This help guide is designed to be read in conjunction with the university’s guidance on ECs, which can be found  here .

If a situation is affecting your studies, it’s important to speak to your course team as soon as possible. They may be able to help with extra support or give an extension for any upcoming deadlines

If you need to submit an EC, there’s a fairly small window to do it in. They can be submitted  five working days before  an assessment date/exam, and  up to five working days after

Take a look through the university’s guidance on what is normally classed as grounds for an EC claim. These have been extended to include a few more issues, given the situation with COVID-19 (this is subject to change!)

You’ll need to download and complete an EC form (through the link above). Take the time to read it carefully. If you have multiple assessments to submit an EC claim for, you can do them all on one form (no need for multiple forms!)

Evidence is super important (we can’t stress that enough). This needs to be independently verifiable – a good example would be a letter from your GP (note that supporting letters for family or friends are not acceptable). Again, the rules are currently a little different due to COVID-19

 Evidence must be correctly dated (also very important!). For example, if your EC is due to a medical issue and your evidence is a GP letter, you must make sure it is dated  around the time of assessment

The SU advice team can check through your EC claim before you submit it to Assessments. If you’d like us to do that, or if you have any questions, please book an appointment

Once you’ve submitted the form, you’ll receive an acknowledgement email. Your EC claim will be forwarded to the next available EC panel, and you normally find out the result when you receive your statement of results (it will either say ‘ECs valid’ or ‘ECs not valid’ along with further instructions on any reassessment dates)

If you don’t submit ECs at the time of assessment – you may still be able to submit an academic appeal based on ECs (it sounds complicated, but it really isn’t! – book an appointment with us to talk it through).

All full-time undergraduate applications should be made on ucas.com. You can apply for up to five courses at a time. Part of making an application includes writing a personal statement – and we’ve got a guide for that too! Check it out  here.  

For courses starting in September, the deadline for applications is towards the end of January. Please check on UCAS for the application deadline this year. There are additional opportunities for application throughout the year up until Clearing in August.

After submitting your UCAS application, you will revisit the UCAS hub to check your application progress & status.

Frequently asked questions

How do i start a ucas application.

To complete your UCAS application, you'll need to provide personal information, details about your previous and current qualifications, an academic reference, and a personal statement. The UCAS website has tips and videos to help you with what to include in each section of the UCAS application. You can use UCAS Hub on the UCAS website to apply.

What should I do if I am a mature student?

Mature and returning students are welcome to apply through UCAS. You'll still need to meet our academic requirements, but we may be able to be flexible. If you narrowly miss the requirements, contact the Admissions team to see if we can consider your UCAS application. If you don't have A level equivalents, consider completing an Access to HE Diploma. To be fully prepared for undergraduate study, we typically require mature applicants to have recent study experience or professional qualifications and potentially relevant work experience. Contact the Admissions team for personalised advice.

What application support is there?

If you're currently in school or college in the UK, you may have a member of staff who can assist you with the UCAS application process. They can provide guidance and support as you go through the steps of applying to university, including completing the UCAS application and gathering the necessary documents. It's always helpful to have someone who can offer advice and answer any questions you may have about the process, so be sure to take advantage of this resource if it's available to you.

Do we accept a combinations of qualifications?

Contact the course enquiry team with your program interest and qualifications to see what entry requirements apply to you. We can consider a variety of combinations.

What happens after I apply?

UCAS applications are reviewed by the Admissions Team as soon as they receive them from UCAS. A decision is usually made within three weeks, but for some courses, it may take longer if additional factors need to be considered, such as an interview or portfolio assessment. The Admissions Team may also request additional information if needed.

How do I accept my offer?

Once our admissions team have processed your UCAS application, we’ll let you know if we’re making you an offer or not, and this will include any conditions you need to meet (for example grade requirements). You will need to accept this offer on UCAS.

What if I have exceptional or mitigating circumstances?

If you've experienced exceptional or mitigating circumstances that may have impacted your performance, inform the exam board and us via the Mitigating and Exceptional Circumstances form. You can have your school or college send it on your behalf. We may reach out for more information or evidence.

What to do if I deferred my application?

Take a year off before starting your course with a deferred entry UCAS application. Just make sure to meet the conditions of your offer in the year you applied, as they won't change even though the start date does. For example, if you need BCC grades in 2023 to start your deferred course in 2024, you must still attain those grades to secure your place.

Extensions & Deferrals

An extension is permission to hand in a piece of assessed work after the published hand-in date without incurring a penalty.  If their circumstances are such that an extension would not be sufficient or they feel that despite being granted an extension their performance in a piece of coursework could be seriously impaired, they may apply for a deferral of the coursework assessment.

To qualify for an extension the student must have mitigating circumstances which are unexpected and/or exceptional.

If you are asked to advise a student on applying for an extension please follow these steps:

Step 1:  Refer the student to the  Extenuating Circumstances page on the Student Portal.

Step 2:  Having read this advice and if the student feels there are grounds for an extension, they can make an application via the Extensions & Deferrals page.  

Step 3:  After consideration, the student will be notified via e-mail of the decision whether or not to grant an extension.  If successful, they will be given a new submission date.  If rejected, the student can appeal within two working days, but must provide new third-party evidence which will have not been considered previously.

Step 4:  The Module Leader will be notified by the Faculty Registry of all successful extension applications relating to your module.  Providing the student meets the new extended deadline, they will be awarded full marks for the work submitted.  Work submitted after the extended hand-in date should receive a mark of zero.

A deferral is permission to delay an attempt at a particular assessment until after the relevant assessment board has met.  A deferral normally involves a new but equivalent assessment task.  In the case of an unseen written examination, the deferred attempt will take place at the next scheduled examination period.  If you are asked to advise a student on applying for a deferral please follow these steps:

Step 1:  Refer the student to the Extenuating Circumstances page on the Student Portal.

Step 2:  Having read this advice and if the student feels there are grounds for a deferral, they can apply via the Extensions & Deferrals Page.

Step 3:  After consideration, the student will be notified via e-mail of the decision whether or not to grant a deferral.  If successful, they will be informed of the next opportunity to attempt the assessment.   If rejected, the student can appeal within seven working days, but must provide new third-party evidence which will have not been considered previously.

Coursework Extensions

What is a coursework extension?

A coursework extension is permission to hand in an assessment after the published deadline without either incurring a penalty or waiting to re-take an alternative assessment as a referred or deferred student. 

Further information about this policy is available here  UPR AS12 Appendix 1, Section 4.2.

Coursework extensions are not automatic, permission must be granted.

Students must fully read the information below:

   1.  Students must request a coursework extension from the person(s) or follow the the process identified in their programme information. 

   2.  Students must provide the reason(s) in writing for requesting an extension but are not required to provide documentary evidence to support this. The required number of days should be clearly specified in the request and the maximum number of days an extention may be granted for is seven (7) calendar days or ten (10) calendar days for a student with a Student Needs Agreement. 

   3.  Due to the nature of some assessments, extensions may not be possible, or not possible for the maximum of seven (7) calendar days or ten (10) calendar days for a student with a Student Needs Agreement. In such cases this will be made clear to students in the assessment brief /module information.

   4.  The coursework extension can be requested any time up until the coursework deadline. It is reasonable to expect that it may take up to two (2) working days after receipt of the request to confirm whether the request has been accepted or not accepted.

   5.  If the coursework extension has been granted, students should expect to receive their coursework with feedback return to them, no later than four ( 4 ) calendar weeks after the expiration of the maximum extension period available for the particular module. This is regardless of the period of extension granted or when the work was actually submitted.

Students should find out the details of who to ask for an extension in their module /programme information.

Coursework covers written assignments due sometime in the future.

Exams, timed assessments and practical assessments (presentations, lab-based practicals) are different to coursework, so extensions are not available.

If you are unwell, or there is another reason why you are unable to meet a due date, you can request an extension.

You should plan your work so that your submission is not delayed by short-term circumstances, such as minor illness.

It is always best to submit your work on time to avoid falling behind on other deadlines.

  • Undergraduate students
  • Postgraduate taught students
  • Postgraduate research students taking taught units.

The deadline for the submission of an extension request is 48 hours before the coursework submission deadline.

If the extension request deadline has passed, read the guidance on exceptional circumstances .

Work to your current due date until the school has approved an extension.

If you are a student in one of the following schools:

  • Bristol Medical School (undergraduate courses excluding intercalated)
  • Bristol Veterinary School (BVSc courses and postgraduate taught programmes)

contact your school to request an extension.

All other students should use the coursework extension form.

Be clear and concise but explain fully why your ability to submit your work by the due date has been affected.

  • Enter your requested extension date.

Only requests for extensions of up to seven days will normally be considered. Speak to your school first if you feel your circumstances may mean you need a longer extension.

  • Only assessments eligible for an extension request are listed in the form. If you are unsure why your assessment does not appear, contact the school that owns the unit.

You need to submit a separate form for each extension requested.

When possible, submit your evidence when you submit your request.

If you need to gather evidence, you have until 4 calendar days after the coursework submission deadline to submit. It is your responsibility to ensure that all evidence is submitted using the online form and by the deadline. You will not be permitted to submit evidence after this deadline.

Extension requests without evidence will normally be rejected and late penalties will apply where appropriate.

You can upload up to 5 documents with file types JPEG, JPG or PDF.

You cannot remove files from the submission once uploaded so make sure you select the correct documents.

To upload evidence

  • Select B rowse  and Upload evidence :
  • To upload a file from your computer:
  • Select Browse for file
  • Select a JPEG, JPG or PDF file
  • Select Open
  • File status will show as Awaiting upload
  • Enter a Name  for the file
  • Enter a Keyword  for the file from the list at the top of the page
  • Select Upload
  • Check the file status is Successfully uploaded.
  • To use evidence already uploaded:
  • Select My documents
  • Select View  to download and view the evidence before you select it
  • Select Select  to add the evidence to your submission

2. When you have uploaded all your evidence, check the file status is Successfully uploaded  for all files.

3. Select Close.

4. Select I have uploaded all the evidence related to this request  in the Confirmation field .

5. Select  Next.

To upload evidence later

  • Select I would like to submit evidence at a later date  in the Confirmation field.
  • Select Next.
  • The deadline for submission of evidence will be displayed to you (always four calendar days from the coursework due date). It will also be confirmed via email.
  • Once you are ready to submit evidence, re-open the Assessment extensions task .
  • Under the Existing submissions  header, select the Add evidence  button next to the relevant submission. When the evidence deadline submission has passed, you will no longer be permitted to add evidence.
  • To upload evidence, follow the steps outlined above and submit your form.

Your extension request will be reviewed by the school that owns the unit. You will receive an email either:

  • approving your request  and confirming your new due date
  • declining your request for an extension.

If you submit your extension request close to the deadline date or choose to submit your evidence later, you may not receive the outcome before the coursework deadline has passed. The original coursework deadline will continue to apply until the school has approved the extension. 

Late penalties will apply to you if you submit coursework after the deadline and the extension request is rejected. 

If your extension request is declined

You should submit your work by the original due date or as soon as you can. Work submitted after the due date will receive a late penalty which reduces the mark for the assessment depending on how long after the due date it is handed in. Read the University regulations on penalties .

The assessment due date on Blackboard will not change if you have been given an extension. Check your assessment due dates including extended due dates in eVision .

Blackboard automatically marks anything submitted after the original deadline as 'late', but this will not affect your mark if you have submitted on or before your extended deadline.

What is an assignment extension?

Where you are unable to attempt an assessment item which is not an exam, you may apply for an extension of time to submit the assessment item. This includes case studies, essays and reports.

When can I apply for an assignment extension?

You can apply for an assignment extension if you are unable to complete an assignment by the due date on medical or other grounds (e.g. disability, family or personal circumstances, employment-related circumstances, unavoidable commitments).

When can’t I apply for an assignment extension?

An extension of time is not available for an assessment item for which the opportunity to resubmit has been given.

What is the difference between an assignment extension and special consideration?

Essentially if you are unable to complete an assessment on medical or other grounds, you may apply for an assignment extension. If; however, you have attempted an assessment item, and your performance was seriously affected or you were seriously disadvantaged when the assessment item was attempted, you may apply for special consideration. Please refer to the Assessment Procedure for Students for more information on special consideration.

What is the difference between an assignment extension and deferred assessment?

An assignment extension provides additional time for you to complete an assessment item (e.g. case study, essay or report) if you are unable to submit the assessment item by the due date and time. Deferred assessment is awarded where you are prevented from completing the assessment task, such as an exam, on the scheduled date. Please refer to the Assessment Procedure for Students for more information.

How do I apply for an assessment extension?

Submit an assignment extension form online.

For individual assessment items, supporting documentation is not required for extensions up to and including three calendar days, unless you are enrolled in a course through Open Universities Australia (OUA) *. For group assessment, all OUA assessment and extensions greater than three calendar days your application must include appropriate documentation to support the grounds on which you are requesting an extension.

Students registered with Student Disability and Accessibility can apply for assignment extensions on disability grounds for up to and including 10 calendar days without the requirement to provide supporting documentation.

* Note: For students not registered with Student Disability and Accessibility, accumulation of more than three approved extensions for individual assignments of three or less calendar days will trigger the supporting documentation requirement for the remainder of the trimester, after which the count will be reset.

Supporting documentation may include a medical certificate (issued in-person or online), bereavement notice, copy of accident report etc. You can find other forms of appropriate supporting documentation at Assessment Applications . Please note that when applying on medical grounds, the medical certificate must outline the period for which your performance was impacted.

How long do I have to submit my application?

Applications for an assignment extension must be submitted online before the assignment due date.

What is the maximum period of extension I can apply for?

The maximum period an extension will be granted on medical grounds is 14 calendar days.

The maximum period an extension will be granted on disability grounds is 14 calendar days.

The maximum period an extension will be granted for bereavement is 14 calendar days.

The maximum period an extension will be granted for personal safety reasons is 14 calendar days.

The maximum period an extension will be granted for other personal, professional or exceptional circumstances is three calendar days.

What happens after I submit my application?

The application will then either be approved or declined and you will be notified by email of the decision. For applications exceeding three calendar days, you will receive an interim approval of three calendar days before your application undergoes further review by your Course Convenor for the full extension days requested*.

* Note: For students registered with Student Disability and Accessibility this is extended to 10 calendar days.

What if my application for an assignment extension is declined?

Decisions made regarding assignment extensions do not constitute an academic decision under the University’s Student Review and Appeals Policy and Procedures . Therefore, you are not able to seek a review of decision if you are unhappy with the outcome of your application. If you believe your application has been declined in error, contact your Course Convenor or Student Connect .

What if I need to apply for a further extension on an already approved applications?

If you require a further extension on an already approved application, you can now do this via the online application. Documentation will be required to support an additional extension and you cannot exceed the maximum allowable extension period for the reason selected.

Assignment extensions: new online form available

Undergraduate and postgraduate coursework students can now apply for assignment extensions using a new online form available on the Examinations and Results website .

Assignment extensions must be submitted in conjunction with reading the Modified Arrangements for Coursework Assessment Policy which outlines the rules for extensions.  For assessments weighted 20% or less, or for extensions of less than 24 hours, please speak to your Course Coordinator before completing the form as in this situation, the documentation requirements may be reduced or not required. 

Ensure that you submit the form to your Course Coordinator before the assessment deadline.  Extensions are normally only granted based on medical, compassionate, or extenuating circumstances and for up to 10 business days (or up to 3 business days for students enrolled in online teaching periods).

  • You meet all requirements as listed in the policy outlining extensions .

How to apply

  • Whether an extension is appropriate for your circumstances, and
  • Confirm which faculty or school owns the subject, as the process varies from faculty to faculty.
  • Follow the appropriate process outlined in the table below. You can apply any time before the assignment due date or date of assessment.

There are three possible outcomes:

  • Granted: You will be notified within three working days of the receipt of your application about the new assignment due date or assessment date.
  • Not granted: Your original assignment due date or assessment date will apply.
  • Referred: You may be referred to submit an application for Special consideration .

When should I apply for Special consideration instead of an extension?

  • The impact of your circumstances requires an extension of more than ten working days and you meet the eligibility criteria for Special consideration.

If you are affected by a chronic, permanent or ongoing illness, disability or hardship, are an Elite Athlete, Elite Performer, Army Reservist or Emergency volunteer you may Register for ongoing support . Your Academic Adjustment Plan (AAP) cannot be applied retrospectively so it is important to have this in place well in advance of any assessment deadlines.

For Graduate Researchers - extending your candidature

  • 4 years (8 years part time) for a PhD or doctoral degree
  • 2 years (4 years part time) for a masters by research degree
