What is the DPR Tool?
The Degree Progress Report (DPR) is an online self-serve tool provided by York University that allows undergraduate students to track their progress towards their degree. This tool is designed to check the requirements that are needed for a student to graduate in his/her degree program, as per the undergraduate calendar. It is also supposed to check all of the courses on a student’s official record that they have taken at York towards their degree. Based on this automated review, it shows the student what requirements they have already completed, what requirements they still need to complete and what is currently in progress. In this project, we will perform a normative study of the ‘Degree Progress Report’ tool.
Methodology
In this project, we will be using the double-diamond methodology to discover insights into the problems, define the area to focus upon, develop potential solutions, and deliver solutions that will work for the DPR tool. The double diamond methodology is a well-known and popular design methodology used to illustrate how designers work through the four key stages of a design process:
- Discover - Expand space for various ideas to be discovered and shared
- Define - Focus on users’ needs to identify and define key problem areas
- Develop - Develop multiple prototype solutions based on the opportunity areas discovered
- Deliver - Focus on the key objectives and constraints to deliver a final solution.
During the discovery phase, designers often begin by questioning the problem that they are given. They expand the scope of the problem and diverge to examine all the underlying fundamental issues. Next comes the definition stage where the designers try to make sense of all the various possibilities identified in the discovery phase. It is crucial to assess and identify what are the key problems, which problems should be resolved first, and which ones are feasible. The main goal is to develop a clear brief which frames the fundamental design challenge. After the definition stage, the designers expand on the space of all the possible solutions during the development phase. Solutions and concepts are created, prototyped, tested and iterated. The continuous process of trial and error assists greatly in the improvement and refinement of design ideas. Lastly, during the delivery phase, the designers converge upon a proposed solution which is finalized, produced and delivered.
Primary Research
Student interview responses.
The following table summarizes the responses obtained from seven student participants from the Electrical Engineering and Computer Science (EECS) department at Lassonde School of Engineering. We will use these responses to understand the main pain points in the current DPR tool.
*Important problems shared by students during the in-person interviews regarding the DPR tool:
Deferred standing not accurately reflected.
One student received an incorrect grade ‘F’ instead of ‘DEF’ on their degree progress report. As a result, the DPR tool displayed a much lower and incorrect GPA which resulted in the student being held back from participating in the coop program that term. The student had to speak to the department numerous times to have this fixed, which took about two months. This was a very frustrating experience for the student.
Courses not reflected by the correct academic year, thus negatively impacting student’s GPA and final credit count
A student took the course CSE 1030 during the Fall 2014 term. This course was later renamed EECS 2030. The DPR tool did not recognize this change and counted the seas two different courses. Consequently, the student’s academic report incorrectly reported a total 120 credits instead of 117 credits. This caused the student to believe that she was eligible to graduate, however, her graduation request was soon denied when the department performed an in-depth audit on her academic record. When shes poke to the academic advisors in person, they acknowledged the mistake on the DPR tool and manually fixed the error. Relying on the DPR tool to keep track of her degree progress was a scary experience for this student as she was in her final semester before graduation. She had never even realized that there was anything wrong with her degree progress up until the advisors notified her after a degree audit.
Another student, who had previously completed CSE 1030 successfully, was declined enrollment in EECS 3221 because his report showed that he was missing the prerequisite EECS 2030. This student had to speak to the department to get this fixed and was granted enrollment the following week.
Transfer credits ignored
A student had been granted transfer credits for courses taken at another institution, however, when she applied for an informal degree audit to ensure that she was on track towards graduation, the academic advisors told her that she was not eligible to graduate. This was because the academic advisors could not view her transfer credit statement on the DPR tool. The student was able to access this statement from York’s transfer credit website, however, this was not correctly updated on the DPR tool. As a result, the student had to book a separate meeting with the academic advisors and show them her transfer credit statement by logging into her account in front of them. Another student was denied enrollment in an EECS course, despite having fulfilled its prerequisites through transfer credits, because this information was not correctly reflected in her academic records.
Academic Advisors’ Interview Responses:
The advisors use the DPR tool mostly just to get a good glimpse of what courses have been completed and what courses are pending for a student. When performing in-depth audits to determine a student’s eligibility for graduation, the advisors do not use the DPR tool because they acknowledge that it is often inaccurate. The advisors have reported that they tend to rely more on the official Academic calendar and the program checklists instead of the DPR tool, and they also advise the students to do the same.
The following is a list of key problems reported by the Lassonde academic advisors in regards to the DPR tool:
❖ Due to the language used to describe the academic requirements in the DPR tool, there is often some difference in interpretation which causes confusion. It is difficult to edit this language because it is taken directly from the academic calendar which is considered to be the most reliable source of information as it is prepared by the office of the dean and reviewed by senior faculty members.
❖ There is too much text to read on screen and it is presented in a way which often requires excessive scrolling, especially on a cell phone. It would be preferred if the user can access the same amount of information using less actions/gestures.
❖ This tool is most useful when the student has read and understood all the information from top to bottom, otherwise there is a good chance that the student will remain confused.
❖ The DPR tool does not display all key information pertaining to a student’s degree progress, and the students and advisors often have to open several tabs at a time to access all important information (e.g., list of available courses, academic deadlines, etc.)
❖ Students do not have access to their own petition history and have to contact the faculty directly in order to obtain this information.
❖ The transfer credits statement is not always accurately updated.
❖ When the transfer credits statement is updated, it appears separately as a document link which takes the user to a second page. The advisors have to read this document and then manually enter credits from it. The team of advisors has been trained to manually code such information into the DPR tool.
❖ When advisors have to manually make changes in the DPR tool, such as changing the completion status of a course, granting or deducting course credits, entering transfer credits, etc., it introduces the possibility of human error.
❖ The DPR tool does not display the cumulative EECS GPA, which is crucial to determine whether a student can enroll in his/her core upper-year EECS courses.
Overall, the advisors seem to have a better user experience with the DPR tool than the students.
This may be due to the following reasons:
❖ It is a part of their job to use the DPR tool every day to assist students. Therefore, they feel more comfortable using it since they have become extremely well-versed with it.
❖ They have studied the faculty rules as well as the academic calendar thoroughly, and so it is much easier for them to understand and translate the language used to describe this information. On the other hand, the students are often left confused when trying to understand this language and are forced to frequently make appointments with the advisors for clarification.
❖ The user experience of the advisors comes from a place of having seen the DPR tool from its very initial stages to where it is now. They have seen this tool from back when its functionality was extremely basic and much less helpful. Therefore, in comparison to its older versions, they find the current DPR tool much more helpful and easy to use. Nonetheless, they recognize that the students could definitely get frustrated when using the same tool.
Primary Research Conclusion
Based on the verbal accounts of all the students and the academic advisors who participated in this study, it can be concluded that the information presented on the DPR tool can often be misleading and even detrimental to a student’s academic progress. The information regarding the degree requirements is reliable only for new students since this is taken directly from the latest version of the academic calendar. However, the DPR tool fails to consider the case of older students who have to follow the requirements of previous academic years. It was also found that the DPR tool often displayed incorrect information regarding a student’s progress in their program, which led to an incorrect calculation of GPA and number of credits, even for the newer students. This also led to some of the students being denied permission to enroll in a required course or being approved for graduation.

The following are screenshots obtained from the YorkU reddit forums which highlight the common experiences, concerns, problems and confusions of York University students regarding the DPR tool:
1. DPR tool available only for certain programs and not others.
2. Transfer credits took six months to get updated correctly.
3. DPR tool did not display a required course in which a student was enrolled,causing the student to become worried about his/her degree progress and graduation status.
4. DPR tool incorrectly displayed a course as “not yet satisfied”.
5. Student was advised by academic advisors not to rely on the DPR tool.
6. Student was not notified when changes were made to his/her degree progress report.
7. Language used to describe the degree requirements is too confusing.
8. DPR tool did not count a course which was successfully completed.
USER PERSONAS
PROPOSED FEATURES FOR DPR 2.0
I. a progress bar.
WHAT - A simple progress bar on the main page which shows the student exactly where he/she stands in their degree and how far they are from graduating. This is accompanied with a short and concise summary of the requirements that have been satisfied so far by the student and the requirements that are pending.
WHY - Based on the interviews conducted with the student participants, we know that students are mostly interested in knowing how far they are from graduation and what are the next requirements they need to fulfill in order to make progress. If this information is the first thing they see after logging in to the DPR tool, their user experience will become much more smooth.
II. PAST PETITION HISTORY
WHAT - An additional section on the DPR tool which includes all information related to all academic petitions filed by a student. This includes electronic copies of the documents submitted by the student, the status of each petition, and the comments provided by the petition committee in regards to the outcome.
WHY - This will help students keep track of the following:
● Petitions the student has filed
● Status of each petition (i.e., accepted, denied or under review)
● Approximate time remaining in receiving a final decision
● A list of faculty rules which the student is eligible/ineligible to petition based on the student’s past petition history and academic records.
This will also help the advisors in the following ways:
● Quick and easy access to all information regarding a student’s petition history in one place
● Be able to more correctly assess a student’s academic situation● Be able to provide customized feedback based on the unique history of each student instead of general feedback
III. ELIGIBILITY & AVAILABILITY OF PENDING COURSES
WHAT - When a required course has not yet been satisfied, the DPR tool displays whether or not the student has satisfied the prerequisites for this course. If the student has completed all of the prerequisites, the DPR tool displays whether or not this course is available during the current academic session. The student can then click on this course and jump to the schedule for this course for the current academic session.
WHY - Normally, the student would need to first refer to the checklist for their program to determine which courses are pending in their degree. Then, they would need to go to the York University course website > Subject > Term >Program > Course List > Course Schedule. This requires a minimum of two tabs and around 6-7 clicks. Therefore, if the DPR tool can figure out which courses are pending, display the availability of these courses, and provide a link which takes the student directly the course schedule page, the search time and number of clicks would decrease significantly for the user.
IV. A COMMENTS SECTION FOR BETTER COMMUNICATION
WHAT - A comments section where the advisor or the student can add quick notes summarizing the key points discussed during the advising session. If the student has a question that does not necessarily require an in-person meeting, the student can leave comments for quick queries and clarifications. Each time a student leaves a comment the advisor is notified, and vice versa.
WHY - This feature would benefit the advisors and the students in the following ways:
● Some of the advisors have reported that students often forget what was discussed in the previous advising sessions and so they keep coming back with the same questions. This becomes quite annoying for the advisors who are forced to repeat the same information multiple times. Therefore, adding a comments section to the DPR tool will allow the advisors to leave quick comments about what they have discussed with the student during their meeting so that the student can simply refer back to these comments instead of calling the advisor for another appointment.
● Students often complain that they have to wait up to two hours at a time in order to meet with an advisor, even if they have a simple question to ask that can be answered within a few minutes. If the students are able to leave a quick comment on their degree progress report, the advisor can read and decide whether it can be answered within a few sentences or if an in-person meeting will be required.
● Having a written record of such communication between the student and the advisor can help both parties be on the same page when conducting future advising sessions. Such records can also help the student keep track of how long it has been since their last academic advising session.
V. IMPORTANT LINKS
WHAT - A section which includes all important links for information related to a student’s degree progress. For example:
● The academic calendar that the student must follow based on the specific year in which they started their degree
● Schedule for the pending courses in this student’s degree
● GPA Calculator
● Registration and Enrollment Module (REM)
WHY - Based on the students interviews, these are some of the most commonly used resources by the EECS students. Currently, the students have to open multiple tabs and manually search for these links on Google. This requires several additional clicks as well as more typing, and so it increases the amount of time it takes to access these resources. Therefore, making all of these important links available in one place will significantly decrease the access/search time for the users.
VI. TRANSFER CREDITS TABLE
WHAT - A table consisting of a list of courses successfully completed at another institution by the student, the equivalent course for each one at York, the number of credits granted per course as well as in total, and the degree requirements that these transfer credits satisfy.
WHY - Several students have reported having trouble with their degree audits because their transfer credits were not accurately reflected. The advisors have also shared that they currently have to click on a link which takes them to another page where they have to read the transfer credit statement and manually enter the credits from it into the system. Therefore, having just one table which summarizes the information presented in the transfer credit statement will improve the user experience for both the students and the advisors.
VII. NOTIFICATION FEATURE
WHAT - Each time a change occurs in a student’s degree progress report or if an advisor leaves a comment on their file, the DPR tool sends a notification to the student.
WHY - A few students have reported that they never even knew when crucial changes were made to their online report, such as being switched from one program to another due to a low GPA. Adding a simple notification feature will prevent students from logging into the system multiple times and feeling unsatisfied or stressed. Students also tend to log into their DPR tool more often right after the exam season to find out their final grades. Sometimes these grades are reported within a few days and sometimes they can take a few weeks. It can be frustrating for students to check for these grades over and over by logging in everyday. Therefore, a notification feature can inform students when their grades have been updated so that they do not have to keep logging in multiple times to check this information.
VIII. PLANNER
WHAT - A feature which allows students to plan out their future semesters years in advance.
WHY - During the in-person interviews, a number of students reported that they currently plan out their future terms either in MS Excel or on paper. A planner feature on the DPR tool can encourage students to plan out their future academic terms and have them saved for future reference way ahead of time. This feature can also make it much easier for students to visualize their course load.
