A figure may be a chart, a graph, a photograph, a drawing, or any other illustration or nontextual depiction. Any type of illustration or image other than a table is referred to as a figure.

Figure Components

  • Number:  The figure number (e.g., Figure 1 ) appears above the figure in bold (no period finishing).
  • Title: The figure title appears one double-spaced line below the figure number in Italic Title Case  (no period finishing).
  • Image: The image portion of the figure is the chart, graph, photograph, drawing, or illustration itself.
  • Legend: A figure legend, or key, if present, should be positioned within the borders of the figure and explain any symbols used in the figure image.
  • Note: A note may appear below the figure to describe contents of the figure that cannot be understood from the figure title, image, and/or legend alone (e.g., definitions of abbreviations, copyright attribution). Not all figures include notes. Notes are flush left, non-italicised. If present they begin with Note. (italicised, period ending). The notes area will include reference information if not an original figure, and copyright information as required.

General rules

  • In the text, refer to every figure by its number, no italics, but with a capital "F" for "Figure". For example, "As shown in Figure 1, ..." 
  • There are two options for the placement of figures in a paper. The first option is to place all figures on separate pages after the reference list. The second option is to embed each figure within the text.
  • If you reproduce or adapt a figure from another source (e.g., an image you found on the internet), you should include a copyright attribution in the figure note, indicating the origin of the reproduced or adapted material, in addition to a reference list entry for the work. Include a permission statement (Reprinted or Adapted with permission) only if you have sought and obtained permission to reproduce or adapt material in your figure. A permission statement is not required for material in the public domain or openly licensed material. For student course work, AUT assignments and internal assessments, a permission statement is also not needed, but copyright attribution is still required.
  • Important note for postgraduate students and researchers: If you wish to reproduce or adapt figures that you did not create yourself in your thesis, dissertation, exegesis, or other published work, you must obtain permission from the copyright holder/s, unless the figure is in the public domain (copyright free), or licensed for use with a Creative Commons or other open license. Works under a  Creative Commons licence  should be cited accordingly. See Using works created by others for more information.

Referring to a figure on a webpage

If you refer to a figure on a webpage and do not include it in your text, format the in-text citation and the reference list entry in the usual way for a webpage,

Not every reference to an artwork needs a reference list entry. For example, if you refer to a famous painting, as below, it would not need a reference.

Finding image details for your figure caption or reference

  • clicking on or hovering your mouse over the image
  • looking at the bottom of the image
  • looking at the URL
  • If there is no title, create a short descriptive one yourself and put it in square brackets e.g. [...]

If it has been formally published reference your work as you would any other published work.

If the work is available on a website reference it as a webpage (see examples in the webpage section ).

Citing your own figures, graphs or images in an assignment:

  • Include the title
  • Add a note explaining the content. No copyright attribution is required.
  • You can, if you wish, add a statement that it is your own work
  • You do not need an in-text citation or add it to your reference list

The purpose of visual materials or other illustrations is to enhance the audience's understanding of information in the document and/or awareness of a topic. Writers can embed several types of visuals using most basic word processing software: diagrams, musical scores, photographs, or, for documents that will be read electronically, audio/video applications. Because MLA style is most often used in the humanities, it is unlikely that you will include raw scientific data in an MLA-style paper, but you may be asked to include other kinds of research in your writing. General guidelines

  • Collect sources. Gather the source information required for MLA documentation for the source medium of the illustration (e.g. print, Web, podcast).
  • Determine what types of illustrations best suit your purpose. Consider the purpose of each illustration, how it contributes to the purpose of the document and the reader's understanding, and whether the audience will be able to view and/or understand the illustration easily.
  • Use illustrations of the best quality. Avoid blurry, pixilated, or distorted images for both print and electronic documents. Often pixelation and distortion occurs when writers manipulate image sizes. Keep images in their original sizes or use photo editing software to modify them. Reproduce distorted graphs, tables, or diagrams with spreadsheet or publishing software, but be sure to include all source information. Always represent the original source information faithfully and avoid unethical practices of false representation or manipulation  (this is considered plagiarism) .
  • Use illustrations sparingly. Decide what items can best improve the document's ability to augment readers' understanding of the information, appreciation for the subject, and/or illustration of the main points. Do not provide illustrations for illustrations' sake. Scrutinize illustrations for how potentially informative or persuasive they can be.
  • Do not use illustrations to boost page length. In the case of student papers, instructors often do not count the space taken up by visual aids toward the required page length of the document. Remember that texts explain, while illustrations enhance. Illustrations cannot carry the entire weight of the document.

Labels, captions, and source information

Illustrations appear directly embedded in the document, except in the case of manuscripts that are being prepared for publication. (For preparing manuscripts with visual materials for publication, see Note on Manuscripts below.) Each illustration must include a label, a number, a caption and/or source information.

  • The illustration label and number should always appear in two places:  the document main text (e.g. see fig. 1 ) and near the illustration itself ( Fig. 1 ).
  • Captions  provide titles or explanatory notes (e.g., Van Gogh’s The Starry Night)
  • Source information  documentation will always depend upon the medium of the source illustration. If you provide source information with all of your illustrations, you do not need to provide this information on the Works Cited page.

MLA documentation for tables, figures, and examples

MLA provides three designations for document illustrations: tables, figures, and examples (see specific sections below).

  • Refer to the table and its corresponding numeral in-text. Do not capitalize the word table. This is typically done in parentheses (e.g. "(see table 2)").
  • Situate the table near the text to which it relates.
  • Align the table flush-left to the margin.
  • Label the table 'Table' and provide its corresponding Arabic numeral. No punctuation is necessary after the label and number (see example below).
  • On the next line, provide a caption for the table, most often the table title. Use title case.
  • Place the table below the caption, flush-left, making sure to maintain basic MLA style formatting (e.g. one-inch margins).
  • Below the title, signal the source information with the descriptor "Source," followed by a colon, then provide the correct MLA bibliographic information for the source in note form (see instructions and examples above). If you provide source information with your illustrations, you do not need to provide this information on the Works Cited page.
  • If additional caption information or explanatory notes is necessary, use lowercase letters formatted in superscript in the caption information or table. Below the source information, indent, provide a corresponding lowercase letter (not in superscript), a space, and the note.
  • Labels, captions, and notes are double-spaced.

In 1985, women aged 65 and older were 59% more likely than men of the same age to reside in a nursing home, and though 11,700 less women of that age group were enrolled in 1999, men over the same time period ranged from 30,000 to 39,000 persons while women accounted for 49,000 to 61,500 (see table 1).

a. Note: Rates for 65 and over category are age-adjusted using the 2000 standard population. Beginning in 1997, population figures are adjusted for net underenumeration using the 1990 National Population Adjustment Matrix from the U.S. Census Bureau. People residing in personal care or domiciliary care homes are excluded from the numerator.

  • All visuals/illustrations that are not tables or musical score examples (e.g. maps, diagrams, charts, videos, podcasts, etc.) are labeled Figure or Fig.
  • Refer to the figure in-text and provide an Arabic numeral that corresponds to the figure. Do not capitalize figure or fig .
  • MLA does not specify alignment requirements for figures; thus, these images may be embedded as the reader sees fit. However, continue to follow basic MLA Style formatting (e.g. one-inch margins).
  • Below the figure, provide a label name and its corresponding arabic numeral (no bold or italics), followed by a period (e.g. Fig. 1.). Here, Figure and Fig . are capitalized.
  • Beginning with the same line as the label and number, provide a title and/or caption as well as relevant source information in note form (see instructions and examples above). If you provide source information with your illustrations, you do not need to provide this information on the Works Cited page.
  • If full citation information is provided in the caption, use the same formatting as you would for your Works Cited page. However, names should be listed in  first name last name  format.

Figure Example

Some readers found Harry’s final battle with Voldemort a disappointment, and recently, the podcast, MuggleCast debated the subject (see fig. 2).

Musical Illustrations/"Examples"

  • The descriptor "Example" only refers to musical illustrations (e.g. portions of a musical score). It is often abbreviated "ex ." 
  • Refer to the example in-text and provide an Arabic numeral that corresponds to the example. Do not capitalize "example" or "ex "  in the text.
  • Supply the illustration, making sure to maintain basic MLA Style formatting (e.g. one-inch margins).
  • Below the example, provide the label (capitalizing Example or Ex . ) and number and a caption or title. The caption or title will often take the form of source information along with an explanation, for example, of what part of the score is being illustrated. If you provide source information with your illustrations, you do not need to provide this information on the Works Cited page.

Musical Illustration Example

In Ambroise Thomas's opera Hamlet,  the title character's iconic theme first appears in Act 1. As Hamlet enters the castle's vacant grand hall following his mother's coronation, the low strings begin playing the theme (ex 1).

Source information and note form

Notes serve two purposes: to provide bibliographic information and to provide additional context for information in the text. When it comes to citing illustrations, using notes allows for the bibliographic information as close to the illustration as possible.

Note form entries appear much like standard MLA bibliographic entries with a few exceptions:

  • Author names are in First_Name—Last_Name format.
  • Commas are substituted for periods (except in the case of the period that ends the entry).
  • Publication information for books (publisher, year) appears in parentheses.
  • Relevant page numbers follow the publication information.

Note: Use semicolons to denote entry sections when long series of commas make these sections difficult to ascertain as being like or separate (see examples below.) The MLA Handbook  (8 th ed.) states that if the table or illustration caption provides complete citation information about the source and the source is not cited in the text, authors do not need to list the source in the Works Cited list.

Examples - Documenting source information in "Note form"

The following examples provide information on how a note might look following an illustration. Write the word “Source” immediately before your source note. If an illustration requires more than one note, label additional notes with lowercase letters, starting with a (see the note underneath the example table above).

Website (using semicolons to group like information together)

United States; Dept. of Commerce; Census Bureau; Manufacturing, Mining, and Construction Statistics; Housing Units Authorized by Building Permits ; US Dept. of Commerce, 5 Feb. 2008; Table 1a.

In this example, the commas in Manufacturing, Mining, and Construction Statistics prompt the need for semicolons in order for the series information to be read easily. Even if Manufacturing, Mining, and Construction Statistics had not appeared in the entry, the multiple "author names" of United States, Dept. of Commerce, and Census Bureau would have necessitated the use of a semicolon before and after the title and between ensuing sections to the end of the entry.

Furthermore, the publisher and date in a standard entry are separated by a comma and belong together; thus, their inclusion here (US Dept. of Commerce, 5 Feb. 2008) also necessitates the semicolons.

Note on manuscripts

Do not embed illustrations (tables, figures, or examples) in manuscripts for publication. Put placeholders in the text to show where the illustrations will go. Type these placeholders on their own line, flush left, and bracketed (e.g. [table 1]). At the end of the document, provide label, number, caption, and source information in an organized list. Send files for illustrations in the appropriate format to your editor separately. If you provide source information with your illustrations, you do not need to provide this information on the Works Cited page.

Formatting Graphics and Visuals in APA Style

Statistics and results from data analysis are often best presented in the form of a table, and a theoretical model or pages of information are often best presented in a well-designed visual such as a chart or graph. The American Psychological Association (APA) distinguishes between two types of visuals: tables and figures. Both are used to provide a large amount of information concisely and to promote greater understanding of a text. This article explains how to format tables and figures according to APA Style 7th Edition.

Tables in APA Style (7th ed.)

Tables are organized in a row and column format and provide information that is not already given in the text. Tables should also be able to stand alone and be understandable without the accompanying text. Therefore, having a descriptive title for the table is important and so is using a “note” to explain any symbols, abbreviations, or asterisks used in the table.

When inserting a table in your work, include the following information (also exemplified by Table 1):

  • Table number , aligned left, bolded, and presented in sequence: Table 1 , Table 2 , etc.
  • Table title , aligned left, italicized, and offering a brief description the table: Title of Table
  • The table itself , without shading or vertical borders; use horizontal boarders only for clarity such as a top and bottom border or to separate a row containing the sums of column data. Tables are double spaced unless one or one and a half spacing would enable the table to be displayed on a single page.
  • Table note , double-spaced below the table, after the label “note” in italics: Note .

Use a callout such as “See Table 1” in the paragraph before the table to point the reader to it.

Table Notes

Table notes are only used when needed, and there can be up to three notes per table, ordered by type:

  • General Note : General notes are given first. Table 1 in this article has a general note. General notes provide definitions, keys, and copyright statements for any information that came from a source.
  • Specific Note : Specific notes provide information about individual columns or rows. If, for example, a specific column or cell’s data needed explanation, a superscript letter such as “a” would be placed by the data, e.g. Xa, and the same superscript letter would be placed before the note about it.
  • Probability Note : Probability notes explain asterisks (*) or other symbols that provide probability values used in statistical hypothesis testing used for ruling out something occurring due to chance alone.
  • In statistical testing, researchers use a probability level between 0 to 1 to describe the chance of an event occurring, with 0 meaning the event will never occur and 1 meaning the event will always occur. In a table or figure, probability levels are assigned asterisks to indicate a range in probability such as p < .05 and * p < .01, and ***p < .001 (APA, 2020). The fewest number of asterisks indicates the largest probability and the greatest number of asterisks indicates the smallest probability level.
  • Plus (+) and minus (-) signs are also used in probability notes to show confidence intervals. For example, the results of an opinion poll may show 56% of the respondents prefer candidate A. If the confidence interval is +/-3, then 53%-59% of the population agrees with those sampled.
  • Probability notes may also provide confidence levels to indicate how certain the researcher is that the general population will agree with the poll respondents. For example, if the confidence level is 95%, then there is a 95% certainty that 53% to 59% of the population agrees with those polled. Researchers typically use a 95% confidence level.

Data are for all genders.

p < .05. * p < .01.

In the example above, the notes are to be double spaced as shown in Table 1, and each type of note begins on a new line with the first note providing general information about the table including a copyright note for the data used in the table. The second note gives specific information about the data in the rows, and the third note provides the probability (p) values.

Reference Entries for Table Data

A reference entry would also be included for any source of information used in the table and noted in the table note. The reference entry goes on a reference list at the end of the paper.

Table Checklist

  • Is the table necessary?
  • Is the table mentioned in the text?
  • Is the table inserted under the paragraph where it is first mentioned?
  • Is the title brief but explanatory and one double-spaced line below the table number?
  • Are all vertical borders in the table eliminated?
  • Does every column have a heading including?
  • Are the notes in the following order: general note, specific note, probability note?
  • Are the notes double spaced?
  • Are all abbreviations, symbols, and special uses of dashes, italics, or boldface explained in a note?
  • If the table is for statistical testing, are probability levels identified?
  • If more than one table is used, are probability level asterisks consistent from table to table?
  • With statistical testing data, are confidence intervals reported and consistent for all tables?
  • If all or part of a copyrighted table is reproduced or adapted, does the general table note give full credit to the copyright owner and have a corresponding reference entry?

Figures in APA Style (7th ed.)

Figures include visuals such as charts graphs, pictures, maps, etc. When inserting a figure in your work, include the following information (also exemplified in Figure 1):

  • Figure # , aligned left, bolded, and in sequence: Figure 1 , Figure 2 , etc.
  • Figure title , aligned left, italicized, and offering a brief description the table: Figure Title
  • The figure itself
  • Figure note , double-spaced below the table after the label “note” in italics: Note .

Use a callout such as “See Figure 1” in the paragraph before the figure to point the reader to it.

The Chart tool in Microsoft Word and Microsoft PowerPoint provides options for various types of graphs and charts. With so many types to choose from, it’s important to carefully consider which type will best present the information. For example,

• a column chart displays categories of variables; • a bar chart demonstrates comparisons between single items; • a pie chart shows percentages; • a scatter plot illustrates correlations; and • a line graph demonstrates relationships.

Figure Notes

As with tables, there can be up to three notes under the figure, ordered by type: (a) general information about the figure including a copyright statement for compiled data or images from the Internet, (b) specific information about individual sections, bars, graphs, or other elements of the figure, and (c)) probability explanations as discussed in the section on tables.

Copyright Statements for Compiled Data

When you use data and information in your table or figure that was compiled from research, the figure must contain a general note with a copyright statement identifying the copyright holder of that information. Because you are using this information for an academic purpose that is not for profit, you will not need to also acquire permission from the copyholder. It is considered “fair use” for students and scholars to use information that has been previously published if the information is attributed to the copyright holder with proper documentation.

Use the following copyright statement template in a note for data or information that came from a journal or book:

Journal : Note . From [or Adapted from] “Title of Article,” by A. A. Author, year, Journal Title, Volume (Issue), p. xx (DOI or URL). Copyright year by Name of Copyright Holder or In the public domain or Copyright License such as CC BY-NC .

Copyright Statements for Images

Images are different than compiled data. Depending on where the image is from, it may or may not require a copyright statement in a note under the image.

Copyrighted images : To use a copyrighted photograph, permission from the copyright holder is needed. It is an act of plagiarism to use a copyrighted image without permission.

Creative Commons licensed images : Photographs with Creative Commons licenses may be used without permission, but each type of Creative Commons license has different stipulations. You can read about each here: https://creativecommons.org/licenses/ . The licenses generally all require attribution to the source or creator of the image. (See Figure 2).

Public Domain images : Public domain works are not protected by copyright law or they have expired copyrights such as works published before January 1, 1924. In APA Style, works in the public domain are credited in a copyright statement in the note. (See Figure 3).

Free Photos Online: Some photo sites allow for reproduction of images without attribution to the source or creator of that image. Sites such as Pixabay , Pexels , and Unsplash , for example, provide images that do not require attribution. A copyright statement is not needed for these images.

Reference Entries for Figures

In addition to a copyright attribution, include a reference entry for any source credited in a figure note. Below is the APA Style (7th ed.) reference entry template for a photograph:

Author last name, First initial. Middle initial. (year). Title of photograph [Photograph]. Site or Source Name. URL

Figure Checklist

  • Is the figure necessary?
  • Is the resolution of the image clear enough to be read and understood?
  • Is the figure mentioned in the paper’s text?
  • Is the figure inserted under the paragraph where it is first mentioned?
  • Does the text explain how the figure is relevant to the discussion in the paper without repeating all the information from the figure in the text?
  • Does the figure title provide a brief explanation?
  • Are all elements of the figure clearly labeled?
  • Are all figures numbered consecutively?
  • Is proper credit given to the source of the figure in the figure note?
  • Has a reference entry been provided for the source of the figure?

What size should the visual be in the actual paper? I have students ask this, and frequently their visuals cover half an entire page, but I cannot find the answer.

Hi Leslie, the American Psychological Association (APA) does not specify the size of visuals used, but does state that tables and figures should fit on one page. The publication manual of APA (2020) also states that tables and figures “should not be used for mere decoration in an academic paper. Instead, every table and figure should serve a purpose” (p. 195). I”ve learned a lot from reading this.. I have never an apa paper before

At times, it may be permissible and appropriate to insert tables, figures and other graphics in your essay. These graphics may have been copied, adapted from sources of information or may be from your own research. They need to be relevant, correctly labelled and referenced—unless they are entirely your own work.

About tables and figures in your writing 

Tables and figures (e.g. diagrams, graphs, photographs, maps) may be used as evidence to support academic argument. They are mostly used in report writing. It is important that tables and figures are used purposefully (i.e. with good reason) and referenced correctly.

For ALL tables and figures:

  • Labelling—put the label ABOVE for tables and BELOW for figures (e.g. diagrams, graphs, photographs, maps)
  • Numbering—make sure that tables and figures (e.g. diagrams, graphs, photographs, maps) are numbered sequentially. There should be two numbering series: one for tables and one for figures (e.g. Table 1. , Table 2. AND Figure 1. , Figure 2. )
  • Positioning—place tables and figures immediately below  the paragraph/relevant text
  • In-text referencing—refer to the table or figure by number in your writing (e.g. Table 6 shows that …)
  • Diagram referencing—provide a reference to an authority if the table or figure is from or adapted from an outside source. If you have created the table or image yourself from your own data collection, you must still use a number and label, but no reference is required
  • Larger tables and figures—place large (one page and over) tables or figures in the appendices (see ASO Factsheet: Appendices  )

Don’t do this! 

  • Don’t restructure data from an information source into another format (e.g. a graph, a flowchart) without referencing the author of your information. You may structure the graph, but the author still ‘owns’ the research!
  • Don’t just ‘plonk’ a table or figure into your writing. You need to refer to its existence and relevance to your argument in the preceding text.
  • Don’t give extensive descriptions in your writing of the contents of a table or diagram. The information in a table or diagram tells its own story—it’s your job to point out its significance to your argument.

How to Effectively Insert Charts and Graphs in an Essay?

If a chart you create fits in effectively with the context you are explaining in your essay, then inserting the chart in your essay should not be a problem.

Graphs and charts should be large enough for clear visibility. As you insert a research paper graph in a paper, be sure to have them drawn or data analyzed. The following should be included when inserting a chart in your essay.

1. Label the Chart

Always include a caption under your chart. The caption should be clear. It can contain the topic of the chart or just a description.

This caption helps a reader relate the surrounding texts to the information included in the charts. For example, (‘Figure 2’ Age Distribution in New Zeeland.)

2. Mention the Chart in the Text

Reference the chart before introducing an essay. This helps the reader have a clue about what the chart will be all about.

If your chart illustrates a point in your essay you can include the following line before introducing your chart. ‘Figure 2 below shows an example of this.’ Here is an example.

3. Cite Charts Obtained from Different Sources

Just as you quote someone in an essay, you need to cite charts found from other sources to avoid plagiarism.

How you cite usually varies depending on the referencing format you are using. When using the author-date referencing format, always include the name of the author of the source and the year of publication.

Other referencing formats also may require you to include the page that the chart was obtained from. The source should not only appear on the chart but also the reference list of the whole essay.

 The style of writing you use in your essay also determines the type of referencing format you use. APA references are different from MLA references and Chicago format references.

4. Using Meaningful Titles

A title you give your graph or chart should represent what your graph or chart is all about. The title should be simple to make the reader understand straightaway the information that will be represented on the graph.

Graph titles are always located above the graphs while the titles of charts and figures are located below the charts.

It is also important to look at some of the things you should not do when inserting charts and graphs in your paper:

  • Never restructure data from another source to fit in your chat or graph without acknowledging the source. Data from tables and figures should not be directly transferred to charts and graphs.
  • Never use charts and figures in your essay without referring to its existence in your essay or without it making relevance in your arguments in the essay.
  • Point out significance in your charts and graphs without using extensive explanations and descriptions in the contents of the charts.

How and When to Use Images in an Essay

Pages of text alone can look quite boring. And while you might think that ‘boring’ is normal for an essay, it doesn’t have to be. Using images and charts in an essay can make your document more visually interesting. It can even help you earn better grades if done right!

Here, then, is our guide on how to use images in an academic essay .

How to Use Images in an Essay

Usually, you will only need to add an image in academic writing if it serves a specific purpose (e.g. illustrating your argument). Even then, you need to make sure images are presently correctly. As such, try asking yourself the following questions whenever you add an image in an essay:

  • Does it add anything useful? Any image or chart you include in your work should help you make your argument or explain a point more clearly. For instance, if you are analysing a film, you may need to include a still from a scene to illustrate a point you are making.
  • Is the image clearly labelled? All images in your essay should come with clear captions (e.g. ‘Figure 1’ plus a title or description). Without these, your reader may not know how images relate to the surrounding text.
  • Have you mentioned the image in the text? Make sure to directly reference the image in the text of your essay. If you have included an image to illustrate a point, for instance, you would include something along the lines of ‘An example of this can be seen in Figure 1’.

The key, then, is that images in an essay are not just decoration. Rather, they should fit with and add to the arguments you make in the text.

Citing Images and Illustrations

If you have created all the images and charts you want to use in your essay, then all you need to do is label them clearly (as described above). But if you want to use an image found somewhere else in your work, you will need to cite your source as well, just as you would when quoting someone.

The exact format for this will depend on the referencing system you’re using. However, with author–date referencing, it usually involves giving the source author’s name and a year of publication:

Using appropriate diagrams is generally considered efficacious in communication. However, although diagrams are extensively used in printed and digital media, people in general rarely construct diagrams to use in common everyday communication. Furthermore, instruction on diagram use for communicative purposes is uncommon in formal education and, when students are required to communicate what they have learned, the usual expectation is they will use words – not diagrams. Requiring diagram inclusion in essays, for example, would be almost unheard of. Consequently, current understanding about student capabilities in this area is very limited. The aim of this study therefore was to contribute to addressing this gap: it comprised a qualitative exploration of 12 undergraduate students’ diagram use in two essays (in which they were asked to include at least one diagram). Analysis focused on identifying the kinds of diagrams produced, and the effectiveness with which those diagrams were used. Useful functions that the diagrams served included clarification, summarization, integration of points, and provision of additional information and/or perspectives in visual form. However, there were also redundancies, as well as unclear, schematically erroneous, and overly complicated representations in some of the diagrams that the students constructed. These findings are discussed in terms of needs, opportunities, and challenges in instructional provision.

1 Introduction

Alongside problem solving and thinking, communication is one of the areas of human activity where diagram use is considered to be beneficial. When appropriately used, diagrams can clarify and/or complement verbal information presented in speech or text, so that both verbal and visual channels of working memory are utilized, thus facilitating more efficient cognitive processing [ 1 , 2 ].

Diagrams can contribute to both message encoding and decoding (i.e., the production and the comprehension of communication), thus being of value to both the communicator and the communication receiver. Especially in contexts where there are some constraints or limitations to conveying the message through verbal means, diagrams can be indispensable. They can supplement speech or text by providing complementary or alternative means of conveying the intended message. Examples of such contexts include communicating complicated procedures, like furniture assembly [ 3 ], and communicating with people who speak a different language [ 4 ].

However, despite the apparent usefulness of diagrams in communication, its actual use remains very limited. Pictures and various kinds of diagrams, including illustrations, are regularly used in books, magazines, websites, and various forms of printed and digital media, but most of those visual representations are commercially or professionally created. They are not generated by regular people in everyday communication contexts. Regular people are often only receivers of such visual representations. In most communication contexts, they do not generate their own diagrams: they rely almost exclusively on written or spoken words. In formal education provided in modern societies, diagram use for communicative purposes is rarely taught. Despite the recognition in research and policy documents of the value of being able to use multiple forms of representation [ 5 , 6 ], students seldom receive explicit instruction about how to create and use diagrams. In both school and higher education, when students are asked to communicate what they have learned and what they think (e.g., in essays, which are focused pieces of writing intended to inform or persuade), the general expectation is that they will express that information in words – without the use of any diagrams [ 7 ].

Considering that much of the knowledge and ideas that students have to engage with, learn, and then communicate are quite complex, and diagrams have the capacity of representing complex ideas effectively [ 8 ], the general lack of attention in education to cultivating skills in diagram use is troubling. Like words, diagrams can be used effectively or ineffectively [ 9 ], so the question of the extent to which instruction or guidance may be necessary would appear important to address. In tasks like problem solving and information organization in subjects like mathematics and science, the kinds of diagrams that students generate and use have previously been investigated [ 10 , 11 , 12 ]. However, very few studies have examined diagram use in communicating information in the social sciences [ 13 ], where traditionally a greater emphasis has been placed on the quality of language that is used. In fact, the present authors are not aware of any studies that have examined students’ diagram use in essays . Our current understanding of student capabilities in using diagrams in such contexts is very limited, including what we know of the potential benefits that such use might afford.

The present study was motivated by this knowledge gap, and it comprised a qualitative exploration of student diagram use in two essays they produced for an undergraduate-level introductory course in educational psychology. In the two essays, the students were asked to include at least one diagram to portray processes or mechanisms of moderately complex ideas. Both essays were expository-type essays, hence requiring the students to demonstrate not only knowledge of the topic, but also the ability to communicate information clearly – which the appropriate use of diagrams is supposed to facilitate. The following were the main questions we addressed:

What kinds of diagrams would students use to portray processes/mechanisms?

In what ways do students use diagrams effectively in their essays?

In what ways do they not use diagrams effectively?

This investigation comprised analysis of the contents of two essays that students produced as part of their coursework. No experimental manipulation was involved. The analysis was conducted following completion of the course, so it had no bearing on the students’ grading. Permission was obtained from all the students for use of their essays.

There were 12 students in the course (females = 4), 7 of whom were in their first year of study, while the remaining 5 were in their second year or higher. Nine of the students were Japanese, and 3 were international students from other East Asian countries. All had English as a foreign language, but were adequately proficient in that language (a requirement for acceptance to the university). The course was conducted entirely in English, and all assignments (including the essays) had to be written in English.

The essays were each worth 20% of the students’ final grade, and they dealt with topics covered in the course. However, both essays required students to seek additional information (beyond what was covered in class), and to provide explanations that could not simply be obtained from the instructions provided in the course. The first essay required the students to research and then explain one theory about how young children develop their understanding of the world around them. The second required them to undertake research on formative assessment and explain how it can promote more successful learning. In both essays, the students were asked to include at least one diagram, which was allotted 3 points (out of 20) in the grading rubrics (in this case, for “demonstrating a clear understanding of the mechanisms or processes that it illustrates”). Diagrams can assist in clarifying ideas [ 8 ] and so, from a pedagogical perspective, one purpose of asking the students to include the diagram was for them to better understand key processes covered in the course. The diagram had to be self-constructed (i.e., not copied-and-pasted from some other source). In the first essay, the instruction given to the students indicated that the diagram was to “help in explaining the progress in understanding that children develop ”, while in the second essay the diagram was to “help in clarifying how formative assessment facilitates learning ”. No other instruction was provided on what form the diagram should take or how they should construct it, and no diagrams relating to those or other similar mechanisms/processes were shown during instructions provided in class. During grading of the essays, apart from the score out of 3 on the grading rubrics (see above), no explicit comment or feedback was provided on the type, content, or quality of construction of the diagrams the students included.

In the analysis, firstly the number and kinds of diagrams included in the essays were determined with the use of a coding schema comprising categories from previous research [ 10 , 11 , 13 ]. Apart from the first author’s coding, the second author, who initially was not involved in this research, also independently coded the diagrams. Initial inter-coder agreement was 75%. Differences were then discussed and subsequently agreed upon. Second, the diagrams were evaluated in terms of how effectively they were used. For this, key questions asked were: Does the diagram contribute to clarifying the process it refers to – and, if so, how? Apart from clarification, does it serve other useful functions? When diagrams did not appear to work well, the reasons were also carefully considered. Again, both authors independently coded the diagrams (initial inter-coder agreement was 92%), and then discussed differences to reach agreement.

3 Results and Discussion

3.1 kinds of diagrams used to portray processes/mechanisms.

Table 1 shows the kinds/categories and corresponding frequencies of diagrams the students included in their first and second essays, and in total, while Fig.  1 shows examples of the diagrams belonging to each of those categories. In the first essay four of the 12 students included more than one diagram (two student with 3 diagrams, and two with 2 diagrams), and in the second essay two students included more than one diagram (both with 2 diagrams). The frequencies shown in Table 1 include all the diagrams the students generated.

All except one student included self-constructed diagrams (as the assignments required). We were fairly confident about this because the language use in and appearance of the diagrams included suggested non-native and/or non-professional creators. The one student who included diagrams that obviously came from some Internet source (they were both watermarked) did so in both the first and second essays. Both diagrams were in the category of illustrations.

Although a “list” on its own does not – technically speaking – count as a diagram, it has been included in the categories because one student erroneously included a list as one of his 3 diagrams for the first essay, and three other students included lists as part of their “combination” diagram.

The kind of diagram most frequently used was a flow diagram: apart from the total of 10 flow diagrams shown in Table 1 , 7 of the 9 combination diagrams comprised a flow diagram with another kind of diagram. This is probably understandable given that flow diagrams (also known as “flow charts”) are meant to depict processes, procedures or sequence of steps, and cause-and-effect relationships. An interesting point to note is how the number of flow diagrams increased from the first to the second essay. No instruction or hint was given to the students about what diagram to use, so this increase could have been due to a number of other possible reasons, including differences between the two essays in the procedures/mechanisms that needed to be represented, the students seeing other diagrams their peers have generated (although there were no indications of copying), and development in the students’ understanding of what works well (or not) in using diagrams to communicate particular kinds of information.

It is also worth noting that although we often consider flow diagrams as being most appropriate for representing processes and mechanisms, other forms of diagrams can work as effectively when designed well to match their intended purposes. For example, Panels C and F in Fig.  1 show two examples depicting the progression through the stages of Piaget’s theory of cognitive development, using a table in C, and a combination of illustration (of steps) and line diagram in F. Although they differ in appearance, the diagrams can be considered as working equally well not only in showing the proposed stages of the theory, but also in conveying the incremental progression through key cognitive abilities with increasing age (corresponding to those stages).

3.2 Ways that Diagrams Were Used Effectively

The majority of the students did not refer to their diagrams in the text of their essays: only two students did in both essays. Thus, this is perhaps an academic writing method that undergraduate students (like these students) could usefully be instructed to do. However, in general, the students placed their diagrams appropriately, following the text where they deal with the information that is portrayed in the diagram – thereby making the connection between text information and the diagram more apparent.

Concerning the question of whether the diagrams that the students constructed contributed to clarifying any of the processes or mechanisms they were explaining: in the first essay, 7 of the students were considered to have satisfactorily achieved this with at least one of their diagrams, while 8 of them were considered to have done so in the second essay. In each of these cases, the diagrams served a useful function in the essay, to the extent that if they were not included, something sufficiently important in the essay would have been lost, not achieved, or not conveyed as adequately. In most of the cases, the diagrams clarified how the stages or processes referred to in the essay text connect or relate to each other and progress through particular sequences: Panels A and D in Fig.  1 are good examples of this. However, in a few cases, the diagrams also made clearer concepts that – to those unfamiliar with them – could be difficult to understand, such as what is involved in developing the ability of conservation (Panel B of Fig.  1 ).

In some cases, the diagrams also showed or clarified the connections to other components, such as children’s abilities in connection to the progression of developmental stages in the previously referred to Panels C and F in Fig.  1 . In a way, some of the diagrams that worked well served a summarizing function: they visually represented key components and showed more saliently how they were related to each other – which were not as easy to apprehend in sentences because of temporal/sequential separation. This is one of the reasons diagrams are considered effective: they integrate all information that is used together, reducing the need and effort for searching [ 14 ].

In the majority of cases where the diagrams worked well, they visually represented content that was already represented in words in the text – albeit with some enhancements like integration, as noted above. However, in a few exceptional cases, the diagrams also introduced content that was not present in the text of the essays. Figure  2 provides two examples of this. In Panel A, the diagram includes details in the lower part about unsuccessful (arrows with x) and successful (arrows with o) outcomes which require different responses. These details were not explicitly provided in the text but they enable readers to better understand how formative feedback is used in the example of solving story problems. Likewise, in Panel B, the diagram shows details not duplicated in the text about how different categories of complexes are formed, leading eventually to the formation of concepts [ 15 ]. The illustrations of different object combinations make the categories of complexes easier to grasp and distinguish from each other.

3.3 Ways that Diagrams Were Not Used Effectively

There were also numerous instances when the diagrams the students included did not appear to serve any useful function in the essay. In a couple of those cases, the diagrams were redundant: they showed images that portrayed information from the text that was simple enough not to require visual clarification. The illustration in Panel A in Fig.  3 is an example of this. Another ineffective use manifested was when the schematic structure of the diagram was unclear or erroneous. Examples of this are shown in Panels B and C of Fig.  3 . In Panel B, both the intended message and the connections between the components shown are unclear. In Panel C, the meaning of the arrows, and therefore what process might be depicted by the diagram, is unclear. In addition, there were a few diagrams, like the one shown in Panel D of Fig.  3 , which were quite complicated and therefore hard to understand. The contents of Panel D were also referred to in the text of the student’s essay, but the relationships shown in the diagram are new configurations that are not obvious and not explained explicitly in the text. It is therefore difficult to grasp its possible contribution to explaining, in this case, children’s development of understanding of the world around them.

3.4 Implications for Theory, Research, and Practice

The many purposes that diagrams can serve in enhancing communication have been established in previous research [ 2 , 5 , 8 ], and the findings of the present study provide additional evidence for those in the area of student essay writing at the tertiary level. The findings also provide support for the idea that the same communicative purpose can be served by different kinds of diagrams [ 14 ]. Thus, for example, conveying the progression of a particular process can effectively be achieved using a flow diagram – or a table … or an illustration. This means that, in the same way that different words can convey the same meaning, different diagrams – if used/constructed appropriately – can communicate the same meaning. However, in future research, it would be useful to examine the range of communicative purposes that different kinds of diagrams can serve as there are probably important limitations to it. For example, if the communicative purpose is to describe what something looks like , other kinds of diagrams may not be quite as effective as an illustration (e.g., a table or a flow chart would be quite limited in conveying qualities pertaining to appearance).

The findings of the present research also suggest that many students, even at the tertiary level, would likely benefit from receiving some instruction or guidance on the use of diagrams not only in essays but also other forms of communication. While some students were able to generate diagrams that served useful functions in their essays, there were also quite a few who did not manage to do this. However, the findings of this exploratory study were based on a small sample of students taking the same course, so future investigations about spontaneous use and the effects of instruction provision ought to be conducted with larger and more diverse student groups.

Comparing and Contrasting

What this handout is about.

This handout will help you first to determine whether a particular assignment is asking for comparison/contrast and then to generate a list of similarities and differences, decide which similarities and differences to focus on, and organize your paper so that it will be clear and effective. It will also explain how you can (and why you should) develop a thesis that goes beyond “Thing A and Thing B are similar in many ways but different in others.”

Introduction

In your career as a student, you’ll encounter many different kinds of writing assignments, each with its own requirements. One of the most common is the comparison/contrast essay, in which you focus on the ways in which certain things or ideas—usually two of them—are similar to (this is the comparison) and/or different from (this is the contrast) one another. By assigning such essays, your instructors are encouraging you to make connections between texts or ideas, engage in critical thinking, and go beyond mere description or summary to generate interesting analysis: when you reflect on similarities and differences, you gain a deeper understanding of the items you are comparing, their relationship to each other, and what is most important about them.

Recognizing comparison/contrast in assignments

Some assignments use words—like compare, contrast, similarities, and differences—that make it easy for you to see that they are asking you to compare and/or contrast. Here are a few hypothetical examples:

  • Compare and contrast Frye’s and Bartky’s accounts of oppression.
  • Compare WWI to WWII, identifying similarities in the causes, development, and outcomes of the wars.
  • Contrast Wordsworth and Coleridge; what are the major differences in their poetry?

Notice that some topics ask only for comparison, others only for contrast, and others for both.

But it’s not always so easy to tell whether an assignment is asking you to include comparison/contrast. And in some cases, comparison/contrast is only part of the essay—you begin by comparing and/or contrasting two or more things and then use what you’ve learned to construct an argument or evaluation. Consider these examples, noticing the language that is used to ask for the comparison/contrast and whether the comparison/contrast is only one part of a larger assignment:

  • Choose a particular idea or theme, such as romantic love, death, or nature, and consider how it is treated in two Romantic poems.
  • How do the different authors we have studied so far define and describe oppression?
  • Compare Frye’s and Bartky’s accounts of oppression. What does each imply about women’s collusion in their own oppression? Which is more accurate?
  • In the texts we’ve studied, soldiers who served in different wars offer differing accounts of their experiences and feelings both during and after the fighting. What commonalities are there in these accounts? What factors do you think are responsible for their differences?

Using comparison/contrast for all kinds of writing projects

Sometimes you may want to use comparison/contrast techniques in your own pre-writing work to get ideas that you can later use for an argument, even if comparison/contrast isn’t an official requirement for the paper you’re writing. For example, if you wanted to argue that Frye’s account of oppression is better than both de Beauvoir’s and Bartky’s, comparing and contrasting the main arguments of those three authors might help you construct your evaluation—even though the topic may not have asked for comparison/contrast and the lists of similarities and differences you generate may not appear anywhere in the final draft of your paper.

Discovering similarities and differences

Making a Venn diagram or a chart can help you quickly and efficiently compare and contrast two or more things or ideas. To make a Venn diagram, simply draw some overlapping circles, one circle for each item you’re considering. In the central area where they overlap, list the traits the two items have in common. Assign each one of the areas that doesn’t overlap; in those areas, you can list the traits that make the things different. Here’s a very simple example, using two pizza places:

To make a chart, figure out what criteria you want to focus on in comparing the items. Along the left side of the page, list each of the criteria. Across the top, list the names of the items. You should then have a box per item for each criterion; you can fill the boxes in and then survey what you’ve discovered.

Here’s an example, this time using three pizza places:

As you generate points of comparison, consider the purpose and content of the assignment and the focus of the class. What do you think the professor wants you to learn by doing this comparison/contrast? How does it fit with what you have been studying so far and with the other assignments in the course? Are there any clues about what to focus on in the assignment itself?

Here are some general questions about different types of things you might have to compare. These are by no means complete or definitive lists; they’re just here to give you some ideas—you can generate your own questions for these and other types of comparison. You may want to begin by using the questions reporters traditionally ask: Who? What? Where? When? Why? How? If you’re talking about objects, you might also consider general properties like size, shape, color, sound, weight, taste, texture, smell, number, duration, and location.

Two historical periods or events

  • When did they occur—do you know the date(s) and duration? What happened or changed during each? Why are they significant?
  • What kinds of work did people do? What kinds of relationships did they have? What did they value?
  • What kinds of governments were there? Who were important people involved?
  • What caused events in these periods, and what consequences did they have later on?

Two ideas or theories

  • What are they about?
  • Did they originate at some particular time?
  • Who created them? Who uses or defends them?
  • What is the central focus, claim, or goal of each? What conclusions do they offer?
  • How are they applied to situations/people/things/etc.?
  • Which seems more plausible to you, and why? How broad is their scope?
  • What kind of evidence is usually offered for them?

Two pieces of writing or art

  • What are their titles? What do they describe or depict?
  • What is their tone or mood? What is their form?
  • Who created them? When were they created? Why do you think they were created as they were? What themes do they address?
  • Do you think one is of higher quality or greater merit than the other(s)—and if so, why?
  • For writing: what plot, characterization, setting, theme, tone, and type of narration are used?
  • Where are they from? How old are they? What is the gender, race, class, etc. of each?
  • What, if anything, are they known for? Do they have any relationship to each other?
  • What are they like? What did/do they do? What do they believe? Why are they interesting?
  • What stands out most about each of them?

Deciding what to focus on

By now you have probably generated a huge list of similarities and differences—congratulations! Next you must decide which of them are interesting, important, and relevant enough to be included in your paper. Ask yourself these questions:

  • What’s relevant to the assignment?
  • What’s relevant to the course?
  • What’s interesting and informative?
  • What matters to the argument you are going to make?
  • What’s basic or central (and needs to be mentioned even if obvious)?
  • Overall, what’s more important—the similarities or the differences?

Suppose that you are writing a paper comparing two novels. For most literature classes, the fact that they both use Caslon type (a kind of typeface, like the fonts you may use in your writing) is not going to be relevant, nor is the fact that one of them has a few illustrations and the other has none; literature classes are more likely to focus on subjects like characterization, plot, setting, the writer’s style and intentions, language, central themes, and so forth. However, if you were writing a paper for a class on typesetting or on how illustrations are used to enhance novels, the typeface and presence or absence of illustrations might be absolutely critical to include in your final paper.

Sometimes a particular point of comparison or contrast might be relevant but not terribly revealing or interesting. For example, if you are writing a paper about Wordsworth’s “Tintern Abbey” and Coleridge’s “Frost at Midnight,” pointing out that they both have nature as a central theme is relevant (comparisons of poetry often talk about themes) but not terribly interesting; your class has probably already had many discussions about the Romantic poets’ fondness for nature. Talking about the different ways nature is depicted or the different aspects of nature that are emphasized might be more interesting and show a more sophisticated understanding of the poems.

Your thesis

The thesis of your comparison/contrast paper is very important: it can help you create a focused argument and give your reader a road map so they don’t get lost in the sea of points you are about to make. As in any paper, you will want to replace vague reports of your general topic (for example, “This paper will compare and contrast two pizza places,” or “Pepper’s and Amante are similar in some ways and different in others,” or “Pepper’s and Amante are similar in many ways, but they have one major difference”) with something more detailed and specific. For example, you might say, “Pepper’s and Amante have similar prices and ingredients, but their atmospheres and willingness to deliver set them apart.”

Be careful, though—although this thesis is fairly specific and does propose a simple argument (that atmosphere and delivery make the two pizza places different), your instructor will often be looking for a bit more analysis. In this case, the obvious question is “So what? Why should anyone care that Pepper’s and Amante are different in this way?” One might also wonder why the writer chose those two particular pizza places to compare—why not Papa John’s, Dominos, or Pizza Hut? Again, thinking about the context the class provides may help you answer such questions and make a stronger argument. Here’s a revision of the thesis mentioned earlier:

Pepper’s and Amante both offer a greater variety of ingredients than other Chapel Hill/Carrboro pizza places (and than any of the national chains), but the funky, lively atmosphere at Pepper’s makes it a better place to give visiting friends and family a taste of local culture.

Organizing your paper

There are many different ways to organize a comparison/contrast essay. Here are two:

Subject-by-subject

Begin by saying everything you have to say about the first subject you are discussing, then move on and make all the points you want to make about the second subject (and after that, the third, and so on, if you’re comparing/contrasting more than two things). If the paper is short, you might be able to fit all of your points about each item into a single paragraph, but it’s more likely that you’d have several paragraphs per item. Using our pizza place comparison/contrast as an example, after the introduction, you might have a paragraph about the ingredients available at Pepper’s, a paragraph about its location, and a paragraph about its ambience. Then you’d have three similar paragraphs about Amante, followed by your conclusion.

The danger of this subject-by-subject organization is that your paper will simply be a list of points: a certain number of points (in my example, three) about one subject, then a certain number of points about another. This is usually not what college instructors are looking for in a paper—generally they want you to compare or contrast two or more things very directly, rather than just listing the traits the things have and leaving it up to the reader to reflect on how those traits are similar or different and why those similarities or differences matter. Thus, if you use the subject-by-subject form, you will probably want to have a very strong, analytical thesis and at least one body paragraph that ties all of your different points together.

A subject-by-subject structure can be a logical choice if you are writing what is sometimes called a “lens” comparison, in which you use one subject or item (which isn’t really your main topic) to better understand another item (which is). For example, you might be asked to compare a poem you’ve already covered thoroughly in class with one you are reading on your own. It might make sense to give a brief summary of your main ideas about the first poem (this would be your first subject, the “lens”), and then spend most of your paper discussing how those points are similar to or different from your ideas about the second.

Point-by-point

Rather than addressing things one subject at a time, you may wish to talk about one point of comparison at a time. There are two main ways this might play out, depending on how much you have to say about each of the things you are comparing. If you have just a little, you might, in a single paragraph, discuss how a certain point of comparison/contrast relates to all the items you are discussing. For example, I might describe, in one paragraph, what the prices are like at both Pepper’s and Amante; in the next paragraph, I might compare the ingredients available; in a third, I might contrast the atmospheres of the two restaurants.

If I had a bit more to say about the items I was comparing/contrasting, I might devote a whole paragraph to how each point relates to each item. For example, I might have a whole paragraph about the clientele at Pepper’s, followed by a whole paragraph about the clientele at Amante; then I would move on and do two more paragraphs discussing my next point of comparison/contrast—like the ingredients available at each restaurant.

There are no hard and fast rules about organizing a comparison/contrast paper, of course. Just be sure that your reader can easily tell what’s going on! Be aware, too, of the placement of your different points. If you are writing a comparison/contrast in service of an argument, keep in mind that the last point you make is the one you are leaving your reader with. For example, if I am trying to argue that Amante is better than Pepper’s, I should end with a contrast that leaves Amante sounding good, rather than with a point of comparison that I have to admit makes Pepper’s look better. If you’ve decided that the differences between the items you’re comparing/contrasting are most important, you’ll want to end with the differences—and vice versa, if the similarities seem most important to you.

Cue words and other tips

To help your reader keep track of where you are in the comparison/contrast, you’ll want to be sure that your transitions and topic sentences are especially strong. Your thesis should already have given the reader an idea of the points you’ll be making and the organization you’ll be using, but you can help them out with some extra cues. The following words may be helpful to you in signaling your intentions:

  • like, similar to, also, unlike, similarly, in the same way, likewise, again, compared to, in contrast, in like manner, contrasted with, on the contrary, however, although, yet, even though, still, but, nevertheless, conversely, at the same time, regardless, despite, while, on the one hand … on the other hand.

For example, you might have a topic sentence like one of these:

  • Compared to Pepper’s, Amante is quiet.
  • Like Amante, Pepper’s offers fresh garlic as a topping.
  • Despite their different locations (downtown Chapel Hill and downtown Carrboro), Pepper’s and Amante are both fairly easy to get to.

The full reference should direct the reader to the source (eg the book or website ) from which the item was taken.

Citation examples

Image, figure, table or diagram.

You should provide an in-text citation for any photographs, images, tables, diagrams, graphs, figures or illustrations that you reproduce in your work. The citation would normally be given after the title of the figure, table, diagram, etc.

Example: Figure 1, A four pointed star (Jones, 2015, p.54).

A reference within the text to a table, graph, diagram, etc. taken from a source should include the author, date and page number in brackets to enable the reader to identify the data.

Example: (Jones, 2015, p.33)

If you have already named the author in the text, only the publication year and page number needs to be mentioned in brackets.

Jones (2015, p.33) gave a detailed figures on the rapid increase of trade union membership during the twentieth century.

If the source of the data is not the author's own, but obtained from another source, it becomes a secondary reference and needs to be cited as such.

Example: (United Nations, 1975, cited in Smith, 2016, p.33)

If you use a table/graph, etc. from a source and then adapt it to use in your own assignment, you must make that clear in your reference.

We would suggest something along the lines of: Figure 1, Title, based on Smith, 2005, p.22.

Corporate author

If the item is produced by an organisation, treat the organisation as a "corporate author". This means you can use the name of the organisation instead of that of an individual author. This includes government departments, universities or companies. Cite the corporate author in the text the same way as you would an individual author.

What the data says about abortion in the U.S.

Pew Research Center has conducted many surveys about abortion over the years, providing a lens into Americans’ views on whether the procedure should be legal, among a host of other questions.

In a  Center survey  conducted nearly a year after the Supreme Court’s June 2022 decision that  ended the constitutional right to abortion , 62% of U.S. adults said the practice should be legal in all or most cases, while 36% said it should be illegal in all or most cases. Another survey conducted a few months before the decision showed that relatively few Americans take an absolutist view on the issue .

Find answers to common questions about abortion in America, based on data from the Centers for Disease Control and Prevention (CDC) and the Guttmacher Institute, which have tracked these patterns for several decades:

How many abortions are there in the U.S. each year?

This compilation of data on abortion in the United States draws mainly from two sources: the Centers for Disease Control and Prevention (CDC) and the Guttmacher Institute, both of which have regularly compiled national abortion data for approximately half a century, and which collect their data in different ways.

The CDC data that is highlighted in this post comes from the agency’s “abortion surveillance” reports, which have been published annually since 1974 (and which have included data from 1969). Its figures from 1973 through 1996 include data from all 50 states, the District of Columbia and New York City – 52 “reporting areas” in all. Since 1997, the CDC’s totals have lacked data from some states (most notably California) for the years that those states did not report data to the agency. The four reporting areas that did not submit data to the CDC in 2021 – California, Maryland, New Hampshire and New Jersey – accounted for approximately 25% of all legal induced abortions in the U.S. in 2020, according to Guttmacher’s data. Most states, though,  do  have data in the reports, and the figures for the vast majority of them came from each state’s central health agency, while for some states, the figures came from hospitals and other medical facilities.

Discussion of CDC abortion data involving women’s state of residence, marital status, race, ethnicity, age, abortion history and the number of previous live births excludes the low share of abortions where that information was not supplied. For the numbers of deaths caused by induced abortions in 1963 and 1965, this analysis looks at reports by the then-U.S. Department of Health, Education and Welfare, a precursor to the Department of Health and Human Services. In computing those figures, we excluded abortions listed in the report under the categories “spontaneous or unspecified” or as “other.” (“Spontaneous abortion” is another way of referring to miscarriages.)

Guttmacher data in this post comes from national surveys of abortion providers that Guttmacher has conducted 19 times since 1973. Guttmacher compiles its figures after contacting every known provider of abortions – clinics, hospitals and physicians’ offices – in the country. It uses questionnaires and health department data, and it provides estimates for abortion providers that don’t respond to its inquiries. (In 2020, the last year for which it has released data on the number of abortions in the U.S., it used estimates for 12% of abortions.) For most of the 2000s, Guttmacher has conducted these national surveys every three years, each time getting abortion data for the prior two years. For each interim year, Guttmacher has calculated estimates based on trends from its own figures and from other data.

The latest full summary of Guttmacher data came in the institute’s report titled “Abortion Incidence and Service Availability in the United States, 2020.” It includes figures for 2020 and 2019 and estimates for 2018. The report includes a methods section.

In addition, this post uses data from StatPearls, an online health care resource, on complications from abortion.

An exact answer is hard to come by. The CDC and the Guttmacher Institute have each tried to measure this for around half a century, but they use different methods and publish different figures.

The last year for which the CDC reported a yearly national total for abortions is 2021. It found there were 625,978 abortions in the District of Columbia and the 46 states with available data that year, up from 597,355 in those states and D.C. in 2020. The corresponding figure for 2019 was 607,720.

The last year for which Guttmacher reported a yearly national total was 2020. It said there were 930,160 abortions that year in all 50 states and the District of Columbia, compared with 916,460 in 2019.

  • How the CDC gets its data: It compiles figures that are voluntarily reported by states’ central health agencies, including separate figures for New York City and the District of Columbia. Its latest totals do not include figures from California, Maryland, New Hampshire or New Jersey, which did not report data to the CDC. ( Read the methodology from the latest CDC report .)
  • How Guttmacher gets its data: It compiles its figures after contacting every known abortion provider – clinics, hospitals and physicians’ offices – in the country. It uses questionnaires and health department data, then provides estimates for abortion providers that don’t respond. Guttmacher’s figures are higher than the CDC’s in part because they include data (and in some instances, estimates) from all 50 states. ( Read the institute’s latest full report and methodology .)

While the Guttmacher Institute supports abortion rights, its empirical data on abortions in the U.S. has been widely cited by  groups  and  publications  across the political spectrum, including by a  number of those  that  disagree with its positions .

These estimates from Guttmacher and the CDC are results of multiyear efforts to collect data on abortion across the U.S. Last year, Guttmacher also began publishing less precise estimates every few months , based on a much smaller sample of providers.

The figures reported by these organizations include only legal induced abortions conducted by clinics, hospitals or physicians’ offices, or those that make use of abortion pills dispensed from certified facilities such as clinics or physicians’ offices. They do not account for the use of abortion pills that were obtained  outside of clinical settings .

The annual number of U.S. abortions rose for years after Roe v. Wade legalized the procedure in 1973, reaching its highest levels around the late 1980s and early 1990s, according to both the CDC and Guttmacher. Since then, abortions have generally decreased at what a CDC analysis called  “a slow yet steady pace.”

Guttmacher says the number of abortions occurring in the U.S. in 2020 was 40% lower than it was in 1991. According to the CDC, the number was 36% lower in 2021 than in 1991, looking just at the District of Columbia and the 46 states that reported both of those years.

(The corresponding line graph shows the long-term trend in the number of legal abortions reported by both organizations. To allow for consistent comparisons over time, the CDC figures in the chart have been adjusted to ensure that the same states are counted from one year to the next. Using that approach, the CDC figure for 2021 is 622,108 legal abortions.)

There have been occasional breaks in this long-term pattern of decline – during the middle of the first decade of the 2000s, and then again in the late 2010s. The CDC reported modest 1% and 2% increases in abortions in 2018 and 2019, and then, after a 2% decrease in 2020, a 5% increase in 2021. Guttmacher reported an 8% increase over the three-year period from 2017 to 2020.

As noted above, these figures do not include abortions that use pills obtained outside of clinical settings.

Guttmacher says that in 2020 there were 14.4 abortions in the U.S. per 1,000 women ages 15 to 44. Its data shows that the rate of abortions among women has generally been declining in the U.S. since 1981, when it reported there were 29.3 abortions per 1,000 women in that age range.

The CDC says that in 2021, there were 11.6 abortions in the U.S. per 1,000 women ages 15 to 44. (That figure excludes data from California, the District of Columbia, Maryland, New Hampshire and New Jersey.) Like Guttmacher’s data, the CDC’s figures also suggest a general decline in the abortion rate over time. In 1980, when the CDC reported on all 50 states and D.C., it said there were 25 abortions per 1,000 women ages 15 to 44.

That said, both Guttmacher and the CDC say there were slight increases in the rate of abortions during the late 2010s and early 2020s. Guttmacher says the abortion rate per 1,000 women ages 15 to 44 rose from 13.5 in 2017 to 14.4 in 2020. The CDC says it rose from 11.2 per 1,000 in 2017 to 11.4 in 2019, before falling back to 11.1 in 2020 and then rising again to 11.6 in 2021. (The CDC’s figures for those years exclude data from California, D.C., Maryland, New Hampshire and New Jersey.)

The CDC broadly divides abortions into two categories: surgical abortions and medication abortions, which involve pills. Since the Food and Drug Administration first approved abortion pills in 2000, their use has increased over time as a share of abortions nationally, according to both the CDC and Guttmacher.

The majority of abortions in the U.S. now involve pills, according to both the CDC and Guttmacher. The CDC says 56% of U.S. abortions in 2021 involved pills, up from 53% in 2020 and 44% in 2019. Its figures for 2021 include the District of Columbia and 44 states that provided this data; its figures for 2020 include D.C. and 44 states (though not all of the same states as in 2021), and its figures for 2019 include D.C. and 45 states.

Guttmacher, which measures this every three years, says 53% of U.S. abortions involved pills in 2020, up from 39% in 2017.

Two pills commonly used together for medication abortions are mifepristone, which, taken first, blocks hormones that support a pregnancy, and misoprostol, which then causes the uterus to empty. According to the FDA, medication abortions are safe  until 10 weeks into pregnancy.

Surgical abortions conducted  during the first trimester  of pregnancy typically use a suction process, while the relatively few surgical abortions that occur  during the second trimester  of a pregnancy typically use a process called dilation and evacuation, according to the UCLA School of Medicine.

In 2020, there were 1,603 facilities in the U.S. that provided abortions,  according to Guttmacher . This included 807 clinics, 530 hospitals and 266 physicians’ offices.

While clinics make up half of the facilities that provide abortions, they are the sites where the vast majority (96%) of abortions are administered, either through procedures or the distribution of pills, according to Guttmacher’s 2020 data. (This includes 54% of abortions that are administered at specialized abortion clinics and 43% at nonspecialized clinics.) Hospitals made up 33% of the facilities that provided abortions in 2020 but accounted for only 3% of abortions that year, while just 1% of abortions were conducted by physicians’ offices.

Looking just at clinics – that is, the total number of specialized abortion clinics and nonspecialized clinics in the U.S. – Guttmacher found the total virtually unchanged between 2017 (808 clinics) and 2020 (807 clinics). However, there were regional differences. In the Midwest, the number of clinics that provide abortions increased by 11% during those years, and in the West by 6%. The number of clinics  decreased  during those years by 9% in the Northeast and 3% in the South.

The total number of abortion providers has declined dramatically since the 1980s. In 1982, according to Guttmacher, there were 2,908 facilities providing abortions in the U.S., including 789 clinics, 1,405 hospitals and 714 physicians’ offices.

The CDC does not track the number of abortion providers.

In the District of Columbia and the 46 states that provided abortion and residency information to the CDC in 2021, 10.9% of all abortions were performed on women known to live outside the state where the abortion occurred – slightly higher than the percentage in 2020 (9.7%). That year, D.C. and 46 states (though not the same ones as in 2021) reported abortion and residency data. (The total number of abortions used in these calculations included figures for women with both known and unknown residential status.)

The share of reported abortions performed on women outside their state of residence was much higher before the 1973 Roe decision that stopped states from banning abortion. In 1972, 41% of all abortions in D.C. and the 20 states that provided this information to the CDC that year were performed on women outside their state of residence. In 1973, the corresponding figure was 21% in the District of Columbia and the 41 states that provided this information, and in 1974 it was 11% in D.C. and the 43 states that provided data.

In the District of Columbia and the 46 states that reported age data to  the CDC in 2021, the majority of women who had abortions (57%) were in their 20s, while about three-in-ten (31%) were in their 30s. Teens ages 13 to 19 accounted for 8% of those who had abortions, while women ages 40 to 44 accounted for about 4%.

The vast majority of women who had abortions in 2021 were unmarried (87%), while married women accounted for 13%, according to  the CDC , which had data on this from 37 states.

In the District of Columbia, New York City (but not the rest of New York) and the 31 states that reported racial and ethnic data on abortion to  the CDC , 42% of all women who had abortions in 2021 were non-Hispanic Black, while 30% were non-Hispanic White, 22% were Hispanic and 6% were of other races.

Looking at abortion rates among those ages 15 to 44, there were 28.6 abortions per 1,000 non-Hispanic Black women in 2021; 12.3 abortions per 1,000 Hispanic women; 6.4 abortions per 1,000 non-Hispanic White women; and 9.2 abortions per 1,000 women of other races, the  CDC reported  from those same 31 states, D.C. and New York City.

For 57% of U.S. women who had induced abortions in 2021, it was the first time they had ever had one,  according to the CDC.  For nearly a quarter (24%), it was their second abortion. For 11% of women who had an abortion that year, it was their third, and for 8% it was their fourth or more. These CDC figures include data from 41 states and New York City, but not the rest of New York.

Nearly four-in-ten women who had abortions in 2021 (39%) had no previous live births at the time they had an abortion,  according to the CDC . Almost a quarter (24%) of women who had abortions in 2021 had one previous live birth, 20% had two previous live births, 10% had three, and 7% had four or more previous live births. These CDC figures include data from 41 states and New York City, but not the rest of New York.

The vast majority of abortions occur during the first trimester of a pregnancy. In 2021, 93% of abortions occurred during the first trimester – that is, at or before 13 weeks of gestation,  according to the CDC . An additional 6% occurred between 14 and 20 weeks of pregnancy, and about 1% were performed at 21 weeks or more of gestation. These CDC figures include data from 40 states and New York City, but not the rest of New York.

About 2% of all abortions in the U.S. involve some type of complication for the woman , according to an article in StatPearls, an online health care resource. “Most complications are considered minor such as pain, bleeding, infection and post-anesthesia complications,” according to the article.

The CDC calculates  case-fatality rates for women from induced abortions – that is, how many women die from abortion-related complications, for every 100,000 legal abortions that occur in the U.S .  The rate was lowest during the most recent period examined by the agency (2013 to 2020), when there were 0.45 deaths to women per 100,000 legal induced abortions. The case-fatality rate reported by the CDC was highest during the first period examined by the agency (1973 to 1977), when it was 2.09 deaths to women per 100,000 legal induced abortions. During the five-year periods in between, the figure ranged from 0.52 (from 1993 to 1997) to 0.78 (from 1978 to 1982).

The CDC calculates death rates by five-year and seven-year periods because of year-to-year fluctuation in the numbers and due to the relatively low number of women who die from legal induced abortions.

In 2020, the last year for which the CDC has information , six women in the U.S. died due to complications from induced abortions. Four women died in this way in 2019, two in 2018, and three in 2017. (These deaths all followed legal abortions.) Since 1990, the annual number of deaths among women due to legal induced abortion has ranged from two to 12.

The annual number of reported deaths from induced abortions (legal and illegal) tended to be higher in the 1980s, when it ranged from nine to 16, and from 1972 to 1979, when it ranged from 13 to 63. One driver of the decline was the drop in deaths from illegal abortions. There were 39 deaths from illegal abortions in 1972, the last full year before Roe v. Wade. The total fell to 19 in 1973 and to single digits or zero every year after that. (The number of deaths from legal abortions has also declined since then, though with some slight variation over time.)

The number of deaths from induced abortions was considerably higher in the 1960s than afterward. For instance, there were 119 deaths from induced abortions in  1963  and 99 in  1965 , according to reports by the then-U.S. Department of Health, Education and Welfare, a precursor to the Department of Health and Human Services. The CDC is a division of Health and Human Services.
