How to Find Your Document's Readability Score in Microsoft Word

Is your writing smarter than a fifth grader's? Your report, manual, or any other kind of document should match the reading level of your intended audience. You don't want to compose an article for graduate students that is written at an elementary school level. In a couple of clicks, you can find the readability score in Microsoft Word  and make sure the reading level is on point.

Microsoft Word can display the readability score for both the Flesch Reading Ease and Flesch-Kincaide Grade Level formulas, two of the most commonly used and accurate measures of readability. The higher the Flesch Reading Ease score, the easier it is for most people to understand the document. The Flesch-Kincaide Grade Level score represents the number of years of education generally required to understand the text.

To quickly see the reading level of your Word document or selection of text:

1. Go to File > Options.

2. In the Proofing tab, check the following options:

  • Check grammar with spelling
  • Show readability statistics

3. Click OK.

4. Click to Review > Spelling & Grammar to check your document for spelling or grammatical errors and also see the readability level of your document.

How to Use the Editor in Word for Microsoft 365 (Updated)

This tutorial shows how to use the Editor in Word for Microsoft 365. The Editor is an update to the spelling and grammar check available in older versions of Word.

Attention Mac Users: The Editor is available in Word for Microsoft 365 for Mac. The basic steps are similar to those shown here. However, the process of selecting grammar issues and refinements is different, so we will cover the Editor in Word for Mac in a separate tutorial.

The Editor can check for over 150 grammar issues and refinements beyond spelling, including the following:

  • hyphenation
  • passive voice
  • Oxford comma

All the grammar and refinement options are available in the Word Options dialog box. You should select from these options before running the Editor.

  • Select the File tab in the ribbon.

  • Review the spelling and grammar options that affect how the Editor interacts with your document:

A. Ensure that Check spelling as you type and Mark grammar errors as you type are selected if you want issues to be marked in the text as you type.

B. Ensure that Check grammar and refinements in the Editor Pane is selected to include grammar and refinements.

C. (Optional) Ensure that Show readability statistics is selected to show your readability statistics after running the Editor.

D. Ensure that Hide spelling errors in this document only and Hide grammar errors in this document only are not selected.

  • Select Grammar & Refinements or Grammar in the Writing Style menu. (Most users will want to choose Grammar & Refinements because it offers more options.)

Defining each grammar option is beyond the scope of this tutorial. However, the Microsoft Office Support website provides a detailed explanation for many of the options sorted by language.

  • Select the OK button to close the Grammar Settings dialog box.

Now that you have decided how you want Word to proof your document, you can run the Editor.

  • Select the Home tab in the ribbon.

  • Select the Editor button. (The Editor button is also available in the Proofing group on the left end of the Review tab.)

The Editor Pane will appear on the right side of your screen.

  • Review your Editor Score. This score will change based on choices you make within the Editor Pane. Therefore, you may choose to disregard this number while working with the Editor.

  • (Optional) Select a level of formality from the drop-down menu.
  • Formal —The Editor will apply all the grammar and refinement rules, resulting in the most recommendations.
  • Professional —The Editor will apply most of the grammar and refinement rules, resulting in fewer recommendations than the Formal option.
  • Casual —The Editor will apply the fewest number of grammar and refinement rules, resulting in the fewest recommendations.

Your Editor Score will change based on your choice of formality.

  • Select the Editor Score (see figure 12) to review each of the recommendations starting from the current placement of your cursor. Or, skip to step 4 to review by category.
  • Select the Corrections or Refinements category you want to review. The available categories will depend on your selections in the Grammar Settings dialog box (see figure 7).

  • Choose a suggestion to change the individual spelling error.

Or, open the drop-down menu for the suggestion and select Change All to change every instance of the spelling error.

You can also choose (a) Ignore Once to ignore that spelling one time, (b) Ignore All to ignore that spelling every time it appears in the document, or (c) Add to Dictionary to add the word with its current spelling to your custom dictionary .

If the Editor is unable to provide any spelling suggestions, it will still let you add the word to your custom dictionary, ignore the word once, or ignore all instances of the word.

After you select or ignore a suggestion, the Editor will automatically move to the next issue in that category or return you to the main view to chose a new category.

Grammar and Refinement Issues

  • Review each grammar or refinement issue. In some cases, the Editor will suggest a way to rewrite the text.

Or, select (a) Ignore Once to ignore that instance of the issue or (b) Don’t check for this issue to stop checking for that type of issue in the rest of the document.

Open the drop-down menu above the text box if you want additional information about the issue.

Pro Tip: The navigation arrows on the right side of the pane let you move forward and backward to issues you have not yet addressed. The arrow on the left side will return you to the Editor’s main view.

The Editor Pane also provides options to search the web for similar text and give feedback to Microsoft about the Editor.

If you included readability statistics in your proofing options in the Word Options dialog box (see figure 4), the Readability Statistics dialog box will appear after you have accepted or ignored all the Editor’s suggestions.

  • Select the OK button to close the Readability Statistics dialog box.

  • Select the OK button in the dialog box stating that you have finished reviewing the Editor’s suggestions.

If you have updated your text since running the Editor, you may want to run a fresh check.

  • Select the File tab in the ribbon (see figure 1).
  • Select the Options tab in the Backstage view (see figure 2).
  • Select the Proofing tab in the Word Options dialog box (see figure 3).
  • Select the Recheck Document button.

  • Select the Yes button in the dialog box stating that the new spelling and grammar check (Editor) will recheck issues that you ignored during the last check.

Follow the steps in the How to Run the Editor section above to recheck your document.

How to add a check mark or tick mark in word.

Inserting ✔ is as easy as selecting a menu item or pressing a keyboard shortcut.

To add a checkmark in Word, go to Insert > Symbol > More Symbols, choose the tick mark icon, and select "Insert." You can also use a keyboard shortcut by holding Alt and typing 0252 on your number pad.

Making a list and checking it twice? Adding a check mark or creating a list with tick marks next to each item is super easy in Microsoft Word, whether you're using Windows or Mac.

An easy way to add a check mark in your Word document is to utilize the Symbol menu. This menu has several symbols that you can add to your documents, including cent symbols , x-bar characters , and checkmarks.

To access it, first, open your Word document and place the cursor where you want to add the symbol.

From Word's ribbon at the top, select the "Insert" tab and choose Symbol > More Symbols.

You'll see a "Symbol" window. Here, select the "Font" drop-down menu and choose "Wingdings" (this font offers several icons). In the displayed symbol list, choose the check mark icon and select "Insert" at the bottom.

Then, quit the window by selecting "Close."

You now have a tick mark symbol in your document .

Word offers a keyboard shortcut that you can use to add a tick mark icon in your documents. To use this shortcut, you'll use the numbers from your keyboard's numpad and not from the top number row on your keyboard. Then, you'll change the font to ensure the tick mark appears.

To add the regular check mark icon in your document, first, press Alt+0252 on your keyboard. Then, highlight the character that appears (like a

 character), select "Wingdings" from the "Font" drop-down menu, and press Enter.

To add a check mark that's inside a box , first, press Alt+0254. Then, highlight the typed character, type "Wingdings" in the "Font" drop-down menu at the top, and hit Enter.

And you now have a tick mark in your document.

If you're making a list of items and want a check mark beside each item, using the bullets menu to add tick marks is ideal. You can use this method to add a tick mark to a single item as well if you want.

To use this method, open your Word document and place the cursor where you want to display the tick mark. Then, in Word's ribbon at the top, select the "Home" tab.

On the "Home" tab, next to "Bullets," choose the down-arrow icon.

From the bullet styles, choose the one that has tick marks.

Word has added a check mark in your document. To create a new item on the list, press Enter.

And that's it. If you're making presentations too, it's just as easy to insert check marks in PowerPoint .

A quick way to insert a tick mark in your Word document is by copying the symbol from somewhere and pasting it in your document. You can copy the icon from another document or Google.

Using Google is the easiest way to find and copy the tick mark. Simply head to the Google site, search for "check mark symbol", and copy the one you like.

In your Word document, place the cursor where you want to add the check mark. Then, right-click and choose "Keep Text Only." This option will ensure your tick mark doesn't carry its original formatting .

And you're all set.

Microsoft understands that you need various icons to use in your documents . To help you with that, the company has added an icons menu to Word, allowing you to find and insert many kinds of icons in your documents.

To use this menu to add a check mark icon, first, open your Word document and choose "Insert" at the top. Then, select "Icons."

On the open window, select the search box, type "check", and press Enter. From the icon list, choose the tick mark icon you like and select "Insert" at the bottom.

Back on your document, you'll find Word has added your chosen icon.

Like your mobile phones, your Windows and Mac computers support emoji, allowing you to use these icons in your documents. You can your machine's emoji bar to add a check mark emoji in your Word files.

However, note that your emoji's appearance will slightly vary depending on the device you're using to view your document.

To begin, launch your Word document and place your cursor where you want to add a check mark emoji.

If you're on a Windows PC , access your emoji bar by pressing Windows + "." (period) keys at the same time. On Mac , press Command+Control+Space.

From the emoji bar, find and select the check mark emoji to add it to your document.

And that's all. You now have your chosen tick mark in your document.

Check your document for similarity to online sources

Similarity checker helps you create original work and cite the work of others in your Word documents. The similarity checker shows you how much content in your document is original, and it makes it easy to insert citations when necessary. With the mechanics of citations taken care of, you are freed up to focus on your writing. Your reader can tell what material originates with you, and the people you cite get credit where it's due.  

Note:  Similarity checker was announced in March, 2020 and continues to be released across Microsoft 365 subscriptions. It may take several weeks to reach your account. This feature is available only for English language text.

On the Home tab, choose Editor .

In the Editor pane, find Similarity , and click or tap Check for similarity to online sources .

When the check is complete, Editor shows you how much of your content matches text that it found online (indicated as a percent), and the number of distinct passages in the document for you to review.

To review the passages, click or tap Similarities reviewed . Editor takes you to the first passage, where you can choose whether or not to insert a citation. A link to the online content lets you judge for yourself whether attribution is warranted. If you decide not to add a citation, choose Ignore .

After a passage has been reviewed, Editor underlines it in green. Clicking or tapping in the passage opens the citation suggestion again, which is helpful if you want to re-read the online source or add a citation to a passage that you previously ignored.

Inserting citations

Inserting an in-text citation places the citation immediately following the passage. Depending on the situation, Editor might also surround the passage with quotation marks. If you don't want the quotation marks, just delete them.

If your document includes a bibliography or a list of works cited, use Copy full citation , and paste the citation into the bibliography or the works cited.

Invented sources:

If a reference in a student’s bibliography is found not to exist, it is considered an invented source. This may occur if a student couldn’t find a reputable source to back their argument, or if they needed to include additional references to meet the requirements of the assignment and chose to take an unethical shortcut rather than completing the required amount of research. No matter the reason, this behavior ultimately hurts them in the long run. Not only will they fail to gain the experience they need to conduct research in the future properly, but they’ll also experience significant consequences if they’re caught.

  • Prevention: Set aside time to do proper research so you can find enough sources. Start creating a list of sources as you’re researching and take good notes. This will help you keep track of your sources so none are forgotten. If you do end up forgetting where a quote came from, a paper checker could help you pinpoint the original source. 

Patchwriting/Spinning:

Patchwriting is often confused with paraphrasing, but there’s a significant difference. When you paraphrase, you demonstrate that you understand the topic well enough to restate it in your own words. A good way to test if you’re patchwriting or paraphrasing is to remove your sources from view. If you can write about what you’ve read without looking at the source material, you likely understand it well enough to paraphrase it. If you have to review the source material with each new sentence or consult a thesaurus while writing about it (except when you’re adding direct quotations), you may be spinning your sources instead of paraphrasing them.

If you’re still uncertain about what counts as plagiarism, look for your school’s/ organization’s policies on academic integrity and plagiarism. The policies of academic institutions usually cover what is considered plagiarism, the consequences of committing it, and how to avoid it. What are the Consequences of Plagiarism?

No matter the setting, plagiarism is not taken lightly, and the consequences can be significant. For a good reason, too! Whether in an academic or professional setting, the plagiarism consequences reflect the seriousness of the act, which is ultimately a form of theft that hurts everyone involved.

Just as with the theft of a tangible object, there can be legal punishments for plagiarism. It is, after all, a form of copyright infringement in many instances. A quick search for plagiarism articles will reveal that professional instances of intellectual theft have resulted in civil lawsuits and can even be criminally prosecuted under rare circumstances. In addition to the possible legal consequences, professionals may lose their jobs or have to start over in a new field after their acts of fraud are uncovered.
