Best Practices for Writing a Customer Service Cover Letter

When writing a customer service cover letter, it’s essential to include information highlighting your skills and abilities in the customer service industry.

Some key information to include is:

  • Your interest in the role you’re applying for and why you’re interested in it.
  • Relevant customer service experience you have and the responsibilities you’ve held in your previous related roles.
  • The specific skills you’ve developed and perfected that make you an excellent fit for the roles you apply to. It’s important to get as specific as possible for each position, as a generic cover letter not relevant to the role won’t help you stand out.
  • Any awards or recognitions you’ve received for your customer service skills as they demonstrate your ability to be successful at the job and that you possess the qualifications hiring managers are looking for.
  • The qualities you have that make you an excellent team player.
  • The passion you have for customer experience.

It’s mentioned above, but it’s worth driving home that anything you include in your customer service cover letter should be specific and related to the role you’re applying for. Aim to create a new cover letter for each position so you can call attention to your skills that will help you fulfill the role expectations for each job.

Let’s go over an example of a high-quality customer service letter.

Dear [Hiring Manager Name],

My name is [Your name], and I am a seasoned [Industry] professional with over [Number] experience. If you’re applying for a customer service position and haven’t yet held any customer service roles, not to worry. Below we’ll explain why.

If you’re applying for an entry-level customer service position but you don’t have significant customer service experience, you can still write a cover letter that highlights you as a standout candidate.

Take care to mention:

  • The transferable skills you have that relate to the customer service role you’re applying for. For example, you’re a skilled communicator, which can come in handy when talking to customers over the phone or in person.
  • Any customer service or related training you’ve received, even if it’s minimal. This shows a commitment and genuine interest in the role you’re applying for.
  • Any relevant coursework or extracurriculars that have helped you develop the necessary skills for the role.
  • Your passion for helping others and resolving issues, which are key qualities in any customer service professional.
  • The qualifications that make you a good team member because, regardless of experience, you’ll be working with people.

Overall, highlighting any of your strengths, even if you don’t have direct experience, shows recruiters and hiring managers that you’d be an excellent fit for the role and what you can contribute to their company. Let’s go over a sample entry-level customer service cover level that you can use for inspiration.

entry level customer service cover letter

Above, we’ve outlined key elements to include in your customer service cover letter, whether you have years of experience or are just getting started in the field. Regardless of the type of letter you’re writing, though, there are always best practices to keep in mind.

  • Always address the letter to a specific person, if possible. If you can’t find a hiring manager's name , you can say something like “Dear [company name] recruiter” or Dear [position title] Hiring Manager.”
  • Use a professional tone throughout the letter, but you can also display your unique personality without being informal.
  • Keep the letter short and to the point — recruiters and hiring managers are busy and might be reading through a lot of applications, so they’ll be appreciative of a concise letter that stays on track.
  • Always highlight your relevant skills, experience, and qualities.
  • Use concrete examples to back up your claims.
  • Edit carefully for grammar, spelling, and punctuation errors.

A bonus tip and a unique way to leave a lasting impression with your cover letter is to tell a story. You can call out an experience that makes you uniquely qualified for the role, a story that expresses your interest in the company and what led you to them, or a story about a significant customer service-related experience you excelled at.

An excellent customer service cover letter gets you hired.

An excellent customer service letter leaves an impression on hiring managers and recruiters and can get you hired. Follow the tips and best practices we’ve mentioned above, and you’ll likely find yourself getting interviews that land you new customer service roles.

Head of Customer Experience

ContiMax Inc.

Anytown, 60623 IL

As an long-term enthusiast of ContiMax’s industry-famous emphasis on providing data-driven customer experience solutions, I was thrilled to see an opening for a Customer Service Representative with your company. With my 3+ years of experience in developing strong, proactive, customer-focused relationships with contractors, I am positive I can help increase your customer happiness scores while driving demand for ContiMax’s products.

In the job listing, you state that you’re looking for a CSR skilled in data-driven problem solving and improving processes. In my current position with Ohio Saves, I prepared bi-weekly reports analyzing contractor and project data to identify trends and flag issues to be addressed through process improvements. My reports helped identify and fix a major process bottleneck and led to a 200% increase in customer request reaction. I’m sure I will translate my experience into similar results for ContiMax.

I love the fact that at ContiMax, you base all your customer service initiatives on solid data, not guesswork. Being part of your team and creating the industry best practice guidelines would be a dream opportunity for my career development.

Can we schedule a meeting or a call to discuss solutions for optimizing key processes at ContiMax while boosting your Customer Satisfaction Scores?

Fret not. Even without much experience in the industry, you can write a customer service cover letter that will make the hiring manager go: “ This one has so much potential! Let’s arrange an interview, I want to meet her in person! ”

Meet another one of our candidates, James. He’s applying for a Customer Service Associate job that requires creative problem-solving.

Customer Service Team Leader

Dear Ms. Tackett:

As a highly-motivated final-year college student with strong interpersonal skills, well-developed sense of empathy and attention to detail, I would like to apply for the position of Customer Service Associate with XYZ Corp. I have been using your products for the past couple of years and I’m sure I have a good understanding of the needs of your target customers.

In the job ad you posted on LinkedIn, you say you’re searching for candidates with the ability to solve unexpected problems in creative ways. During my studies, as a volunteer, I co-organized five student conferences at external venues and was responsible for managing the accommodation and transportation, as well as registering guests. It was a very fast-paced work with a lot of unknowns to take into account. I am positive this experience has prepared me for working in a customer support role at XYZ Corp. I’m looking to use my communication and organizational skills that I developed through volunteering to help you improve your customer happiness scores.

I would value the opportunity to discuss your customer service team’s objectives and show you how my dedication and attention to detail combined with a good knowledge of your products can translate into customer service excellence for XYZ.

Yours sincerely,

2. How to Write a Cover Letter for Customer Service Jobs Step by Step (Template)

Here’s how to write a job-winning customer service cover letter:

1. Follow the rules of business cover letter formatting

You cover letter has to make a good first impression. One that conveys professionalism, attention to detail, and, last but not least, your knowledge of the business etiquette.  Here are the key rules for formatting your cover letter :

  • Left-align all contents, don’t use justification.
  • Set 1-inch margins on all 4 sides.
  • Pick an elegant, readable font—ideally, one of the classics. Arial, Tahoma, Verdana, Helvetica, Georgia.
  • Use 1.15 line spacing.
  • Never let your cover letter spill over to the next page. A single page is always enough.

Expert Hint: According to this report by Glance , it takes 12 positive customer experiences to make up for one negative experience. Make sure your well-formatted job application documents provide perfect reader experience. If you mess up, you won’t get those 12 extra chances.

2. Create a professional cover letter header with contact information

The one thing that’s most important about your cover letter header? It has to be identical to the one on your resume. A header for both a cover letter and a resume has to include your full name, followed by your job title, and contact details.

On a cover letter, below the header itself, put the city and date and the inside address of the hiring manager. If you don’t feel super confident about your typography and design skills, simply left-align all contents.

3. Introduce yourself and identify the job to which you’re applying

The first paragraph of a customer service officer cover letter has to do one thing. Ensure the hiring manager she’s reading something relevant to her .

The first step? In the greeting, address the hiring manager by name . Do some research to find out who the hiring manager is. Can’t find the name online? Call the reception and ask.  Start the cover letter by identifying the job for which you’re applying and briefly explaining what skills and experience make you a good fit.

Expert Hint: Don’t Be Generic. Sending a generic cover letter breaks all the important rules, because: 1) It’s not tailored to the company. 2) It is not personalized to the hiring manager. 3) It tells them you are lazy and not so interested.

See this template for reference. Just fill in the blanks with your information.

In case you are new to the customer service domain, you can download the e-book that hiring managers use to assess customer service reps.

We bring to you the ultimate guide to creating a strong customer service representative cover letter with a cover letter builder and cover letter examples to get you started on your new journey.

The Key Elements of a Customer Service Representative Cover Letter

The cover letter for a customer service job should be an extension of your resume , crafted in a way to tell your story and highlight your aspirations. Here’s how you get started. During your job search, shortlist jobs you wish to apply to, categorize them by job titles, make a note of the job description and map your past experiences to the requirements listed on the job post.

Once you’ve done the needful, walk yourself through these cover letter tips before you start writing your cover letter:

1. Always begin with your name:

A remnant of the days where people used personalized letter paper, it’s best to put your information at the very top of the page. Usually, details like your name, your designation [optional], your address i.e. your contact information including your phone number, email (no business emails allowed), and links to your digital portfolio (website/ LinkedIn/ Twitter) should be placed right at the beginning so it’s easy to find later. Follow it up with who you’re addressing this cover letter to.

2. Dear Mr/ Dear Ms [Hiring Manager’s Name]:

Personalize your salutation- Address your hiring manager by their name. You’re likely to get their attention when you greet a person by their name. There might be instances when the name of the recruiting agent is not mentioned, try using “Dear Sir/ Dear Madam”.

3. Do your research:

Why do you want to work for this company? It’s important to do your share of research about the company, the product, even their average customer to have an impactful discussion and to show your potential new bosses that you go the extra mile in research and effort.

4. It’s storytelling time:

Once you’ve found good reasons to be associated with the company, ask yourself these questions: What attracts you to this role? Why do you think this position is tailor-made for you? What are your aspirations? How would this role help you get ahead in your career? Does the work excite you? Remember, if you’re applying for an entry-level customer service job posting, make sure you mention your achievements on your cover letter. That’s not all. It’s important to showcase your problem-solving skills and collaboration skills to convince your recruiter that you’re the perfect candidate.

5. Let past experiences prove your worth:

Use your cover letter to share your skills that match the job description. Perhaps there’s a story from your days at the call center where you got a chance to showcase excellent customer service. If you performed well in your previous customer service position, leverage data to highlight your performance record and customer satisfaction scores yielded from the tickets you resolved. Remember that customer service is a role that has everything to do with helping people – so highlight your interest in people and problem-solving.

6. Don’t forget to say Thank you:

Once you’ve made your case of why you’re the most suitable applicant, a professional cover letter should be closed by thanking the recruiter for considering your job application. Leave a lasting impression by reiterating your willingness to be part of the company and serve the customers.

These 3 Graduate cover letter examples will provide you with some good ideas on how to format a cover letter, along with the type of message you should be trying to put across to recruiters .

To further understand exactly how you can write a cover letter that will get you noticed, check out our further guidance.

How to write a Graduate cover letter

Here’s how to write your own winning Graduate cover letter

How to write a cover letter

Write your cover letter in the body of an email/message

When writing your Graduate cover letter, it’s best to type the content into the body of your email (or the job site messaging system) and not to attach the cover letter as a separate document.

This ensures that your cover letter gets seen as soon as a recruiter or employer opens your message.

If you attach the cover letter as a document, you’re making the reader go through an unnecessary step of opening the document before reading it.

If it’s in the body of the message itself, it will be seen instantly, which hugely increases the chances of it being read.

Write cover letter in body of email

Start with a friendly greeting

Cover letter address

To kick your cover letter off, start with a friendly greeting to build rapport with the recruiter instantly.

Your greeting should be personable but professional. Not too casual, but not too formal either

Go with something like…

  • Hi [insert recruiter name]
  • Hi [insert department/team name]

Avoid old-fashioned greetings like “Dear sir/madam ” unless applying to very formal companies.

How to find the contact’s name?

Addressing the recruitment contact by name is an excellent way to start building a strong relationship. If it is not listed in the job advert, try these methods to find it.

  • Check out the company website and look at their  About page. If you see a hiring manager, HR person or internal recruiter, use their name. You could also try to figure out who would be your manager in the role and use their name.
  • Head to LinkedIn , search for the company and scan through the list of employees. Most professionals are on LinkedIn these days, so this is a good bet.

Identify the role you are applying for

Once you’ve opened up the cover letter with a warm greeting to start building a relationship, it is time to identify which role you want to apply for.

Recruiters are often managing multiple vacancies, so you need to ensure you apply to the correct one.

Be very specific and use a reference number if you can find one.

  • I am interested in applying for the position of *Graduate position* with your company.
  • I would like to apply for the role of Sales assistant (Ref: 406f57393)
  • I would like to express my interest in the customer service vacancy within your retail department
  • I saw your advert for a junior project manager on Reed and would like to apply for the role.

Highlight your suitability

The sole objective of your cover letter is to motivate recruiters into to opening your CV. And you achieve this by quickly explaining your suitability to the roles you are applying for.

Take a look at the job descriptions you are applying to, and make note of the most important skills and qualifications being asked for.

Then, when crafting your cover letter, make your suitability the central focus.

Explain why you are the best qualified candidate, and why you are so well suited to carry out the job.

This will give recruiters all the encouragement they need to open your CV and consider you for the job.

Cover letter tips

Keep it short and sharp

A good cover letter is short and sharp, getting to the point quickly with just enough information to grab the attention of recruiters.

Ideally your cover letter should be around 4-8 sentences long – anything longer will risk losing the attention of time-strapped recruiters and hiring managers .

Essentially you need to include just enough information to persuade the reader to open up your CV, where the in-depth details will sit.

Sign off professionally

To round of your CV, you should sign off with a professional signature.

This will give your cover letter a slick appearance and also give the recruiter all of the necessary contact information they need to get in touch with you.

The information to add should include:

  • A friendly sign off – e.g. “Kindest regards”
  • Your full name
  • Phone number (one you can answer quickly)
  • Email address
  • Profession title
  • Professional social network –  e.g. LinkedIn

Here is an example signature;

Warm regards,

Jill North IT Project Manager 078837437373 [email protected] LinkedIn

Quick tip: To save yourself from having to write your signature every time you send a job application, you can save it within your email drafts, or on a separate documents that you could copy in.

Email signatures

What to include in your Graduate cover letter

Here’s what kind of content you should include in your Graduate cover letter…

The exact info will obviously depend on your industry and experience level, but these are the essentials.

  • Your relevant experience – Where have you worked and what type of jobs have you held?
  • Your qualifications – Let recruiters know about your highest level of qualification to show them you have the credentials for the job.
  • The impact you have made – Show how your actions have made a positive impact on previous employers; perhaps you’ve saved them money or helped them to acquire new customers?
  • Your reasons for moving – Hiring managers will want to know why you are leaving your current or previous role, so give them a brief explanation.
  • Your availability – When can you start a new job ? Recruiters will want to know how soon they can get you on board.

Don’t forget to tailor these points to the requirements of the job advert for best results.

Customer Service Supervisor Cover Letter Writing Tips

1. highlight your customer service skills.

In your cover letter, be sure to highlight your customer service skills. This is the most important part of the job, so hiring managers will be looking for someone who has a proven track record of providing excellent customer service. Some ways you can do this include:

  • Describing a time when you went above and beyond to help a customer.
  • Mentioning any awards or recognition you’ve received for your customer service skills.
  • Explaining how you use your knowledge and experience to resolve customer complaints or problems.

2. Customize your cover letter

Just as you would for any other job, customize your cover letter to match the company you’re applying to. This means reading the job description carefully and highlighting how your skills and experience make you the perfect candidate for the role.

For example, if the company is looking for someone who is able to handle difficult customer service inquiries, be sure to mention a time when you successfully resolved a difficult customer issue. If the job requires someone who is able to work independently, describe a time when you took the lead on a project without any supervision.

3. Show that you’re a team player

Customer service supervisors work with a team of customer service representatives, so it’s important to show that you’re a team player. One way to do this is by explaining how you work well with others and are able to provide support when needed. You can also mention any team-building experiences you’ve had in the past, such as participating in team sports or leading a team project.

4. Proofread your cover letter

Just as with any other job application, proofread your cover letter for mistakes. This is your chance to make a good first impression, so make sure everything is perfect before submitting your application.
