Important Dates and Reminders

First Housing Contracts Offered | University Housing and Dining

The first housing contract offers for on-campus residence halls and Dobie Twenty21 are emailed. Housing contacts will continue to go out on the first and fifteenth of each month. Visit  housing.utexas.edu  to learn more about housing options and the application process.

LLC Applications Open | University Housing and Dining

Living Learning Communities (LLCs) application pages open in the housing portal. LLCs are residential communities that introduce and integrate academic and social learning through faculty/staff involvement and holistic education. While students are not required to live in an LLC, it is a great opportunity for students looking to specifically build community within their residential area. Students living in LLCs live together in the same area of a residence hall and share experiences that reinforce the theme of their LLCs. Learn more at housing.utexas.edu

New Student and Family Orientation Registration Opens | New Student Services

Registration opens for New Student Orientation & Family Orientation. Learn more about both programs on our website newstudentservices.utexas.edu/orientation.

Important reminder: they are separate programs and require separate registration. Students participate in their orientation program alongside their peer Longhorns. Parents/families will have opportunities to meet and engage with other parents/families during Family Orientation.

June 3 

Room assignment process begins for on-campus Living Learning Communities (LLCs). If your student applied and is accepted to an LLC, the housing team will assign their room. Online room selection also begins for students eligible for Honors Housing planning to live in the Quad (Andrews, Blanton, Carothers and Littlefield).

June 10 

Online room selection begins for on-campus residence halls. Room selection timeslots are assigned prior to June 10 in housing application date order. If your student is paired with a roommate, the student with the earlier room selection timeslot will select the room assignment for both students in the roommate pair based on available space.

July 1 

Mooov-In check-in scheduler opens in the housing portal for the on-campus residence halls and Dobie Twenty21. Students can change rooms themselves in the housing portal through the room swap page until July 31. Available rooms change throughout the month as students move to different spaces so continue checking and your student may see new options. If your student and their roommate would like to move together, both need to select the same room to move to. Your student won’t lose their current room until they select a new room.

July 31 

Last day for students to adjust their room assignment through the room swap page in the housing portal .

Early August  

Students living in on-campus residence halls receive their housing bill on the My Housing page . The first payment is due by the 12th class day of the fall term.

Start Early! Immunization and Medical Clearance Requirements

All incoming students are required to comply with UT Austin's immunization and medical clearance requirements. These requirements must be met before students can register for classes. They play an important role in maintaining a healthy campus environment. Finding a Roommate

Finding a roommate to live with during college can be exciting and even a bit scary. This is a person that you will be sharing a space with for an entire semester or school year. Taking time to find someone who you can get along with is an investment in your happiness in the long term. Rather than saying yes to the first person who contacts you, pause and consider the tips below to evaluate if this person is a good match for you. 

  • As you begin your search, reach out to your network . Maybe you have a friend that is also looking for roommate or your friends can refer someone they know to you. There are no guarantees that living with a friend or a friend of a friend will be a good roommate match, but it does up your chances of getting a better picture of who you are about to live with.   
  • Get the news out there. Use the Roommate section on the Off-Campus Housing Finder to post your roommate profile and to view other students' profiles. Some students have found a roommate by searching Facebook groups. The official UT Austin class Facebook groups as well as the transfer student Facebook group are a great place to start. Just be sure to do some homework because these people will likely be complete strangers to you. Be careful with what information you post online.  
  • Get to know perspective roommates and hold interviews.  Simply asking someone about their social habits, when they wake up, and cleaning habits can help you weed out roommates you know you would not enjoy living with. If you are the one answering the request for a roommate, you could suggest getting together for coffee or a phone call to get to know each other before signing a lease.   
  • Talk about the tough stuff early on.   Some might find it uncomfortable talking about money whether it is someone they know well or with strangers. Being open about the costs of rent and bills as well as your expectations on how to pay them is important. Setting these expectations can save you awkwardness and headaches in the long run. You can get some ideas of what to talk about with your potential roommate by checking out our roommate agreement .   
  • Research, research, research. Just because someone seems like your perfect roommate doesn't make it true. Interviews and first impressions are important, but solely relying on them to tell you who they are might not be the best idea. Don't be shy to ask them for a few references that you can call. Ideally these would be people they have lived with in the past but they could be coworkers or friends as well. Friend them on social media or see what they have posted publicly to see who they are in their day to day life.

All students enrolled in The University of Texas at Austin are eligible to live in University-owned housing. Students are not required to live on campus and may choose to live on or off campus. Freshmen are encouraged to consider living in University residence halls. The experience of many students indicates that adjustment to University life is often easier for those who live on campus. Research indicates that students who live in residence halls are more fully involved in academic and extracurricular activities, earn higher grade point averages, more frequently exceed predicted levels of learning and personal development, and more frequently complete their college education within four years, as compared to students who live off campus.

A brief description of university housing follows. More information about housing is available  online  and from The University of Texas at Austin, University Housing and Dining, P O Box 7666, Austin TX 78713-7666. Institutional rules regarding university-owned residences are listed in  Appendix C, Chapter 5. University-Owned Residences .

Applying for housing in University residence halls.  Students may apply to live on campus after they have completed the admission application. Contracts are offered to students who are admitted to the University; incoming freshmen must be admitted and have paid or satisfied the enrollment deposit. More information about the housing application process is available  online . Housing is not guaranteed for students.

University-owned residence hall for men.  The University residence hall for men is Creekside Residence Hall, which can accommodate approximately 200 students.

University-owned residence halls for women.  The University residence halls for women are Kinsolving and Littlefield, which can accommodate approximately 900 students. Freshmen women who apply for housing with Littlefield as their first building choice are given priority consideration for assignment to Littlefield.

University-owned residence halls for men and women.  Jester Center, Whitis Court, San Jacinto Hall, Almetris Duren Hall, Brackenridge Hall, Prather Hall, Moore-Hill, and Roberts Hall accommodate approximately 5,500 students. Andrews, Blanton, and Carothers honors residence halls accommodate about 500 students.

University-owned apartments. 2400 Nueces, located off-campus in the west campus area, is open to undergraduate students who have completed at least 30 semester hours of coursework. More information about 2400 Nueces is available online . The University Apartments, located in off-campus areas that have shuttle bus service, are open to graduate and undergraduate students who have completed at least 30 semester hours of coursework, including those with families. Gateway Apartments and Colorado Apartments have approximately four hundred air-conditioned, unfurnished units; Brackenridge Apartments have approximately three hundred one-, two-, and three-bedroom, air-conditioned, unfurnished units. Rates for Colorado Apartments include gas and water. Rates for all other units include only water. Residents pay for electricity in all units. Privately owned housing.  A wide range of privately owned housing is available for men, women, and families in the University community. Arrangements for living in these residence halls, rooming and boarding houses, cooperative houses, apartments, and private homes are made directly with the management of each residence. The University maintains a  website  that includes links to other housing and real estate listings.

The University accepts no responsibility for the terms of rental or the accommodations offered and will not be a party to the enforcement of contracts between students, parents, and landlords for privately owned housing.

Room Use FAQ

Room use and event planning faq.

Below is a list of commonly asked questions about using LAITS rooms and event planning.  For help in planning a conference or other large event, visit the CoLA Business Affairs  Conference Procedures  page.

RESERVATIONS

Room requests are prioritized in order to maximize use by College of Liberal Arts departments and units.  This system allows occupants housed in RLP to have first priority.  Requests from other CoLA units with CoLA events will have second priority.  Requests that fall outside these parameters will be reviewed after all CoLA requests have been processed.  Unscheduled emergency maintenance shall supersede all other uses and be considered the highest of priorities.  Determination of the eligibilty, priority, and categorization of each facility reservation request shall be made by the RLP Reservation staff.

There is no fee for room use or introductory tech support. Users requesting the presence of tech support throughout their event will be required to pay a fee for tech support services. Events requiring the submission of a work order will have to pay for cleaning services.

An online reservation form is available to walk you through the reservation process.  All requests should be submitted through the  online reservation request form .

Because only Liberal Arts faculty and staff may use BUR 214 and RLP, reservation requests will need to be submitted by a Liberal Arts faculty or staff member with an active appointment in CoLA.  Courtesy appointments should work directly with their CoLA unit.

BEL 214 and rooms in RLP are available to CoLA faculty and staff only.

Co-Sponsoring an event with a non-CoLA unit means that the CoLA faculty or staff agree to provide all event support, encforce the  Acceptable Use Policy , as well as maintain a presence during the entirety of the event.  Any event held in RLP or BUR 214 must be related to the academic goals of the College of Liberal Arts and the University.  Co-Sponsoring also means the CoLA representative will be present during the entire event and will ensure that all departments involved in the event follow the Acceptable Use Policy before, during, and after the event.  Further, the CoLA representative agrees to act as the event planning/coordinator on behals of the event and will serve as the single point of contact between the reservation staff and the event. 

LAITS meeting rooms are not available for student groups. CoLA student groups are encouraged to reach out to the  CoLA Student Affairs team  to reserve the  Wagner Student Workroom in the DIES Student Center . All student groups can reserve spaces through the  Office of the Dean of Students .

Rooms in RLP are not available for office hours or review sessions or study sessions. Faculty requiring such space should work with their department or the Registrar’s office to find a room for office hours or review sessions.

Reservation requests are processed based on the following calendar*:

  • Spring semester – first business day in September
  • Summer Semester – first business day in January
  • Fall Semester – first business day in April
  • Conference, professional/annual meetings, and symposiums with  more than 75 attendees  may request space up to 9 months in advance of the event.
  • *RLP  1.302A and F reservation requests are processed following the semester schedule and will not be included in the 9 month lead time for events.  

All events must take place within the days and hours of Monday – Friday, 6:30 am to 11:00 pm. Saturday – Sunday, 8 am to 9 pm.

Evening, weekend, or holiday reservations can be made; however it is the responsibility of the department to unlock the doors for their event as well as ensuring the room is locked following the event.  (See also, "How do I make sure the room is unlocked?")

With permission, you may still be able to hold your event. However, please be advised that there will be no staff on premise to help with facilities request such as unlocking doors or equipment failures. Holding an event when the university is closed becomes the sole responsibility of the room user.

You should receive a response to your request within 5 working days or less.

Contact the  Recreational Sports  for access to the Gregory Gym Pool.

Reservations should include only rooms that will house event participants. Building staff reserve the right to determine that a room is not being used by an event, and may reschedule the use of that room. In RLP, rooms may not be reserved for the purpose of "closing off" the Conference Center to use by other events, or to ensure use of the lobby and/or patio.

General purpose classrooms, located on the 1st and 2nd levels of RLP may be reserved through the  Office of the Registrar . The RLP reservation staff cannot reserve general purpose classrooms, or space for use by student groups. (See also "Can a student group use these rooms? ")

First time users are encouraged to tour the space on their own at any time, provided they are mindful of ongoing events.

ROOM ASSIGNMENTS AND ROOM USE

We make every effort to accommodate room preferences. However, rooms are assigned for best-use, based on expected attendance and any special media or furniture needs. Some groups have priority in specific rooms. In these cases, the rooms will not be reserved to calendar capacity in order to accommodate the priority groups and other meetings.

RLP Reservations reserves the right to assign rooms at the last minute.  For this reason, you may only use rooms for which you have a reservation.

You may access the kitchenette. The lobby is the only entrance to the center and may be used only with permission from reservation staff (See also "Can we use the lobby for our event?"). All event activities must take place entirely within the reserved room(s). This includes activities such as registration, materials, distribution, eating, and/or displays.

The lobby area of the Julius Glickman Conference Center may not be used for food or other setup unless there are no other events going on in the Conference Center during your event.  No furniture in the lobby should ever be moved without prior permission from the reservation staff. Repairs for any damage to the furniture in the lobby area will be responsiblity of the group using the space.

Yes, as long as you request the use of the patio and include details of how you would like to use the outdoor space. The patio doors are usually locked unless otherwise requested. The reservation staff will ensure the alarms on the doors leading to the exterior patio area are set to be off during your event. Setting off the alarms on these doors will alert UT Police and your department could incur fines for setting off the alarm.  The doors leading to the exterior of the building may never propped open. RLP has a very delicate climate control system and the humidity will result in a failure in the HVAC system for the building.

EVENT SERVICES

RLP LAITS staff is available between 7am to 6pm Monday through Friday to help with facilities or equipment related problems in the RLP building. Contact  RLP Help Desk  for technical support, and the  reservation staff  for facilities issues.  For support outside of regular business hours, please contact UT Facilities Services at (512) 471-2020 or LAITS Classroom help desk at 512-232-5400.

Administrative support and assistance is not available for any event and there are no public facilities or faxing and copying of material available within the building.

For facilities issues after hours, please call the UT Facilities Services at (512) 471-2020.  This call center will take your information and dispatch the appropriate response team if necessary.

For technical issues after hours, please call the LAITS Classroom help desk, 512-232-5400.  Telephone support hours are from 7am to 6pm, Monday through Friday.

Event Support and Moving Service  can assist with a large array of additional items and personal support.

EVENT PREPARATION

See the Event Support and Moving Services  Event Planning Request form .

LAITS meeting rooms have very limited storage space, and rooms may not always be available for storing items. While we will make every accommodation possible, users should not anticipate the use of a room for storage prior to their event time. Users must take sole responsibility for any items stored in rooms prior to, during, and after an event. RLP cannot be held responsible for the theft, misuse, or damage of these items.

The Julius Glickman Conference Center has a small kitchenette that may be available for the storage of some food items. All food must be removed immediately after your event. Users are solely responsibility for all alcohol served on campus. See also " Can I serve alcohol during my event? ". RLP cannot be held responsible for the theft, misuse, or damage of these items.

WORK ORDERS

Work orders for cleaning services are required for events with over 20 attendees that serve food and/or beverages; and for events held on weekends or holidays. (See also "I don’t have a work order number, can I still submit a request?")   You may request cleaning services through the  Event Support and Moving Services  section of UT Facilities.

Yes. If a room is available for your event, your request will be tentatively approved until we receive a valid Work order number.  You will receive final confirmation that your request is approved after receipt of a valid WO. EVENT ACTIVITIES AND ENTERTAINMENT

Users may use their own discrention for deocrating.  However, please do not tape or take anything to the walls or glass withour prior permission.   Candles are not permitted at any time.

Live music may be approved depending on the time of the event. All music must be kept at a reasonable level throughout an event so as not disturb or interrupt classes or other business during general daytime work hours.

ADVERTISING EVENTS

Members of the UT comminity may register their event with the  UT Events Calendar .

Yes, you may post signs about your event on any of the public bulletin boards around RLP.  You may not tape any items to any of the walls or glass in the building, including the rooms in the Conference Center.  If you have a sign that you would like put up in the Conference Center, please contact Building Management who can help find a solution. 

BUILDING INFORMATION

RLP is located at 305 E. 23rd Street, Austin, TX  78712

RLP is open to the public Monday – Sunday, 6 am to 10 pm. RLP is closed on holidays.

LAITS staff is available between 7:30 am – 7 pm Monday through Friday to help with facilities or equipment related problems.

Each room may have a different furniture layout and set-up.  For more information about what furniture and equipment is available in specific room, see  individual room descriptions .

RLP does not have additional spaces to store furniture during an event.  Users should anticipate that any additional furniture already in your room, but not needed by your event, should stay in the room.  The tables can be easily folded and stored in the corner of the room.  Chairs are easily stacked and stored within the room.   Equipment located on the table or desk, such as the computer and document camera, may not be disconnected and removed.

Apart from what is already within the room, nothing will be provided such as 35 mm slide projectors, overhead projectors, additional chairs, computers, extension cords, tables, easels, etc.  Items from other rooms or spaces within the building may not be relocated.  Equipment located on the table or desk, such as the computer and document camera, may not be disconnected and removed.

No. The conference center tables and chairs may never be rolled outside. You will need to request tables and chairs from  Facilities Services Event Planning .

Event Support and and Moving Services can help with tables, tablecloths and/or skirts, chairs, podiums and lecterns, coat racks, stanchions, tableware, stages & conductors boxes, flags & banners,  plants, easels, poster stands, trash cans, custodial services, unlock /lock rooms, water, additional electrical sources, etc.  A full list of services is available at the  Event Support and Moving Services website .

FOOD AND DRINK

There are no restrictions on caterers in the LAITS meeting rooms.  Events that are catered are required to submit a copy of a Work order for cleaning services immediately following the event.  Cleaning requests following events can be made through  UT Event Support and Moving Services .

The general rule on campus is that alcohol may not be served or consumed on campus, unless it is a special event approved by the Office of the President. To request an exception to be able to serve alcohol at a special event, contact the  Provost's office  to begin the application process.

When using the Julius Glickman Conference Center, caterers should stage in the small kitchenette.  Users are responsible for discussing their catering concerns with the reservation staff to best determine an appropriate staging area.  It is not policy for reservation staff to reserve a large room just for caterer staging.

The RLP loading dock is available to authorized personnel only.  In most cases, deliveries for events in RLP should use the access ramp located on the northeast corner of the 0 level (along the circle drive).  Elevators located at this level have access to meeting rooms in RLP, and do not require access permissions.  Caterers who use the loading dock without prior approval are at risk of being locked inside the loading dock until the next business day.

EQUIPMENT AND TECH SUPPORT

Should an issue arise in RLP during regular business hours, contact the RLP Classroom support team located in RLP 1.214 or at 232-5400.  Tech support staff hours are 7am to 6pm, Monday through Friday, during the Fall and Spring semesters and 8am to 5pm, Monday through Friday, during Summer sessions.

Events may purchase  guest access to the UT WiFi  through the  Campus Computer Store  using a ProCard or purchase order.

Equipment located on the table or desk, such as the computer and document camera, may not be disconnected and removed.

DOORS, BUILDING ACCESS AND SECURITY

You should pick up a key from the RLP Classroom Help Desk (RLP 1.214) prior to your event.  If your event is on the weekend, you may check out a key Friday afternoon, and return first thing Monday morning.

Call 512-471-2020 on the weekend, holiday, or after hours to contact UT facilities and request the door be opened for you. You may be required to show proof that you have the room reserved for an event.

The doors to the conference center are set by a timed access system.  The doors are unlocked beginning 10 minutes before the start of the day’s events, and will lock 10 minutes after the last scheduled event.  Be sure to include set-up and clean-up time in your event request so that the locks can be programmed accordingly.

Requests to unlock the exterior doors in the conference center should be included in the notes of the reservation request form.

An alarm will be sent to the UT Police who will respond and investigate.  This could result in a fine for your department.

Most likely a door was propped open when the BACS lock was enabled (the light was red).  Forcing a BACS door open or propping the door open when the BACS is enabled will cause an alarm. This could result in a fine for your department.

All fees charged by UT Police for responding to false alarms will be the responsibility of the scheduled or unscheduled activity that caused the alarm.  It is the users responsibly to ensure that all event participants have left the conference center by the time the BACS alarms are activated.

Security services can be requested through UTPD ( http://www.utexas.edu/police/securityrequest/ ).

The doors leading to the exterior of the building cannot be propped open. RLP has a very sophisticated climate control system that will be affected by changes in humidity and may result in a failure in the HVAC system for the building.

The RLP loading dock is available to authorized personnel only.  Deliveries for events in RLP should use the access ramp located on the northeast corner of the 0 level (along the circle drive).  Elevators located at this level have access to meeting rooms in RLP, and do not require access permissions.

PARKING AND TRANSPORTATION

A small number of 30 minute loading zone spaces are located on the east side of the RLP building and are available on a first come, first serve basis. Handicapped parking is available on Speedway in front of Gregory Gym. All other parking questions for events should be directed to  Parking and Transportation Services .

EVENT BREAK-DOWN AND CLEANING

Cleaning and breakdown time must be included in your reservation request. Rooms are often scheduled with events adjacent to one another; therefore last minute requests for additional clean-up may not always be available.

Pictures and diagrams of the room’s furniture layout are available in each room.  Please refer to these drawings when resetting a room.

You will receive a request from the reservation staff to return to the room and reset the furniture as depicted on the drawings located in each room.  Failure to reset the room in a timely manner may jeopardize your future use of LAITS meeting rooms.

Cleaning is the responsibility of the users, and must be done immediately after an event is over.  All rooms must be reset and trash removed from the facility.  Users should plan to bring garbage bags to ensure that garbage removal does not become a problem for subsequent users.

In order to accommodate events that may be scheduled early the next morning, all rooms must be re-set and cleaned immediately following your event.  Failure to properly clean and re-set the furniture of a room may jeopardize your future use of LAITS meeting rooms.

Large trash receptacles are located inside the loading dock of RLP. You may access these bins through the service drive of RLP. If the loading dock is closed, it is the responsibility of the user to remove the garbage from the area.

UT Event Support and Moving Services can help with set-up and the resetting of furniture. A full list of services is available at  their website . It is the responsibility of the user to make sure all of the furniture is reset according to the photo and diagram shown in each room.

For students at UT Austin, the housing search process can be extremely stressful, especially if it’s your first time navigating student living in Austin. It can be especially intimidating to learn that some students secure housing well over a year in advance of move-in.

One aspect of the student housing search that many find stressful is deciding how many roommates you will have and who they will be. 

There are plenty of reasons you might have difficulties finding roommates. You might be an incoming freshman or transfer student ready to make new friends. Maybe you don’t have enough roommates in mind to fill all of the bed spaces in the floor plan you really love. You might even just be ready to switch up your living situation.

At the Rambler leasing office, we receive many questions about what to do if you don’t already have roommates in mind. Luckily, at Rambler, like many apartment complexes in West Campus, we offer roommate matching services to pair you with roommates.

A Student’s Guide to Roommate Matching at the University of Texas at Austin

Roommate matching is a service where you are assigned roommates by the property, rather than signing for a full unit with a group of predetermined roommates. 

Roommate matching allows you to sign an individual lease for your particular bed space in the unit type of your choice without having to worry about finding roommates to fill the other bedrooms. For example, if you sign a lease in a three-bedroom apartment, you aren’t required to search for two more roommates. The apartment will be responsible for leasing those rooms and assigning your roommates. Plus, you won’t be financially responsible for the extra rooms if the apartment management doesn’t fill those spaces.

Plenty of students at UT Austin take advantage of roommate matching because it’s the simplest choice for their situation. No matter the reason, roommate matching can be a helpful service that eases some of the pressure on students searching for housing.

At many college apartments or dorms, random roommate assignments are truly “random.” However, at some apartments, like Rambler, roommates are assigned based on a combination of lifestyle compatibility and floor plan availability.

Most student apartment applications include a section of “lifestyle questions” that ask about things like your cleanliness and sleeping schedule. This portion of your application is then used to match you with roommates.

At Rambler, you’ll see these questions on your application, specifically for roommate matching purposes. It’s extremely important to be honest when filling this out so that our leasing staff can get a good feel for your personality and lifestyle.

Because Rambler’s roommate matching form is such a crucial part of our matching process, we even send it out a second time before move-in to ensure you’ve filled it out as accurately as possible. Remember, the more honest you are, the easier it is for us to make you a compatible match!

Rambler’s ultimate goal is to help you find the most compatible roommate match possible.

It depends. We do our best to find roommates who have the most in common, but it depends on the pool of potential roommates that we have available. The primary factors we look at are:

  • Cleanliness
  • Classification

Because the Rambler team is constantly receiving new roommate compatibility forms, we are also constantly adjusting our matchups of which future residents might make the best roommates. 

Matches aren’t finalized until Rambler is fully leased. This way, we have all potential pairing options available and are able to match you with your most compatible roommate. For privacy reasons, we must wait to release roommate assignments and information until everything is 100% finalized. At the time of publication, we anticipate that roommate matching results will be released during the summer before move-in.

Finding out who your new roommates are is one of the most exciting parts of moving into a new apartment, and we understand that you’re eager to get to know them! The Rambler team is just as excited, so we will share your future roommates’ information with you as soon as we can.

  • Study rooms in the PCL Scholars Commons are for graduate students only.
  • A group is defined as two or more students.
  • These rooms are intended  only  for collaborative study, not meetings, classes, or any other related uses.
  • Presentation Practice Rooms are intended for use by groups that need to use the media provided.
  • Group Study Rooms and Presentation Practice Rooms are available for reservation only when hosting the Libraries  location is open .
  • Each reservation must be made on the hour or half-hour and be at least 1 hour (60 minutes) in duration. No more than 4 1-hour reservations may be made within one 24-hour period.
  • Reservations are limited to 4 hours total per EID per week. To reserve a room for longer than 4 hours or make multiple reservations exceeding 4 hours in a given week, another individual from the group must use their EID to make the reservation.  (A one week period is defined as Sunday through Saturday at midnight.)
  • A group that is more than 15 minutes late forfeits the reservation.
  • An individual may use a Group Study Room or Presentation Practice Room, but  only as a walk-up  if no reservation is currently in place for that room. Rooms may not be reserved for individual study. 
  • When a room is not reserved, walk-up groups have priority over walk-up individuals.
  • Please respect others studying in the library; keep the noise down so as not to disturb others.
  • Clean up the room before you leave so that it is ready for the next group. 
  • The Libraries reserves the right to limit future Group Study and Presentation Practice Room use if the system is abused.

  • Library group study rooms are NOT available for class meetings, review sessions or extended office hours.

How to Get an R Permit

2023-24 r permit timeline.

* University  Housing and Dining  will send out an email inviting dorm residents to participate in the R Permit Waitlist.

Do I qualify for an R permit?

If you are a UT Austin student living on campus in a dorm or residence (i.e., with a University Housing and Dining (UHD) contract), you qualify for an R permit. If you are a future dorm resident, you qualify for a future R permit once room assignments are made by UHD. Fall semester room assignments are typically made some time in mid-July.

Ok, I qualify. Now how do I apply for an R permit?

You can get an R permit for the 2023-24 academic year through either the Waitlist Selection or Open Sales.

Waitlist Selection

The Waitlist Selection process is best if you want to get a permit for a garage that will be unavailable during Open Sales. The following garages are typically unavailable during Open Sales:

  • Brazos Garage (BRG)
  • 27th Street Garage (TSG)
  • Speedway Garage (SWG)
  • San Antonio Garage (SAG)
  • San Jacinto Garage (SJG)

For a chance to get into the above garages, follow these steps:

  • After you get your  room assignment  from University Housing and Dining (anticipated for July 13 for the fall semester), you will automatically get an email with instructions on how to enter the R Permit Waitlist. Make sure to follow the instructions and enter the waitlist before the July 24 deadline.
  • Click the link in the R Permit Waitlist  email you received and log on with your EID (university electronic identification issued during orientation) and password.
  • Enter up to three choices for garages where you want to park (check out  recommendations for garages  closest to your dorm). You should also enter your vehicle information including license plate, make, model, and color for any vehicles you may be driving.
  • Another email will be sent with R permit offers to those picked from the waitlist.
  • Make sure to follow the payment instructions and deadline posted in the R Permit Offer  email. To secure your space, payment must be received to PTS prior to the deadline stated in your email. Payment may be mailed or paid by credit card online.

The following garages have historically been available during Open Sales:

  • Guadalupe Garage (GUG)
  • Trinity Garage (TRG)
  • Health Center Garage (HCG)
  • East Campus Garage (ECG)

To purchase a permit for an available garage during Open Sales, log into  My Parking Profile  with your UT EID and password beginning August 8. Follow the steps in the  Student Permit Renewal & Purchase Instructions  to purchase the permit of your choice.

The Nueces Garage R permit is only available to residents of the 2400 Nueces Apartments and the Dobie 21 Tower. Once your contract is active and your parking profile reflects your resident status the permit will be available for purchase.

What if I didn't get the email to enter the R Permit Waitlist?

You will not get the email until after room assignments are made. If you have received your room assignment and still did not receive an email on entering the R Permit Waitlist, enter the waitlist online through  My Parking Profile .

What if I entered the waitlist and didn't get an R permit offer?

While we can't make guarantees, over the past several years, we have been able to make some type of garage permit offer to everyone who enters the waitlist. You may not get your first choice but we typically make offers in the general area of your housing.

What are my chances of getting into the garage I want?

Returning students have priority over incoming students in the selection process but the selection within the returning or incoming student groups is entirely random. While this waitlist is weighted toward returning students, there should be spaces rewarded to incoming students as well. We highly recommend that you make multiple choices during the waitlist entry period to increase the chance of getting a parking assignment in the area close to your dorm.

  • Highest Demand Garages / Least Likely to Get -  Brazos Garage (BRG)  and  27th Street Garage (TSG)
  • High Demand Garages / More Likely to Get -  Speedway Garage (SWG) ,  San Antonio Garage (SAG) , and  San Jacinto Garage (SJG)
  • Historically Available Garages / Most Likely to Get -  Guadalupe Garage (GUG) .  Trinity Garage (TRG) ,  Health Center Garage (HCG) , and  East Campus Garage (ECG)

Each year, we offer approximately 425 spaces in BRG, 50 in GUG, 75 in SAG, 55 in SJG, 150 in SWG, 400 in TRG, and 200 in TSG.

What if I missed the waitlist entry period?

You can still get an R permit if you missed the initial waitlist selection. During open sales, remaining R permits are on sale through  My Parking Profile . We typically have remaining space in  Guadalupe Garage (GUG) .  Trinity Garage (TRG) ,  Health Center Garage (HCG) , and  East Campus Garage (ECG) . Sales for these garages are ongoing throughout the year.

What is the cancellation policy? Application: If you would like to cancel your application at The Callaway House Austin please notify us in writing of your intent to cancel. If you paid a Security Deposit, this amount will be refunded to you via check within 30 days. All other fees paid during the application process are non-refundable. Lease: BEFORE MAY 1ST: a.) Denial of admission to Austin Area College or University If the student has been denied admission to Austin Area College or University, a copy of the “Applicant Information Profile” page in the student’s online account must be provided to The Callaway House Austin within five (5) business days of receipt. b.) Decline of acceptance to Austin Area College or University If the student declines acceptance to Austin Area College or University, a copy of the “Applicant Information Profile” page in the student’s online account must be provided to The Callaway House Austin within five (5) business days of declining acceptance. AFTER MAY 1ST: If your request to cancel your Lease Agreement does not fall within the provisions of the cancellation clause, your request to cancel your contract will be considered a “relet”.  You must request to relet in your Resident Portal in order to be placed on the relet list.  Relets will be assisted on a first-come, first-served basis.  Manager reserves the right to utilize the waitlists to fill required cancellations before any spaces are relet. Can I be my own guarantor? A resident can act as their own guarantor if they can show documentation as outlined in the lease agreement that they have income greater than three times the rental installment.

What is a guarantor? To mitigate the risk of delinquent or defaulting residents, we require applicants to provide someone to guarantee their housing contract.

What paperwork is required with a guarantor? The guarantor will need to sign the guaranty agreement. If the resident is not of legal age to execute a contract, the guarantor will be required to sign both the lease and guaranty agreement.

When is a guarantor required? All residents require a guarantor to complete the guaranty agreement.

What is an individual lease? An individual lease provides each resident with their own separate lease agreement and responsibility for his/her rental installments and applicable utility and parking charges. By signing an individual lease, you are only taking responsibility for your rental installments and lease terms and will not be held liable for any delinquent amounts owed by your roommate(s).

Can I setup recurring payments? Yes! Save time in the future and never miss a rental installment by setting up recurring payments. You just need a few minutes and your checking account or card info to setup payments. Click here to login to the Resident Portal and get started.

Do you send me a bill every month? No, bills are not sent to residents each month, but you may see payment reminders posted around the property.

How can I make a payment? We accept credit cards, debit cards and ACH payments online through our Resident Portal . We are unable to accept cash.

What is an installment? The typical lease term is approximately 9.5 months of occupancy which coincides with the university's academic calendar. The resident is charged a total rent amount for the contracted occupancy period. The lease agreement will reflect the total rent amount typically divided into 10 equal installments due August 1 - May 1. These installments do not represent a monthly rent amount and are not prorated.

What is included? Your rental installments include an academic lease in a fully furnished unit, your meal plan in the full-service dining hall, all utilities (electricity, water, internet, and cable) and access to all community amenities. Garage parking is available for an additional fee.

When are the installments due? Installments are due on the 1st of every month per the payment schedule outlined in the lease agreement.

Is after hours staffing and maintenance available? Yes, after hours Community Assistants, who live on-site, are available for lock-outs or other related after hours issues and our maintenance teams will be available in the case of a maintenance emergency.

Are there insurance requirements for signing a lease at the community? Yes! The community requires all residents to obtain minimum coverage of $100,000 in Legal Liability to Landlord (LLL) insurance. There are multiple options to satisfy this lease requirement: Option 1 : Residents can purchase the policy of their choosing so long as it satisfies the minimum insurance requirements above as further described in the Required Insurance Addendum made a part of the lease. Residents must submit proof of acceptable insurance to American Campus Communities via LeaseTrack at leasetrack.ai/acc or [email protected] . Option 2 : If you do not provide proof of insurance with the requisite coverage, American Campus Communities may satisfy the insurance requirement for you by placing coverage for your unit under a LLL policy as described in the Required Insurance Addendum found in your lease. You will be charged a monthly for premium, taxes and an administrative fee for, among other things, the expense of processing monthly payments and administering the program.

Am I allowed to request a specific unit? You can list your preferences on your housing application, and we will do our best to place you in the unit that fits those requests. All requests are served on a first-come, first-served basis and are taken in order based on the date your lease was received.

Can I request specific roommates? Yes! Our roommate matching program is powered by RoomSync–a roommate matching app. You will have the opportunity to create a personal profile, search, filter, chat and match with other residents who will be living in the community. You decide what matters most when narrowing down your search. Want a roommate with the same major? You got it! Prefer to live with someone who goes to bed early? No problem! Looking for a roommate who enjoys college football? No sweat! You control your search and matching criteria to find the perfect roommate. 

Do you have a roommate matching service? Yes! You can search for and match with specific roommates in the RoomSync app. Change your mind? No problem! You can modify your matches if your preferences change up until the matching period close date. 

How do I qualify through Financial Aid? If you are currently receiving need-based financial aid, you may automatically qualify. You would need to look at your current Financial Aid Award Letter for Fall 2023 and Spring 2024, then compare your grants/scholarships/loans to the approved need-based Financial Aid list. If you have any items that appear on the list, no matter the amount, then you automatically qualify for S.M.A.R.T. Housing.

How do I qualify through Income Verification? If you do not qualify based on the need-based financial aid list, then you can attempt to qualify based on your annual income. Please contact our leasing office for more information on income verification.

How does the leasing process work for S.M.A.R.T. Housing? 1. Pre-qualify for S.M.A.R.T. Housing. a) If you are qualifying through Financial Aid, please bring your Financial Aid Award letter for Fall 2023/Spring 2024 into the leasing office. b) If you are qualifying through Income Verification, you will need to bring your most recent W2 and your 3 most recent pay stubs, your Financial Award letter for Fall 2023/Spring 2024, and your tuition bill into the leasing office. 2. Submit your housing application by clicking 'APPLY ONLINE', pay the applicable upfront fees, and complete the S.M.A.R.T. Housing forms. 3. Once your S.M.A.R.T. Housing paperwork is complete, you will be able to sign a Lease Agreement.

What is S.M.A.R.T. Housing? S.M.A.R.T. Housing is a program created by the city of Austin to assist students who are either receiving need-based financial aid or who are paying for school through student loans. It is designed to assist those who are working to cover their living expenses. Parental support (money given by parents to cover living expenses) is taken into consideration as income - it is limited and cannot be the only source of income.

Room Reservations

The iSchool room calendars are moving to Office 365.  For best results, follow the below instructions to request a room reservation.  You may also email reception for assistance.

How to Request a Room Reservation:

  • In order to complete this task you will need to log into Office 365 using your University of Texas Credentials
  • Once logged in navigate to the Calendar app.
  • Select the date that you plan to meet and use "Scheduling Assistant" from the top menu. (You can also complete these steps in the default UI but we've found the scheduling assistant will catch the most common erros that occur during reservation.
  • Update the date and time as needed.
  • Include any attendees.
  • For rooms within the UTA building, enter "UTA" and the floor the room is located on. All of the conference using this naming convention: "UTA 1.210 IT Lab" or "UTA 5.468".
  • Select "Done".
  • You should receive an email stating that your reservation is pending approval. If you do not receive this message, you were likely unsuccessful in selecting the room (you can enter free form text in these fields thus resulting in the system using your free text rather than the room you intended).

ArtsVision login access is limited to College of Fine Arts students.

Only music majors have permission within ArtsVision to request Butler School of Music spaces.

UT students from other departments should email [email protected] to request music school spaces. Our practice rooms are reserved for music majors and non-majors who are enrolled in a music course, or participating in an ensemble.

Logging into ArtsVision

  • Login URL:  https://av2.artsvision.net/UTAustin/login (bookmarking this link is recommended!)
  • With very few exceptions, your username will be your UT EID.
  • The first time you log in, your password will also be your UT EID. You will be prompted to change your password immediately.

Calendar Tab

Under the Calendar tab, you will find monthly and weekly filtered calendar of major Butler School events such as concerts, master classes, recitals, auditions, etc… — all at a glance — without having to browse the web calendar.

Note: These calendars are not easily scrollable using a tablet or mobile device.

Room request tab.

To request a room with your tablet or mobile device:  You can click on the room number you are interested in reserving and fill in the necessary details.

To request a room using your computer:  This works like a Google Calendar. Simply click on the start time within the room column you want to reserve, drag to the end time, and then fill in the necessary details.

Room availability and confirmation:  You will only be able to request time slots that are not already occupied; blocks of unavailable time will simply say “Not Available.” After you’ve submitted your request, you’ll receive a confirmation email from the Scheduling office stating that your request has been approved or denied.

To see which rooms are best suited for different purposes….  such as chamber rehearsal rooms, large rehearsal rooms, classrooms, or rooms with grand pianos, go to the top left corner of the Room Request screen, and you can change your view of rooms based on your desired function.

Scheduling Policies & Procedures

  • You may not use any classroom or performance hall without receiving approval from the scheduling office. DO NOT request a room on someone else’s behalf. The person who requests a room must be present for the reservation.
  • Use of the Jazz Room, Early Music Room, Percussion Studio and Band Hall requires special permission from faculty. Therefore, a confirmation for these rooms may take longer than other spaces.
  • Requests for performance hall time should be limited to dress rehearsals for an upcoming recital or event and recording sessions. Please be reasonable when requesting recording time in the halls (i.e. do not ask for 5 hour blocks of time or more than 2 separate sessions). The scheduling office will not approve any requests for recording in November, December while classes are in session, or in March or April while classes are in session – we protect hall time for degree recital dress rehearsals during those busy months.
  • Some classrooms present sound bleed issues.

a) Please do not request MRH 2.604 or 2.610 for any musical rehearsal. These rooms bleed sound into the Recital Studio, which can negatively impact performances, recordings and studio classes; they are best for review sessions, lectures or meetings.

b) MRH M3.113 and M3.114 are side by side and bleed sound into one another. The scheduling office will not approve requests for a musical rehearsal when there is an academic class taking place next door.

  • Under the “My Requests” tab, you’ll be able to view your requests and their status, whether approved or denied.
  • For reservations further into the future, such as performance dress rehearsals, big student group events, etc… email Page Stephens and Garrett Reebenacker at [email protected]

Getting access to reserved rooms

Spaces in mrh.

Generally, rooms will be unlocked prior to your reservation. On the rare occasion that a room is locked or you are using a room that requires special permission, you can go to the  Music Service Center ; if a Building Monitor is on duty, they can unlock rooms for you.

  • Jessen Auditorium

We do not check out keys to Jessen Auditorium. There is a keypad on the backstage door – the code is changed weekly. The scheduling office will send an email to anyone with a reservation in Jessen Auditorium on the Monday morning of the week of your reservation with the backstage door code (and a few housekeeping instructions).

Room and Exam Scheduling

Duties of Room and Exam Scheduling include reservations in University-controlled classrooms on behalf of faculty and staff members. Registered student organizations reserve University space through Student Activities in the Office of the Dean of Students (471-3065). Additional duties include scheduling final exams as requested by academic units and producing online course schedules and final exam schedules . This group also tracks and coordinates construction projects as they relate to scheduling classrooms.
