Think of your first paragraph as your elevator pitch or the spiel you give to someone when you’re first meeting them at a professional networking event and are explaining what you do.

This section should include the position you’re applying for, the name of the company that’s offering the position, and a few of the main points about your experience, skills, and passions that you’re going to be talking about in-depth later on in the letter.

It may look something like this:

I’m writing in regard to the Systems Engineer position at West Tech. I have five years of experience as a Systems Engineer, and I love getting to help improve organizations by designing and maintaining efficient, secure, and reliable networks. I’ve long admired West Tech’s work in furthering computer technology , so I was excited to see this position open up.

Systems engineer cover letter body.

As a systems engineer , chances are you have or will work with a lot of people who don’t fully understand what you do. This gets more complicated since you’re the only one who understands the systems you put into place, but you aren’t the only one using them. As a result, you’ll likely have to get good at putting your expertise into layman's terms.

Most employers know this, so they want to see that you not only know what you’re doing backward and forward, but that you can communicate that to others who don’t have the same background you do.

Your cover letter is the prime place to demonstrate this, as in a single document, you can show off not only your technical skills and accomplishments, but also your communication skills .

You don’t need to (and shouldn’t) “dumb it down” for this audience like you might for colleagues who have no point of reference for what you do. Still, you need to paint a clear, easy-to-follow picture of your skills and accomplishments with your writing that shows you know how to get your point across effectively.

Here are a few tips for doing that:

Match your cover letter to the job posting. Before you start writing your cover letter, go back to the job description and look at what skills and experiences are most important to this particular employer. If you have any of them, you should highlight them in your cover letter.

If the employer wants someone who is good with Python, don’t just say that you know how to use Python, though. Think of a project you completed that demonstrates your skills with the program, and then talk about that. Hiring managers can see your list of skills on your resume : Your cover letter is your opportunity to flesh those out.

Don’t ignore your soft skills. Most systems engineers have similar technical skills — this is what makes you systems engineers, after all. However, not every systems engineer is going to make a good employee . Good employees of any expertise have soft skills such as communication, organization, problem-solving, and adaptability.

Employers use the cover letter and interview stages of the job application process to determine if candidates have these skills or not. To show that you have these soft skills, provide specific examples of how you’ve used them to create results for past employers or projects, just as you did with your technical skills.

Talk about what you enjoy about your line of work. Companies want employees who care about their jobs. Not only does this mean that you’re less likely to burn out and leave in a year, costing them time and resources, but it also means that you’re more likely to do quality work and contribute to the company culture in a positive way.

When you’re writing your cover letter, share what gets you excited about your work. If you can, relate it to the responsibilities listed in the job description to further drive home the point that this position is a good fit for you.

Talking about how you relate to the company’s mission and vision to show that you’re invested in the organization as a whole is also a good idea.

Here’s an example of some cover letter body paragraphs:

During my time working as a Systems Engineer at Monroe College, I was able to gain experience designing, implementing, and overseeing the organization’s computer systems. I also assisted students and instructors with troubleshooting their network connections in their rooms and classrooms. This required me to not only use my technical skills to find and fix problems, but also developed my communication and teaching skills . My goal in each of these interactions was to equip each person to troubleshoot as much as possible for themselves in the future, giving them a greater sense of ownership and freeing up our team for other projects. In addition, I also worked with a team to find and improve potential security and system performance weaknesses. This process allowed me to become very familiar with both Python and Linux, as well as the ins and outs of the college’s systems and hardware. These included both state-of-the-art systems and machines that were over ten years old. As someone who loves technology and has a passion for equipping others to better use their technology, I admire West Tech and your work to create training systems to go alongside your products. I’d be honored to be able to use my skills to further this organization and its mission.

Systems Engineer Cover Letter Closing Lines

Always wrap up your cover letter with a call to action and a brief paragraph expressing your thanks to the reader for considering you as a candidate.

After your final paragraph, make sure you close with a “Sincerely” followed by your signature and typed name.

This section should look something like this:

Thank you for your time and consideration. I look forward to hearing more about West Tech’s needs and how my skills might help you meet those needs. Sincerely, Nathan Voth (Handwritten signature) Nathan Voth

Tips for Writing a Systems Engineer Cover Letter

Be straightforward about your qualifications. Your cover letter isn’t the time to beat around the bush about your skills, as companies need to know that their systems engineers will produce results. If they don’t, they more than likely won’t hire you.

Plus, you’re competing for a job against other candidates who are likely just as qualified as you are. Engineering positions of all kinds tend to be competitive, so make sure the hiring managers know what unique experiences and expertise you bring to the table.

Proofread. This is an essential piece of advice for a cover letter for any position, but it’s especially important for a systems engineer.

While hiring a grammar expert isn’t necessarily what companies are trying to do, they want to know that you pay attention to detail , check your work, and even have someone else check it. If you submit a cover letter riddled with errors, it’s going to call the rest of your qualifications into question.

Talk about your education as much as is appropriate. If you’re a recent graduate or have only been working for a few years and need some more content for your letter, including your educational background can be beneficial.

Instead of just saying that you have an engineering degree, discuss what you learned and what projects you worked on in school, especially if you’re a recent graduate.

If you aren’t a recent graduate but don’t have a lot of work experience , this could be a valuable qualification to include as well. Focus on giving examples of your past work as much as possible, however, cutting out your educational background if necessary.

Also, include any relevant certifications (such as INCOSE CSEP) that add credibility to your expertise. 7. **Tailoring to the Job**: Customize your cover letter for the specific role and company. Research the company's projects and values, and explain how your skills and interests align with their work. A well-crafted cover letter expands the information you’ve provided in your resume to provide the recruiter with details about your career journey and professional achievements. It allows you to provide more context about your qualifications and accomplishments in your previous workplaces.

So, how do you pique the interest of your potential employer and recruiter all while highlighting yourself in the best light?

How to Write a Cover Letter

In this guide, we cover:

  • How best to structure a systems engineer cover letter
  • What to include in a cover letter
  • What not to include in your cover letter
  • Tips to craft a successful cover letter

What Does a Cover Letter Look Like?

A cover letter is a document that serves as the first introduction to your hiring manager. Its goal is to enhance your application. That means that you must write a unique cover letter for every job you apply for.

A great cover letter should be:

  • Specific and organized

A cover letter should also show genuine interest and passion for the advertised position. It gives the recruiter a clear idea of who you are and the values you will bring to the company.

The best systems engineer cover letter template contains five key elements:

Cover letter header

  • Cover letter greeting/salutation

Cover letter introduction

  • Main cover letter paragraph

Cover letter conclusion and sign off

Our systems engineer cover letter example offers guidance and tips on how to write your own cover letter. Remember, you must visually match your resume with your cover letter. That is, the heading of your cover letter should correlate with your resume.

How to Format Your Cover Letter

Let's get straight to the details on how to write a successful cover letter.

The header of your cover letter should include the following basic information details:

  • Your job title
  • Your phone number
  • Your professional email address
  • A link to your professional social media account, like GitHub or LinkedIn

Be sure to provide up-to-date contact information that recruiters can use to get in touch with you.

Cover letter greeting

The salutation part of the cover letter gives you a chance to catch the reader's attention. One foolproof strategy is to address them by their name. Often, when a hiring manager sees their name in the greeting, they feel like it's specifically tailored to them.

It makes the cover letter personal and might just be what they were looking for. Therefore, consider doing your research to find out the name of the hiring manager. If you're applying for a company with a more relaxed company culture, you can use the first name. If it’s corporate, it's wise to use the recruiter’s last name.

The hiring manager's name can be found on the company’s LinkedIn page or the company’s website.

What if you can't find the hiring manager’s name? Well, in that case, consider going with the standard salutation “Dear Hiring Manager”. Avoid using “Dear Sir/Madam” (unless you live in Victorian England), and definitely don’t use “To whom it may concern.”

As a huge fan of ACME Technologies LTD., I was really excited to see an open position for a systems engineer on LinkedIn. I’m confident that with my extensive background and experience of 8+ years in the industry, I can be a valuable addition to your team. I have collaborated with a team of 12 to define and implement highly functional digital systems with budgets of up to $2M.

Now, once you're done with the salutation, it's time to get into the meaty part of the cover letter. The introduction should be captivating enough that it makes the recruiter want to read more.

To get the right attention, start strong and provide details that add value to your proposal. Don’t just state that you think you're the right fit for the job. Consider adding details that demonstrate why you're the best candidate suited for that position.

Avoid fluff. Provide only facts about your work experience, qualifications, and abilities.

Main cover letter paragraph (body)

My time at Jayden IT Consulting allowed me to hone my abilities, particularly:

  • Network development and administration
  • Virtualization
  • Operating Systems

In my previous position at Jayden IT Consulting, I was tasked with finding out how clients’ private networks were breached and proposed security improvements to prevent future attacks. It’s this, among other challenges, that makes me believe I have what it takes to find the most efficient solution to whatever problems you present to me.

I am ready to embark on a new career path that offers more challenges and allows me to put my skills to use. It is my goal to continue to learn and grow throughout my career, which is what motivates me to work in your company. Being a highly organized, detail-oriented, and innovative individual, I can manage my time and projects with proficiency to ensure team success.

The middle section of the cover letter is where you’ll highlight your achievements and career highlights. To do that, you must know what the recruiter is really looking for. Therefore, go through the job description and structure your sentences in a way that shows you satisfy the company's needs.

Use this section to show your motivation and passion for joining the company. It would be a great advantage to use numbers and percentages here as it shows real results.

A cover letter ending is the final paragraph addressing the reader. Let the recruiter know that you look forward to an interview invitation to further discuss how your experience and skills will bring a positive contribution to the company.

When writing a cover letter ending, don’t use phrases that make you look needy. The recruiter knows that you need the job, so you don’t have to emphasize that here.

Lastly, avoid the cliche phrase “Thank you for your consideration.” Use a simple but effective statement like this one in our systems engineer cover letter template:

I would greatly appreciate your review of my enclosed resume. At your convenience, I am available for an interview or further discussion. As we move ahead through the recruitment process, I will be excited to share what values I bring to the team and how you will benefit from my services.

To sign off, avoid heavy jargon. Stick to “Sincerely” and follow it with your full name. Add a signature if it's required (common with formal cover letters).

Other closing salutations you can use include:

  • Kind regards,
  • Best regards,
  • With best regards,

It’s a great idea to repeat your basic information, like phone number, email, address, and LinkedIn profile below your sign-off.

Useful tips when writing your cover letter

  • Keep it short. Nearly 70 percent of employers prefer a half-page cover letter or the ‘shorter the better’ approach. Your cover letter should not exceed 400 words. Likewise, it shouldn't be less than 200 words.
  • Keep the paragraphs in your cover letter short (3-4 sentences).
  • Use simple fonts like Calibri, Tahoma, and Arial.
  • Stick to the standard business letter format – single or 1.15 line spacing.
