How to Reduce PDF File Size

Last Updated: July 28, 2023 Fact Checked

This wikiHow teaches you how to make a PDF smaller using a PC or Mac. Adobe, the developers of the PDF file format, provide a free web-based tool that makes it super easy to compress PDFs into smaller files. If you're using a Mac, you can skip the upload and use the Preview app to shrink your file. Or, if you have the professional version of Adobe Acrobat DC, you can use its PDF optimizer to produce a smaller file. All of these apps reduce PDF file sizes by decreasing image and (sometimes) text quality, so keep that in mind when compressing your files.

Using Adobe's Online PDF Compressor

Step 1 Go to https://www.adobe.com/acrobat/online/compress-pdf.html....

  • Alternatively, you can drag the PDF file to the button to begin uploading the file.

Step 3 Select your PDF file and click Open.

  • The default option, Medium compression , is a good option for files containing images and text. The image quality may reduce a bit to make the file smaller, but the quality will still be pretty good.
  • If you want to make the smallest PDF possible, select High compression . This option will definitely reduce the quality of the file, and images won't look too good. But if you're not concerned about image quality and you need a much smaller file, this is the option for you.
  • Low compression compresses the file by just a small amount, preserving the quality of images and other details. The file size will reduce slightly, but not by much.

Step 5 Click the Compress button.

Using Preview on Mac

Step 1 Open a PDF in the Preview app.

  • Reducing the file size can degrade the quality of the PDF, especially if there are images.
  • If you still want to keep the larger version of the PDF as an original, you can save this smaller version with a different name. Just type the word "smaller" just before the ".pdf" in the file name at the top of the window.

Step 6 Select a location in which to save the PDF.

Using Adobe Acrobat Pro

Step 1 Open Adobe Acrobat Pro.

  • If you don't have the paid version of Adobe Acrobat Pro, you can sign up for a free trial or try Adobe's free online PDF compressor.

Step 2 Click the Tools tab.

  • Depending on your version of Acrobat, you may see an option called Compress PDF instead. Click that if you see it.

Step 6 Select a location in which to save the image.

How To Compress PDF Files or Reduce the Size of Your PDF Files

Below we show how to shrink one or multiple pdf files to reduce their file size., upload your files.

Files are safely uploaded over an encrypted connection. Files stay secure. After processing, they are permanently deleted.

Rather not upload your files and work with them offline? Try Sejda Desktop . Same features as the online service, and the files never leave your computer.

Click 'Upload' and select files from your local computer.

Dragging and dropping files to the page also works.

Dropbox or Google Drive files

You can pick PDF files from Dropbox or Google Drive too.

Expand the 'Upload' dropdown and select your files.

Click the 'Compress' button and then 'Download' your compressed PDF. Or, click on the 'More options' button for advanced settings.

The compression algorithm does the following:

  • Optimizes images
  • Removes unused fonts and images

Configure image quality

Images are optimized and saved with a JPEG image quality of 65%.

That is perfect for most scenarios. But, if your need it you can configure a better quality for the optimized images (even if the PDF size will be larger).

Under 'image quality' select 'Good' or 'Best'.

Image resolution (PPI)

Using the standard settings images are optimized to a '72 PPI' resolution.

Working in a scenario where higher image resolution is needed? Click 'More options', then select '144 ppi', '288 ppi' or '720 ppi' as the maximum image PPI resolution.

Grayscale images

For lower PDF sizes, when having a lot of images, you can convert images to grayscale.

Here's an example of a grayscale converted image:

Faster PDF compression

Processing each image takes time. A document with many images will take longer to compress.

Compressing smaller images has little effect over the overall document size. The larger images are what we want to optimize. Choose 'Faster' and we'll skip smaller images and only compress larger ones, saving time.

5 Ways to Change PDF File Size

Resources » Working With PDFs (Advanced) » 5 Ways to Change PDF File Size

How do you change the size of PDF files so they’re easier to share, send as attachments and take up less space? This tutorial will show you how to convert a PDF into a smaller size, which isn’t technically a file conversion. What we’ll cover is editing PDF page size, changing the size of a document, and compressing PDFs to remove redundant features. If you’re looking for ways to make a PDF smaller in size, edit the page size of a PDF, minimize PDF file size, an online PDF shrinker or something similar (there are so many ways to say this!), read on.

How to Minimize PDF File Sizes

illustration of a small medium and large file in a box for a post on how to change the size of a pdf file

There are a few ways that you can make PDFs smaller. Whether you’re sending documents over the web, storing them on your computer, or trying to print them, you want your PDFs to take up as little space on your computer as possible. This is because it can be a little more difficult to work with documents that have larger file sizes. Large documents take longer to open, can’t be shared via email due to data limits, and have a higher storage burden on your computer.

In this article, we’ll go through some of the methods you can use to shrink the size of your PDF. These methods can be performed online through either PDF.Live or on your own as you manage the document.

1. Using PDFLive to Change PDF File Sizes

Making your PDF smaller through PDF.Live is performed with the online PDF compression tool . You can learn more about how this tool is used in our article on reducing the size of a PDF . This tool will look through all the data that’s contained within your PDF file and trim the fat by eliminating data that’s not currently being used.

The benefits of using the PDF.Live compression tool is that you don’t have to use a PDF or document editor to significantly alter your PDF. Other methods may involve changing the document by eliminating content that’s in your PDF. The compression tool will preserve all existing content while still making your PDF smaller.

Other Ways for Shrinking PDF File Sizes

If the PDF.Live compressor hasn’t shrunk your PDF enough, there are a few other methods available for making PDFs smaller.

2. Split the PDF

PDFs can sometimes be hundreds of pages long — but does yours really need to be? Consider splitting a larger PDF into multiple smaller PDFs so it’s easier to send and receive essential portions of the document to other people. To do this, check out our post on splitting a page or pages from a PDF using the PDF.Live editor .

3. Remove Images

Oftentimes, high quality images lead to PDFs having extremely large file sizes. This is because images contain a lot more data when compared to text. If a picture isn’t essential to your document, it’s sometimes best to remove it entirely. Alternatively, you can try to find a lower-quality version of a picture to put in your PDF.

4. Reduce Page Size

In the page setup of your original document editor (e.g. Microsoft Word, Google Docs), you may have an option to change the paper size of your PDF. A standard document is 8.5” x 11”, but your PDF may not need to be that large. Explore the Paper size options in your Page setup to make your PDF smaller. However, take note that your PDF may not properly print out on a standard printer.

make a pdf presentation smaller

5. Do Not Scan All PDFs

Scanning PDFs from a printed, physical version of your document may be convenient, but it actually leads to a PDF having a much larger file size. This is because a scanned PDF is considered an image instead of a bunch of text by your computer. As we mentioned earlier, pictures contain a lot more data than raw text, so the file size will consequently be much larger. When possible, instead of scanning PDFs, try to find the original digital version of the document and save it as a PDF.

What to Know

  • In Word, go to File > Export > Create PDF/XPS Document > Create PDF/XPS > Minimum Size (publishing online) > Publish .
  • On a Mac, right-click the PDF and go to Open With > Preview > File > Export > Reduce File Size > Save .
  • On a phone, you need to install a PDF compression app.

This article explains ways to make a PDF file smaller using Microsoft programs, on a Mac, and on a smartphone when PDF file sizes are too large for a particular purpose, such as when uploading to a website or sending via email.

Reduce Size of PDFs on Windows

When you create a PDF using Microsoft programs such as Word, Excel, and PowerPoint, there is an easy way to ensure the file size is as small as possible. Here’s how it works in Word 2019, 2016, and 2013:

Open your Word document. Select File .

Select Export .

On the next screen, under Export , select Create PDF/XPS Document .

To the right, select Create PDF/XPS .

In the dialog, select Minimum Size (publishing online) and choose Publish to generate the PDF.

In Word 2010:

Word 2010 works slightly differently. Here's what you need to do:

Open your Word document.

Select File > Save As .

In the File name field, enter your file name.

It may seem tempting to keep the same file name, but you should change it at least slightly so you still have a copy of the original PDF file.

In the Save as type list, select PDF (*.pdf) .

Select Minimum Size (publishing online) .

Select Save .

Compress the Size of PDFs on a Mac

This handy trick allows Mac users to easily reduce the size of PDFs.

Preview comes with each installation of macOS (since the days of Mac OS X). It will be located in your Applications folder.

From Finder, right-click on the PDF you want to open and choose Open With > Preview .

Select File in the Preview menu bar and choose Export in the drop-down menu.

In the dialog box, in the Quartz Filter menu, select Reduce File Size .

Reduce Size of PDFs on Your Phone

To reduce the size of a PDF file on your phone, you need to install a PDF compression app such as iLovePDF, which is available for both Android and iOS. Each app is slightly different, but here's how it works with this one:

If you don't have a Mac and you don't have the Office apps on your Windows machine, you can use this same service (below) on your PC by going to I Love PDFs' website .

Open the iLovePDF app.

Tap Compress PDF .

Select the location ( Device , Google Drive , or Dropbox ) from which you will retrieve the PDF document.

Give the app permission to access each location.

Navigate to the PDF file you want to compress, select it, and tap Next .

Choose the level of compression you want: Extreme, Recommended, or Low. Tap Compress .

You will see a completion message. To see the compressed file, tap Go to File .

How to compress PowerPoint files.

A woman sitting at a table compresses PowerPoint files on her laptop.

Want to save space on your computer? Learn how to compress a PowerPoint to save space and make your presentation easier to share.

Need to learn how to compress Microsoft PowerPoint files but not sure where to begin? Whether you want to save space on your device or avoid file size issues in an email, compressing your PowerPoint is a great way to keep file sizes to a minimum and make your presentation easier to store and manage.

When is compressing a PowerPoint file beneficial?

While a PowerPoint in its original quality is great for presenting, it may not always be the easiest to share and store on your computer. Compressing PowerPoint files is a great way to save space while keeping your hard work.

Here are a few reasons you may want to compress your PowerPoint:

  • Improve shareability over email. Most email platforms limit the file sizes that you can share. If your Powerpoint contains a lot of content, especially photos and videos, it may be more difficult to share over email. Compressing the PowerPoint ensures that the same content is shared, just as a smaller file size.
  • Have more storage space on your computer. By compressing your PowerPoint file, you leave room for more important documents to be stored on your computer.
  • Boost productivity. By spending less time waiting for a file to upload, you can place your attention on other important tasks.

Steps: How to compress a PowerPoint file.

There are a few different methods you can try within the PowerPoint application and outside of it to reduce your PowerPoint file size and easily be able to share and save your content.

You can reduce the size and quality of any images in the presentation, reduce audio and video content, compress the PowerPoint as a PDF, compress it as a zip file, or swap any 3D models with static images.

Compress a PowerPoint file by reducing the size and quality of your images.

While there’s no way to compress the entire file in PowerPoint, you can reduce the size and quality of all the images to reduce the whole presentation’s size.

Instead of going through your complete presentation and editing your images one by one (which you can do if you want), there’s an easy way to compress all your image files at once:

  • Open the presentation in PowerPoint.
  • Click File on the top toolbar and choose Options > Advanced.
  • Check “Discard editing data.”
  • Uncheck “Do not compress images in file.”
  • Select 150 PPI or lower in the Default resolution dropdown menu.

These steps will reduce the file size of all the images in your presentation, effectively compressing the entire PowerPoint. The more pictures you have, the more it’ll compress the file.

Compress a PowerPoint file by reducing the size of audio and video files.

Audio and video content takes up a lot of storage space in a presentation.

You can reduce the size of audio and video files by following these steps:

  • Click on the File tab in the upper-left corner.
  • Select Info from the dropdown menu.
  • Click Compress Media. There are three options for compression.
  • Choose your compression option. Click Close once the file is done compressing.

Ensure the file is compressed to your liking. If the compression does not meet your standards, adjust the settings as needed.

Compress a PowerPoint file as a PDF.

An easier way to compress a PowerPoint is to first convert the PPT to a PDF using an online PDF editor like Adobe Acrobat online services. PDF files are smaller and easier to share than PowerPoints.

To convert your PowerPoint to a PDF, follow these easy steps:

  • Visit the online PDF converter tool.
  • Upload the PowerPoint you want to convert.
  • Let the software do its magic.
  • Download your new PDF file.

The PDF file should be much smaller than the original PowerPoint, making it easy to store and share. If the file size is still too big, you can reduce it even further by compressing the PDF online .

Compress PowerPoint files as a ZIP file.

By changing the PowerPoint to a ZIP file, the whole presentation size will be reduced.

Use these steps to transform your PowerPoint into a ZIP file:

  • Click File in the upper-left corner.
  • Choose the Open option.
  • Right-click the project you wish to compress. Additional options will appear.
  • Choose “Send to” and more options will appear.
  • Find the option named “Compressed (zipped) folder.” Choose this option to compress the file.

Compressing PPT files on macOS and Windows.

In the macOS PowerPoint, you can reduce the file size of images but not music or videos.

Here are the steps to compress your PowerPoint on a Mac:

  • In PowerPoint, click File. If you only want to compress certain images, select them before you click File.
  • From the dropdown menu, click Compress Pictures.
  • Printing — highest quality.
  • Viewing on Screen — reduces image quality by 30%.
  • Sending in an email message — compresses images by another 30% or so.
  • Choose whether or not you’d like to delete portions of the photos that have been cropped out. By doing this, you can reduce the file size.
  • Decide whether you want to compress every photo in the slideshow or only the ones you already selected. Click OK when done.

For Windows, follow these instructions:

  • Click File and make sure Info is selected in the left sidebar.
  • Click Compress Media. Depending on the version of PowerPoint, the button will either say Multimedia or Media Size and Performance.
  • Choose the highest quality option if you want to maintain the presentation quality for in-person presentations.
  • Choose the middle option for a presentation best suited for the internet.
  • Choose the lowest quality option for the highest compression so you can easily share the PowerPoint over email.

Tips on how to reduce PowerPoint file size.

There are a few methods that can help reduce your PowerPoint file size.

  • Analyze image quality. Presenting high-quality images, audio files, and videos can create a more engaging experience for your audience. Each time you compress images, double-check to be sure they still look presentation-ready.
  • Replace 3D models. While 3D models are a unique component of presentations, they take up more storage space. Opting for similar static images may be the best option for sharing your presentation.
  • Convert images to JPEG. If your photos are in the PNG format, you may want to make them JPEGs. You can easily do this in PowerPoint by right-clicking the pictures and then choosing “Save as Picture.” From there, under “Save as Type:,” choose the option named JPEG. Save, and you’re done.

Forgot to get solar eclipse glasses? Here's how to DIY a viewer with household items.

make a pdf presentation smaller

By now, everyone has heard that the rare 2024 total solar eclipse is coming – and it's got people excited.

While cities brace for traffic, schools brace for absences and space enthusiasts are planning parties, the glasses that enable safe viewing of the eclipse have become something of a hot commodity.

Peeking directly at the eclipse before it reaches totality without proper eye protection can cause permanent eye damage, experts have warned, making glasses a necessity for safe viewing. But, as the day approaches, they may become harder to find .

Luckily, people who didn't manage to get their hands on glasses are not completely down and out. There are other safe ways to view the eclipse, say experts, and a lot of them only require a little bit of craftiness and items you can find lying around the house.

Here are a few DIY eclipse viewers you can make at home.

As a reminder, none of these options allow you to look directly at the eclipse: you need special eclipse glasses for that.

Solar eclipse guide: When is the 2024 total solar eclipse? Your guide to glasses, forecast, where to watch.

NASA's DIY cereal box viewer

This NASA project uses components you almost certainly already have at home. Using a cereal box, cardboard, foil, paper, scissors and tape or glue, you can put together this projection eclipse viewer.

As always, NASA advises not to look directly into the sun using this tool.

Steps to make the cereal box eclipse viewer:

  • Get an empty, clean cereal box.
  • Cut a white piece of cardboard that will fit snuggly in the bottom of the box, or secure it permanently by gluing it in place.
  • Cut the top of the cereal box, removing both ends and leaving the center intact.
  • Put a piece of tape across the center of the top to securely hold it closed.
  • Tape a piece of heavy-duty foil or double a single layer for additional strength, covering one of the openings at the top of the cereal box. The other opening will remain open for viewing.
  • Using a small nail (approximately 3mm in diameter) push a hole in the foil.
  • Cover the entire box with construction paper, leaving the single-viewing opening and the foil uncovered.

How to use the DIY viewer :

  • The finished box should be held with the pin-hole side facing the sun. It may take a little practice pointing the box.
  • With your back facing the sun, look through the viewing opening. A small image of the sun, about ½ cm in diameter can be seen projected on the white paper inside the box.

Watch the demo here:

The Planetary Society DIY paper viewer

While the Planetary Society also offers instructions for box or projector viewers that are more "fancy," as they put it, it doesn't get easier than their simple pinhole paper projector.

To make it, you only need two index cards (3-by-5 or A6 or A7 size) or small paper plates for each person and basic pushpins. Simply use the pushpin to punch a small hole close to the middle of one of the cards and you're done.

Another super easy version that requires no crafting? A kitchen colander. An ordinary kitchen colander can easily be used to view a solar eclipse in the same way as other projector viewers; the colander's circular holes project crescent images of the sun onto the ground.

To make the "fancier" version, you'll need 2 index cards (larger, 5-by-7 or A5 cards work better for this) or small paper plates for each person, a pencil, pushpins and a towel, sweatshirt, blanket, flattened corrugated cardboard box, carpet, or other soft substrate to place underneath card during pin pushing.

To make the fancier version:

  • Draw a simple design on a card. The lines should not be too close together
  • Place the card on top of something soft (blanket, towel, etc)
  • Using the push pin, make small holes along your design lines. Not too close together – about 5 millimeters (1/4 inch) apart.

To use it, you'll again want to avoid looking directly at the sun:

  • Go to your eclipse observing spot and make sure you can see the shadow of your head and shoulders clearly.
  • Hold up the card with the hole on top of your shoulder so that you can see the shadow of the card above the shadow of your shoulder.
  • Now hold up the other card and make sure you can see its shadow, too.
  • Move the second card and watch how its shadow moves. Keeping the card in front of you, move its shadow until the second card's shadow overlaps the first card's shadow.
  • Now look at the second card. You should see a dot on the card for every hole you punched. Those dots are actually images of the sun.

Cardboard or paper tube eclipse viewer

Sticking with the theme of using items you can easily find around the house, tube viewers can be made using cardboard tubes from household items like paper towels or toilet paper rolls. You can also use thick cardstock rolled up and taped to make your own tube.

To make one, you'll need a cardboard tube, white paper, aluminum foil, tape and a pushpin or something else sharp to poke a small hole. According to "Let's Talk Science," you can put this viewer together with these steps :

  • Trace the opening of the tube on a piece of white paper. Draw a slightly bigger circle around it. Cut around the bigger circle. Cut small slits to the inner circle.
  • Cut an opening near one end of the tube to make a viewing window.
  • Tape the paper circle to the end of the tube near the viewing window.
  • Cut a piece of aluminum foil that is a bit larger than the opening of the tube.
  • Poke a small hole in the center of the aluminum foil.
  • Tape the aluminum foil over the other opening of the tube.

How to use the viewer:

  • With your back to the sun, hold the tube parallel to the path of the sun. Look through the viewing hole. Move the viewer until a small white circle appears on the paper.
