Formatting an APA title page

The title page is a requirement for all APA papers. The primary role of the title page is to present just that: the title. But that’s only the beginning of what is actually required for a properly formatted APA title page. This is the first chance a writer has to truly engage with the reader.

For students, the title page also lets people know which class, professor, and institution the text was written for. For professional authors, the title page is an opportunity to share any affiliations or conflicts of interest that might be present.

APA Style recognizes two different ways to format a title page. One is for student papers and the other is for professional papers. This guide will examine the difference and provide real-life examples of both.

The information provided below comes from the 7 th edition of the APA’s Publication Manual . You can read more about title page elements in Sections 2.1 – 2.8.

Both student and professional title pages require a title, author, and an affiliation. Both types of title page also require the same basic formatting, including 1-inch indentations on all sides and a page number in the top right corner.

The primary difference is that professional title pages also require an author note and a running head. However, some professors do ask that you provide some of these elements in student papers. It’s a good idea to know how to format them just in case.

Student title page APA

An APA title page for any paper being submitted for a class, degree, or thesis is all about the basics. Here are the elements that should be included in a student title page :

  • Title of your paper
  • Byline (author or authors)
  • Affiliation (department and university)
  • Course name and course number
  • Instructor name

Page number

Your professor or institution might have their own formatting requirements. When writing a paper for a class, the first rule is to always pay attention to the instructions.

Professional title page APA

A professional title page skips the class info and due date, but it includes:

  • Affiliation (division and/or organization)
  • Author note
  • Running head

The author note and running head are generally only required for professional papers. However, some professors might ask that you include one or both of them. Be sure to check the assignment instructions before submitting.

The title of your paper is really important. This is where the author needs to simultaneously inform and engage the reader without being overly wordy.

An effective title will:

  • Engage the reader
  • Concisely explain the main topic of research
  • Concisely explain any relevant variables or theoretical issues

The paper title should be placed three or four lines down from the top margin of the page. It should be presented in bold, title case, and centered on the page.

Author/Byline

The correct way to display the author’s name is first name, middle initial, and last name. The most important thing is to prevent the possibility of mistaken identity. After all, there are a lot of papers published every year, and it’s possible that someone else has the same name as you do.

For all author bylines in APA, all licenses and degrees are omitted (e.g., Dr., Professor, PhD, RN, etc.).

If your paper has multiple authors, then they should all be listed in the same way, in order of their contributions. All authors should be on the same line, unless more lines are required.

Here’s an example of a properly formatted byline for a paper with two authors:

Cassandra M. Berkman and Wilhelm K. Jackson

Affiliation

The affiliation element is where you identify the place where the work was conducted or who it was conducted for. This is almost always a university or institution. In some cases, there are multiple affiliations for one author, or multiple authors with different affiliations.

Academic affiliations

Academic affiliations include schools, universities, and teaching hospitals. The affiliation line should include the specific department followed by the name of the institution. There is no need to include a location for academic affiliations.

Here is an example of what a basic academic affiliation line should look like:

Department of Psychology, Colorado State University

Non-academic affiliations

Non-academic affiliations are anything that isn’t a school or university, which could be a hospital, laboratory, or just about any type of organization. The affiliation line for a non-academic organization should include the department or division, followed by the name and location of the organization. All elements should be separated by commas.

Here’s how it looks when put to use:

Course number and name (Student only)

Use the course number and course name as they appear on official university materials. Examples:

  • ENG 204: Modern English Literature
  • PSYC 2301: Research Methodology

Instructor name (Student papers only)

It’s important that you display your instructor’s name in their preferred way. With academics who have multiple degrees and positions, this isn’t something that you should guess at.

It is generally safe to use the course syllabus to see how they prefer to be listed. For example, some use the word “Professor” as their prefix, and many will have PhD, RN, or other type of professional designation.

Due date (Student papers only)

The due date should be presented in the day, month, and year format that is standard to your country.

The page number goes at the top right-hand side of the paper. This is one of the only elements that appears on every single page.

You can add running page numbers to your paper by double-clicking the header portion of the document or clicking the “Insert” tab. It will automatically insert page numbers into the rest of the document.

Author note (Professional papers only)

The author note is usually only required for professional papers. This is where additional data, disclaimers, conflicts of interest, and statements about funding are placed. In some cases, the author statement can be several pages long.

The author note is generally split into four paragraphs, including:

  • ORCID iD (a scientific/academic author ID)
  • Changes of Affiliation
  • Disclosures and Acknowledgments
  • Contact Information

Running Head (Professional papers only)

While some student papers might require a running head, this is something that is typically only for papers being submitted for publication. This is an abbreviated version of your title that appears at the top of every page to help readers identify it. The running title is particularly useful especially in print versions of journals and publications.

The running head does not have to use the same words as they appear in your title. Instead, try to re-work your paper’s main idea into a shortened form.

For example, if your paper’s title is:

“A Mystery of Style: Exploring the Formatting Mechanics of the Running Head According  to APA Style 7th Edition”

Then your abbreviated title can be something like:

“RUNNING HEAD IN APA 7”

“FORMATTING THE RUNNING HEAD”

The idea is to convey only the most important aspects of your title. The running head should be entered in the page header, flush left against the margin, and presented in all-capital letters.

The APA suggests a maximum length of 50 characters (including spaces and punctuation) for a running head. If your title is already 50 characters and under, then you can use the whole thing as the running head.

It is also the first opportunity that you have as the author to establish credibility and engage the reader.

An APA title page provides the details of the paper, such as the title of the paper, author name, and author affiliation. APA title pages have two formats—one for professional papers and one for student papers.

The elements to be added on the title page of a professional paper (in order of appearance) are:

  • Page number and running head: These elements appear in the header section. The page number appears at the top-right corner, whereas the running head appears at the top-left corner. If the title is too long, the running head is shortened to less than 50 characters.
  • Title of the paper: It provides information about the paper. It is aligned center and set in bold.
  • Names of the authors: It gives the names of the contributors to the paper and is aligned center.
  • Affiliations of the authors: It gives the department and university details of the authors.
  • Author note: It gives extra information about the authors.

In a student paper, the following details are included on the title page:

  • Page number: This appears in the top-right corner of the header section.
  • Title of the paper: It gives the reader an idea of the information in the paper. It appears in title case and bold. It is center-aligned.
  • Names of the authors: The names of the contributors are added here. This field is also called the by-line.
  • Affiliations of the authors: It includes the names of the authors’ departments and universities.
  • Name of the course: The name of the course for which the paper is written is included in this field.
  • Name of the instructor: Unlike the professional paper, the instructor’s name is included in a student paper.
  • Due date of the assignment: The due date of the assignment is added here. The format is “Month Day, Year” (e.g., August 22, 2017).

The title page information for APA is different for a professional paper and a student paper. As a student, you need to include the following details in the same order on the title page of your student paper.

  • Page number: This appears in the header section. Set the page number in the top-right corner of the header.
  • Title of the paper: Set it in title case and bold. Align it to the center.
  • Names of the authors: Provide the names of the contributors. This field is also called the by-line.
  • Affiliations of the authors: Include your department and university name.
  • Name of the course: Provide the name of the course and course number for which the paper is written.
  • Name of the instructor: Add the instructor’s name. There is no rigid rule on how to set the instructor’s name. You can set it according to the instructor’s preference.
  • Due date of the assignment: Add the due date of the assignment. The format should be “Month Day, Year” (e.g., August 23, 2021).

Student Title Page Elements

The title page includes the following elements: Page number, Paper title, Author, Author Affiliation, Course, Instructor, and Due Date .  Remember, your instructor can include other requirements for your assignment.  Refer to their instructions carefully.

Your title page and paper is double-spaced. Use 1-inch margins. 

Acceptable Fonts:

  • 11-point Calibri 
  • 11-point Arial

  • Should summarize the main idea in a succinct way .
  • Include strong keywords so that readers can find your work in a database or by using a search engine.
  • Avoid using abbreviations in a title.
  • The title should be provided in title case .  This means that all major words are capitalized. 
  • Be bolded, centered, and begin 3-4 lines down from the top margin of the paper.
  • Put a double-spaced blank line between the title and the byline.
  • The paper title also appears at the top of the first page of your paper.

Author Name(s) (Byline)

  • Beneath the title, type the  author's or authors' full name(s) .
  • Do not use titles or degrees.
  • ​Order the names of authors based on their contributions.
  • Write all of the names on the same line.
  • Center the names in a standard font.

  • Smith, Doe, and Jones

Author Affiliation

  • Identify where you worked or studied when the body of work was completed.
  • Include no more than two affiliations for each author.
  • Example:  College of Nursing and Health Innovation, University of Texas at Arlington
  • Include the department or division.
  • Include the name of the institution.
  • Include the location of the institution.
  • Example:  Hematology/Oncology, Cook Children's Medical Center, Fort Worth, Texas, United States
  • Include the location.

Locations should include the city, state, province, and country.

Course Name

  • Put the course number and name below the Author Affiliation.
  • Check with your instructor on the preferred name.
  • Place the month, date, and year after the Instructor(s) name(s).

More apa style guidelines: titles, goals of a title.

A title should summarize the main ideas of your manuscript, have style, identify variables or the theoretical issue under investigation, and identify the relationship between the variables. See APA 7, Section 2.4 for more information.

Elements of a Good Title

  • Titles should be concise.
  • Titles should be fully explanatory when standing alone.
  • Titles are used as a statement of content for abstracting and referencing. Include terms that would help a fellow researcher locate your study in electronic databases. For ideas, you might check the keywords or tags appended to articles in your reference list.
  • Titles should not include words or phrases such as “method,” “results,” “study of,” and “investigation of.”
  • Titles should avoid any words that could mislead the reader. Use only abbreviations that are in common use as abbreviations (e.g., MRI, HIV, or IQ).
  • Titles should avoid interrogative phrasing. They should be written as statements instead.
  • Titles do not use end punctuation.
  • In a title, capitalize any word of four or more letters and capitalize all parts of a verb (if it is part of the infinitive, has , or the like).
  • Avoid the use of colons in the title.
  • Titles should be in plain text (this is a Walden-specific variance from APA 7) and be centered on the page.

How to Write an APA Research Paper

An APA-style paper includes the following sections: title page, abstract, introduction, method, results, discussion, and references. Your paper may also include one or more tables and/or figures. Different types of information about your study are addressed in each of the sections, as described below.

General formatting rules are as follows:

Do not put page breaks in between the introduction, method, results, and discussion sections.

The title page, abstract, references, table(s), and figure(s) should be on their own pages. The entire paper should be written in the past tense, in a 12-point font, double-spaced, and with one-inch margins all around.

  • Title should be between 10-12 words and should reflect content of paper (e.g., IV and DV).
  • Title, your name, and Hamilton College are all double-spaced (no extra spaces)
  • Create a page header using the “View header” function in MS Word. On the title page, the header should include the following: Flush left: Running head: THE RUNNING HEAD SHOULD BE IN ALL CAPITAL LETTERS. The running head is a short title that appears at the top of pages of published articles. It should not exceed 50 characters, including punctuation and spacing. (Note: on the title page, you actually write the words “Running head,” but these words do not appear on subsequent pages; just the actual running head does. If you make a section break between the title page and the rest of the paper you can make the header different for those two parts of the manuscript). Flush right, on same line: page number. Use the toolbox to insert a page number, so it will automatically number each page.

Abstract (labeled, centered, not bold)

No more than 120 words, one paragraph, block format (i.e., don’t indent), double-spaced.

  • State topic, preferably in one sentence. Provide overview of method, results, and discussion.

Introduction

(Do not label as “Introduction.” Title of paper goes at the top of the page—not bold)

The introduction of an APA-style paper is the most difficult to write. A good introduction will summarize, integrate, and critically evaluate the empirical knowledge in the relevant area(s) in a way that sets the stage for your study and why you conducted it. The introduction starts out broad (but not too broad!) and gets more focused toward the end. Here are some guidelines for constructing a good introduction:

  • Don’t put your readers to sleep by beginning your paper with the time-worn sentence, “Past research has shown (blah blah blah)” They’ll be snoring within a paragraph!  Try to draw your reader in by saying something interesting or thought-provoking right off the bat.  Take a look at articles you’ve read. Which ones captured your attention right away? How did the authors accomplish this task? Which ones didn’t?  Why not?  See if you can use articles you liked as a model. One way to begin (but not the only way) is to provide an example or anecdote illustrative of your topic area.
  • Although you won’t go into the details of your study and hypotheses until the end of the intro, you should foreshadow your study a bit at the end of the first paragraph by stating your purpose briefly, to give your reader a schema for all the information you will present next.
  • Your intro should be a logical flow of ideas that leads up to your hypothesis. Try to organize it in terms of the ideas rather than who did what when. In other words, your intro shouldn’t read like a story of “Schmirdley did such-and-such in 1991. Then Gurglehoff did something-or-other in 1993.  Then....(etc.)” First, brainstorm all of the ideas you think are necessary to include in your paper. Next, decide which ideas make sense to present first, second, third, and so forth, and think about how you want to transition between ideas. When an idea is complex, don’t be afraid to use a real-life example to clarify it for your reader. The introduction will end with a brief overview of your study and, finally, your specific hypotheses. The hypotheses should flow logically out of everything that’s been presented, so that the reader has the sense of, “Of course. This hypothesis makes complete sense, given all the other research that was presented.”
  • When incorporating references into your intro, you do not necessarily need to describe every single study in complete detail, particularly if different studies use similar methodologies. Certainly you want to summarize briefly key articles, though, and point out differences in methods or findings of relevant studies when necessary. Don’t make one mistake typical of a novice APA-paper writer by stating overtly why you’re including a particular article (e.g., “This article is relevant to my study because…”). It should be obvious to the reader why you’re including a reference without your explicitly saying so.  DO NOT quote from the articles, instead paraphrase by putting the information in your own words.
  • Be careful about citing your sources (see APA manual). Make sure there is a one-to-one correspondence between the articles you’ve cited in your intro and the articles listed in your reference section.
  • Remember that your audience is the broader scientific community, not the other students in your class or your professor.  Therefore, you should assume they have a basic understanding of psychology, but you need to provide them with the complete information necessary for them to understand the research you are presenting.

Method (labeled, centered, bold)

The Method section of an APA-style paper is the most straightforward to write, but requires precision. Your goal is to describe the details of your study in such a way that another researcher could duplicate your methods exactly.

The Method section typically includes Participants, Materials and/or Apparatus, and Procedure sections. If the design is particularly complicated (multiple IVs in a factorial experiment, for example), you might also include a separate Design subsection or have a “Design and Procedure” section.

Note that in some studies (e.g., questionnaire studies in which there are many measures to describe but the procedure is brief), it may be more useful to present the Procedure section prior to the Materials section rather than after it.

Participants (labeled, flush left, bold)

Total number of participants (# women, # men), age range, mean and SD for age, racial/ethnic composition (if applicable), population type (e.g., college students). Remember to write numbers out when they begin a sentence.

  • How were the participants recruited? (Don’t say “randomly” if it wasn’t random!) Were they compensated for their time in any way? (e.g., money, extra credit points)
  • Write for a broad audience. Thus, do not write, “Students in Psych. 280...” Rather, write (for instance), “Students in a psychological statistics and research methods course at a small liberal arts college….”
  • Try to avoid short, choppy sentences. Combine information into a longer sentence when possible.

Materials (labeled, flush left, bold)

Carefully describe any stimuli, questionnaires, and so forth. It is unnecessary to mention things such as the paper and pencil used to record the responses, the data recording sheet, the computer that ran the data analysis, the color of the computer, and so forth.

  • If you included a questionnaire, you should describe it in detail. For instance, note how many items were on the questionnaire, what the response format was (e.g., a 5-point Likert-type scale ranging from 1 (strongly disagree) to 5 (strongly agree)), how many items were reverse-scored, whether the measure had subscales, and so forth. Provide a sample item or two for your reader.
  • If you have created a new instrument, you should attach it as an Appendix.
  • If you presented participants with various word lists to remember or stimuli to judge, you should describe those in detail here. Use subheadings to separate different types of stimuli if needed.  If you are only describing questionnaires, you may call this section “Measures.”

Apparatus (labeled, flush left, bold)

Include an apparatus section if you used specialized equipment for your study (e.g., the eye tracking machine) and need to describe it in detail.

Procedure (labeled, flush left, bold)

What did participants do, and in what order? When you list a control variable (e.g., “Participants all sat two feet from the experimenter.”), explain WHY you did what you did.  In other words, what nuisance variable were you controlling for? Your procedure should be as brief and concise as possible. Read through it. Did you repeat yourself anywhere? If so, how can you rearrange things to avoid redundancy? You may either write the instructions to the participants verbatim or paraphrase, whichever you deem more appropriate. Don’t forget to include brief statements about informed consent and debriefing.

Results (labeled, centered, bold)

In this section, describe how you analyzed the data and what you found. If your data analyses were complex, feel free to break this section down into labeled subsections, perhaps one section for each hypothesis.

  • Include a section for descriptive statistics
  • List what type of analysis or test you conducted to test each hypothesis.
  • Refer to your Statistics textbook for the proper way to report results in APA style. A t-test, for example, is reported in the following format: t (18) = 3.57, p < .001, where 18 is the number of degrees of freedom (N – 2 for an independent-groups t test). For a correlation: r (32) = -.52, p < .001, where 32 is the number of degrees of freedom (N – 2 for a correlation). For a one-way ANOVA: F (2, 18) = 7.00, p < .001, where 2 represents the between and 18 represents df within Remember that if a finding has a p value greater than .05, it is “nonsignificant,” not “insignificant.” For nonsignificant findings, still provide the exact p values. For correlations, be sure to report the r 2 value as an assessment of the strength of the finding, to show what proportion of variability is shared by the two variables you’re correlating. For t- tests and ANOVAs, report eta 2 .
  • Report exact p values to two or three decimal places (e.g., p = .042; see p. 114 of APA manual).  However, for p-values less than .001, simply put p < .001.
  • Following the presentation of all the statistics and numbers, be sure to state the nature of your finding(s) in words and whether or not they support your hypothesis (e.g., “As predicted …”). This information can typically be presented in a sentence or two following the numbers (within the same paragraph). Also, be sure to include the relevant means and SDs.
  • It may be useful to include a table or figure to represent your results visually. Be sure to refer to these in your paper (e.g., “As illustrated in Figure 1…”). Remember that you may present a set of findings either as a table or as a figure, but not as both. Make sure that your text is not redundant with your tables/figures. For instance, if you present a table of means and standard deviations, you do not need to also report these in the text. However, if you use a figure to represent your results, you may wish to report means and standard deviations in the text, as these may not always be precisely ascertained by examining the figure. Do describe the trends shown in the figure.
  • Do not spend any time interpreting or explaining the results; save that for the Discussion section.

Discussion (labeled, centered, bold)

The goal of the discussion section is to interpret your findings and place them in the broader context of the literature in the area. A discussion section is like the reverse of the introduction, in that you begin with the specifics and work toward the more general (funnel out). Some points to consider:

  • Begin with a brief restatement of your main findings (using words, not numbers). Did they support the hypothesis or not? If not, why not, do you think? Were there any surprising or interesting findings? How do your findings tie into the existing literature on the topic, or extend previous research? What do the results say about the broader behavior under investigation? Bring back some of the literature you discussed in the Introduction, and show how your results fit in (or don’t fit in, as the case may be). If you have surprising findings, you might discuss other theories that can help to explain the findings. Begin with the assumption that your results are valid, and explain why they might differ from others in the literature.
  • What are the limitations of the study? If your findings differ from those of other researchers, or if you did not get statistically significant results, don’t spend pages and pages detailing what might have gone wrong with your study, but do provide one or two suggestions. Perhaps these could be incorporated into the future research section, below.
  • What additional questions were generated from this study? What further research should be conducted on the topic? What gaps are there in the current body of research? Whenever you present an idea for a future research study, be sure to explain why you think that particular study should be conducted. What new knowledge would be gained from it?  Don’t just say, “I think it would be interesting to re-run the study on a different college campus” or “It would be better to run the study again with more participants.” Really put some thought into what extensions of the research might be interesting/informative, and why.
  • What are the theoretical and/or practical implications of your findings? How do these results relate to larger issues of human thoughts, feelings, and behavior? Give your readers “the big picture.” Try to answer the question, “So what?

Final paragraph: Be sure to sum up your paper with a final concluding statement. Don’t just trail off with an idea for a future study. End on a positive note by reminding your reader why your study was important and what it added to the literature.

References (labeled, centered, not bold)

Provide an alphabetical listing of the references (alphabetize by last name of first author). Double-space all, with no extra spaces between references. The second line of each reference should be indented (this is called a hanging indent and is easily accomplished using the ruler in Microsoft Word). Table There are various formats for tables, depending upon the information you wish to include. See the APA manual. Be sure to provide a table number and table title (the latter is italicized). Tables can be single or double-spaced.

Figure If you have more than one figure, each one gets its own page. Use a sans serif font, such as Helvetica, for any text within your figure. Be sure to label your x- and y-axes clearly, and make sure you’ve noted the units of measurement of the DV. Underneath the figure provide a label and brief caption (e.g., “Figure 1. Mean evaluation of job applicant qualifications as a function of applicant attractiveness level”). The figure caption typically includes the IVs/predictor variables and the DV. Include error bars in your bar graphs, and note what the bars represent in the figure caption: Error bars represent one standard error above and below the mean.

In-Text Citations: (see pp. 174-179 of APA manual) When citing sources in your paper, you need to include the authors’ names and publication date.

You should use the following formats:

  • When including the citation as part of the sentence, use AND: “According to Jones and Smith (2003), the…”
  • When the citation appears in parentheses, use “&”: “Studies have shown that priming can affect actual motor behavior (Jones & Smith, 2003; Klein, Bailey, & Hammer, 1999).” The studies appearing in parentheses should be ordered alphabetically by the first author’s last name, and should be separated by semicolons.
  • If you are quoting directly (which you should avoid), you also need to include the page number.
  • For sources with three or more authors, once you have listed all the authors’ names, you may write “et al.” on subsequent mentions. For example: “Klein et al. (1999) found that….” For sources with two authors, both authors must be included every time the source is cited. When a source has six or more authors, the first author’s last name and “et al.” are used every time the source is cited (including the first time). 

Secondary Sources

“Secondary source” is the term used to describe material that is cited in another source. If in his article entitled “Behavioral Study of Obedience” (1963), Stanley Milgram makes reference to the ideas of Snow (presented above), Snow (1961) is the primary source, and Milgram (1963) is the secondary source.

Try to avoid using secondary sources in your papers; in other words, try to find the primary source and read it before citing it in your own work. If you must use a secondary source, however, you should cite it in the following way:

Snow (as cited in Milgram, 1963) argued that, historically, the cause of most criminal acts... The reference for the Milgram article (but not the Snow reference) should then appear in the reference list at the end of your paper.

If you’re citing a research article or paper in APA style, you’ll need to use a specific citation format that varies depending on the source. Assess whether your source is an article or report published in an academic journal or book, or whether it is an unpublished research paper, such as a print-only thesis or dissertation. Either way, your in-text citations will need to include information about the author (if available) and the date when your source was published or written.

Writing an In-Text Citation

Step 1 Name the author and the publication date in-text before a quote.

  • For example, you may write, “Gardener (2008) notes, ‘There are several factors to consider about lobsters’ (p. 199).”

Step 2 Include the author’s last name in the citation if you don’t list it in-text.

  • For example, you may write, “‘There are several factors to consider about lobsters’ (Gardner, 2008, p. 199).” Or, “The paper claims, ‘The fallen angel trope is common in religious and non-religious texts’ (Meek & Hill, 2015, p.13-14).”

Step 3 Write the name of the organization if there is no author.

Step 4 Use 1-4 words from the title in quotation marks if there is no author or organization.

Step 5 Include the year of publication for the paper.

Creating a Reference List Citation for a Published Source

  • Material on websites is also considered “published,” even if it’s not peer-reviewed or associated with a formal publishing company.
  • While academic dissertations or theses that are print-only are considered unpublished, these types of documents are considered published if they’re included in an online database (such as ProQuest) or incorporated into an institutional repository.

Step 2 Note the author of the paper by last name and first 2 initials.

  • For example, you may write, “Gardner, L. M.” Or, “Meek, P. Q., Kendrick, L. H., & Hill, R. W.”
  • If there is no author, you can list the name of the organization that published the research paper. For example, you may write, “American Cancer Society” or “The Reading Room.”
  • Formally published documents that don’t list an author or that have a corporate author are typically reports or white papers .

Step 3 Include the year the paper was published in parentheses, followed by a period.

Citing Unpublished Sources in Your Reference List

Step 1 Determine that your source is unpublished.

  • Print-only dissertations or theses.
  • Articles or book chapters that are in press or have been recently prepared or submitted for publication.
  • Papers that have been rejected for publication or were never intended for publication (such as student research papers or unpublished conference papers).

Step 2 Indicate the status of papers that are in the process of publication.

  • If the paper is currently being prepared for publication, include the author’s name, the year when the current draft was completed, and the title of the article in italics, followed by “Manuscript in preparation.” For example: Wooster, B. Step 3 Note the status of papers that were never intended for publication.

Summarize the key findings from the article and do not quote from the articles, instead paraphrase the content .

6. Discussion

Results are interpreted and understood in this section. Discussion section helps understand the research hypothesis better and places the results in the broader context of the literature in the area. This section is the reversal of introduction section, wherein you begin with the specifics and explain the general understanding of the topics.

In discussion, you start with a brief of your main findings, followed by explaining if your research findings support your hypothesis. Furthermore, you could explain how your findings enhance or support the existing literature on the topic. Connect your results with some of the literature mentioned in the introduction to bring your story back to full circle. You could also mention if there are any interesting or surprising findings in your results. Discuss other theories which could help you justify your surprising results.

Explain the limitation of your study and mention all the additional questions that were generated from your study. You could also mention what further research should be conducted on the topic and what are the knowledge gaps in the current body of research. Finally, mention how your results could relate to the larger issues of human existence and highlight “the big picture” for your readers.

7. References

In-text citations are brief references in the running text that direct readers to the reference entry at the end of the paper. You include them every time you quote or paraphrase someone else’s ideas or words to avoid plagiarism .

An APA in-text citation consists of the author’s last name and the year of publication (also known as the author-date system). If you’re citing a specific part of a source, you should also include a locator such as a page number or timestamp. For example: (Smith, 2020, p. 170) .

Parenthetical vs. narrative citation

The in-text citation can take two forms: parenthetical and narrative. Both types are generated automatically when citing a source with Scribbr’s APA Citation Generator.

APA references generally include information about the author , publication date , title , and source . Depending on the type of source, you may have to include extra information that helps your reader locate the source.

Reference examples

On the first line of the page, write the section label “References” (in bold and centered). On the second line, start listing your references in alphabetical order .

Apply these formatting guidelines to the APA reference page:

  • Double spacing (within and between references)
  • Hanging indent of ½ inch

Which sources to include

On the reference page, you only include sources that you have cited in the text (with an in-text citation ). You should not include references to personal communications that your reader can’t access (e.g. emails, phone conversations or private online material).

When no individual author name is listed, but the source can clearly be attributed to a specific organization—e.g., a press release by a charity, a report by an agency, or a page from a company’s website—use the organization’s name as the author in the reference entry and APA in-text citations .

When no author at all can be determined—e.g. a collaboratively edited wiki or an online article published anonymously—use the title in place of the author. In the in-text citation, put the title in quotation marks if it appears in plain text in the reference list, and in italics if it appears in italics in the reference list. Shorten it if necessary.

When you quote or paraphrase a specific passage from a source, you need to indicate the location of the passage in your APA in-text citation . If there are no page numbers (e.g. when citing a website ) but the text is long, you can instead use section headings, paragraph numbers, or a combination of the two:

(Caulfield, 2019, Linking section, para. 1).

Section headings can be shortened if necessary. Kindle location numbers should not be used in ebook citations , as they are unreliable.

If you are referring to the source as a whole, it’s not necessary to include a page number or other marker.

The abbreviation “ et al. ” (meaning “and others”) is used to shorten APA in-text citations with three or more authors . Here’s how it works:

Only include the first author’s last name, followed by “et al.”, a comma and the year of publication, for example (Taylor et al., 2018).

APA Style usually does not require an access date. You never need to include one when citing journal articles , e-books , or other stable online sources.

However, if you are citing a website or online article that’s designed to change over time, it’s a good idea to include an access date. In this case, write it in the following format at the end of the reference: Retrieved October 19, 2020, from https://www.uva.nl/en/about-the-uva/about-the-university/about-the-university.html

APA Style uses a unique headings system to separate and classify paper sections. Headings are used to help guide the reader through a document. The levels are organized by levels of subordination, and each section of the paper should start with the highest level of heading. There are 5  heading levels  in APA. Regardless of the number of levels, always use the headings in order, beginning with level 1. The format of each level is illustrated below:

Thus, if the article has four sections, some of which have subsections and some of which don’t, use headings depending on the level of subordination. Section headings receive level one format. Subsections receive level two format. Subsections of subsections receive level three format. For example:

In APA Style, the Introduction section never gets a heading and headings are not indicated by letters or numbers. For subsections in the beginning of a paper (introduction section), the first level of subsection will use Level 2 headings — the title of the paper counts as the Level 1 heading. Levels of headings will depend upon the length and organization of your paper. Regardless, always begin with level one headings and proceed to level two, etc.

Special headings called section labels are used for certain sections of a paper which always start on a new page.

  • Paper title
  • Appendix A (and so on for subsequent appendices)

These labels should be positioned on their own line at the top of the page where the section starts, in bold and centered. 

APA also allows for seriation in the body text to help authors organize and present key ideas. For lists where a specific order or numbered procedure is necessary, use an Arabic numeral directly followed by a period, such as:

On the basis of four generations of usability testing on the Purdue OWL, the Purdue OWL Usability Team recommended the following:

  • Move the navigation bar from the right to the left side of the OWL pages.
  • Integrate branded graphics (the Writing Lab and OWL logos) into the text on the OWL homepage.
  • Add a search box to every page of the OWL.
  • Develop an OWL site map.
  • Develop a three-tiered navigation system.

Numbered lists should contain full sentences or paragraphs rather than phrases. The first word after each number should be capitalized, as well as the first word in any following sentence; each sentence should end with a period or other punctuation.

For lists that do not communicate hierarchical order or chronology, use bullets:

In general, participants found the user-centered OWL mock up to be easier to use. What follows are samples of participants' responses:

  • "This version is easier to use."
  • "Version two seems better organized."
  • "It took me a few minutes to learn how to use this version, but after that, I felt more comfortable with it."

Authors may also use seriation for paragraph length text.

For seriation within sentences, authors may use letters:

On the basis of research conducted by the usability team, OWL staff have completed (a) the OWL site map; (b) integrating graphics with text on the OWL homepage; (c) search boxes on all OWL pages except the orange OWL resources (that is pending; we do have a search page); (d) moving the navigation bar to the left side of pages on all OWL resources except in the orange area (that is pending); (e) piloting the first phase of the three-tiered navigation system, as illustrated in the new Engagement section.

Authors may also separate points with bullet lists:

On the basis of the research conducted by the usability team, OWL staff have completed

If your bulleted list is part of the sentence and is not preceded by a colon, treat the bullets like a part of the sentence, adhering to standard capitalization and punctuation. This option is helpful for complex or longer bulleted sentences that may be more difficult to read without the aid of punctuation. For items in a bulleted list that are phrases rather than sentences, no punctuation is necessary.

Since 2000 there has been an effort to assign everything that exists in the digital world, e.g. online articles, with a unique number called a Digital Object Identifier or a DOI.  The DOI is unique, permanent, and persistent. It remains the same despite changes in URL's or permanent removal from the Internet.

In APA and AMA citation styles, use the DOI in citations whenever one is listed.

ChatGPT and similar tools are not credible sources of information; however, if your instructor allows other uses of AI applications in your course, you will still need to cite the output of those applications as you would any other source you use in your academic work. Citing the output of generative AI, for example large language models (LLMs) such as ChatGPT, is a unique challenge in that these applications are not "authors," and the output itself is irretrievable by others even when referenced. Therefore, you may need to provide additional documentation when submitting your work, for example, the full prompts you used to generate the output along with transcriptions or screenshots of the output. Style guides differ greatly on how and when to cite AI-generated content, so it's important to read the style guidelines for full details . The scholarly way

Learning how to write in a scholarly fashion is like learning any other skill set. A student might review what others wrote and study that style or read “how-to” books on scholarly writing.  Until a manuscript is produced incorporating a structured, scholarly, formatting style, however, it remains uncharted territory. APA formatting style is used in academic writing and publishing in the social sciences discipline to format and organize written work (APA, 2020). The American Psychological Association first mentioned a writing style in a 1929 journal article (APA, 2020). Various revisions in the Manual evolved since that original article to reflect changes in writing standards and as of 2024, the 7 th edition of the APA Manual is the current version.

APA formatting is literally viewed as a continuing nightmare by novice writers.

Embraced by scholarly writers as a guideline to standardize a document’s presentation structure, APA formatting is literally viewed as a continuing nightmare by novice writers. Students express a variety of excuses while attempting to justify reluctance in following the guidelines listed in the APA Manual : too many different rules; not all journal publishers or universities and colleges use APA as the designated style; not enough examples provided in the Manual ; and too many sources, such as library database sources and citation generators, use formatting that is not APA or use older editions of APA formatting (Preiss & Gordon, 2024).

The realities of writing and engagement

University of Phoenix graduate students and doctoral learners are required to use APA (7 th ed.) formatting for all scholarly work (UOPx, 2024). The challenge arises when students return to school after a lengthy hiatus or have less than foundational knowledge due to never fully learning the APA formatting style during previous scholastic endeavors. Many students bravely attempt a time-consuming marathon of reading the APA Manual like a novel, which proves to be an ineffective method since the 427-page tome is not exactly a riveting read.

The worst case scenario occurs when a student chooses to ignore the guidelines altogether, which may result in instances of intentional or unintentional plagiarism. The bottom line is that even if the student demonstrates a solid understanding of the presented content, errors in formatting lessen the overall quality of the work (Hughes et al., 2017).

Like all methods that encourage understanding and learning, the best approaches are a blending of theory and experiential application.

Incorporating a variety of resources helps students build a foundation of knowledge regarding the formatting process. Mandernach et al. (2016) suggested instructors implement a combination of direct teaching, internet resources, and feedback on students’ hands-on work.  A unique learning strategy involves the use of screencasts which rely on instructor narrated videos with screen capture. Fallon et al. (2018) noted that combining screencasts with students creating custom, personalized templates offer a constructive system for learning APA formatting.

Another popular strategy is behavioral programmed instruction. This method “involves criterion-based progression through self-paced learning materials wherein the learner can check for the correct answer after responding and respond again if necessary” (Parry-Cruwys et al., 2022, p. 1167). Like all methods that encourage understanding and learning, the best approaches are a blending of theory and experiential application that empowers students with knowledge and self-confidence.

Encouraging students to embrace an engagement mindset to mastery of APA formatting is a challenge. Ensuring learners gain a thorough understanding of APA guidelines requires time and practice. It is important that students realize how the commitment to learning APA formatting prevents plagiarism and instances of academic dishonesty. An instructor's focus on strategies to provide students with a value-added set of tools and resources certainly makes the learning process more efficient and effective.
