System software refers to the low-level software that manages and controls a computer’s hardware and provides basic services to higher-level software. There are two main types of software: systems software and application software. Systems software includes the programs that are dedicated to managing the computer itself, such as the operating system, file management utilities, and disk operating system (or DOS). 

What is System Software?

System software is software that provides a platform for other software. Some examples can be operating systems , antivirus software , disk formatting software, computer language translators, etc. These are commonly prepared by computer manufacturers. This software consists of programs written in low-level languages, used to interact with the hardware at a very basic level. System software serves as the interface between the hardware and the end users. 

System software refers to the collection of programs and software components that enable a computer or computing device to function properly. It acts as an intermediary between the user and the computer hardware, allowing the user to interact with the hardware and use various applications and programs. Some common types of system software include operating systems (such as Windows, macOS, or Linux), device drivers , utility programs, programming languages, and system libraries.

Operating systems are the most important type of system software, as they provide the foundational framework for all other software and applications to run on the computer. They manage computer resources, such as memory and processing power, and provide a user interface for users to interact with the system. Device drivers are another important type of system software, as they allow the operating system to communicate with hardware devices such as printers, scanners , and graphics cards . Utility programs provide additional functionality to the operating system, such as disk defragmentation , virus scanning, and file compression.

Examples of System Software

System software is a type of computer program that is designed to run a computer’s hardware and application programs and examples of system software include operating systems (OS) (like macOS, Linux, Android, and Microsoft Windows), game engines, search engines(like google,Bing,Yahoo!), industrial automation, computational science software, and (SaS)software as a service applications.

  • Operating systems (OS): Windows, Linux, macOS, etc.
  • Device drivers: software that enables the communication between hardware and OS.
  • Firmware : pre-installed low-level software that controls a device’s basic functions.
  • Utility software: tools for system maintenance and optimization.
  • Boot loaders : software that initializes the OS during startup.

Why use  System Software?

Here are some reasons why system software is necessary:

  • Hardware Communication: System software serves as an interface between the hardware and software components of a computer, enabling them to communicate and work together.
  • Resource Management: System software manages computer resources such as memory, CPU usage, and storage, optimizing their utilization and ensuring that the system operates efficiently.
  • Security: System software provides security measures such as firewalls, antivirus software, and encryption, protecting the system and its data from malware, viruses, and other security threats.
  • User Interface: System software provides a user interface that allows users to interact with the computer or computing device and perform various tasks.
  • Application Support: System software supports the installation and running of applications and software on the system.
  • Customization: System software allows for customization of the system settings and configuration, giving users greater control over their computing environment.

Features of System Software 

The most important features of system software are as below.

  • Memory Management: operating system perform memory management . The OS keeps track of the primary memory and allocates the memory when a process requests it. 
  • Processor Management: OS performs process management . Allocates the main memory (RAM) to a process and de-allocates it when it is no longer required. 
  • File Management: Operating system perform file management . Allocates and de-allocates the resources and decides who gets the resources. 
  • Security: Prevents unauthorized access to programs and data using passwords. 
  • Error-detecting Aids: Production of dumps, traces, error messages, and other debugging and error-detecting methods. 
  • Scheduling: The OS schedules the process through its scheduling algorithms .

1. Operating System

An operating system (OS) is a type of system software that manages a computer’s hardware and software resources. It provides common services for computer programs. An OS acts as a link between the software and the hardware. It controls and keeps a record of the execution of all other programs that are present in the computer, including application programs and other system software.

Important Tasks Performed by the Operating System

The main functions of operating systems are as follow:

  • Resource Management:  The operating system manages and allocates memory, CPU time, and other hardware resources among the various programs and processes running on the computer.
  • Process Management:  The operating system is responsible for starting, stopping, and managing processes and programs. It also controls the scheduling of processes and allocates resources to them.
  • Memory Management:  The operating system manages the computer’s primary memory and provides mechanisms for optimizing memory usage.
  • Security:  The operating system provides a secure environment for the user, applications, and data by implementing security policies and mechanisms such as access controls and encryption.
  • File Management:  The operating system is responsible for organizing and managing the file system, including the creation, deletion, and manipulation of files and directories.
  • Device Management:  The operating system manages input/output devices such as printers, keyboards, mice, and displays. It provides the necessary drivers and interfaces to enable communication between the devices and the computer.

2. Programming Language Translator

Programming language translators are programs that translate code written in one programming language into another programming language. below are examples of programming language translator.

  • Compiler: A compiler is a software that translates the code written in one language to some other language without changing the meaning of the program. The compiler is also said to make the target code efficient and optimized in terms of time and space.  A compiler performs almost all of the following operations during compilation pre-processing, lexical analysis , parsing, semantic analysis (syntax-directed translation), conversion of input programs to an intermediate representation, code optimization , and code generation . Examples of compilers may include gcc(C compiler), g++ (C++ Compiler ), javac (Java Compiler), etc. 
  • Interpreter: An interpreter is a computer program that directly executes, i.e. it performs instructions written in a programming or scripting language . Interpreters do not require the program to be previously compiled into a machine language program. An interpreter translates high-level instructions into an intermediate form, which is then executed.  Interpreters are fast as it does not need to go through the compilation stage during which machine instructions are generated. The interpreter continuously translates the program until the first error is met. If an error comes it stops executing. Hence debugging is easy. Examples may include Ruby , Python , PHP, etc. 
  • Assembler: An assembler is a program that converts the assembly language into machine code. It takes the basic commands and operations and converts them into binary code specific to a type of processor.  Assemblers produce executable code that is similar to compilers. However, assemblers are more simplistic since they only convert low-level code (assembly language) to machine code. Since each assembly language is designed for a specific processor, assembling a program is performed using a simple one-to-one mapping from assembly code to machine code. On the other hand, compilers must convert generic high-level source code into machine code for a specific processor. 

3. Device Drivers

Device drivers are a class of system software that minimizes the need for system troubleshooting. Internally, the operating system communicates with hardware elements. Device drivers make it simple to manage and regulate this communication.

To operate the hardware components, the operating system comes with a variety of device drivers. The majority of device drivers, including those for a mouse, keyboard, etc., are pre-installed in the computer system by the businesses that make computers.

4. Firmware

These are the operational programs installed on computer motherboards that assist the operating system in distinguishing between Flash, ROM , EPROM , and memory chips. However, managing and controlling all of a device’s actions is the main purpose of any firmware software . For initial installation, it makes use of non-volatile chips.

There are mainly two main types of firmware chips:

  • BIOS (Basic Input/Output System) chip .
  • UEFI (Unified Extended Firmware Interface) chips .

5. Utility Software

System Software and application software interact through utility software . A third-party product called utility software is created to lessen maintenance problems and find computer system defects. It is included with your computer’s operating system.

Listed below are some particular attributes of utility software:

  • Users benefit from protection from threats and infections.
  • WinRAR and WinZip are programs that aid in reducing disk size.
  • It assists with disk partitioning and functions as a windows disk management service.
  • It makes it easier for users to back up old data and improves system security.
  • It operates as a disk defragmenter to organize the dispersed files on the drive.
  • It aids in the recovery of lost data.

Uses of System Software

Here are some common uses of system software:

  • Operating systems: An operating system is a type of system software that manages computer hardware and software resources and provides common services for computer programs. Operating systems are used in a wide variety of applications, from personal computers to servers, supercomputers , and embedded systems .
  • Device drivers: Device drivers are a type of system software that allow operating systems to communicate with hardware devices such as printers, scanners, and graphics cards. Without device drivers, operating systems would not be able to interact with hardware devices, making them useless.
  • Firmware: Firmware is a type of system software that provides low-level control over hardware devices such as BIOS firmware, firmware for embedded systems, and firmware for network devices such as routers and switches.
  • System utilities: System utilities are a type of system software that performs routine maintenance tasks such as disk cleanup, defragmentation, antivirus scanning, and system backups. These utilities help ensure that the computer system is running efficiently and securely.
  • Programming tools: Programming tools are a type of system software that is used by developers to create, debug, and optimize software applications. These tools include compilers, debuggers, integrated development environments (IDEs) , and performance analysis tools.

Issues in System Software

  • Compatibility Issues: System software may not be compatible with certain hardware components, which can cause errors or crashes.
  • Security Issues: System software may contain vulnerabilities that can be exploited by hackers or malware to gain unauthorized access to the system or steal sensitive data.
  • Performance Issues: System software may not be optimized for the hardware or may be resource-intensive, which can cause the system to slow down or freeze.
  • Update Issues: System software updates may contain bugs or compatibility issues that can cause problems with the system or other software components.
  • Licensing Issues: Some system software may require licensing or activation , which can cause problems if the license expires or if there are licensing errors.
  • User Interface Issues: The user interface of system software may not be intuitive or may be difficult to use, which can affect the user experience.

Advantages of System Software

  • Resource management : System software manages and allocates resources such as memory, CPU , and input/output devices to different programs.
  • Improved performance: System software optimizes the performance of the computer and reduces the workload on the user.
  • Security : System software provides security features such as firewalls , anti-virus protection, and access controls to protect the computer from malicious attacks.
  • Compatibility: System software ensures compatibility between different hardware and software components, making it easier for users to work with a wide range of devices and software.
  • Ease of use: System software provides a user-friendly interface and graphical environment, making it easier for users to interact with and control the computer.
  • Reliability: System software helps ensure the stability and reliability of the computer, reducing the risk of crashes and malfunctions.
  • Increased functionality: System software provides a range of tools and utilities for performing various tasks, increasing the functionality and versatility of the computer.

Disadvantages of System Software

  • Complexity : System software can be complex and difficult to understand, especially for non-technical users.
  • Cost : Some system software, such as operating systems and security software, can be expensive.
  • System Overhead: The use of system software can result in increased system overhead, which can slow down the performance of the computer and reduce its efficiency.

What is Operating System?  An operating system is a program thatcontrols the execution of application andacts as an interface between the user of acomputer and the computer hardware. 2

 What is software?  What is System Software?  What is Application Software?  What is memory? Types of Memory? What is processor? 3

 System software is computer software designed to operate thecomputer hardware and to provide and maintain a platform forrunning application software.  Application software, also known as software application, applicationor app, is computer software designed to help the user to perform asingular or multiple related specific tasks. Typical examples are word processors, spreadsheets, media players and database applications.  Memory is the electronic holding place for instructions and data thatyour computer's microprocessors can reach quickly.  A processor is the logic circuitry that responds to and processes thebasic instruction that drive a computer. The term processor hasgenerally replaced the term central processing unit(CPU). The processor in a personal computer or embedded in small devices is often called a microprocessor. 4

 The speed is measured in Megahertz or MHz. A singleMHz is a calculation of 1 million cycles per second (or computer instructions), so if you have a processorrunning at 2000 MHz, then your computer is running at2000,000,000 cycles per second, which in more basic terms is the amount of instructions your computer can carry out. Another important abbreviation is Gigahertzor GHz. A single GHz or 1 GHz is the same as 1000 MHz . Sounds a bit confusing, so here is a simple conversion :  1000 MHz (Megahertz) = 1GHz (Gigahertz) = 1000,000,000 Cycles per second (or computer instructions). 5

Introduction  Amodern computerconsistsone ormoreprocessor,mainmemory, disks, printers, a keyboard, a display, networkinterface and various other input/output(I/O) devices.Typically complex system.  Managing all these components and using them optimally isa very challenging job.  For this reason, computers are equipped with a layer ofsoftware called the operating system.  Job of OS is to provide user programs with a better, simpler,cleaner, model of the computer and to handle managing all the resources . 6

 Most users will have had some experience with differentOS. Such as Windows, Linux( we will learn in currentsemester), Mac.  Appearance will be different of each OS but functionalitywill remain almost same. Like accessing email, webbrowser, read/ write docs.  The program that users interact with, usually called Shellwhen it is text based and the GUI(Graphical User Interface)  Actually icon on desktop, it is not part of Operating systembut with help of icons to get its work done. 7

 In fig. we can see hardware at bottom, it consists of chips,boards, disks, a keyboard, a monitor, and many more.  On the top of hardware is software.  Computers have two modes of operations: Kernel modeand user mode.  The OS is most fundamental piece of software and runs inKernel mode(Supervisor mode).  In this mode, it has complete access to all the hardware andcan execute any instruction the machine is capable ofexecuting.  Rest of software will run in User node. 9

 The user interface program, shell or GUI, is the lowest levelof user node software, and allows the user to start otherprogram, such as web browser, e-mail reader, or music player.  An important difference between the OS and normalsoftware(user node) is that if a user does not like a particulare-mail reader, he or she is free to get a different one or writehis own.  If he choose to write, he is not free to write his own clockinterrupt handler, which is part of OS and is protected byhardware against attempts by users to modify. That means user can not modify any code. 10

 In many system there are programs that run in user mode butafter all it is helping to OS or perform privileged functions.  For example, you want to change your password of anyapplication. This application is not part of OS and also not run inKernel mode.  But it carries out a sensitive function and has to be protected in aspecial way.  In some system, it is considered to be the OS(file system) andrun in user space.  Some times it is very hard to draw a boundary because someprogram run in Kernel mode and some in User mode. 11

 Operating System differ from user program in ways other thanwhere they reside. They are very large, huge, complex, and long-lived.  The source code of OS like Linux or Windows is about morethan five million lines of Code.  They are very hard to write and having written on, the owner isnot happy to throw and start to again because it takes long time. 12

Operating System as a UI(User Interface)  Every General purpose computer consists of the hardware,OS, System program, application programs.  The hardware consists of memory, CPU, ALU,I/O devices,peripheral device and storage device.  System program consists of compilers, loaders, editors. OSetc.  The application program consists of business program, database program. 13

 Every computer must have an OS to run other programs.The Operating system control and co-ordinates the use ofthe hardware among the various system programs andapplication program for a various users. It simply providesan environment which other program can do useful work.  The Operating system is a set of special program that run ona computer system that allows it to work properly. Itperform basic task such as recognizing input from the keyboard, keeping track of files and directories on the disk, sending output to the display screen and controlling devices. 15

Purpose of OS  OS is designed to serve two basic purposes:  (1). It control the allocation and use of the computingsystem’s resources among the various users and disks.  (2). It provides an interface between the computer hardwareand the programmer that simplifies and makes feasible for coding, creation, debugging of application programs. 16

OS support tasks 1. Provides the facilities to create, modification of program and data files using an editor. 2. Access to the compiler for translating the user program from high level language to machine language. 3. Provide a loader program to move the compiled program code to computer’s memory for execution. 4. Provide routings that handle the details of I/O programming. 17

Operating System as Resource Manager( GTU, 4 Marks)  Acomputerisasetofresourcesforthemovement,storageand processing of data and for the control of these function.The OS is responsible for managing these resource.  Main resources that are managed by the operating system. Aportion of the operating system is in main memory. Thisincludes the Kernel, which contains the most frequently usedfunctions in operating system and at a given time, otherportions of OS currently in use. 18

 Main resource that are managed by the operating system. Aportion of the operating system is in main memory. This includesthe Kernel, which contains the most frequently used function in the operating system and at a given time, other portion of the OS currently in use.  The remainder of main memory contains other user programand data. The allocation of main memory is controlled by the OS and memory management hardware in the processor.  The operating system decides when I/O device can be used by aprogram in execution and controls the access to and use of files. 20

Evolution Of Operating System  An operating system may process its workload serially orconcurrently. That is resource of the computer system may be dedicated to a single program until its completion or they may bedynamically reassigned among a collection of active program in different stages of execution. 21

History of Operating System  The history of OS is inextricably linked with history anddevelopment of various generation of computer system.  (1) Zeroth Generation-Mechanical Parts  (2) First Generation(1945-1955)-Vacuum Tubes  (3) Second Generation(1955-1965)- Transistor  (4) Third Generation(1965-1980)-Integrated Circuits  (5) Fifth Generation(1980-Present)- Large Scale Integration 22

Zeroth Generation  The first digital computer was designed by CharlesBabbage.  It had a mechanical design where wheels, gears, cogsetc.  This computer was slow and unreliable, this designcould not really become very popular.  There was no question of any OS of any kind of thismachine. 23

First Generation  After few years, a solution evolved which was electronic ratherthan mechanical.  These machines were huge and their continued use generated agreat deal of heat.  The vacuum tubes also used to get burnt very fast. For onecomputer to run, at least 10,000 to 20,000 tubes could bewasted.  The programming was done only in machine language so that isnot easy for normal people at this time. And also, this wasneither an assembly language nor any higher level language.  So it was not friendly to both the users and programmers. 24

Second Generation: Transistor and Batch System  The introduction of the transistor in the mid-1950s changedpicture.  Computer become reliable and small in size.  For first time, there was a clear separation between designers, programmers, analyst, operators and maintenance personnel.  These machines now called mainframes , it locked in airconditioned rooms by staff or professional operator to run them.  Large companies, major government or universities canafford the multimillion dollar computer. 27

 To run a Job(i.e. program or set of programs), a programmer will write aprogram first( on paper or FORTAN[Formula Translating System] orassembler), then punch it on cards.  He/she would then bring the card deck down to input room and hand it toone of the operators and wait until the output was ready.  When the computer finished whatever job it was currently running, anoperator will go to the printer and tear off the o/p and carry to the output room, so that programmer can collect output later.  Programmer take one of the card decks that had been bought from theinput room and read it in.  If the FORTRAN compiler was needed, the operator have to get it from afile cabinet and read it in.  Much computer time was wasted while operators were walking around themachine room. 28

Spooling  Acronym for simultaneous peripheral operation on line. Spoolingrefers to putting jobs in a buffer, a special area in memory or on a disk where device can access them when it is ready.  Spooling is useful because device access data at different rates.The buffer provides a waiting station where data can rest while the slower device catches up.  Computer can perform I/O in parallel with computation, itbecomes possible to have the computer read a deck of cards to a tape, drum or disk and to write out to a tape printer while it wascomputing, this process is called spooling. 29

 The most common spooling application is print spooling. In printspooling, documents are loaded into a buffer and then printer pulls them off the buffer at its own rate.  Spooling is also used for processing data at remote sites. TheCPU sends the data via communication path to a remote printer. Spooling overlaps the I/O of one job with the computation of other jobs.  one difficulty with simple batch system is that the computer stillneeds to read the deck of cards before it can begin to execute job. This means that the CPU is idle during these relatively slowoperations. 30

Advantages of Spooling  The spooling operation uses a disk as a very large buffer.  Spooling is however capable of overlapping I/O operation of onejob with processor operations for another job 31

OS Services  An operating system provides services to programsand to the users of those programs. It provide an environment for the execution of programs.  The services provided by one operating system isdifferent than other operating system.  Operating system makes the programming taskseasier. The common services provided by the operating system is listed. 32

OS Services  Types of services that an operating system provides for readingand writing records.These services fall in the category.  Information Management(IM). From systems programmer’spoint of view, the operating system can be considered to be a collection of many such callable programs or services categorized under three major heads  Information Management(IM). Process Management(PM). Memory Management(MM). 33

Types of OS  (1) Mainframe Operating System  Mainframe computers differ from personalcomputers in terms of their I/O capacity. A mainframe with 1000 disks and millions of gigabytes of data.  Mainframe are also making something of a comebackas high-end web servers, servers for large-scale electronic commerce sites and servers for businessto business transaction. 40

 The operating system for mainframes are heavily orientedtoward processing many jobs at once, most of which need huge amount of I/O.  They typically offer three kind of service Batch processing  Transaction processing Timesharing processing 41

 A batch system is one that processes routing jobs without anyinteractive user present.  Claim processing in an insurance company or sales reporting forchain of store is typically done in batch mode.  Transaction processing system handle large numbers of smallrequests, for example, check processing at a bank or airline reservation.  Each unit of work is small, but the system must handle hundredor thousands per second.  Timesharing systems allow multiple remote users to run jobs oncomputer at once, such as querying a big database. 42

Server Operating Systems  Server operating system runs on servers, which are either verylarge personal computers, workstation or mainframes.  They serve multiple users at once over a network and allow theuser to share hardware and software resources.  Servers can provide print service, file service or web service.  Internet providers run many server machines to support theircustomers and websites use servers to store the WebPages andhandle the incoming requests.  Example of server OS are Solaris, Linux,Windows server 200x. 43

Multiprocessor OS  To connect multiple CPU into a single system depending onhow they are connected and what is shared, these systems arecalled parallel computers, multicomputer, or multiprocessors.  They need special operating system with special features forcommunication, connectivity and consistency.  In recent time, multicore chips for personal computers, evenconventional desktop and notebook operating system are starting to deal with at least small scale multiprocessors and the numbercores is likely to day by day. 44

Personal computer OS  Personal computer OS job is to provide a good interface to singleuser.  Modern operating system support multiprogramming supportdozens of programs started up at boot time.  They are widely used for word processing, spreadsheet andinternet access.  Examples of Personal computer OS are Window 98, Window2000, Linux etc.  Little bit training or introduction require for using personalcomputer operating system. 45

Real time OS  Real time OS characterized by having time as a keyparameter.  For example, in industrial process control system, real timecomputer have to collect data about the production process and use it to control machine in factory. 46

Embedded OS  Continuing on down to smaller and smaller systems, we come topalmtop computers and embedded systems.  A palmtop or PDA(personal Digital Assistant) is a smallcomputer that fits in pocket and perform little function such as accessing electronic access site and memo pad  Embedded systems run on the computers that control devicesthat are not generally thought of as computers, such as TV sets, microwave ovens, and mobile telephones.  These often have some characteristics of real-time systems butalso have size, memory, and power restrictions that make them special. Examples of such operating systems are PalmOS and Windows CE (Consumer Electronics). 47

Smart Card OS  The smallest operating systems run on smart cards, whichare credit card-sized devices containing a CPU chip.  They have very severe processing power and memoryconstraints. Some of them can handle only a single function, such as electronic payments, but others can handle multiplefunctions on the same smart card. Often these are proprietary systems. 48

How to Make Interesting Presentations for Software Projects .

No matter how good your website or app might be, if you cannot communicate its value to your client or employer, your hard work will be overlooked. Here's a guide on how to create interesting presentations for your next software project.

Know Your Presentation Audience

Don't start by just slapping a bunch of slides together. Instead take a moment and think about who you're going to present to. This might be your boss, a potential client or an interested crowd at a conference. Think about the background knowledge your audience will posses or what it might be missing out on. Reflect on their interests. Most of the time people are not attending presentations just because they like hearing you talk. So figure out what they're looking to get out of your presentation. This might be technical knowledge, inspiration as well as strategical or economical insights.

Besides knowing such on-topic aspects about your audience, it could also come in handy to have some general conditions on your mind. This might include the time your audience is willing to spend with you. Will your listeners be relaxed or are they in a hurry and barely able to attend your presentation? You don't want people to miss your key points because they already had to leave.

Define a Goal for Your Presentation

Now that you know the people you'll be talking to, you can figure out what to give them. What's the message you want to get across? What's the goal you're trying to achieve with your presentation? You might want to get support for your next software project. You'd like to get funding for building a website or app. Maybe you're trying to sell some software you've created. Or maybe you want to show the progress of your software project to your employer or client.

Defining a specific goal for presenting your software makes crafting the actual presentation a lot easier. At every step you can ask yourself whether some slide you're going to show or a certain thing you're going to say is beneficial for reaching that goal - if it's not, throw it out.

Defining Goal and Audience for Your Software Project Presentation

Outline A Story

Creating a story doesn't mean you have to write a screenplay. Instead construct a cohesive outline for your presentation. I like doing this by creating some placeholder slides with certain keywords and topics. Make sure that every part of your presentation fits with the next one so that your listeners won't get lost.

I'm not a book author, but just like design has it's principles, storytelling has some as well. Start with a brief setup explaining what your presentation is all about and foreshadow where the story will be going. It's highly subjective whether a story is good. Relatability is a key factor for liking a story - that's why you researched your audience. Now you can carefully select on which parts you'd like to go into details.

All good stories have a twist. It's still a presentation so there might just not be a real twist to your topic. Still, what I mean by that is don't spill all your beans in the first five minutes. Try to intrigue the audience by leading up to something. That could be the demonstration of your software, some exciting feature or the results of a proof-of-concept trial.

Address obstacles you overcame along the way, but don't make yourself look bad by mentioning every mistake you made - that's not an interesting story, is it?

Slide Design

Don't get me wrong, I know that some people are that good at public speaking, their slides don't matter. Other times you might not even need slides and rather just stand there by yourself or with some other props. However, when presenting software projects, having some slides is usually a good idea because it's pretty difficult to convey designs and technical concepts with words only. Having off-putting slides though might still be worse than having none at all. Here are some tips that can go a long way.

Less Text, More Content

You've probably heard some arbitrary upper limit for bullet points to slap on a slide - like no more than four or five. The problem with this rule is how people apply it: they just move their remaining bullet points to the next slide.

You'll get out of this dilemma, if you stop thinking in bullet points. Instead focus on the goal of your presentation and design slides that'll help you reach it. Below you can see some layouts I like to use.

Layouts for Content-focused Slides

Replace text with graphics wherever possible. People are naturally more receptive for graphical representations. An ad-hoc diagram you create directly on the slide can convey much more than plain bullet points. It does so by the means of boundaries, grouping and connections.

When doing these kind of diagrams don't try to fit everything in them. Focus again on what kind of understanding you want to achieve. You can also leverage diagram standards like UML or BPMN, but keep in mind that not everyone knows these notations by heart. Some plain boxes and arrows can go a long way and it's better to have a simple diagram that's helping people instead of a complex one that's not.

If you've developed a website or app, or anything with a user interface really, you've probably got a lot to show. You can also include design iterations describing how you got to your final result. However, don't bore people by showing every single interface (or state of the same interface) there is.

It can also be illustrative to see a mockup of your project in action - like someone holding a phone with your app open or a laptop showing your website. This will display your product in a professional and realistic look allowing people to easily picture themselves using it.

You'll find mockup resources and templates on graphics marketplaces which you can then assemble using photo editing software like Photoshop.

Don't be afraid to sacrifice a whole slide to one word or number - the impact will be worth it. This could be the number of users you have, the revenue your app made or how many orders your software processed. You might also put a quote from some famous figure to give your statements more weight - though don't overdo it with that, rule of thumb: one quote max per presentation.

When you're showing images you never want to ask during presentation whether everyone can make out what's on it. Either zoom into the parts you're talking about or slice up the image.

Simple and Consistent

Limit yourself to a few font configurations consisting of font-family, font-size, font-style and color. This will give your presentation a clean look and provide consistency. Also, especially when working with little diagrams like shown above, try to work meaning into your color coding by using the same colors for roughly the same things.

Having a limited set of layouts can also be beneficial because it will allow viewers to know faster where they should be looking.

One thing I also sometimes like to do is picking an icons for each specific topic and use those consistently throughout the presentation. This could be a map when you're talking about how you planned things out or a target when it's about goals reached. If you keep to a handful different icons, you'll make these topics easily recognizable allowing you to spice up what would've otherwise been just text.

Templates & Resources

I often see people creating their presentation with a theme based on a popular movie or show. I'd advise you to refrain from doing so as you probably don't want to get into problems with copyright infringement when your slides or a video of your presentation end up on the web. Rather stay with unlicensed resources and give credit where credit is due.

Just because you think you're not very skilled at design doesn't mean your presentation has to look bad - there are templates for that! SlidesCarnival and Slidesgo are great places for free-to-use presentation templates. They list them by color, style and occasion enabling you to always find something that fits your project. They come with inspiring placeholder slides, pre-defined color schemes and a bunch of icons.

Showing your app or website in action or doing a live coding session is somewhat the holy grail of software presentation. They can leave a major impact but might seem a bit daunting. The key here is preparation and some practice. Figure out the conditions for your demo and prepare accordingly:

  • Will you have access to internet? Can your demo work without internet?
  • What kind of connections are available for the projector? Bring your own adapters if necessary.
  • Does your demo rely on external services (like some API) and what will you do if those services are not available?

When all falls apart skip the demonstration or, even better, have a pre-recorded video of it ready to show. This way you won't waste your precious presentation time and the audience's attention span on fixing your demonstration.

Also, for a professional impression, do some cleaning up. Clear your desktop of anything that's not related to the presentation. Close every program you don't need as you probably don't want to have delicate mail notifications during showtime. Hide the bookmarks bar of your browser not only to keep those from prying eyes but also to have more room when showing a website or web app.

Practicing Your Presentation

Practicing your presentation will not only make you more confident, you'll also know roughly how long it's going to take. Therefore don't rush while practicing because it's just practice .

You can write down some speaking notes but don't script your presentation to a point where it feels awkward. It's not the end of the world if you say something differently or forget to say it at all - after all a presentation is a live performance.

It can also be really helpful to have a test audience while practicing. This will make transitioning to a real audience much easier and you get valuable feedback early on. If there's no one available, you could still record yourself using your phone.

Following some basic steps will give you a solid foundation for crafting presentations. Knowing your audience, having a clearly defined goal and proper slides might also reduce stage fright, allowing you to have a good time when presenting your next software project. By having a focus on content, not being afraid to go bold and some consistency your slides will help you communicate your message much better. With a professional presentation template your slides are almost guaranteed to be interesting. Throw a carefully prepared live demonstration and some practice into the mix and you're ready!

For most people, Microsoft 's PowerPoint remains the original and best of all the presentation software platforms out there. While other companies have managed to catch up and offer rival products worthy of consideration, the fact is that PowerPoint's familiar interface and ubiquitous availability means it remains a favorite for the majority of people.

On the one hand, it's long been a staple of the hugely popular Microsoft Office suite, meaning that for most users this is going to be the first - and last - presentation software they are going to need to use.

Additionally, Microsoft has made PowerPoint, along with their other office products, available as free apps (with limited functionality) on both iOS and Android for mobile use, meaning it's even harder to avoid them. And this is before we even consider the inclusion of PowerPoint in Microsoft's cloud-based Microsoft 365.

It does everything necessary that you'd expect of presentation software, allowing you to add text and media to a series of slides, to accompany a talk and other presentations. There are easy-to-use templates included to help spice things up a little, but even a general user with little experience of it is likely to find themselves able to use PowerPoint without much trouble at all.

For business users, there are a variety of handy tools available. By downloading Prezi , you can build and edit presentations with your colleagues in real-time, which is perfect for companies with teams based around the globe.

When you have created a presentation you’re happy with, you can present it live (in HD) and send a direct link to viewers. There are some analysis tools here, too – you can see who’s accessed your presentation, which parts of it, and for how long. The app is available for Mac and Windows devices.

Other presentation software to consider

Google Slides  is part of the Google Workspace (formerly G Suite) office platform intended as an online alternative to Microsoft Office. It may seem a little limited by comparison to PowerPoint, but as it's browser-based that means cross-platform compatibility. Additionally, it allows for collaborative work, and Google Slides really works well here. On top of the fact that it integrates with the rest of the Google Workspace apps, not least Google Drive, and you have a contender. 

Zoho Show  is another of the many, many tools and apps that Zoho has made available for business use. It also operates in the cloud so it's accessible to any device with a browser, and it also allows for collaborative work. You can also easily share the link for users to download, or provide a live presentation online. The updated version has a simpler and easier to use interface and comes with a free version and a paid-for one with expanded features.

Evernote  is normally thought of as just note-taking software, but it does provide the option to create a presentation you can share online or with an audience. In that regard, it's a little more limited than the other options in not being dedicated presentation software. However, as an easy and handy way to pull together a presentation quickly, it could serve as a backup or last-minute option, especially if Evernote is already being commonly used by you.

LibreOffice Impress  is part of the open-source suite offered as a free alternative to Microsoft Office, and comes with a powerful array of tools and editing options for your presentation, not least working with 3D images. It's supported by a large community, so it's easy to find an array of additional templates. If there is a limitation it's that it's software you download and install rather than web-based, but any presentations created should be easily portable to the web if needed.

Adobe Spark  does things a bit differently, as rather than just use images it's geared toward video as well. This makes for potentially more powerful multimedia presentations, especially as Adobe also has a big selection of photos and images available for its users. There is a free tier for core features but requires a subscription for custom branding, personalized themes, and support.

Slides  comes with a lot of features in an easy-to-use interface, and involves setting up presentations using drag and drop into an existing grid. It's also internet-based so there's no software to download, and it only requires a browser to use and access.

Releasing Windows 11, version 24H2 to the Release Preview Channel

UPDATE 5/29: We’re aware that some Windows Insiders in Release Preview are not seeing Windows 11, version 24H2 offered yet. We’ve just begun the rollout and will gradually increase the rollout over time so not everyone will see it right away. If you are not seeing it yet and want to update to Windows 11, version 24H2 right away, you can do so by using the ISO which are available for download here . The ISO is Build 26100.560 but once you update using the ISO and join Release Preview, you’ll get Build 26100.712.

Hello Windows Insiders!

Today, we are making this year’s annual feature update Windows 11, version 24H2 (Build 26100.712) available in the Release Preview Channel for customers to preview ahead of general availability later this calendar year.

Windows 11, version 24H2* includes a range of new features such as the HDR background support, energy saver, Sudo for Windows , Rust in the Windows kernel, support for Wi-Fi 7, voice clarity and more. It also includes many improvements across Windows. For example, we are introducing a scrollable view of the quick settings flyout from the taskbar, the ability to create 7-zip and TAR archives in File Explorer (in addition to ZIP), and improvements for connecting Bluetooth® Low Energy Audio devices. We will be sharing more details in the coming months on many of the new features and improvements included as part of Windows 11, version 24H2 leading up to general availability. Please note that the new AI features such as Recall announced earlier this week will not be available on your PC after installing this update today as they require a Copilot+ PC. For more information on those new AI features and Copilot+ PCs, see this blog post here .

As part of this update, we’re also evolving the Copilot** experience on Windows as an app that will be pinned to the taskbar. This enables users to get the benefits of a traditional app experience, including the ability to resize, move, and snap the window – feedback we’ve heard from users throughout the preview of Copilot in Windows. This model also allows Microsoft to more agilely develop and optimize the experience based on user feedback. This change will be making is way to Insiders in the Canary, Dev, and Beta Channels shortly.

Windows Insiders in the Release Preview Channel can install Windows 11, version 24H2 via our “seeker” experience in Windows Update. This means if you are an Insider currently in the Release Preview Channel on a PC that meets the Windows 11  hardware requirements , you can go to Settings and Windows Update and choose to download and install Windows 11, version 24H2 if you want. Once you update your PC to Windows 11, version 24H2, you will continue to automatically receive new servicing updates through Windows Update (the typical monthly update process). For instructions on how to join the Windows Insider Program and join your PC to the Release Preview Channel,  click here .

PLEASE NOTE: Windows Insiders in the Canary and Dev Channels will not be able to switch to the Release Preview Channel as they are on builds already based on Windows 11, version 24H2 but are on higher build numbers. These Insiders don’t need to switch. 

Commercial*** customers enrolled in the  Windows Insider Program for Business  can begin validating Windows 11, version 24H2 on PCs in their organizations. For these customers, the Windows 11, version 24H2 feature update is available through Windows Update for Business (WUfB) and Windows Server Update Service (WSUS). Azure Marketplace will be coming soon. You can learn more about deploying pre-release feature updates using  these deployment methods here . Should any issues arise, IT admins in organizations deploying Release Preview updates can request Microsoft Support .
