China Business Visa Requirements & Documents

1. Valid passport with at least six months of remaining validity and more than one blank visa page; and a copy of the information page.

2. A completed typewritten application form with a recently-taken color photo. 

3. Proof of legal stay or residence if you are applying from a third country.

4. China Business Visa Invitation Letter According to China M visa rules, one of the following is required: 1). Invitation letter issued by a Chinese business or trade partner. 2). Invitation letter or confirmation letter of invitation issued by duly authorized Chinese institutes or relevant units. 3). Invitation letter of a trade fair.

a. The applicant’s information including full name, birth date, passport number, etc.

b. Information about the intended business visit, including purpose, arrival and departure dates, place(s) to be visited, etc.

c. Information about the inviter including name, contact number, address, signature, official stamp, etc.  

How to Apply for China Business M Visa

You can submit your application for Chinese business visa to the CVASC (Chinese Visa Application Center). In some countries like US, you need to submit the application to the consular office of Chinese embassies or consulates. Usually, an appointment is needed before going for the submission.   

Processing Time

It regularly takes 4 working days for processing the application. However, the express service and rush service are also available if you want to pick up your M visa earlier. Extra USD 30 should be paid for the same-day collection; and additional USD 20 for the second or third day collection.  

Chinese Business Visa Fees

China business visa fees are the same as that of tourist visas. The applicant’s nationality and number of entries make a difference. Generally China multiple-entry business visa cost more. In countries where there are CVASC, you need to pay both the Chinese M visa fee and the service fee to the center.

Visa Extension

After entering China, if the duration of stay cannot cover your trip, it’s possible to go to the local exit and entry administration to apply for a China business visa extension at least seven days before the original M visa expires. Usually it costs CNY 168 for a single extension.

Plan a short trip during your time off

Although you may have a tight schedule during the business trip in China, you can plan a short excursion in your time off with China business visa. On working days, you can hang out at night and wander around the most bustling areas in the city. While on weekends, it’s a nice idea to book a one-day or two-day tour to take a glance of the city. If travelling between two cities, take high speed train as the first choice if the duration is less than 5 hours, as it’s more comfortable with wider leg space compared with flight.

How to apply for a Chinese business visa in 2023

Hoping to visit china on business in 2023 here's how to do it in a post covid era – and how to get the all important invitation letter.

Having dropped most of its Covid restrictions, China resumed the issuance of visas for foreign nationals on 8 January 2023. In this article, we explain the current visa application process and how CBBC can help with an invitation letter for an M (business) visa

Applicants for an M visa should apply via the Chinese Visa Application Service Centre (CVASC) website (select the visa centre nearest to you). You will be required to fill in an online visa application form, including a recent photograph, and then make an in-person appointment at the visa centre using the reservation form (access the application form and appointments via the ‘ Quick Access ’ section of CVASC website). You should submit your application at least one month before your trip but not earlier than three months.

Before going to your appointment, you will need to print out and sign the application form and a separate declaration (see here ) and print out the reservation form.

Other documents you should prepare include:

  • Passport with at least six months’ validity and two blank pages
  • Photocopies of the passport’s ID page
  • Photocopies of previous Chinese visas (plus photocopies of any previous passports that contained Chinese visas)
  • An invitation letter including the applicant’s details; details of the planned visit (including purpose, dates, locations, etc.); details of the inviting party (including official stamp, signature of the legal representative or individual, and Chinese ID if the inviting party is a Chinese individual)
  • Recent passport photo (in case of any issues with the photo uploaded with your form)

At the appointment, show your reservation form, and you will be given a queue number and called forward to a desk. You will then be asked to submit your documents and have your fingerprints collected. In some cases, you may need to submit to a short interview. At the end of your appointment, you will pay the visa fee and receive a pick-up form to show when collecting your passport.

1. What is a  China Visa ?

A China visa is a travel document issued by authorized government agencies to foreign citizens who are applying to enter, exit from or are transiting through China.

In China, there are various visa schemes with each suited for a specific purpose. While each China visa scheme shares common requirements, many will have their own unique standards making some more suited for business purposes.

2. What are the Basic Requirements for a  China Visa ?

The following pieces of information are typically required when submitting a China visa application:

  • An original passport that is valid for at least six months at the time of application, and that has at least two blank visa pages. A photocopy of the applicant’s passport’s photo and data page must also be submitted
  • One completed China visa application form with a colour passport photo against a white background
  • Proof of legal stay or residence status of the applicant, or provision of valid certification that is relevant to the China visa scheme
  • First time applicants under 18 years of age should provide a copy of their birth certificate and copies of their parents’ passports

3. What are the Most Popular  China Visa  Schemes for Businesses?

Those who are looking to conduct business in China and would like to apply for a visa should consider the below schemes which are tailored for businesses:

China Employment Visa – Z Visa

A Z Visa is issued to individuals who are invited to China for a post or employment. A Z Visa can also be extended to cover an applicant’s accompanying family members.

While a Z Visa only permits a stay duration of 30 days from the applicant’s date of arrival in China, those who arrive in China should coordinate with their employer to obtain a Temporary Residence Permit which grants a stay in China for a minimum of 90 days to a maximum of 5 years.

While the earlier mentioned documents will still need to be submitted alongside an application, those applying for a Z Visa will also need to support their application with one of the following work permits obtained through their employers in China:

  • Foreigners Work Permit – issued by the Ministry of Human Resources and Social Security of the PRC
  • Registration Certificate of Resident Representative Offices of enterprises of foreign countries – issued by Chinese authorities of industrial and commercial administration
  • An Approval document for commercial performances – issued by the Chinese Government authorities for cultural affairs

Business Visa – M Visa

A China business visa or trade visa, M visa for short, is issued to foreigners coming for commercial and trade activities, such as attending trade fairs, visiting clients and factories, negotiating with clients, and signing contracts. The validity period of China M visa is three months in most cases, while the allowed duration of stay is usually 30 days and can be longer depending on applicants’ personal cases.

In addition to the above mentioned documents which are commonly provided with each China visa application, M Visa applicants should also submit a China Business Visa Invitation Letter. This letter is issued either by a Chinese business or trade partner, and acts as a confirmation letter of invitation for the individual

Each invitation letter for a business visa should cover:

  • The applicant’s information, including full name, birth date, passport number etc.

There are several visa categories, depending on the reason for entry into China. In this section, we discuss the visa categories according to the purpose of the visit and the procedure to hire foreign employees.

Types of visas

Administrative procedures for hiring foreign employees.

Hiring foreign employees in China entails several steps and procedures, just like any other country.

To be eligible for work in China, foreigners should meet  the following basic criteria:

  • Attained 18 years of age and are healthy;
  • Possess the requisite professional skill and the corresponding work experience for the work;
  • Have a work and resident permit;
  • Have no criminal record;
  • Has a confirmed employer in China; and
  • Hold a valid passport or any other international travel document.

In addition to a written labor contract, a foreign employee must obtain a work permit and a resident permit to legally work in China. Only in this way will an expatriate be deemed to have established a labor relationship in China and be protected by Chinese labor laws. 

Without a work permit and resident permit, the provision of labor to a company in China means the expatriate is illegally employed, which may lead to penalties for both the company and the foreign employee. Should a dispute arise between the foreign employee and the employer, it falls out of the scope of labor arbitration and will be subject to other general laws and regulations.

According to the Administrative Regulations on the Employment of Foreigners in China and the Entry-Exit Regulation , the due procedures for a company to hire foreign employees who will work in China for over 90 days include:

  • Applying for Notification Letter of Foreigner’s Work Permit in China;
  • Applying for a Z-visa or R-visa;
  • Applying for a Foreigner’s Work Permit; and
  • Applying for Resident Permit.

Citizens of Hong Kong, Macao, and Taiwan do not need to go through the administrative procedures for hiring foreign employees – they are under the same treatment as mainland Chinese in employment management.

Applying for a notification letter of foreigner’s work permit in China

The Notification Letter of a Foreigner’s Work Permit in China shows the company's intent to hire a specific foreign national. The application process needs the cooperation of both the employer and the employee.

Important Tip An employer looking to hire expats must register on the online service platform of the Ministry of Service and Technology (http://fuwu.most.gov.cn/) to get its account at the first time of use, with required documents submitted online.

After registering successfully, the company can submit the application for the Notification Letter of Foreigner’s Work Permit in China, along with other required documents, through the online service platform of the Ministry of Service and Technology.

Upon acceptance of the application, the decision-making body will review the materials and make a decision within 10 working days to approve or decline the employer’s request to hire a foreign worker. A Notification Letter of Foreigner’s Work Permit in China will be produced online upon approval. For Tier A talents, the time could be reduced to five working days.

The company should help the employee apply for the Notification Letter of Foreigner’s Work Permit in China before their entry into China and then apply for the Foreigner’s Work Permit within 15 days of their entry. If the employee is already in China, the company can help the foreign employee apply for the Foreigner’s Work Permit directly.

Applying for Z-visa or R-visa

After obtaining the Notification Letter of Foreigner’s Work Permit in China for the foreign nationals it intends to hire, the company needs to make sure that the expatriates are entering China with the proper visa.

Among the 12 types of visas stipulated in the Entry-Exit Regulation 2013, both Z-visa and R-visa can be used as work visas, while the requirements for the latter are considerably higher than the former.

  • A Z-visa is the most commonly used visa for employment. It is used by foreigners who are actually employed by a company that has been incorporated in China (either domestic or foreign-invested), or who plan to undertake any commercial performance in China;
  • An R-visa is a relatively new type of visa issued to high-level foreign personnel and those possessing skills that are in shortage in China. Under China’s tiered talents system, the R-visa is usually applicable to Tier A talents; and
  • The M-visa is known as a "business visa". Although it cannot be used for employment purposes, it enables companies to invite foreigners to China for commercial and trade activities and may thus be useful for doing business in China.

The following documents will be required when applying for a Z-visa or R-visa:

  • Application form;
  • Passport valid for at least six months;
  • Recent passport-size photo; and
  • Notification Letter of Foreigner’s Work Permit in China.

Under the unified work permit system, the official ‘letter of invitation’ is no longer required to apply for a Z-visa or R-visa.

The visa application may take around five working days, depending on the working procedure of each embassy. Once the visa is granted and the foreign employee arrives in China, they will require a Work Permit and a Resident Permit in addition to registering their Temporary Residence (Accommodation Address).

How many foreign employees can a company hire?

No regulation explicitly stipulates the number of expats a single company can hire in China. In practice, however, local government agencies tend to refuse applications if they think the company unnecessarily hires too many foreign employees. When assessing the necessity of hiring foreigners, the authorities consider the applicant’s business scope and size, registered capital, internal structure, and the specific position in question. However, there are no firm rules on the matter, and companies are reviewed on a case-by-case basis.

Applying for a foreigner’s work permit

The unified work permit system.

Previously, China’s work permit system included two different kinds of work permits - the Alien Employment Permit and the Foreign Expert Permit.  Under this system, it was unclear which work permit the candidates should apply for. Moreover, the application system was largely paper-based and highly bureaucratic, resulting in months-long turnaround times.

The government introduced a unified work permit system to streamline the foreign employment system and avoid deterring high-quality foreign candidates from working legally in China. Under this new single work permit system, a unified model is administered by the State Administration of Foreign Expert Affairs (SAFEA) and its local branches, thereby eliminating the confusion and inconformity of the two-permit system.

In this new system, each applicant is assigned a unique ID number that does not change, regardless of permit renewal or change of employer. Documentation requirements are standardized and reduced by nearly 50 percent, with submissions like personal CVs and application letters no longer required.

The tiered talents system

A tiered talent classification system was also introduced with the unified work permit system to attract more high-level foreign talents. Under this system, foreign workers are classified into three tiers:

  • Tier A - highly qualified top talents;
  • Tier B - professional talents in line with labor market demand; and
  • Tier C - other foreign talents in line with labor market demand.

The classification is based on the desirability and eligibility of the expats through a comprehensive evaluation system. This evaluation system includes a point-based system, a catalog for guiding foreigners working in China, a labor market test, as well as a quota administration system. Applicants are also assigned points based on their educational background, salary level, age, past achievements, work experience and length, and Chinese language level. Applicants applying to work in less developed areas may receive additional points. The State Administration of Foreign Experts Affairs (SAFEA) has released detailed scoring criteria and other specific standards to evaluate ex-pats on the online service platform of the Ministry of Science and Technology.

The three-tiered talents are subject to different administrations. Applicants placed in Tier A are eligible for service through a “green channel”, which offers paperless verification, expedited approval, and other facilitation measures. Tier A talents are not limited by age, education, degree, or working experience. However, applicants placed in Tier B are controlled according to the labor market demand, and applicants placed in Tier C are strictly limited by quotas and other relevant rules.

Temporary residence registration

According to the Exit and Entry Administration Law of the People’s Republic of China, all foreigners in China are required to register their place of residence or temporary accommodation with the local police within 24 hours of arrival at the address. This applies to all foreign nationals in China, as well as Hong Kong, Macao, and Taiwan residents, whether you are in China for a short-term visit, such as for tourism or business, or living in China long-term for work, study, or family. Failing to register in time may trigger a warning or even a fine up to RMB 2,000 (US$274) in serious cases. 

Online application for foreigner's work permit

Within 15 days of entering China, the company should apply for a Foreigner’s Work Permit for their foreign employee. The application should be filed through the Service System for Foreigners Working in China by submitting the following documents:

  • Application form for Foreigner’s Work Permit;
  • Verification of past employment;
  • Verification of education or a verification of professional qualification;
  • Criminal record certificate;
  • Physical examination record for foreigners or overseas Chinese;
  • Copy of the job contract or appointment letter;
  • ID photo; and
  • Information of accompanying members.

Documents required by the applicant’s employer:

  • Download publications An Introduction to Doing Business in China 2024 Registration form;
  • Business license and organization code certificate;
  • ID information of the employer/agent who is responsible for the registration; and
  • Industry license documents.

It takes 10 working days for the SAFEA in charge to verify the documents and decide whether to approve them. For Tier A talents, the time could be reduced to five working days. The Foreigner’s Work Permit in China shall be issued on-site upon approval.

The validity period of an employment permit

The Foreigner’s Work Permit in China is normally valid for one year. The validity period can be raised to two years for Tier B talents and five years for Tier A talents. However, the validity of the following documents may not be exceeded:

  • Employee’s passport;
  • The term on the company’s business license; or
  • The registration certificate of the employer.

The Foreigner’s Work Permit in China will also be subject to annual review.

For foreigners switching companies or changing nationalities during the validity of their Foreigner’s Work Permit in China, they should deregister their old permit first and then apply for the new one without leaving China, as mentioned above. If only the personal information - name, passport number, and position - is changed, the Foreigner’s Work Permit in China could be simply amended instead of re-applied for.

Obtaining a resident permit

After the employee is granted a work visa and has successfully entered China, the hiring company must help them apply for a resident permit within 30 days of the entrance. Receipt of a resident permit signifies the completion of the administrative procedures for hiring foreign employees, allowing the employee to travel into and out of China as regularly as they require.

The application takes about five to 15 working days. The application procedures vary from city to city. For example, in Shanghai, the applicant is required to show up in person at a government office to take a digital picture to confirm it is the same person as the passport holder from the application.

The term of validity of the resident certificate is determined in accordance with the validity of the Foreigner’s Work Permit in China, which is usually up to one year. Certain foreign employees can apply for five-year resident permits in some cities, such as Beijing and Shanghai, subject to higher qualifications.

The Foreign Permanent Resident ID Card in China is a legal identity document for foreigners granted permanent residency, serving as their primary identification. Renewing the Foreigner’s Work Permit in China is not as difficult or time-consuming as making the initial application. However, companies must be organized enough internally to know when each foreign employee’s visa will expire. If the Foreigner’s Work Permit in China is not renewed upon expiry, it will be deregistered automatically.

To renew the Foreigner’s Work Permit in China, the employing company should apply to the SAFEA in charge 30 days prior to the expiry date, with the following documents submitted:

  • Application form for renewal;
  • An employment contract or other proof of employment;
  • Visa or other valid resident permit; and
  • Foreigner’s Work Permit in China.

The renewal process takes around five working days. It is recommended that visa applications and renewals be coordinated by a reliable agent unless your organization is already structured to manage the visa effectively.

China has introduced several preferential visa policies aimed at promoting people exchange and enhancing its business environment. Notably, the number of countries eligible for China's 72/144-hour visa-free transit policy expanded to 54 in November, with Norway included in the updated list.

Effective from December 1, 2023, China unilaterally offers 15-day visa-free travel to holders of ordinary passports from France, Germany, Italy, the Netherlands, Spain, and Malaysia.

It’s important to note  that citizens from these countries  must still apply for a visa  if they plan to stay in China for more than 15 days or intend to study, work, settle, or attend interviews in China.

Additionally, from December 11, 2023, to December 31, 2024, China will reduce visa fees by 25 percent across the board for foreign travelers. Moreover, China and Singapore are in discussions to establish a mutual 30-day visa-free travel arrangement, aiming to enhance people exchanges between the two countries.

  I.Visa Types and  Required Documents

  Annex 1  Important Tips for online COVA visa form filling

(1) Please carefully read the prompts and requirements of the COVA form system, and complete the entries of the visa application COVA online form step by step, making sure that the information is true, accurate and complete. Please note: Once the application form has been submitted, it cannot be modified in any way.

(2) The " location " option  for submitting the visa application should be in line with the consular jurisdiction.

(3) Basic personal information. Surname, given names, gender, date of birth, nationality, passport number, passport type, etc. must be exactly the same as those on the passport information page, otherwise your visa application will be returned.

(4) If you were born in China (including Hong Kong, Macao and Taiwan), please note:

1. Application form 1.1D The Chinese name (if applicable) must be entered in Chinese with the Chinese character input method, please do not fill in "Chinese", "Chinese", etc.

2. In the application form 1.6G, select "Yes" for "former nationality", and then select the nationality information.

3. Item 1.6H of the application form is required. If the applicant is applying for a Chinese visa for the first time, this entry will be automatically generated during the form filling process; but if the applicant has previously applied for a Chinese visa, this entry will not be displayed when filling in the online form, and the form must be printed out and supplemented by hand-written Chinese name and other information. This Item cannot be empty.

(5) Fill in the work experience and educational background

1. Please fill in the work experience in the past 5 years.

2. The “position” and “duty” of the application form 3.2D and 3.2E must be filled in completely.

3. Please fill in the highest diploma/degree in 4.1 , and the diploma/degree and major in 4.1B and 4.1C must be completed.

(6) Completely fill in each address

The address of the spouse in 5.5A of the application form must fill in the address of the current location, not the address of the place of birth. The address must be filled in completely, including street, city, state, and country.

(7) If you choose "not applicable" for any entry in the form, you need to state the reason for “not applicable”.

(8) Printing and signing. After completing the COVA online form filling, you must print out a full set of application forms, including the "Confirmation of Online Visa application" and "Visa Application Form of the People's Republic of China" (depending on the individual filling situation, a total of 8 to 9 pages will be generated). All the pages of the forms must be printed to turn in, the signature and date on the Confirmation Page and the 8th page of Visa Application Form of the People's Republic of China must be handwritten by the applicant him/herself. Visa applicant under the age of 18 is signed by their guardian, and meanwhile add a handwritten signature in the "For person filling in the application on the applicant’s behalf".

  Annex 2  Contents of S1, S2, Q1, Q2 Visa Invitation Letter

Inviter’s name XX, gender X, date of birth: XX, Chinese ID number XXX (or foreign passport number XX, Chinese permanent residence card number XX), current address in China is XX, contact phone number XX, email XX.

I hereby invite the following relatives to visit China for a short-term visit/long-term residence. He/She plans to go to China on XX, and stay in China for XX days.

Invitee information: name XX, gender X, date of birth XX, nationality XX, passport number XX, and the relative relationship with the inviter is XX.

  Annex 3  Cont ents of M, F and L Visa Invitation Letter

(1) Personal information of the invitee: name, gender, date of birth, passport number, etc.

(2) Information about the invitee’s visit to China: reason for coming to China, date of arrival and departure, place of visit, relationship with the inviting unit or inviter, who will pay for the travel, etc.

(3) Inviting party information: inviting party name, address, tel e phone number, official seal, legal representative or inviter’s signature, date, etc. (the information must be included in the text of the invitation letter)

II.Process of Visa Application

The  consular jurisdiction   of the Embassy  of the People ’ s Republic of China   includes : Washington D . C . , Delaware, Idaho, Kentucky, Maryland, Montana, Nebraska, North Carolina, North Dakota, South Carolina, South Dakota, Tennessee, Utah, Virginia, West Virginia, Wyoming, Alabama, Arkansas, Florida, Georgia, Louisiana, Mississippi, Oklahoma, Texas, Puerto Rico.. Please confirm that the applicant lives in the above-mentioned states before submitting the visa application.

(1)Visa applicants   need to   log on   to   the website   “ China Online Visa Application (COVA) ”   to fill in the COVA   forms .

After completing the COVA forms as required, please   make sure to  print the full set of COVA forms (8-9 pages)  and  sign   on the Confirmation Page and the 8 th   page .   If the COVA forms   are   not prepared   as guided, the application will not be accepted.

(2)   The physical application documents   can be submitted to the Visa Office within the office hours   by the visa applicant or by an agent .

(3)  In addition to the printed   and   signed   COVA forms, visa applicants also need to prepare the physical   Required Documents (include   "A.Basic Documents"   and   "B.General Documents")    to   submit   on-site   to   the   Visa   Office. If the physical documents   do not meet the requirements   or not sufficient, the application may be returned, and the applicant   may need to fill in the COVA forms  again .

(4) Please check all the information on the visa is correct when picking up. If there is any inaccuracy, please tell the staff immediate ly in case inconvenience brought by the incorrect information. Credit card (Master or Visa card only), money order or cashier's check are accepted for on-site pick-up.

  • Full Name. Place your full name near the top corner of the page.

  • Location. Add the city and state (or country) of the company, especially if they have multiple locations. You can add the street address if you want to be super specific.

Trust us, "To Whom It May Concern" is not how you want to start your first impression.

When will I receive my Visa invitation letter? Once you have submitted your letter request and made online payment, our team in China will process your data and issue the invitation letter within 3-4 working days.

Please note:

  • The CBBC invitation letter is not your Chinese visa, it is a supporting document. See guidance below on applying for your Chinese business visa.
  • To obtain a visa for China, your passport must be valid for at least six months from the planned date of entry
  • Allow enough time before your visit to obtain the letter and complete the formal visa application process through the Chinese Visa Service Centre in London, Manchester, Edinburgh or Belfast.

Chinese Visa Application procedure: All visa applications are dealt with by the Chinese Visa Application Service Centres (CVASC) in London, Manchester, Edinburgh or Belfast. For detailed information on CVASC please visit www.visaforchina.org.

Visas can be processed by the Centres on a regular four-day service, or an express three-day service (with a premium). There is an additional fee should you request that your passport is returned via Post. Please check with the CVASC for latest prices and service times.

The Trustee Chair in Chinese Business and Economics is seeking one part-time paid communications intern who can help implement the program’s social media and communications strategy during the period from May 28th, 2024 until September 2024. The ideal candidate will be highly motivated, professional, passionate about social media, and has an interest in China’s political economy.

The hired candidate will be paid hourly, commensurate with experience ($17.00/hour for current undergraduate hires, $18.00/hour for hires with a bachelor’s degree, and $19.00/hour for hires with a master’s degree).

Essential duties and responsibilities Essential functions may include, but are not limited to the following:

  • Curating the program’s social media accounts.
  • Promoting the program’s activities on a regular basis primarily via Twitter and LinkedIn.
  • Finding new ways to improve the program’s social media presence and supporting with metrics and analytics compilation.
  • Assisting in writing and editing event summaries and other written communication as dictated by program needs.
  • Performing a variety of other Trustee Chair related duties as assigned.

Knowledge, education, and experience

  • Must be at least a current undergraduate senior. Must have at least a 3.0 GPA (on a 4.0 scale) from an accredited U.S. institution or equivalent from a non-U.S. institution.
  • Must be eligible to work in the United States.
  • Must be able to commit to 20 hours a week.
  • Must have excellent verbal and written communication skills.
  • Must have social media experience including Twitter and LinkedIn.
  • Must have the ability to work well independently and as part of a team.

The physical demands are representative of those that must be met by an employee working in an office environment.
