Yes, you can run two PowerPoint presentations at the same time from your computer. This dogged me for years until I realized how easy this was to setup in PowerPoint.

As you begin to do deals overseas, work with international clients and investors, you will eventually be asked to run two different translations of your PowerPoint presentation, at the same time on the same monitor.Ā When I was working in China, I was asked to do this all the time. That is, showing both an English and Chinese version of our deal, at the same time as you can see below.

To be clear, PowerPoint presentations by default, run as full screen slides. That is, after starting your slide show, your slides take up the entirety of your screen, monitor, or overhead projector.

The trick to running two PowerPoint presentations at the same time is to change the default behavior of how PowerPoint runs your presentations in slide show mode. That is, you need to change them to run as individual windows that you can resize and rearrange. In this way, you can present two or more presentations at the same time, on the same screen.

Presenting two or more presentations at the same time is useful when you need to:

  • Present the same presentation in two different languages (or for two different audiences)
  • Compare two different presentations side-by-side in Slide Show mode
  • Run a presentation on half of your screen, while you add speaker notes in the other half

NOTE: When running two presentations at the same time on your computer, each presentation needs to be advanced individually. On top of that, some of the presentation tools like the pen and highlighter do not work when running multiple presentations at the same time. See below for further details.

Setting up two presentations to run side-by-side

Setting up two presentations to run like this is easy in PowerPoint. Just remember to change the settings back before you send your presentation to your boss or client.

Once you change how PowerPoint runs in Slide Show mode, it remains that way until you change it back to its default.

If you send your client a deck that runs differently than they expect, I guarantee they will send it back to you and tell you that PowerPoint is broken. This has happened to be a couple of times over the years, so that is a friendly reminder for you.

1. Open the Set Up Slide Show dialog box

To open the Set Up Slide Show dialog box, simply:

  • Click the Slide Show tab
  • Select the Set Up Slide Show command

You can also shortcut the process by holding the Shift key on your keyboard and clicking the Reading Pane icon at the bottom of your PowerPoint screen.

NOTE: Ā Once you have your two or more presentations setup to run as individual windows, you can use the Windows snap shortcuts to quickly arrange the windows on your screen. To learn how to use these Windows shortcuts and more,Ā  read my guide here .

2. Select Browsed by an individual (window)

The goal of this step is to get your presentations to run in a resizable window as pictured below. This allows you to then run and resize as many presentations as you want on the same monitor.

To present multiple presentations at the same time like this, you need to change the default behavior from Presented by a speaker (full screen) to Browsed by an individual (window) .

In the Set Up Show dialog box, select Browsed by an individual window.

Once you’ve made the selection, click OK to return to the Normal View in PowerPoint.

3. Snap your two slide shows into place on your computer

In the image below, I’m using the Windows snap feature options at the top of my screen. To open these, simply click and drag your window to the top of your screen to display them.

After you have changed both of your PowerPoint presentations to run in individual windows, snap the two presentations into place, in the order you want them to display in. The easiest way to do this is to use the Windows snap features at the top of your screen. In this case, I’m using the side-by-side view.

As you do this, make sure you put the presentations in the order you want them to present in. In this case, I’ve put the English version of my presentation on the left, and the Chinese version on the right.

NOTE: You can alternatively start your slide shows first, and then snap them. Once your presentations are set to run as individual windows, is doesn’t matter which order you do this in.

4. Start your two slide shows individually

To start a PowerPoint presentation from the beginning, hit F5 on your keyboard.

Once your two presentations are set up the way you want them, all you need to do is start your presentations. The easiest way to do that is to hit F5 on your keyboard. To see alternative ways to start your presentations (including shortcuts), see my guide here .

Below is an example of two 16×9 presentations running side-by-side in slide show mode. My computer monitor is not large enough to show each Slide Show well in the 16:9 format, but you get the idea of how this works.

NOTE: There is no easy way to flip between the 4:3 and 16:9 slide sizes without messing up your presentation. To see why, see my slide size guide here .

NOTE: You can still use the PowerPoint laser pointer shortcut when running two presentations side-by-side. The laser pointer works, but only if you use its shortcut.

Advancing side-by-side slide shows

Now that you are running two or more presentations on the same monitor, your next question is going to be “Can I advance both presentations at the same time?”

Unfortunately, each slide show must be advanced on its own. There is no way to advance both PowerPoint presentations with the single click of your mouse. Instead, you need to click into each presentation individually and advance it.

NOTE: The number of Slide Show commands is limited when running two presentations at the same time. For example, you cannot draw on your PowerPoint slides , and can only use a limited number of commands in the right-click menu.

You are all set for doing international deals now! The next time you are pitching a client and your boss asked you to get two translations of your presentation running at the same time, you will know how to set it up using the Set Up Slide Show dialog box.

Just remember that when running presentations in an individual windows like this, there are a limited number of slide show commands you can use, and you need to advanced each presentation separately.

Have you ever wanted to compare two PowerPoint 2003 or 2007 files side-by-side? You’ve probably done it in Microsoft Word many times. You just open the two Word documents and drag one of them to the side.

But when you try that in PowerPoint, it doesn’t work. The entire application window moves. So how to you see both presentations at the same time?

Instead, go to View tab> Window group> Arrange All. (You can also choose Cascade and then move and resize the windows as you want.) In PowerPoint 2003, choose Window> Arrange All.

In PowerPoint 2010, you can drag the two (or more) presentation windows, like you can in Word.

Wow, why do people give advise when they don’t know what they’re talking about? don’t you understand that you are misleading people? I have come across so many posts where people give advice and are not even sure if its the right advise. This individual is simply looking for a way to view two documents side by side. Stop telling him to click view, arrange all. that does not open two documents side by side. it opens two documents within power point. Dear creativeny1, The instructions I give do work. It’s true that in 2003 & 2007, you don’t get separate windows (you do in 2010), but you can still see your presentations side by side. Try the instructions, and you’ll see that they work. I’ve tested them.

Ellen, Protech is correct. The two separate files show up side by side but you cannot go through the slides locked together in 2003. In order to view slides side by side you have to go back and forth between the two windows and move seperately. I have a peeve about the question not being understood.

Yes, but you can still see them both. This is a limitation of 2003 and the tip explained a way to see both presentations at the same time. Yes, you have to move separately in each window. Thank goodness, the latest version makes it easier.

Selina, this may be too late but here you go… Yes, you can view 2 powerpoint presentations. But, you must have 2 monitors. The answer is very simple and easy.

Open your PowerPoint file. Open your other Powerpoint file.

Now you only see the last one. Correct?

OK, go to view and click on Cascade.

Now you see both. Correct?

Adjust the files so you see them parallel next to each other>

Advice: stretch your page to the full screen so you can enlarge your text for better view.

So, from what all are saying, it is impossible to view two documents side by side without having two monitors? I have presentations in english and spanish I like to side by side but it takes me hours to cut and paste each paragraph in each language, arrange font, etc., etc. YOu would think they would have come up with a way to do this by now. What if you want to see two slides of the SAME FILE next to each other, just like you can do this in MS-Word?

Thank you all. I found the solution. so simple.

Open a Power Presentation document.

Go to view click on Cascade adjust your document to fit on one side of the window as it now spreading all over the current window, leaving space for your next document.

Open your next document, you will see it overlapping the adjusted first document.

adjust this last document to fit on the other side of the window.

Now you have two documents side by side.

You open more and more if you can view them all at once.

If not clear please let me know.

Comparing two PowerPoint 97 .ppt files in WindowsXP. Open two (or more) .ppt files. Hit ctl-F5. Resize & reposition desired. Alt-V + D to see Slide Sorter. I do it all the time. Lesky

My mistake, I’m using WinXP with PowerPoint 2003. But I think I used to do it with PP 97.

When I hit “arrange all,” the ppts show up off-set about 1/2 inch to the right side of the screen. I have to manually move each one over that 1/2 inch before I can see all of both ppts. This has been the case for me for the last several versions of ppt. (Currently working in Office 365/2016.) I can’t find this problem mentioned any where on the internet. Any clue what I’m doing wrong?

I don’t have that experience. Are both files maximized before you arrange them? It could be an issue with the resolution or monitor display setting, too.

Two methods, to accomplish two different things.

1) Two simultaneous slideshows, both in full screen

It is possible to have two ppt slideshows running in parallel on a laptop, so you can switch between them without exiting the actual slideshow view.

It is actually quite trivial : open the two presentations, launch slideshow for the first one, with alt tab cycle back to the PowerPoint window (the icon of the slideshow is more white with red accents, and the icon of the PPT window is red with white accents; the title of the slideshow window also says "PowerPoint Slideshow"), and then select the second presentation, launch slideshow again. With alt tab it is easy to cycle between the two slideshows.

2) Two simultaneous slideshows, both showing together in half of the screen

It is also possible to show two slideshows next to each other on the same monitor (although that gives your obviously quite some black space on your window if they are in landscape, but it works quite nicely if they are in portrait). This works in PPT 2013 and later, but not sure about earlier version.

Go to "Slideshow" menu, click on "Set Up Slide Show", under Show Type, select "Browsed by an individual (window)", click "OK". If you now put your presentation in Slide Show view (F5 or click on icon), the Slide Show will be viewed in the actual Power Point window (so contrary to the standard/default Slide Show view, which opens in a new full screen view). So you now can resize the window as you want. If you now do the same for the second presentation, you have two Slide Shows open. ( source )

You then can use the neat Windows 10 trick to drag the one window to one side, so it automatically occupies half of the screen, and then you can select the second one to have them both side-by-side, each on exactly half of the screen. Or you can resize the two windows manually.

How to Compare Two PowerPoint Presentations

Microsoft PowerPoint is widely used for creating slideshow presentations in business and education . But how do you compare two versions of a presentation? And is there a way to flag edits in a PowerPoint file? Let us introduce the Compare and Comment functions in PowerPoint.

The Compare Function

You may need to compare two versions of a PowerPoint presentation to see the differences between them (e.g., if a colleague has edited it directly without noting the changes). And the quickest way to do this is with PowerPointā€™s built-in Compare function. To use this:

  • Open the original version of your presentation.
  • Go to Review > Compare .
  • Click Compare to open a browser window.
  • Select the edited version of the presentation and click Merge .

You will then enter Review Mode . This will open the Reviewing Pane , which shows a list of all edits in the presentation at the right of the screen.

Lists of revisions

  • Slide Changes ā€“ A list of edits on the current slide.
  • Presentation Changes ā€“ A list of changes made to the presentation as a whole.

Clicking the edits in either section will take you to the relevant part of the presentation and bring up a list of individual changes. You can then review each edit in turn:

  • Select an edit from the list to view it, or selectĀ  All changes toā€¦ to see all edits from part of a slide (e.g., every change made in a text box ).
  • To reject an edit after youā€™ve viewed it, simply deselect it.

Finally, when youā€™ve finished reviewing edits, click End Review .

All selected edits will then become part of the open document, so donā€™t forget to save it after reviewing.

Commenting on a PowerPoint Presentation

If you are editing a PowerPoint presentation, rather than relying on the Compare function, you can track changes between versions using the Comment tool . To do this:

  • Place the cursor at the point of the edit or issue you want to highlight.
  • Go to Review > Comments and click New Comment .
  • Add your comment text in the Comments pane.

You can then view comments either via the Comments pane or by clicking the comment icons within the presentation. And you can delete comments by clicking the āœ˜ icon in the Comments pane or by right clicking the comment icon on the slide and selecting Delete Comment .

You can also reply to comments in a PowerPoint presentation. To do this:

  • Select a comment or click Show Comments .
  • In the Comments pane, click Replyā€¦
  • Add your response to the original comment.

Reply to a comment.

You can then repeat this process to reply to a reply on a comment (and so on). This can be useful if a presentation goes through several rounds of editing, as it allows each editor to provide feedback. And donā€™t forget to have your work checked by a professional to ensure itā€™s error free.

Two PowerPoints may truly be better than one in some cases. When you want to proof an employeeā€™s changes to a training document, it can be a hassle to try to open one presentation, review it, close it, open another and then try to compare. Having two presentations open in separate windows also lets you transfer details ā€“ and even entire slides ā€“ from one to the other with both open at the same time. Opening multiple PowerPoint presentations in separate windows works the same way as opening a single slideshow.

Launch PowerPoint from the icon on your desktop or network. The software opens with a blank presentation started.

Click the ā€œFileā€ tab, click ā€œOpen,ā€ browse to the first presentation and double-click its file name, which opens it in the window. If you are working on dual monitors, drag this presentation to the other screen.

Double-click the PowerPoint icon again. Note the bar at the top of the screen shows ā€œPresentation2,ā€ meaning itā€™s the second of the two open presentations.

Click the ā€œFileā€ tab, click ā€œOpen,ā€ browse to the second presentation and double-click its file name, which opens it in the window. If you would rather this presentation be on the secondary monitor, where applicable, drag it to that screen, then re-drag the first presentation to your primary monitor.

Edit the presentations as desired. Click the ā€œFileā€ tab on each and follow through with the saving process. To overwrite each older presentation, click the ā€œSaveā€ option. To save new versions of each PowerPoint, click the ā€œSave Asā€ button, rename each file, then click ā€œSave.ā€

  • Where possible, avoid opening the same PowerPoint presentation in separate windows. While PowerPoint will open one in “read only” status, you may lose valuable changes and edits on one of the versions of the slideshow.
  • These instructions apply to Microsoft PowerPoint 2010. Earlier versions of PowerPoint may operate differently or not allow two iterations of the software to open in separate windows.

Setting video to play "Automatically" in the ribbon sets the videos to play "After previous" by default ( ie one after the other.) Open the Animation pane from ANIMATION tab and set both to "With previous" see if that helps. www.pptalchemy.co.uk.
