  • Salutation - salute the contact person, preferably with their name and in the format of “Dear Mr. X or Dear Mrs./Ms. Y”. Try researching the company you are applying to find the name of the contact person. In the event that you do not find the name, you can use the salutation “Dear Hiring Manager”. However, you should refrain from using “Dear Sir/Madam” and “To Whom It May Concern” as the former is very generic, while the latter might be taken to mean that you have no regards as to who receives your letter.
  • Subject line – this is where you state the reason for the letter
  • Introduction – start the letter with a brief introduction of yourself and why you are writing the letter (seeking internship position).
  • Body - Provide information about your program of study and other relevant academic experiences that relate to the position. You should also provide your skills, abilities, and extracurricular activities that make you perfect for the position
  • Conclusion – end the letter by thanking the hiring manager for their time. You can also include a contact number where you can be reached for interview scheduling.
  • Signature – complete the letter by signing, followed by your name.

An attachment letter, also referred to as a letter of internship, is a cover letter for students looking to build career experience, meet mentors and gain opportunities for post-education jobs. A student will outline their interest in an internship at a particular company. The internship market is highly competitive. Students must effectively sell their qualifications when writing an attachment letter to garner corporate attention.

Format the Letter 

An attachment letter is a business letter that follows standard business formatting guidelines. Choose a professional font such as Arial, Courier or Times New Roman. Make the font size at least 10, but 11 or 12 is preferred. Don't use fonts bigger than 12. Business letters use block formatting; a block is a section of information such as contact information or a new paragraph. All blocks are aligned on the left margin with no indentation of paragraphs. Pages have one-inch margins on all sides. Block formatting uses one line space between paragraph blocks.

Depending on the job for which you're applying, you may need to email your resume and cover letter to the hiring manager. That's often the case with smaller employers. For other employers, you'll apply online or via a job board.

What's the easiest way to attach your resume and cover letter to an email message? When you're asked to send a resume or cover letter via email, follow these steps to ensure you have correctly attached your documents, written an email explaining what you are sending and why, added your signature to the email, and included a subject line that will get your message opened and read by the recipient.

Check the Employer's Instructions

If there aren't instructions on how to send your documents, submit your resume as either a Microsoft Word document (.doc or .docx) or as a PDF file. These are the formats most commonly preferred by employers, and it's easy to save the documents and add them as attachments to your email message.

You can either save your cover letter in document format or write it directly in the email message.

Save as a Word Document

If you have word processing software other than Microsoft Word, save your resume as a Word (.doc or .docx) document. File > Save As , should be an option in your program.

Save a Google Doc as a Word Document

If you don't have Microsoft Word, you can save a Word (.docx) version of a Google Doc. Select File > Download and choose Word Document (.docx).

How to Save as a PDF

Whether the employer requests a PDF file or you opt to send a PDF, here's how to convert a document file.

To save a Word document as a PDF:

  • Select  File > Save As  in Microsoft Word.
  • Select  PDF  from the  Format  drop-down menu.

To save a Google Doc as a PDF:

  • Select  File > Download and choose  PDF Document .

Choose a Unique File Name

When saving your document, use your name as the file name , so the employer knows whose resume and cover letter it is, i.e., janedoeresume.doc and janedoecoverletter.doc.

Don't use "resume" as a file name, because it will be hard to differentiate your resume from those of the other applicants.

Include a Subject in the Email Message

The subject line is one of the most important parts of the email messages you send to apply for jobs. If you don't include one, your message may not even get opened. 

Your email message must include a subject line, and it should explain to the reader who you are and what job you are applying for. Be specific, so the recipient knows what he or she is receiving. Employers often hire for many positions at the same time, so include both your name and the job title.

Add a subject to the email message before you start writing it. That way, you won't forget to include it afterward.

Here's what to write:

If the employer requests additional information, like a job ID number, be sure to include that too.

Write an Email Message to Send With Your Resume

Once you have saved your resume and cover letter and they are ready to send, the next step is to write an email message to send with your documents.

First, open your email account. Then click on Message at the top left of the screen or click on File > New > Message .

You can either write your cover letter as part of the email message or send it as an attachment. Here's how:

Write Directly in the Email

You can either type your cover letter directly into the email message , copy and paste it from a word processing document, or if the company requests an attachment, send your cover letter and resume with the email message. So, your choices are to send a cover letter attachment or to use the email message as your cover letter.

If you are attaching a cover letter, your email message can be brief. Simply state that your resume and cover letter are attached. Offer to provide additional information and let the reader know how you can be contacted.

Be sure to follow the directions in the job posting for how to apply when sending your cover letter and resume or your application may not be considered.

Adding Your Signature To the Email

It is important to include an email signature with your contact information, so it's easy for hiring managers and recruiters to get in touch with you.

Include your full name, your email address, and your phone number in your email signature, so the hiring manager can see, at a glance, how to contact you. If you have a LinkedIn profile , include it in your signature. Do the same with any other social media accounts you use for career and business purposes.

To add your signature to your email message, click on File > Insert > Signature , if you have a signature saved that you use for job searching. If you haven't created an email signature, type your contact information (name, email address, phone, LinkedIn) at the bottom of your message.

Attach Your Resume and Cover Letter to an Email Message

Once your email message is ready to send, you need to attach your resume and cover letter to your message:

Click on Insert > Attach File. Your email client will display a list of files in the default file folder of your computer. If your resume and cover letter are stored in a different folder, click on the appropriate folder.

Click to select the file you want to add to your email message , and then click on Insert to attach the document to your email message. Take the time to carefully proofread the message before you send it.

Before you click Send , send the message to yourself to be sure all the attachments come through, and your email message is perfect.

Send a copy of the message to yourself, as well as to the company, so you have a copy for your records. Add yourself as a Bcc (blind carbon copy) by clicking Bcc and adding your email address.

Then click Send , and your cover letter and your resume will be on their way to the employer.

Industrial attachment also known by many as internship normally lasts for three months but the duration differs from institution to institution. Some companies pay for industrial attachment while others do not pay (in an article we had written earlier, we provided a list of companies that pay for industrial attachment).  To increase your chances of getting an industrial attachment you have to write an appealing attachment letter.

When writing an industrial attachment application letter or internship application letter be precise and ensure that there are no grammatical or spelling errors in your letter.  Company directors have no time to read very long letters.  Also, ensure that you have attached your CV to accompany your industrial attachment application letter.  Do not be worried about the content in your CV, the company directors or human resource department understand that you are a student so they don’t expect much in your CV.

How to write application letter: Formal format

  •  At the top of the application letter should be your address then followed by the address of the company or receiver. It is not advisable to write your name at the top of a letter.   (Check for the sample application letter below)
  • Thereafter the salutation .  Use  Sir or Madam if you do not know the name of the person you are writing to.
  • Reference (This is the title of the application letter) example Application for internship in the engineering department
  • Opening paragraph : This paragraph should state the position you are applying to or for and how you knew of the position. It should also contain a basic introduction of who you are.
  • Body paragraph : Explain why you are interested in the position you are applying for, demonstrate your understanding of the position, talk about your qualification and skills in brief as they will be contained in your CV.
  • Conclusion Paragraph : State that you are ready to take the opportunity fairly. Thank the employer for her/his consideration in advance.
  • Closing remarks or complimentary remarks: End your letter “Yours Sincerely”  if you have begun it with a person’s title and family name. If you have begun “Dear Sir or Madam”, then end your letter “Yours faithfully”

How To Format a Letter With an Attachment

Professional letter-writing etiquette includes using the appropriate format and carefully avoiding grammatical and spelling mistakes. When sending letters, its often necessary to attach related documents. For instance, if you’re applying for a job, you should probably include your resume and several letters of recommendation. Tell the recipient that there are attachments in the letter’s body.

Format your letter. Your address should be included at the top of a basic business letter with the text flush left. Skip a line, and insert the date. Type the recipient’s name and address below the date, followed by your greeting. The greeting should be formatted as “Dear Mr. [Name]” or “Dear Mrs. [Name]. ” End the greeting with a comma. Below the salutation, include the body of your letter.

Add the word “Enclosure” or “Enclosures” after your signature to indicate that there are documents attached. You might want to list the titles of the documents that are enclosed under “Enclosures:” Note the colon, which introduces further material. On a separate line, type the title of each attachment, such as “Curriculum Vitae” and “Letters of Reference.”

How to format a professional email with an attachment

The following five steps will assist you in creating an email with attachments:

1. Begin with a blank email

First, log in to your email account. Begin composing a blank message.

2. Follow simple formatting rules

Start the email with a greeting, such as “Dear Ms. Jones,” followed by a comma. After a line is left empty, type your message’s body. Similar to a business letter, you should conclude a formal email with a salutation like “Sincerely.” ” Then, type your name and title on subsequent lines.

3. Mention the attachments

In your email, reference the attached documents. For instance, you could say, “As my resume indicates, I have held this position for five years.” “.

4. Note the attachments

To draw readers’ attention to the attachments, type “Attachment:” under your name and title. If you’re applying for a job, you might write “Resume” on your application.

5. Add the attachments

Verify that the specified documents have been added before sending the email.

Why it’s important to use a specific format with attachments

When communicating with people on the job, you might need to send more than just a standard letter. In some circumstances, you might also need to submit a resume or a graph along with the letter. These additional documents fall into one of two categories:

You should always reference the inclusion of these documents in your letter and briefly describe their function and length in addition to including them. The final line of the letter’s body should be left blank. Then, end it with a closing line, such as “Sincerely. “Type your full name and your title as a professional, leaving two blank lines.

3. Mention the additional materials

Mention the additional documents in passing in the letter to alert the recipients to the attachment You might say, “As my enclosed CV demonstrates, I have 10 years of professional experience in this field,” as an illustration. ”.

Write “Enclosure:” or “Attachment:” under your name and title to indicate that you have attached additional documents. Write a brief summary of what’s inside the document on the following line. You might write “Curriculum Vitae” in a typical letter with an attachment, for example. If your letter has several attachments, list each one separately.
