific examples for how that is done below.

As shown in Figure 1, students 19 and 22 were heterozygous for D1S80 alleles while students 18, 21, 23, 24 and 25 were homozygous.  Amplification of the D1S80 region in students 17 and 20 failed.

Flagella re-grew after deflagellation in untreated (medium I) cultures to approximately 50% of total length after 100 minutes. This re-growth was slowed in both the cyclohexamide and colchicine treated cultures with colchicine treated cultures showing no growth at all (Figure 2).

This section should draw conclusions from the data presented and put it into a larger perspective in terms of how these fits in with other research that has been done.  The following should be included:

  • A clear and concise statement of the major conclusions of the study at the beginning of this section.  This should show how the experiments answer the research question and relate to the hypothesis posed in the introduction.  The statement should be supported by a summary of key data presented found in the results section.
  • A statement about how this research is different from other work done,
  • A review of the pertinent literature putting the current study into a larger perspective.  Reference to previous studies that support or contradict the experimental conclusions should be done.  If there are contradictions, an explanation as to why that may have happened is needed.
  • A discussion of why this study is important,

All material obtained from outside sources should be properly referenced in the text.  The method used for this varies depending on where the paper is published.  The following are SULI guidelines for research reports which requires the use of the American Institute of Physics ( AIP ) Style Manual, 4 th edition.  The examples are taken from the SULI guide.  More detailed instructions can be found in the guidelines (pages 8-10 of the SULI guidelines and page 9 of the AIP Style Manual).

When you have to write a thesis or dissertation , it can be hard to know where to begin, but there are some clear steps you can follow.

The research process often begins with a very broad idea for a topic you’d like to know more about. You do some preliminary research to identify a  problem . After refining your research questions , you can lay out the foundations of your research design , leading to a proposal that outlines your ideas and plans.

This article takes you through the first steps of the research process, helping you narrow down your ideas and build up a strong foundation for your research project.

First you have to come up with some ideas. Your thesis or dissertation topic can start out very broad. Think about the general area or field you’re interested in—maybe you already have specific research interests based on classes you’ve taken, or maybe you had to consider your topic when applying to graduate school and writing a statement of purpose .

Even if you already have a good sense of your topic, you’ll need to read widely to build background knowledge and begin narrowing down your ideas. Conduct an initial literature review to begin gathering relevant sources. As you read, take notes and try to identify problems, questions, debates, contradictions and gaps. Your aim is to narrow down from a broad area of interest to a specific niche.

Make sure to consider the practicalities: the requirements of your programme, the amount of time you have to complete the research, and how difficult it will be to access sources and data on the topic. Before moving onto the next stage, it’s a good idea to discuss the topic with your thesis supervisor.

So you’ve settled on a topic and found a niche—but what exactly will your research investigate, and why does it matter? To give your project focus and purpose, you have to define a research problem .

The problem might be a practical issue—for example, a process or practice that isn’t working well, an area of concern in an organization’s performance, or a difficulty faced by a specific group of people in society.

Alternatively, you might choose to investigate a theoretical problem—for example, an underexplored phenomenon or relationship, a contradiction between different models or theories, or an unresolved debate among scholars.

To put the problem in context and set your objectives, you can write a problem statement . This describes who the problem affects, why research is needed, and how your research project will contribute to solving it.

Next, based on the problem statement, you need to write one or more research questions . These target exactly what you want to find out. They might focus on describing, comparing, evaluating, or explaining the research problem.

A strong research question should be specific enough that you can answer it thoroughly using appropriate qualitative or quantitative research methods. It should also be complex enough to require in-depth investigation, analysis, and argument. Questions that can be answered with “yes/no” or with easily available facts are not complex enough for a thesis or dissertation.

In some types of research, at this stage you might also have to develop a conceptual framework and testable hypotheses .

The research design is a practical framework for answering your research questions. It involves making decisions about the type of data you need, the methods you’ll use to collect and analyze it, and the location and timescale of your research.

There are often many possible paths you can take to answering your questions. The decisions you make will partly be based on your priorities. For example, do you want to determine causes and effects, draw generalizable conclusions, or understand the details of a specific context?

You need to decide whether you will use primary or secondary data and qualitative or quantitative methods . You also need to determine the specific tools, procedures, and materials you’ll use to collect and analyze your data, as well as your criteria for selecting participants or sources.

Finally, after completing these steps, you are ready to complete a research proposal . The proposal outlines the context, relevance, purpose, and plan of your research.

As well as outlining the background, problem statement, and research questions, the proposal should also include a literature review that shows how your project will fit into existing work on the topic. The research design section describes your approach and explains exactly what you will do.

You might have to get the proposal approved by your supervisor before you get started, and it will guide the process of writing your thesis or dissertation.

Writing an effective manuscript is one of the pivotal steps in the successful closure of the research project, and getting it published in a peer-reviewed and indexed journal adds to the academic profile of a researcher. Writing and publishing a scientific paper is a tough task that researchers and academicians must endure in staying relevant in the field. Success in translating the benchworks into the scientific content, which is effectively communicated within the scientific field, is used in evaluating the researcher in the current academic world. Writing is a highly time-consuming and skill-oriented process that requires familiarity with the numerous publishing steps, formatting rules, and ethical guidelines currently in vogue in the publishing industry. In this review, we have attempted to include the essential information that novice authors in their early careers need to possess, to be able to write a decent first scientific manuscript ready for submission in the journal of choice. This review is unique in providing essential guidance in a simple point-wise manner in conjunction with easy-to-understand illustrations to familiarize novice researchers with the anatomy of a basic scientific manuscript.

1. Background

Communication is the pivotal key to the growth of scientific literature. Successfully written scientific communication in the form of any type of paper is needed by researchers and academicians alike for various reasons such as receiving degrees, getting a promotion, becoming experts in the field, and having editorships [ 1 , 2 ].

Here, in this review, we present the organization and anatomy of a scientific manuscript enlisting the essential features that authors should keep in their mind while writing a manuscript.

2. Types of Manuscripts

Numerous types of manuscripts do exist, which can be written by the authors for a possible publication ( Figure 1 ). Primarily, the choice is dependent upon the sort of communication authors want to make. The simplest among the scientific manuscripts is the “Letter to an Editor,” while “Systematic Review” is complex in its content and context [ 3 ].

3. Anatomy of the Manuscript

Writing and publishing an effective and well-communicative scientific manuscript is arguably one of the most daunting yet important tasks of any successful research project. It is only through publishing the data that an author gets the recognition of the work, gets established as an expert, and becomes citable in the scientific field [ 4 ]. Among the numerous types of scientific manuscripts which an author can write ( Figure 1 ), original research remains central to most publications [ 4 – 10 ].

A good scientific paper essentially covers the important criteria, which define its worth such as structure, logical flow of information, content, context, and conclusion [ 5 ]. Among various guidelines that are available for the authors to follow, IMRAD scheme is the most important in determining the correct flow of content and structure of an original research paper [ 4 , 11 – 13 ]. IMRAD stands for introduction, methods, results, and discussion ( Figure 2 ). Besides these, other parts of the manuscript are equally essential such as title, abstract, keywords, and conclusion ( Figure 3 ).

IMRAD scheme was introduced in the early 1900 by publishers to standardize the single format of the scientific manuscript and since then is the universal format used by most the publishing houses [ 6 , 14 – 17 ]. In the next sections, the contents and criteria of each of them are explained in detail. A list of the most common mistakes, which the author makes in these sections, is also provided in the tabulated form [ 18 ] ( Table 1 ).

Common mistakes authors make in their manuscripts.

  • The title is the most important element of the paper, the first thing readers encounter while searching for a suitable paper [ 1 ]. It reflects the manuscript's main contribution and hence should be simple, appealing, and easy to remember [ 7 ].
  • A good title should not be more than 15 words or 100 characters. Sometimes journals ask for a short running title, which should essentially be no more than 50% of the full title. Running titles need to be simple, catchy, and easy to remember [ 19 , 20 ].
  • Keeping the titles extremely long can be cumbersome and is suggestive of the authors' lack of grasp of the true nature of the research done.
  • It usually should be based on the keywords, which feature within the main rationale and/or objectives of the paper. The authors should construct an effective title from keywords existing in all sections of the main text of the manuscript [ 19 ].
  • Having effective keywords within the title helps in the easy discovery of the paper in the search engines, databases, and indexing services, which ultimately is also reflected by the higher citations they attract [ 1 ].
  • It is always better for the title to reflect the study's design or outcome [ 21 ]; thus, it is better for the authors to think of a number of different titles proactively and to choose the one, which reflects the manuscript in all domains, after careful deliberation. The paper's title should be among the last things to be decided before the submission of the paper for publication [ 20 ].
  • Use of abbreviations, jargons, and redundancies such as “a study in,” “case report of,” “Investigations of,” and passive voice should be avoided in the title.

5. Abstract

  • The abstract should essentially be written to answer the three main questions—“What is new in this study?” “What does it add to the current literature?” and “What are the future perspectives?”
  • A well-written abstract is a pivotal part of every manuscript. For most readers, an abstract is the only part of the paper that is widely read, so it should be aimed to convey the entire message of the paper effectively [ 1 ].

Two major types of abstract—structured and unstructured. Structured abstracts are piecemealed into five different things, each consisting of one or two sentences, while unstructured abstracts consist of single paragraph written about the same things.

  • An effective abstract is a rationalized summary of the whole study and essentially should contain well-balanced information about six things: background, aim, methods, results, discussion, and conclusion [ 6 , 19 ].

Three C concept followed while writing the manuscript.

  • An abstract should be written at the end, after finishing the writing of an entire manuscript to be able to stand-alone from the main text. It should reflect your study completely without any reference to the main paper [ 19 ].
  • The authors need to limit/write their statements in each section to two or three sentences. However, it is better to focus on results and conclusions, as they are the main parts that interest the readers and should include key results and conclusions made thereof.
  • Inclusion of excessive background information, citations, abbreviations, use of acronyms, lack of rationale/aim of the study, lack of meaningful data, and overstated conclusions make an abstract ineffective.

6. Keywords

  • Keywords are the important words, which feature repeatedly in the study or else cover the main theme/idea/subject of the manuscript. They are used by indexing databases such as PubMed, Scopus, and Embase in categorizing and cross-indexing the published article.
  • It is always wise to enlist those words which help the paper to be easily searchable in the databases.
  • Keywords can be of two types: (a) general ones that are provided by the journal or indexing services called as medical subject headings (MeSH) as available in NCBI ( https://www.ncbi.nlm.gov/mesh/ ) and (b) custom ones made by authors themselves based on the subject matter of the study [ 6 , 20 ].
  • Upon submission, journals do usually ask for the provision of five to ten keywords either to categorize the paper into the subject areas or to assign it to the subspecialty for its quick processing.

7. Introduction

  • (i) The whole idea of writing this section is to cover two important questions—“What are the gaps present in the current literature?” and “Why is the current study important?”
  • (ii) Introduction provides an opportunity for the authors to highlight their area of study and provide rationale and justification as to why they are doing it [ 20 , 22 , 23 ].
  • (iii) An effective introduction usually constitutes about 10–15% of the paper's word count [ 22 ].
  • The first paragraph of the introduction should always cover “What is known about the area of study?” or “What present/current literature is telling about the problem?” All relevant and current literature/studies, i.e., original studies, meta-analyses, and systematic reviews, should be covered in this paragraph.
  • The second paragraph should cover “What is unknown or not done about this issue/study area?” The authors need to indicate the aspects of what has not been answered about the broader area of the study until now.
  • The third paragraph should identify the gaps in the current literature and answer “What gaps in the literature would be filled by their current study?” This part essentially identifies the shortcoming of the existing studies.
  • The fourth paragraph should be dedicated to effectively writing “What authors are going to do to fill the gaps?” and “Why do they want to do it?” This paragraph contains two sections—one explains the rationale of the study and introduces the hypothesis of the study in form of questions “What did authors do? and Why they did do so?” and the second enlists specific objectives that the authors are going to explore in this study to answer “Why this study is going to be important?” or “What is the purpose of this study?”.

  • (v) Introduction is regarded as the start of the storyline of manuscript, and hence, the three Cs' scheme ( Figure 5 ) becomes more relevant while writing it: the context in terms of what has been published on the current idea/problem around the world, content as to what you are going to do about the problem in hand (rationale), and conclusion as to how it is going to be done (specific objective of the study) [ 1 , 23 ].
  • (vi) Introduction is the first section of the main manuscript, which talks about the story; therefore, while writing it authors should always try to think that “would this introduction be able to convince my readers?” [ 25 ]. To emphasize on the importance of the study in filling the knowledge gap is pivotal in driving the message through [ 23 ].
  • (vii) Introduction should never be written like a review, any details, contexts, and comparisons should be dealt within the discussion part [ 16 ].
  • (viii) While choosing the papers, it is wise to include the essential and recent studies only. Studies more than 10 years old should be avoided, as editors are inclined towards the recent and relevant ones only [ 20 , 22 ].
  • (ix) In the last paragraph, enlisting the objectives has a good impact on readers. A clear distinction between the primary and secondary objectives of the study should be made while closing the introduction [ 22 ].
  • (i) It is regarded as the skeleton of the manuscript as it contains information about the research done. An effective methods section should provide information about two essential aspects of the research—(a) precise description of how experiments were done and (b) rationale for choosing the specific experiments.
  • Study Settings: describing the area or setting where the study was conducted. This description should cover the details relevant to the study topic.

  • Sample Size and Sampling Technique: mentioning what number of samples is needed and how they would be collected.
  • Ethical Approvals: clearly identifying the study approval body or board and proper collection of informed consent from participants.
  • Recruitment Methods: using at least three criteria for the inclusion or exclusion of the study subjects to reach an agreed sample size.
  • Experimental and Intervention Details: exhaustively describing each and every detail of all the experiments and intervention carried out in the study for the readers to reproduce independently.
  • Statistical Analysis: mentioning all statistical analysis carried out with the data which include all descriptive and inferential statistics and providing the analysis in meaningful statistical values such as mean, median, percent, standard deviation (SD), probability value (p), odds ratio (OR), and confidence interval (CI).

Methods and the seven areas which it should exhaustively describe.

  • (iii) Methods should be elaborative enough that the readers are able to replicate the study on their own. If, however, the protocols are frequently used ones and are already available in the literature, the authors can cite them without providing any exhaustive details [ 26 ].
  • (iv) Methods should be able to answer the three questions for which audience reads the paper—(1) What was done? (2) Where it was done? and (3) How it was done? [ 11 ].
  • (v) Remember, methods section is all about “HOW” the data were collected contrary to “WHAT” data were collected, which should be written in the results section. Therefore, care should be taken in providing the description of the tools and techniques used for this purpose.
  • (vi) Writing of the methods section should essentially follow the guidelines as per the study design right from the ideation of the project. There are numerous guidelines available, which author's must make use of, to streamline the writing of the methods section in particular (see Table xx for details).
  • (vii) Provision of the information of the equipment, chemicals, reagents, and physical conditions is also vital for the readers for replication of the study. If any software is used for data analysis, it is imperative to mention it. All manufacturer's names, their city, and country should also be provided [ 6 , 11 ].
  • The purpose of the results section of the manuscript is to present the finding of the study in clear, concise, and objective manner to the readers [ 7 , 27 , 28 ].
  • Results section makes the heart of the manuscript, as all sections revolve around it. The reported findings should be in concordance with the objectives of the study and be able to answer the questions raised in the introduction [ 6 , 20 , 27 ].
  • Results should be written in past tense without any interpretation [ 6 , 27 ].

Interdependence between methods and results of the manuscript.

  • It is always better to take refuge in tables and figures to drive the exhaustive data through. Repetition of the data already carried in tables, figures, etc., should be avoided [ 4 , 6 , 20 ].
  • Proper positioning and citations of the tables and figures within the main text are also critical for the flow of information and quality of the manuscript [ 6 , 11 ].
  • Results section should carry clear descriptive and inferential statistics in tables and/or figures, for ease of reference to readers.
  • Provision of the demographic data of the study participants takes priority in the results section; therefore, it should be made as its first paragraph. The subsequent paragraphs should introduce the inferential analysis of the data based on the rationale and objectives of the study. The last paragraphs mention what new results the study is going to offer [ 6 , 11 , 20 ].
  • authors should not attempt to report all analysis of the data. Discussing, interpreting, or contextualizing the results should be avoided [ 20 ].

10. Discussion

  • (i) The main purpose of writing a discussion is to fill the gap that was identified in the introduction of the manuscript and provide true interpretations of the results [ 6 , 11 , 20 ].

  • (iii) Discussion section toggles between two things—content and context. The authors need to exhaustively describe their interpretation of the analyzed data (content) and then compare it with the available relevant literature (context) [ 1 , 29 ]. Finally, it should justify everything in conclusion as to what all this means for the field of study.
  • (iv) The comparison can either be concordant or discordant, but it needs to highlight the uniqueness and importance of the study in the field. Care should be taken not to cover up any deviant results, which do not gel with the current literature [ 30 ].
  • (v) In discussion it is safe to use words such as “may,” “might,” “show,” “demonstrate,” “suggest,” and “report” while impressing upon your study's data and analyzed results.
  • (vi) Putting results in context helps in identifying the strengths and weakness of the study and enables readers to get answers to two important questions—one “what are the implications of the study?” Second “how the study advance the field further?” [ 1 , 30 ].
  • The first paragraph of the discussion is reserved for highlighting the key results of the study as briefly as possible [ 4 , 6 ]. However, care should be taken not to have any redundancy with the results section. The authors should utilize this part to emphasize the originality and significance of their results in the field [ 1 , 4 , 11 , 20 ].
  • The second paragraph should deal with the importance of your study in relationship with other studies available in the literature [ 4 ].
  • Subsequent paragraphs should focus on the context, by describing the findings in comparison with other similar studies in the field and how the gap in the knowledge has been filled [ 1 , 4 ].
  • In the penultimate paragraph, authors need to highlight the strengths and limitations of the study [ 4 , 6 , 30 ].
  • Final paragraph of the discussion is usually reserved for drawing the generalized conclusions for the readers to get a single take-home message.
  • (viii) A well-balanced discussion is the one that effectively addresses the contribution made by this study towards the advancement of knowledge in general and the field of research in particular [ 7 ]. It essentially should carry enough information that the audience knows how to apply the new interpretation presented within that field.

11. Conclusion

  • It usually makes the last part of the manuscript, if not already covered within the discussion part [ 6 , 20 ].
  • Being the last part of the main text, it has a long-lasting impact on the reader and hence should be very clear in presenting the chief findings of the paper as per the rationale and objectives of the study [ 4 , 20 ].

12. References or Bibliography

  • Every article needs a suitable and relevant citation of the available literature to carry the contextual message of their results to the readers [ 31 ].
  • Inclusion of proper references in the required format, as asked by the target journal, is necessary.

  • Depending upon the journal and publishing house, usually, 30–50 citations are allowed in an original study, and they need to be relevant and recent.

13. Organization of the Manuscript Package

Ideally, all manuscripts, no matter where they have to be submitted, should follow an approved organization, which is universally used by all publication houses. “Ready to submit” manuscript package should include the following elements:

  • (i) Cover letter, addressed to the chief editor of the target journal.
  • (ii) Authorship file, containing the list of authors, their affiliations, emails, and ORCIDs.
  • (iii) Title page, containing three things—title, abstract, and keywords.
  • Main text structured upon IMRAD scheme.
  • References as per required format.
  • Legends to all tables and figures.
  • Miscellaneous things such as author contributions, acknowledgments, conflicts of interest, funding body, and ethical approvals.
  • (v) Tables as a separate file in excel format.
  • (vi) Figures or illustrations, each as a separate file in JPEG or TIFF format [ 32 ].
  • (vii) Reviewers file, containing names of the suggested peer reviewers working or publishing in the same field.
  • (viii) Supplementary files, which can be raw data files, ethical clearance from Institutional Review Board (IRBs), appendixes, etc.

14. Overview of an Editorial Process

Each scientific journal has a specific publication policies and procedures, which govern the numerous steps of the publication process. In general, all publication houses process the submission of manuscripts via multiple steps tightly controlled by the editors and reviewers [ 33 ]. Figure 12 provides general overview of the six-step editorial process of the scientific journal.

15. Summary

The basic criteria for writing any scientific communication are to know how to communicate the information effectively. In this review, we have provided the critical information of do's and don'ts for the naive authors to follow in making their manuscript enough impeccable and error-free that on submission manuscript is not desk rejected at all. but this goes with mentioning that like any other skill, and the writing is also honed by practicing and is always reflective of the knowledge the writer possesses. Additionally, an effective manuscript is always based on the study design and the statistical analysis done. The authors should always bear in mind that editors apart from looking into the novelty of the study also look at how much pain authors have taken in writing, following guidelines, and formatting the manuscript. Therefore, the organization of the manuscript as per provided guidelines such as IMRAD, CONSORT, and PRISMA should be followed in letter and spirit. Care should be taken to avoid the mistakes, already enlisted, which can be the cause of desk rejection. As a general rule, before submission of the manuscript to the journal, sanitation check involving at least two reviews by colleagues should be carried out to ensure all general formatting guidelines are followed.

Introduction In light of globally declining biodiversity and threats to both rare and common species , there are calls to utilize modern technologies for monitoring and conservation . Technologies are deployed to improve data collection and analysis in both terrestrial and aquatic environments . These advancements can enable more efficient data collection compared to traditional survey methods and aid crowdsourced data collection and processing . There are emerging communities of practice, such as Conservation X Labs or WILDLABS which report on the state of conservation technology and provide guidelines on socially responsible use. The advancement of conservation technologies coincides with the increased adoption of open science practices. As defined in the Recommendation on Open Science ratified by the United Nations Educational, Scientific and Cultural Organization , open science entails inclusive, equitable, and sustainable approaches to scientific practices and outputs. Ecological research has increasingly adopted these practices , notably through more open and FAIR data . There also exists open source software used in biodiversity research, such as the R programming language and analytical packages built on it. However, unlike software and data, the hardware used for ecological research is still typically closed source (i.e. proprietary), and its designs (and accompanying software source code) are legally restricted, preventing others from studying, reproducing, or modifying them. Apart from just increasing effort and cost when adapting existing equipment to new contexts, closed source hardware also reinforces global inequalities. As reviewed by Arancio , the manufacturing and dissemination of scientific equipment is often monopolized by entities in the Global North. This creates barriers for researchers in the Global South including, but are not limited to, prohibitive costs, lack of availability, and technical support. They lead to epistemic injustice, where research questions are constrained by the physical tools researchers are allowed to access or modify. Additionally, the vendor lock-in and forced obsolescence of closed source hardware mean that users are legally barred from maintaining them. This creates e-waste, which has been described as a form of environmental crime. One solution to these problems is open source hardware. It is defined as hardware whose design is "made publicly available so that anyone can study, modify, distribute, make, and sell the design or hardware based on that design”. In our view, while open source hardware is beginning to be adopted for ecology research , its potential is still largely untapped. We are researchers with experience in both ecology and open source hardware communities. In this opinion article, we argue for wider recognition and adoption of open source hardware in biodiversity research. Among other benefits, we provide examples demonstrating how open source hardware can: reduce upfront and maintenance costs; enable adapting to novel contexts; and improve research quality and transparency. We end with suggestions for individuals and institutions on adopting open source hardware in research. Reducing upfront and maintenance costs By its nature, closed source hardware allow their manufacturers to command a high price through monopolies. In contrast, anyone can manufacture and sell hardware based on an open source design, so the cost of purchase can be close to the actual manufacturing cost. One study suggests that open source hardware can create cost savings of up to 87% compared to closed source functional equivalents . SnapperGPS is one example of such low-cost open source hardware for ecology research. It is a location data logger specifically designed for wildlife tracking . In contrast with proprietary equivalents costing thousands of USD, the component cost of a SnapperGPS receiver is under USD 30, making it accessible to research groups with lower budgets. The project also has a discussion forum where the community can ask questions, discuss issues, provide technical support, and share experiences. Because users have complete access to the hardware design files, they can also maintain and repair their equipment independently, rather than having to rely on the original manufacturer who has an incentive to sell new units instead of repairing existing ones. Any knowledge about repair and maintenance can also be freely shared with the community further helping other users, without expensive support contracts or infringing on intellectual property restrictions. This is exemplified by the Appropedia Foundation, an online community where sustainability researchers share designs and provide mutual help on the repair and maintenance of open source hardware . Adapting to novel contexts Off-the-shelf proprietary technology is unlikely to fit every application well. Ecologists, in particular, may need specific hardware properties to accommodate unique environments or species. However, modifying devices to meet research needs is difficult with closed source hardware, because its designs are not shared and modifications are not permitted. In the case of open source hardware, however, modifications can be added to an existing design and even be published as a new version that can then be freely manufactured and used by future researchers. OpenFlexure exemplifies this advantage. It is an open source, low-cost, lab-grade microscope, originally developed for microscopy in biomedical research . Its design has since been adapted to many other contexts. For example, researchers trialling OpenFlexure for orchid bee identification in Panamanian rainforests found the device was not suited for their use case, which does not require high magnification but does need robustness under field conditions. In response, the researchers adapted OpenFlexure into a dissection microscope that is easy to use and repair in the field. At the time of writing, the first version of this design has been completed, and feedback from field trials is being incorporated into the next version . Improving the quality and transparency of research Closed source hardware is opaque, preventing researchers from fully understanding how the equipment operates. This makes identifying systematic errors difficult, especially if the manufacturer has a monopoly on the technology so that users have no alternatives for comparison. This problematic “black box” effect of closed source devices is exemplified by CTDs, an oceanographic instrument that measures salinity, temperature, and depth. These three variables are essential for almost all marine scientific studies. Commonly-used closed source CTDs are not only expensive (at least several thousand USD), but also require costly maintenance services. In recent years, the OpenCTD was developed as an open source CTD for coastal oceanographic research , along with openly published calibration procedures. Notably, in addition to making this technology more accessible, the OpenCTD team identified a systemic problem of handheld proprietary CTDs being out of calibration but remaining in field use (Thaler, pers comms). This error remained undetected for years until a comparison could be made with OpenCTD devices, and underscores the crucial role for open source hardware to improve research quality and transparency. Discussion Open source hardware and software enshrine the freedoms to study, reproduce, modify, and distribute them without restrictions. They enable equitable access to technology, allowing context-relevant and cost-effective adaptations with the potential to improve research quality and transparency. The examples we used to illustrate these benefits are part of a growing movement, which seeks to adopt open source hardware in ecology and conservation research . We end this opinion article with suggestions for publishing open source hardware in a reproducible way and reforming institutional policies to encourage its development. Publishing open source hardware In recent years, best practices have emerged to ease the publication and reproducibility of open source hardware in scientific research. For example, the Open Know-How specification defines structured metadata to accompany hardware designs, such as requiring a bill of materials (BOM) or listing key contact persons. This metadata is stored in a YAML-formatted file, and is published with design files in a public repository (e.g. platforms such as GitLab or GitHub) similar to current best practice for software. Crucially, Open Know-How specifies that hardware designs should be published with open source licenses, the most popular of which are the three CERN Open Hardware licenses. Once hardware designs are published, detailed information about their fabrication and use can be published in peer-reviewed journals such as the Journal of Open Hardware or HardwareX. A variety of hardware with biodiversity applications has been published this way, from a camera trap for benthic marine organisms to a strain gauge for measuring wind damage to trees . In support of these academic journals is the DIN SPEC 3105 standard , which defines guidelines for effective peer review of hardware documentation and reproducibility. Reforming institutional policy to encourage open source hardware Research institutions and funding bodies should support open source hardware as a key pillar of open science, as recognized in the UNESCO Recommendation on Open Science. Actionable policy guidance has been developed for universities , including embedding open source hardware in open science training; creating career pathways for developing open source hardware; and developing mechanisms to monitor adoption. A common misconception is that open source hardware cannot be commercially viable. But in actuality, open source hardware allows commercialization and multiple profitable open hardware business models have already been demonstrated. Successful examples from biology research include IORodeo (a producer of laboratory analytical equipment), NinjaPCR (a seller of digital real-time polymerase chain reaction (PCR) machines), or the Arribada initiative (a consultancy for biodiversity research and developer of hardware kits for biologging and satellite tracking). In light of these successes, university technology transfer offices (TTOs) should update their policies to support open source hardware , including using its development as a way to achieve sustainable development goals . Conclusion The urgency of the biodiversity crisis is connected to technological waste and global inequalities . As biodiversity researchers, we have an ethical imperative to adopt open source hardware as part of the solution. In addition, with growing popular interest in biodiversity conservation , the use of open source hardware (and software) would signal transparency and accountability that strengthens public trust in science. In this opinion piece, we highlighted the progress that open source hardware can enable for ecology research. Lastly, we note that biodiversity researchers are not the only ones who would benefit from open source hardware. Anyone considering open source hardware for their research could engage with global practitioner communities, including the Gathering for Open Science Hardware, Open Science Hardware Foundation, Internet of Production Alliance, or the Open Source Hardware Association. They collectively sustain ongoing discourse on the development and use of open source hardware, and reflect a growing recognition for its role in scientific research.
